1 Woodstock Girls Softball League General Meeting Minutes Alex Benitez called to order the General Meeting for the Woodstock Girls Softball League at 7:07 pm on January 8, 2012 at the Woodstock VFW. Present: Alex Benitez Tammy Benitez Kyle Schultz John Czischki Mike Rank Erich Thurow Jamie Czischki Pete Riis Dan White Jeff Legare Katie Schultz Joe Ryan Keith Benedict 1. Review December Board Minutes for changes. Approval of December General & Board Meeting Minutes Motion to approve Dan White Second Erich Thurow Vote I s = All in attendance Nay s = none Motion carries; December General & Board Meeting Minutes approved. 2. Treasurer s Report Jeff Legare December Report month end balance - $9, Need Steve s (LITH) to contact for the uncashed check for tournament Motion to accept treasurer s report: Kyle Schultz Second the motion: Vote: Dan White I s All in attendance Nay s - none 3. Review of clinics and other winter training a. Move pitching to Friday - Monday turnout is good and better than Fridays. - Westwood is too small. Last night was packed and is getting dangerous for the girls. - E. Thurow suggested 8 9 hour being for pitching with the older girls on Friday night. - Equipment will be an issue to cart around for Friday. 1
2 - Suggestion of 6 8 to be the skills and the 8 9 pitching. - Fridays bring the rubbers and not the full mats. - Will send an to request the older girls to switch over to Fridays. - D. White offered to drop off and pick up the catcher equipment on Fridays. - Starting next week Monday. - Pete suggested running some catcher clinics. b. Shift the schedule somehow - Saturdays in February can be a concentration of skills as well. - Maybe a conflict with WLL. E. Thurow to check into. 4. Determine a calendar of important events a. Parent meeting - To be scheduled for March 19 th b. Draft - Look in (player evaluations) to be scheduled for March 12 th and 15 th - Regular season draft scheduled for March 16 th or 17 th - Spring break is March 25 th through March 31 st c. Official close of registration - Scheduled for March 3 rd d. All-star tryouts - A. Benitez discussed the details of the Weekend All-star league - March 5 th and 8 th for the Weekend All-star league (indoor) - A. Benitez also suggested April 2 nd and 5 th for additional Weekend All-star league tryouts. - To tryout both days are to be mandatory. - The start of the Weekend All-star league will be around Mid-May. - E. Thurow suggested that WGSL buy gym time on a Sunday in March for the Weekend All-star League tryouts. E. Thurow will look into the gym time. Suggested day is March 10 th. - Suggested beginning of All-star tryouts (for all girls after regular season) to be June and is open to all girls. - Suggested tryout dates of June 1 st and 8 th. e. Tryouts to move up a Division - Coaches will have the opportunity to at least look at those girls that want to move up. (@ look in scheduled for March?) f. What other events are needed - See g. Others? for more events information. g. Others? - Opening Day WLL is March 27 th therefore possible day is May 4 th. - Approximate opening day of weekend league is two weeks later. 5. Registration with WLL 1/19 VFW, 3-5PM; 1/27 MOOSE, 1-3pm; and 2/12 VFW, 7-8:30pm a. Volunteers 2
3 - Jeff Legare will be at all three walk-in registrations. - Jamie/John Czischki will be at all three walk-in registrations. - Kyle/Katie Schultz will be at all three walk-in registrations. - Alex Benitez will be around for all three walk-in registrations. - Dan White will be at the Saturday and/or Sunday walk-in registrations. b. Design and print new registration sheets - A new design of the registration forms will be needed for the walk-in registrations. - A. Benitez to provide a copy of last year s registrations forms for an example to work off of. c. Financial aid sheets - d. Spirit wear order forms - E. Thurow to provide. e. Cash box f. Volunteer sign-up sheet - W. Legare is appointed volunteer coordinator. g. Printed calendar of events h. Sell batting cage cards - Dates will be entered on the hitting card at the time of sale and are good for 30 days. - League is buying the hitting cards in bulk at a cost of $25 for unlimited hitting at the indoor facility. - Additionally, P. Riis is not aware of the color for this year s discount cards. 6. Marketing with Posters, Flyers and Ad in the Independent - Napoli s can attach flyers to the pizza boxes. WGSL will print them the flyers and provide to Napoli s. - A flyer will be put up in the bakery by T. Benitez - NW Herald ad will be run for registration. 7. Use the kids to promote registration a. WGSL day on Monday or Tuesday, 2/11 or 2/12, before final walk-in registration. b. Have girls pass out flyers with or without less expensive pens? - Decision was made not to have girls pass out flyers with or without less expensive pens as the girls will get into trouble with the school administration. - Have a contest of some sort. i. Wear your WGSL spirit wear to school and submit a picture to enter name in a drawing. Those who send a picture are entered 5 times; those that just wear spirit wear without a picture are entered 1 time? o E. Thurow agreed that WGSL should run this contest again. o Monday the February 11 th is the scheduled WGSL Spirit Day. 3
