Pre-game parade will start at 6:30 P.M. Game starts at 7:15 P.M. After the game, Scouts stay in their seat for announcements Scouts can then return to their cars to retrieve camping gear. Campers are required to bring their own tents/camping gear Trolley will run after the game to take Scouts to their car and back to the stadium with gear. On field activities (movie, etc.) until lights out (TBD) Wake up call at 6:30 A.M. and park cleared by 8:30 A.M. 2 2013 Chattanooga Lookouts Boy Scout Night Handbook The Chattanooga Lookouts would like to thank you for participating in our Scout Night Campout. Inside the handbook is valuable information regarding our Campout. Please review all of the information so you will be completely prepared for this event. The information will ensure your group will have a safe and enjoyable night at AT&T Field. 3 Game Date & Time Saturday, May 11th Game Time 7:15 pm Pre-game Parade starts at approximately 6:45 pm Scouts should arrive at AT&T Field no later than 6:00 pm Itinerary Pre-game Gates to the ballpark will open at 6:15 pm. Scouts participating in the pre-game parade should be here no later than 6:15 pm at the main gate. Please do not bring your camping gear into the ballpark at this time. Scouts will check in at a table outside the front gates. Once inside the front gates, a Lookouts representative will guide your Scout in the right direction. After the parade, your Scout will exit the field on the first base line between Sections 104 & 105. Post Game Following the game, Scouts should remain in their seats and wait for announcements and instructions. Afterwards, Scouts can return to their cars and retrieve their gear. The Lookouts trolley will deliver people back to the parking lots after the game, and continue to bring Scouts back to the stadium with their campout gear. If needed, parents/chaperones are allowed to drop off the gear at the bottom of the hill after the game. Campout Please have your sleepover wristband on when you reenter the stadium. Once the field is cleared and prepared for a safe campout, the Scouts will be allowed to enter the field between Sections 104 & 105 on the first base line. Scouts can bring their tents and packs onto the field and begin to set up. The Lookouts will provide entertainment until lights out. Breakfast Wake up call will be at 7:00 a.m. Hardee s breakfast will be served from 7:00 until 8:00 on the field. Scouts should have the field cleared and be ready to go by 8:00 a.m. Morning Clean Up All Scouts are required to assist in field cleanup. No one is allowed to leave until the field is cleaned of all debris and trash. 2

4 Sleepover Rules We ask that all Scouts, Scout leaders and participants observe the following rules. It will make the event more enjoyable for everyone and keep the cost down for future years. Do: Treat the field with care. Stay in the outfield at all times. Carry all equipment onto the field. Bring snacks for the sleepover portion only. No food or beverage will be allowed inside the ballpark during game time. Pack only the essentials. You will be awake on the field for only a few hours. This also allows more people to attend the sleepover. Do Not: Stake down tents; No stakes are allowed under any circumstance. Apply bug spray while on the field. Bug spray will kill the grass. Use plastic or tarps between the tent and grass. Please only put plastic or tarps on the inside of the tent. Use a rain guard. Please do not spray rain guard on tents. It washes off and kills the grass. Go on the infield at anytime. Use heating devices. Bring wheeled wagons, coolers, etc. Please carry everything onto the field. Bring anything flammable (lighters, candles, kerosene lanterns) Bring pets of any kind, shape or size. Smoke (AT&T Field is a non-smoking facility) As this is a Scouting Event we ask all adults to refrain from drinking alcohol. Any adult that is participating in the Scout Night with the Lookouts will not be permitted to stay if they are or appear to have consumed alcohol at anytime during the evening. The Chattanooga Lookouts reserve the right to escort anyone caught with alcohol off the premises without refund. 3

5 Rain Out Policy In the case of inclement weather, please read and understand the information below. Please make sure that all members of your group are aware of this information so there is no confusion before, during or after the event. If the game is cancelled, so is the sleepover. If the game is played, the sleepover will only be cancelled if the weather forecast calls for severe storms overnight or if the field will be damaged. If the sleepover is cancelled, we will reschedule for a later date. You will be contact by a Scout representative with more information. Game Tickets The Lookouts do not refund money on tickets purchased. Your ticket can simply be used at a future 2012 Lookouts regular season game, including the sleepover make-up date. ** Note that we never cancel a game before the scheduled start time. We recommend that all fans with game tickets show up on time as usual. We make every effort to get our games played, even if that means a lengthy rain delay. 4

