1 Minutes from November meeting read and approved. East Central Baseball Boosters Meeting December 18, 2013 ATTENDENCE: Angel Poindexter, Brad Poindexter, Patty Gick, Coach Reynolds, Randy Lecher, Chris Lecher, Teresa Weltzin TREASURE REPORT: Received check from Kroger for $ No expenses since last meeting. Current total in boosters account $ COACHES REPORT: Winter work outs for will begin on January 13 th and will be on Monday, Wednesday, and Friday will begin at 6:50am-7:40am. Evening workouts will begin on February 13 th and will on Tuesday and Thursday s from 6:30-8. There will be no work out on February 18 th. These workouts are primarily for freshman. Tryouts will be over 3 days and will begin on March 10 th with last day being March 12 th. Team rosters will be posted on March 12 th. Mandatory Parent meeting for all players making teams will be on March 13 th. Practice will start on March 13 th. First Varsity game will be on Friday April 4 th and 5 th, this is a tournament in Madison and there is a chance team may stay overnight. JV and Freshman schedules are still being worked on for 2014 season. KROGER: Angel is currently the contact person for Kroger rewards card. Will send out to parents regarding signing up for Kroger reward points for baseball boosters and will mention this at parent meeting in March. WEBER S: Chris Lecher will head up and will forward from Cindy Sparks regarding contact for Weber s. Brad Poindexter will take care of renewing the 501C in March. Don Stonefield is aware of hole in JV visitor dugout roof and school to repair. Angel will send to Laura Werner and ask if she would be able to meet with boosters members to discuss sectional tentative date is Friday 1/10/13. February boosters meeting we will need to get everything ready for parent meeting. Brad and Randy will speak to parents on boosters behalf. Next meeting to be held on Wednesday January 15 th at 6:30 in Coach Reynolds room. Angel Poindexter motioned to end meeting seconded by Randy Lecher

2 East Central Baseball Boosters Meeting November 20, 2013 Attendance: Angel Poindexter, Matt Marro, Randy Lecher, Chris Lecher, Patti Gick, Coach Reynolds. Minutes from the October 9, 2013 read and approved. Treasure s report: Coaches Report: Fall workouts ended as scheduled. Field maintenance day thank you for all the help, were able to edge varsity field, clean press box, nets stored, pitching mounds clayed, varsity and JV fields were fertilized. Workouts for Varsity players will begin sometime in middle of January. Freshman evening work outs will start in February. Dates to be determined need to work out times for field house availability. Should have dates by next boosters meeting. Kroger cards: Angel has sent all her contact information to Paul Soos to pass along to Kroger. To date no contact has been made by Kroger. Fundraisers: Need someone to take responsibility for the Weber s flower sales. Chris Lecher said she would take over. Angel will send an to Cindy Sparks, who was responsible last year, to get information regarding contact information for Weber s. Regarding Community Service fund raiser Angel spoke with Tommy Stevens who is a member of the Bright Volunteer Fire Department and discussed possibility of players doing their community service with them. Players would be able to work on Saturday morning. Will follow up as time gets closer and schedules are set to confirm date. Will also see if someone at the Sunman Volunteer Fire Department can be reached and the players from Sunman could volunteer in Sunman. Angel will be responsible for boosters end of this fund raiser. The EC baseball boosters website domain payment is due in March. Business enity report is due in December. 501C is due in February. Speakers outside press box are coming apart and will most likely need to be replaced in the next year or two. Not sure if athletic department will help will any of the cost for this.

3 Youth Baseball account was discussed if we should dissolve or keep in place. Dan Werner said he would verify what actions needed to be taken after boosters decided what to do with account. Account was last used last year. Decision was made to sit on it for a year and see if anyone would like to use it. Jeni Werner s name is currently on it and will need to be taken off. Doug and or Laura Werner s name may also be on account. Ask Brad Poindexter if he is willing to put name on account. Coach Reynolds asked that if any team request to use that it be a team with all Sunman Dearborn players. Boosters does not contribute to fund. Laura and Doug Werner have agreed to meet with booster members to discuss Sectional. Patti, Chris, and Angel will find a date to meet with them and discuss any questions we may have. Boosters will meet Wednesday January 15 th, 2014 and Wednesday February 19 th, Next meeting will be Wednesday December 18, 2013 at 6:30 in Coach Reynolds room. Angel Poindexter motioned to end meeting seconded by Coach Reynolds.