4 ii. Have the girls put their name on a flyer, if a new person comes in with the flyer with their name on it they automatically get something and are entered into a bigger prize? A referral prize. o $10 gift certificate o K. Schultz to add a question to the registration for if a girls was referred by anyone Review of Preliminary 10U and 12U Rules for in-house league - 10U Rules - - A. Benitez thanked K. Schultz for the update of the 10U and 12U rules. - K. Schultz walked through how updates to the rules came about and how WGSL s rules were vague and compared to other leagues in the area. - P. Riis stated that the rules are exception rules and not the true ASA rules. - A. Benitez indicated that he likes - 10U section 2 grey pants is regular season rule. 6 full innings with minimum 4 innings (unless time limit of 1:40 is achieved). - The original start time comment in section 4 for 10U is to be kept within the rules. - The 10U strike zone will be top of shoulders to top of knees and will be written into the regular season rules. - Section 5 #3 inning length due to runs earned. WGSL's limit of runs earned in an inning has been 7 whereas others within the area has been 5. The decision was made to keep at WGSL's limit of runs earned in an inning at 7. - Section 6 #1 safety of playing infield and sitting no more than 1 inning is to be expanded to include at the discretion of the coach and/or due to injury of player that more than 1 inning can be sat out or to play exclusively in the outfield. - The decision was made to have the catcher in the crouching position be a requirement. - The decision was made that short center can be an infield position starting in the grass for the 10U division. - The rule for limiting a runner to 1 base on an over throw but not on a steal was discussed. The decision was made that an advancement of a base runner (steal) will include for an over throw when there is a play against the base runner at third. - The rules will be updated to include the addition of the sister rule and that when borrowing from the opposing team, the player can play any position. - The regular season rules will be updated to include the consequences for breaking of the rules. - 12U rules - A discussion was made regarding the strike zone for 12U should be letters (armpits). - The rules are to include a limit of 4 innings for pitching with free substitution but with 1 pitch still equaling 1 inning. 4
5 - The rules regarding Base stealing, in particular the 1 base on an over throw was questioned. The decision was made to omit this rule and to add verbiage that the base runner is allowed to run at own risk. - 8U - A. Benitez asked about girl pitch or coach pitch. K. Benedict indicated that there will have to be coach pitch. However, J. Ryan stated that there will have to be girl pitch at some point or the girls will not learn how to pitch. A. Benitez suggested that the girls pitch for a few batters and then the coach comes in to pitch. It was agreed that there has to be a combination of girl pitch and coach pitch. The suggestion was made to have a 2 inning limit of girl pitch for this division. - The decision was made that 3 coaches can be on the field for instruction (one at the mound) - The decision was made to start the season with combo girl/coach pitch. - 8U girls will use 11 ball. - 6U division will start later (as it is warmer) and a limit of 10 games will be scheduled. 6U girls will start on a T at the beginning of the year and then switch to coach pitch for the second part of year ball will be used for the 6U division. 9. Additional business - Division reps 10U Erich Thurow, 15U Dan White, 12U?, 8U Jamie? Kyle? (Alex asked Keith Benedict to volunteer for 8U rep) - Sponsorship coordinator send letters to prospective business. Most will repeat. Need to coordinator banners and collection of money. Make sure each team has a sponsor. Could be a committee or multiple people. - Coaches meeting will be determined after coaches are determined. - Coaches clinic might be this weekend (Friday, Saturday and Sunday) at $100 per person.
