1 DANCER S NAME: GENERAL INFORMATION FOR THE COMPETITION/CONVENTION SEASON In addition to or in clarification of the PRDC handbook for the season, which is available on our studio website in the PRDC Family Link section, the following information is directly related to your dancer s level of participation and requirements. EVENT PARTICIPATION: Elite Evolutions & Horizons levels are required to participate in three regional competitions. * NYCDA - Baltimore will be the first convention/competition. It will be held on the weekend of January in Baltimore, MD. * NUVO - will be the second convention/competition. It will be held on the weekend of March 1-3 in Washington, DC * NYCDA- Greenville will be the third convention/competition on the weekend of April This event will be held in Greenville, NC. Elite Evolutions & Horizons levels are invited (for an additional cost) to also compete at Groove April 5-7 in Lynchburg, VA. This is a new event for us and because it is so close, we will be looking into lodging needs, etc. Because this is an open event (no limits on entries) and they allow dancers to compete solos without the group dance requirement, we encourage all of our dancers to participate. There is no convention fee, even though they do offer 1-2+ master classes during the weekend for participants. The only additional expenses would be competition fees for any dances competed and food/lodging (if needed). COMPETITION PARTICIPATION: * All competition dancers are REQUIRED to participate in their assigned level group dance and their assigned production number. * Dancers may choose or be invited to add additional dances to these requirements. Any additional dances will result in additional fees and costume requirements. Please see the handbook and contract pages for more details. OBSERVATION BANDS: * At all events (except Groove), if a parent/guest would like to observe or have access to workshop classrooms, observation pass must be purchased. You are not required to observe classes, but if you choose to do this, you will either need to order your observation pass with this contract or purchase them yourself onsite at the event. (These events often limit the number of bands they sell, so if you want to guarantee that you will have a pass, we recommend ordering them through us.) Attending the competition part at all events is free of charge. * Once you order these bands, you may not cancel them and payment will be required regardless. SUPERVISION & LODGING AT THESE LEVELS OF ELITE: * All dancers in the Evolutions and Horizons levels will be staying in team rooms and hotel fees are included in their team fee. Parents are not required to travel with the team (unless there is a shortage in transportation needs for the team). * If a family member(s) do opt to attend events with us, families are responsible for the cost of hotel/ lodging for each event. 2 hotel with our team (at an estimated rate We will be making reservations for ALL event hotels immediately following the deadline for Elite contract submission. * If you book with the team, you will pay for your room upon arrival at the hotel and may only cancel if you cancel, in writing, no later than 30 days prior to the event departure date. If you are not able to attend, but do not cancel following this policy, you will be expected to pay the studio, in full, your estimated hotel cost for the weekend PRIOR to the departure date. Any adjustments in actual cost will be expected to be paid or credited to a dancer s account, within 10 days of the event return date. * When booking with the team, we also offer the option of trying to meet requests for families who would like to share the expense with another family for their hotel room. If you are interested in sharing a room, please note this on the specified area on the contract form. We are not always able to meet these requests, but we do make every effort. * If you do NOT book your hotel with the team, you are fully responsible for making your own lodging arrangements. Often our families who book with the team enjoy the team atmosphere and social environment of having hotel rooms close together. TRAVEL & TRANSPORTATION: * Dancers participating in NYCDA Baltimore, Greenville, or NUVO will need to plan on departing on the Friday of the event weekend early - mid morning. These competitions all reserve the right to have competition events start on Friday, so we will make everyone aware of the actual event schedule requirements as the information is made available to us (sometimes this information is given to us as late as two weeks of the actual event). * If you choose not to travel with the team, you will be fully responsible for having your dancer on site promptly at the assigned report time. * Please note that for transportation to these events we rely on our participating families. This is another way that we make every effort to keep costs down for participation. In an effort to address several concerns that were brought forward from last year, we are implementing two new policies regarding this area. * All families driving will be expected to help transport team supplies (as needed) to and from the event weekend. We also will be relying on families that drive to assist transport additional dancers and families (as needed). Should we not have enough space and need to secure additional transportation methods, additional costs may be charged. * If a dancer does not have a parent going/driving or families who participate in carpooling with others WILL be expected to financially fairly contribute to the driver s transportation expenses (gas, parking, tolls, etc). MEALS: * Dancers on our Elite team have their team meals included in their team fees for this season. This does not include any snack purchased or meals eaten out at restaurants, etc. * In an effort to help families keep this trip cost efficient, we also offer meal plans for family members or guests traveling with our team. Meal plans may be purchased in advance for $40/person per event weekend. These plans need to be ordered at the time this contract is submitted and may only be cancelled 15 days prior to our departure date for an event. Cancellations will need to be done in writing. If you need to add a meal plan, you will need to contact us no later than 15 days prior to our departure date for an event and you must pay in full at the time of making that addition. - Progressions Repertory Dance Company 2 content of this document may only be used with the permission of the Director of Dance for. 3 REQUIRED PAPERWORK: * Dancers MUST have complete files in order to participate in Elite. This includes a signed copy of this contract, signed copies of code of conducts - student and parent/guardian, copy of birth certificate, signed handbook agreement, and any other required paperwork that is distributed or requested. FEES: * General Fee includes the dancer s Team Fee, their team meals, convention fees and competition fees for their required level group dance and their production number. This fee does NOT include costuming, additional dances, makeup kits, or other attire or supply requirements. * Fee payment deadlines must be followed. Many of these events sell out and in order for us to register in time to ensure we have places for our dancers, we must have their payments to register. Please adhere closely to payment plans. You are also always welcome to make payments in advance of any scheduled payment plan date. As a organization, we will reserve the right to not allow a dancer to participate in an event or part of an event if their payments are not up to date. If you need to set up a customized payment plan, please see the studio bookkeeper or Dulcey for more information. * Note that costume, attire or supply fees MUST be paid by the stated deadline as well. * Late fees will be charged per studio policy for any late payments. * ALL FEES ARE NON-REFUNDABLE. Once you commit to Elite team, you are committing to full payment of all related expenses, regardless of final participation. Should you not complete the full season, fees will continue to be due per the payment schedule. 5 Lodging/Hotel We will be booking our lodging separately from the team and understand all the requirements of participation of doing so. We would like to book our hotel arrangements with the team. 6 Additional Dance Participation I am interested in my dancer competing in an additional dance(s). I understand that this will require additional fees, costume expenses and additional rehearsal time. I also understand that the final decision as to which dance(s) my dancer will be able to participate in is up to the Elite staff and Director and that I will respect those decisions. I will direct my child to respect those decisions and all negative options or comments will be kept to ourselves. If selected, I will be informed asap of these additional expenses and they will be added into our payment plan accordingly. If selected, my dancer may add number of extra dances including: solo duo/trio group dances Additional Fees (these are only some of the items, available, additional items may be purchased through the studio store - attire items will have an additional saless tax added) Note - you are responsible for full payment of these items. Tights and other standard items must be paid in full at the time of ordering.