4 East Central Baseball Boosters Meeting October 9, 2013 Attendance: Coach Reynolds, Angel Poindexter, Brad Poindexter, Patti Gick, Randy Lecher, Chris Lecher Minutes from September meeting read and approved. Treasure Report: Brad Poindexter is the treasure and is able to sign checks for the East Central Baseball Boosters. Paul Soos and Jeni Werner are no longer authorized to sign checks for the East Central Baseball Boosters. Randy Lecher is also able to sign checks for the East Central Baseball Boosters. Beginning balance of $ 11, in boosters account. Received and deposited check from Kroger, from Kroger card. $3000 paid to East Central athletic department for scoreboards, paint and supplies purchased to paint dugouts. Since last meeting for a ending balance of $ Preliminary budget done. Coaches report: Baseball camp will run on 10/16/13-10/18/13, Wednesday-Friday. Groups will be k-2 & 3-5 will run from 9-10:30 and 6-8 will run from 11-12:30. At this time 50 kids are signed up, but could have kids. High school players from last year will assist with camp. Camp will take place in Field house in the case of rain. Fall session is winding down. Last day on field will be 10/24/13. Final weight session at this time is 10/25/13 but may extend if Belcher is able to continue to work with players. Art teacher as agreed to put EC logo on dugouts but would like boosters to cover cost of art supplies. Kroger Cards: sent to Paul Soos who needed contact name to send to Kroger so that someone could take over. Contact person at this time to be Angel Poindexter. To date has not heard from Kroger. Will send to Paul to find contact info for Kroger s if nothing heard in next week. Field maintenance : Will be Saturday 9am. Will need to fertilize fields, all of varsity and infield on JV. Dugouts have been painted. Inside of JV dugouts need to be finished. Sectional: Will be able to use existing concession stand near baseball fields. Boosters will have to buy soda from Don Stonefield at cost. If order is placed on Friday will have soda by Monday. Boosters will be able to decide what price to sell soda at and keep profit. Boosters can determine what items to sell at the concession stand during sectional but will have to purchase all items. Boosters will have to obtain access to concession area to see what is available and in working condition for the concession area. Field maintenance will need to be done between each game during sectional, which will require 10 people.

5 Coach Reynolds to obtain addresses of Freshman attending fall workouts, so they may be added to list. Unsure if tryouts will be March 10 or 17 of Fate of Youth Baseball Account not sure if it needs to be dissolved or left in place. Will Jeni Werner to see how much is in account and if has been used recently. Will also need to find out if it is dissolved what needs to be done with the money. Randy Lecher and Dan Werner to work on boosters website. Next meeting to be held on Wednesday November 20 6:30 in Coach Reynolds room. Angel motioned to end meeting seconded by Coach Reynolds.

6 East Central Baseball Boosters Meeting September 18, 6:30pm ATTENDENCE: Angel Poindexter, Brad Poindexter, Diane Vogelgesang, Patti Gick, Chris Lecher, Randy Lecher. Minutes read from August meeting TREASURE REPORT: Current balance for checking account $ Net available $ Still need to write check to school for their balance for community service project. Boosters still owe their share for the scoreboard, which is $3000. Will write a check for both amounts and check needs to be given to Sue Whitmeyer or Don Stonefield. Also need to get ahold of Paul Soos to have Brad s name put on account so that he can write checks. Brad will meet with Coach Reynold to make out a budget for the year. COACHES REPORT: will have a camp over fall break on 10/16-10/18. It will include grades k-8. Groups will be broken in to 3 groups k-2, 3-5, 6-8. K-2 and 3-5 camp will run from 9-10:30am 6-8 camp will run from 11-12:30. Will need assistance of players for last year. Fall workouts have begun 36 players have attended. All 4 dugouts still need to be painted, red and charcoal grey. FIELD MAINTENCE DAY: Will be Saturday November 9am. Work to be done: relevel mounds and plates, edge, pick up trash, fertilize fields, preparing field and dugout for winter. KROGER CARDS: Will Paul Soos to ask about details regarding account. Need someone to take responsibility for the Kroger card account. SECTIONAL: Angel will send out to ask Laura Werner and Dan Werner if they would be willing to meet with Angel and Patti to discuss how hosting sectional in past has been run. Coach Reynold to ask Mr. Stonefield if school will provide money for concessions. Patti has survey link that we can utilize to help organize volunteers when needed. Angel ed Clint Sparks regarding press box keys. Clint responded that he gave his set of keys to Teresa Weltzin and was unsure who else had keys. sent to Dan Werner regarding website. He responded with details on website and Randy Lecher will contact him regarding website. Laura Werner, Sue Dermady and Dan Werner have agreed to be a contact person for current boosters.