6 Frequently Asked Questions Will there be any loud noise or clean up during the campout? There may be some brief clean up during set up, but the cleaning crew will not be pressure washing or using blowers during the campout. What essentials do we need to bring? The list should include a spike-less tent, sleeping bag/pillow, flashlight, proper sleep attire, and any necessary toiletries. Who receives campout patches? Every Scout will receive a Lookouts patch. Is the sleepover available to family members? Yes. Parents, guardians, and siblings of scouts are welcome and encouraged to attend the game and spend the night. Same prices apply for family members. Will there be adequate supervision? Yes! All groups that plan on staying overnight are REQUIRED to have adequate chaperoning by their Scout leaders. There will be numerous Lookouts employees on hand to assist during the evening and stay overnight. Where do the Scouts store their overnight gear during the game? Gear should be stored in the chaperone/leader s vehicle during the game. Scouts can return to their cars after the game to retrieve the gear and return to the stadium. The Lookouts trolley will be running to drop you off and pick you back up. Make sure you bring your sleepover ticket so you can reenter the stadium. How/when/where should we transport our camping gear onto the field? How? We ask that you NOT bring wagons or coolers with wheels onto the field. Please carry all items onto the field. When? After the game is over you will be given instructions. Then you can return to your vehicle to retrieve the gear. Only Scouts with the sleepover wristband are allowed back on the field. You will be allowed onto the field when a Lookouts employee says it is safe. Where? Enter the stadium at either gate and proceed to the on field entrance between Sections 104 and 105. Lookouts employees will direct you to where to set up your tent on the field. If you desire to be with a group of people, we recommend getting in line together before entering the field. 5

7 What do we need to get into the sleepover? There is a sleepover wristband that should be worn when you reenter the stadium after retrieving the gear from your car. Only those with sleepover wristbands will be allowed back into the stadium. Do we need anything to be allowed to eat breakfast in the morning? No, Hardee s is supplying breakfast to everyone that attends the sleepover. Breakfast will be served inside the main concourse. Will there be concession stands open during the sleepover? No, concessions stands will close after the game. Groups are allowed to bring food and beverages into the ballpark for the sleepover portion ONLY! No food or beverage is allowed in the ballpark during the game. Will there be restrooms open during the sleepover? Yes, the restrooms in the concourse will remain open for the entire night. We ask that each Scout be accompanied by 2 chaperones when attending the restrooms during the night. If we need to leave in the middle of the night can we? Once we have everyone on the field, all gates at the ballpark will be locked. If you need to leave for any reason, you will need to contact a Lookouts employee. Once you leave the ballpark, you will not be able to reenter during the night or for breakfast. Where do we park, and will our car be towed at night? Unfortunately, the Lookouts do not have a parking lot. We use existing parking lots in the downtown area. Most parking companies do not have a problem because you will be gone by 8:30 a.m. If you park in an unauthorized area, you may be subject to towing. The Chattanooga Lookouts are not responsible for lost, stolen or damaged property in any parking lot. If something occurs, it is the sole responsibility of the vehicle s owner to contact the Chattanooga Police and notify the parking lot company of any theft or damage. The Chattanooga Lookouts are also not responsible for any parking ticket. Please obey all street and parking signs. 6

8 Directions to AT&T Field From I-24, take Exit 178 onto Highway 27 North. Take Exit 1C (4 th Street/Downtown). Take the first left onto Chestnut Street, then first left again onto 3 rd Street. AT&T field is located at the top of the hill. From I-75, take I-24 West (Chattanooga/Birmingham) then take a slight right onto Highway 27 North. Take Exit 1C (4 th Street/Downtown). PARTICIPANT RELEASE OF LIABILITY Read Before Signing In consideration of being allowed to participate in any way in the Chattanooga Lookouts Baseball Club program, related events and activities, I (participant s full name), the undersigned, acknowledge, appreciate and agree that: 1. The risk of injury from the activities involved in this program is significant, including the potential for permanent paralysis and death, and while particular rules, equipment, and personal discipline may reduce the risk, the risk of serious injury does exist; and, 2. I KNOWINGLY AND FREELY ASSUME ALL SUCH RISKS, both known and unknown, EVEN IF ARISING FROM THE NEGLIGENCE OF THE RELEASEES or others, and assume full responsibility for my participation; and, 3. I willingly agree to comply with the stated and customary terms and conditions for participation. If however I observe any unusual significant hazard during my presence or participation, I will remove myself from participation and bring such to the attention of the nearest official immediately; and, 4. I, for myself on behalf of my heirs, assigns, personal representatives and next of kin, HEREBYRELEASE, INDEMNIFY, AND HOLD HARMLESS CHATTANOOGA LOOKOUTS BASEBALL CLUB, INC., their officers, officials, agents and/or employees, other participants, sponsoring agencies, sponsors, advertisers, and if applicable, owners and lessors of premises used to conduct the event WITH RESPECT TO ANY AND ALL INJURY, DISABILITY, DEATH, or loss or damage to persons or property, WHETHER ARISING FROM THE NEGLIGENCE OF THE RELEASEES OR OTHERWISE to the fullest extent permitted by law.
