4 VOLUNTEER OBLIGATIONS AND MONEY BAG INSTRUCTIONS FOR THE SNACK SHACK AT HIGHLANDS We are very pleased to announce that Baseball and Softball are sharing the Snack Shack. All inventory, proceeds and alike will be shared. No more locks, no more worrying about which league owns what, whose refrigerator is whose. We are one community now. It is truly wonderful that softball and baseball will be splitting up duties. This means that each league will run the shack on certain days of the week and split duties on Friday Night Lights and Saturdays. Volunteer hours will be almost cut into half from years past. Below are the specific rules for which team must volunteer for SCLL Baseball. (Softball sets up its volunteers differently.) The schedule for which Saturdays each league works is in the Saturday Schedule Section. Please remember that SCLL and Softball are ALL VOLUNTEER Leagues. Your coaches, the Board Members and Auxiliary Board are NOT paid, and put in many hours a week to make the leagues operate. SATURDAY GAMES Depending upon the date, either SCLL or Softball operates the Shack. See Saturday Schedule for details. For SCLL ONLY (softball has its own rules for staffing Money Bag rules are same for both leagues.) BOTH THE HOME TEAM and VISITING TEAM with a game scheduled on Highlands North must each provide one volunteer for the Snack Shack on Saturdays. EXCEPT, each team with a game starting between 11:00 a.m. or 1:30 p.m. MUST PROVIDE 2 VOLUNTEERS EACH FOR A TOTAL OF 4 VOLUNTEERS. (Lunchtime is crazy and we need 4 people in the Shack.) The HOME TEAM FOR THE FIRST GAME OF THE DAY IS RESPONSIBLE FOR OPENING THE SHACK. The home team s volunteer for the first game of 4

5 the day needs to pick up the MONEY BAG. The bag should be picked up in advance of the game so that the Shack is open and ready for business at the start of the first game. PICK UP MONEY BAG AT LEAST 45 MINUTES PRIOR TO THE GAME TIME, SO THAT YOU HAVE 30 MINUTES TO GET THE SHACK READY BEFORE GAME TIME. THE KEY FOR THE DOOR IS IN THE MONEY BAG. Pick up the HIGHLANDS BAG (make sure its Highlands) in the basket at Lisa Nakahara s house at 2123 Belle Avenue (right across from St. Charles Parking Lot corner house on Belle/Lupin). Please do not knock or ring the bell, as the bag should be outside. PLEASE MAKE SURE THAT YOU TAKE THE CORRECT BAG. The last VISITING TEAM OF THE DAY IS RESPONSIBLE FOR CLOSING THE SHACK. THE VISITING TEAM IS RESPONSIBLE FOR RETURNING THE MONEY BAG TO LISA NAKAHARA S HOME AT 2123 BELLE AVENUE AT THE END OF THE DAY. DO NOT KNOCK OR RING BELL, JUST LEAVE THE BAG IN THE BASKET AT THE FRONT DOOR. Team Parents should set up a signup sheet for working the shack based upon the attached schedule and the game schedule on the SCLL website. The coordinators for each Division will try to send out reminder s on a weekly basis to remind the teams. SUNDAY GAMES (SCLL ONLY) There are a handful of SCLL games scheduled on Sundays. SCLL teams scheduled to play at HIGHLANDS NORTH are required to operate the Shack. THE FIRST HOME TEAM OF THE DAY OPENS Picks up Money Bag at least 45 minutes before start of game at 2123 Belle Avenue. (See above instructions for Saturdays for more specifics) THE LAST VISITING TEAM OF THE DAY CLOSES THE SHACK. drops off Money Bag at 2123 Belle Avenue. REGARDLESS OF THE TIME OF THE SUNDAY GAMES, ONLY ONE VOLUNTEER IS REQUIRED OF EACH TEAM FOR SUNDAY GAMES. WEEKDAY GAMES MONDAYS 5

