1 Ottawa Branch Bulletin April 2012 Bulletin Editor: Eric Clyde Snail mail: 1195 Foxborough Private, Ottawa ON K1J 1E2 MESSAGE FROM THE CHAIR Greetings everyone, I hope you have all had a joyful Easter! We are now looking forward to our Ball, which will take place on April 21st, and I am more than happy to tell you that the hotel has agreed to provide us with a proper wooden dance floor. Don t forget the pre-ball dance which gives you an opportunity to meet the out-of-town dancers, and the Brunch at the Tom Brown Centre the day after the Ball as well. Please remember that you are welcome at both of these events even if you cannot make the Ball. Tickets are now available for the Beginners Ball, which is being hosted by Ardbrae this year. I hope that as many of you as possible will attend. Our dancing season is fast moving to a close. It surprises me how quickly the Annual General Meeting has crept up on us. Please note that it will begin at 7:30p.m. on May 11th. At the meeting we will, of course, be electing next year s Executive, but this year you will be asked to vote on a motion to change our Constitution. The motion is included elsewhere in the Bulletin. The purpose of it is to add the Chair of the Publicity Committee to the Executive. We now have a Publicity Committee which is working very hard to increase our membership for next year. One of their thrusts has been to set up two short workshops where the public will be able to try out Scottish Country Dancing. The first will be at the Shenkman Centre in Orleans at 4:00p.m. on June 2nd in conjunction with the Orleans Cultural Fair. The second will be at the Churchill Recreational Centre at 1:00p.m. on June 10th during Westfest. These will be like our Welcome Dance in nature. Any Branch members, who are available to attend, will be welcome to help the participants enjoy the event and to help the dancing flow. Other such activities may be organized during the summer, in which cases you will be informed by your Convenors through s. No doubt you will recall that we had a considerable drop in membership this year, and now we are making every effort to reverse this outward flow. However, in this context, I would like to remind you that we are still one of the largest Branches in Canada, and should consider ourselves very fortunate to be in this position. For those of you who enjoy dancing out of doors, we will again be having dancing at Andrew Haydon Park during June and July. While I look forward to seeing most, maybe all of you, at the several exciting events yet to come, since this is our last Bulletin until August, I will take this opportunity to wish you all an enjoyable and healthy summer. 2 AGM AND DANCE, MAY 11, 2012 MOTIONS TO AMEND THE CONSTITUTION MOTION 1 The Executive is proposing the following amendments, in order to highlight the importance of publicity activities at a time when we are experiencing declining membership: Section 1.4 Membership and Organization Add a new subsection f) in order to promote Scottish Country Dancing in Ottawa and its environs, there shall be a Publicity Committee, comprised of the Chair of Publicity and additional members drawn from across the Branch, ideally one from each class. The Chair of the Committee shall be appointed annually by the Executive Council, to develop and carry out a publicity plan. Section 1.5 The Executive Council Insert in subsection b) The elected officers of the Local Association shall be the Chairman, Vice-Chairman, Secretary and Treasurer. The elected officers of the Local Association, the Chairman of the Committee of Instructors, the Chairman of the Publicity Committee and the Convenors of classes shall form the Executive Council of the Local Association. MOTION 2 Since we are proposing amending the Constitution, there is one further item of tidying up which is required in order to reflect our current practice: Section 1.4, subsection d) states The Convenor of a class will be elected at an annual meeting of the class to be held shortly after classes begin in the fall. The Convenor will take office at the end of this meeting. Seven days notice of the class annual general meeting shall be given to members. A class Convenor will reconvene the class and arrange accommodation for classes in consultation with the instructor. The Executive is proposing that the two sentences in quotation marks be deleted. We know that accommodation is always arranged by the Executive before classes begin in the fall. We will be voting on these proposed amendments at our Annual General Meeting, May Nominations: The nominating committee is pleased to report that Joanne Thorpe has accepted to stand as nominee for the position of Branch Secretary for the upcoming year. The incumbents in the positions of Branch Chair, Vice-Chair and Treasurer have indicated they will stand for re-election. Organized by the Boston Branch, the camp is located near Plymouth, Mass., in a wooded area between Long Pond and Round Pond. Classes and evening dances are held in wooden floored, open-sided pavilions. People come from all over to enjoy the connection of dance and music, and there is wonderful live music at all the classes and the dances each evening. One could call it an "extreme dance experience" because there is dancing available from morning 'til midnight every day, as well as ceilidhs, and wine and cheese parties to enjoy with new and old friends.