7 Boosters had decided not to do Senior Scholarships in past. Not sure about Senior gifts but believe none were given out last year as there was no accounting for them in accounting. We will utilize One Call now system again this year. Coach Reynolds stated that Coach Johnson has handled in past. Angel will to make sure that he will handle again this year. Boosters were reimbursed for players at banquet last year. Batting cages were not cemented last year due to cost. Patti asked about serving concessions at Varsity games this year and will contact Mr. Stonefield regarding this. Coach Reynold will obtain addresses for freshmen attending fall workouts and give to Angel so that they may be included on sent out by boosters. Next meeting will be 6:30. Angel motioned to end meeting seconded by Brad.

8 East Central Baseball Boosters Meeting August 6:30pm ATTENDENCE: Randy Lecher, Chris Lecher, Patti Gick, Brad Poindexter, Angel Poindexter, Coach Reynolds, and Coach Meiners. TREASURE REPORT: New treasurer Brad Poindexter received all items tonight and will need to go through books to find how what has and has not been paid out from last year. COACHES REPORT: Tentatively, fall weight lifting will begin on Monday Sept 9 th and will be on Monday, Wednesday, and Friday s@ 6:50 am. Fall workouts will begin Tuesday Sept 17 th and will be on Tuesday and Thursday after school. Fall field maintenance day will be either last Saturday in October or first Saturday in November. Varsity outfield fence needs repaired and painted black. Other work to be done will be determined. Possible baseball camp over fall break for grades k-8. May consist of break out camps for pitching, hitting and fielding. FUNDRAISERS: Treasure will determine if Webers has been reimbursed from flower sales. Community Fund Service total of $ 4575 collected. 5 pledges not received to date. $ to EC and boosters will receive $ Angel will find out if Community Service thank you letters were sent out if not she will take care of this. Discussed fundraisers for the upcoming year and decided to continue with 2 which will be Flower sales and Community Service. KROGER CARDS: Last payment was June 10 th. Received on 8/1 payments will change and we will receive payments 21 days after end of cycle and no longer have to wait 45 days after end of cycle. Scoreboards are up and working. Boosters need to pay for their portion of scoreboard, if not already done, which was agreed to be a quarter of the cost. Total amount boosters are responsible for $ 3000, which may be paid in 1 or 2 payments. We currently have no official president. It was decided that president duties would be divided between current members at this time. All coaches, Scholl, and Don Stonefield have keys no other keys are accounted for. Angel will contact Clint Sparks, last year boosters president, to find where all other keys are.

9 Banquet last year need to determine if received $ 5 for each player from EC athletic department. Determined 27 players attended banquet in June according to attendance sheet. EC will host sectional this year over Memorial Day weekend. May volunteers will be needed. Sunman Elementary has an out building that may be brought to EC to be used for concessions. Angel to contact Laura and Doug Werner to ask if they would be willing to be a point of contact for current booster members if questions arise. Records for season: Varsity 19-9, JV, Freshman 9-6. JV dugouts need to be painted. Paint is in the press box. Need to contact Dan W. regarding website. Dates for Booster meetings in 2012 will be the third Wednesday of each month except for October which will be the second Wednesday of the month due to fall break. Dates are 9/18, 10/9, 11/20, & 12/18. Next meeting will be 6:30 in coach Reynolds room. Meeting adjourned by Angel and seconded by Coach Reynolds.