BOTH HOME TEAM and VISITING TEAM with a game scheduled on STADIUM must each provide one volunteer for the Snack Shack. The HOME TEAM FOR THE FIRST GAME OF THE DAY IS RESPONSIBLE FOR OPENING THE SHACK. The home team s volunteer for the first game of the day needs to pick up the MONEY BAG. DO NOT KNOCK OR RING BELL, JUST LEAVE THE BAG IN THE BASKET AT THE FRONT DOOR. THURSDAYS Softball is responsible for operating the shack exclusively. Softball needs to open and close the Shack. (See Opening and Closing Instructions.) FRIDAY NIGHT LIGHTS Operation of the Shack is dependent upon the date of FNL. A. SCLL operates the Shack exclusively on the following dates: 3/18 3/25 AA Home Team Opens the Shack and Majors Visiting Team Closes the Shack Each Team playing provides a volunteer so the early AA teams EACH provide one volunteer, and the Majors Division will provide two volunteers. B. Softball and SCLL operate the Shack Together on the following Nights: 7

8 4/1 4/15 4/22 4/29 5/6 Softball will provide 2 volunteers and SCLL will provide 2 Volunteers. SCLL Volunteers consist of one volunteer from each of the teams that are playing at FNL. So, 2 volunteers from the AA game, and then 2 volunteers from the Majors Divisions for SCLL must be provided. SCLL WILL OPEN AND PICK UP THE MONEY BAG SOFTBALL WILL CLOSE AND RETURN THE MONEY BAG PLEASE REMEMBER THAT THE SAN CARLOS LITTLE LEAGUE AND SOFTBALL GET MOST OF THEIR FUNDING FROM REGISTRATION FEES AND THE SNACK SHACK. THANK YOUR FOR VOLUNTEERING AND MAKING LITTLE LEAGUE AND SOFTBALL POSSIBLE 8

9 OPENING PROCEDURES minutes before First Game of Day, HOME TEAM PICK UP KEY AND MONEY BAG MARKED HIGHLANDS FROM THE BASKET AT 2123 BELLE AVENUE (RIGHT ACROSS FROM ST. CHARLES PARKING LOT corner house on Belle/Lupin). Highlands money bag contains the keys to open the door of the Shack. 2. Count Money. Place money in the money drawer. 3. Turn on the hot dog grill and take out Hot Dog Buns from Refrigerator or Freezer to defrost. (Use Refrigerator ones first). 4. Line the bottom of the hotdog roaster with tin foil. 5. Spray the hotdog roaster with Pam as rollers spin. 9

10 6. Cook hotdogs for 15 minutes and then wrap in tin foil and place in warmer. 7. Add water to the hot dog warmers, if needed, and turn on. The water goes below the trays. Turn on to 5. Make sure not too much Water or it boils over. 8. Wipe down countertops. 9. Ensure candy, drinks, chips, napkins and utensils are stocked. Display candy on the countertop. Display chips, nuts and other items. The Display is the black wire display that may be in the back. 10. Put Condiments on Counter Top. 11. Add water to Keurig coffee machine and turn on. To use, place K pack in and press brew. 10

11 12. Frozen Food should be microwaved according to the directions on the respective boxes when it is ordered. 13. Pretzels: Pat with a little water, sprinkle salt, microwave for 30 Seconds. Pretzel Salt is in Tupperware on top of microwave. 14. Set up Cheese in the crock- pot for Nachos. SOFTBALL ONLY 15. Open windows. In the bottom corners, undo the locks by pulling inward. (Don t open windows until you are set up). 16. Restock as needed. 17. Take out frozen burgers or hotdogs, and buns as needed. (Only Softball will be cooking burgers). Start grill. Once burgers are cooked, can wrap and keep in warmer. 11

12 18. Use the Tickets for Team Meal Deals. (A Meal Deal consists of 1 small hotdog, 1 soda/water, 2 pieces of 25 Cent candy) 19. Ask Teams if they play on doing a meal deal so you can estimate the number of dogs that you need. 20. Last Game of Day Determine how many dogs you think you need meal deals bought? If there are extra hotdogs near the end of the game try to sell for $1.00. If there are still some left over- give away 21. PEOPLE WHO RETURN A FOUL BALL GET A FREE 25- Cent CANDY. RETURN ALL FOUL BALLS TO HOME TEAM COACH 22. IF A CHILD or JR UMPIRE FOR SCLL and SCYSA BRINGS AN UMPIRE VOUCHER PAY HIM/HER OUT OF THE CASH IN THE DRAWER ($30 per game for SCLL, $25 for SCYSA) AND PUT THE VOUCHER IN THE DRAWER. THEY ALSO GET A MEAL DEAL. 23. SHACK IS USUALLY PRETTY WELL STOCKED LOOK AROUND IN THE BACK 12

13 IF YOU CANNOT FIND WHAT YOU ARE LOOKING FOR. WHEN HANDLING FOOD, ALWAYS WEAR PLASTIC GLOVES AND WASH HANDS NO KIDS UNDER THE AGE OF 15 MAY HANDLE THE MONEY OR SHACK WITHOUT AN ADULT. YOUNG CHILDREN SHOULD NOT BE IN THE SHACK ON SATURDAYS OR FNLs. Questions: Call Michelle, Erin or Tonya. (See Contact information on page 3.) 13

14 CLOSING PROCEDURES 1. TURN OFF ALL PLUGGED ITEMS HOT DOG MACHINE, WARMER, NACHOS, PRETZEL HEATER. 2. Count Money. Fill out accounting sheet. Change can stay in the drawer. Put money and umpire vouchers back into the moneybag. Count out the money and write on the sums on the enclosed form. 3. Put some hotdogs from freezer and put in refrigerator 4. Pull some Frozen Buns out to defrost 5. Clean hotdog roaster while still slightly hot. Replace foil with clean foil underneath the roaster. 6. Clean Counter tops 7. Stock as Needed. 14

15 8. Return Grill, table or anything else that was taken outside. Everything must be put back inside the shack. 9. Empty trash to the City trash cans outside of the Shack and reline the trash cans 10. Visiting Team return the Money Bag to Basket at 2123 BELLE AVENUE (RIGHT ACROSS FROM ST. CHARLES PARKING LOT corner house on Belle/Lupin). Do not Disturb homeowner. 11. Note that if the Shack is low on an item, please Tonya, Erin or Michelle. (See Contact Page) DOUBLE TRIPLE CHECK THAT THE WINDOWS, DOORS, COOLER AND CABINETS/DRAWERS ARE LOCKED AND ALL ELECTRONICS ARE OFF, AND THAT ALL FREEZERS AND REFRIGERATORS DOORS ARE SHUT COMPLETELY!!!! 15

16 FINES FOR SCLL FOR SCLL If Your Team was supposed to operate the Shack and it did not, YOUR TEAM will be fined $50. No excuses. The Shack is SCLL s only revenue other than registration fees. The League cannot afford to have the shack closed because of a failure to follow directions, or lack of desire to volunteer. SCLL is an ALL VOLUNTEER LEAGUE. 16

17 UMPIRES SCLL UMPIRES: are paid $30 per Game and a free meal deal. The $30 comes out of the cash drawer. THEY MUST PROVIDE A FILLED IN VOUCHERS IN ORDER TO GET PAID. IF THE UMPIRE DOES NOT WANT ITS MEAL DEAL AT THAT TIME, YOU CAN GIVE HIM/HER A MEAL DEAL TICKET FOR USE LATER. SOFTBALL JR UMPIRES: are paid $25 per Game and a free meal deal. The Money comes from the cash drawer. THEY SHOULD PROVIDE A FILLED IN VOUCHER BEFORE BEING PAID. IF THE UMPIRE DOES NOT WANT ITS MEAL DEAL AT THAT TIME, YOU CAN GIVE HIM/HER A MEAL DEAL TICKET FOR USE LATER. 17
