1 Parent Grad Meeting Tuesday, Oct. 30 Chairpersons Tami Fines, Jackie White, Melissa Netzer Introduction of three student body grad reps : working on ideas for theme of grad meet every Thursday at lunch will vote on possible dates have discussed prom vs. dry grad no decision made yet Tami Fines will attend student meeting, Thursday, Nov. 1 Fundraising - Rhonda Doughty poinsettia forms have been sent out with parents and grads due Nov. 16. Melissa Netzer and Tami Fines will attend Walmart, Saturday, Nov. 10 to sell poinsettias. (student grad reps will make poster for this) Norm and Nicki will go to High School on Mondays to collect/sell Purdy Chocolates and somosa sales December. Looking into who will make the samosas Bottle drive end of November more info to follow Lori Brown in charge of designated driver program Bulldogs games Monique Mercer in charge. Will need approx. 16 volunteers for games in Jan/Feb. Some must have serve it right more info to follow If anyone has any other ideas, please share QF points encourage family and friends to donate points to grad 2103 Discussion of prom or dry grad discussion is leaning towards a prom. Melissa Netzer has already researched dates/prices leaning towards Athletic Hall as it will support numbers/more intimate/good price Possible dates if prom June 1 or June 8. Melissa will book now just in case Lots of ideas floating around possible casino upstairs, prizes to give out, car parade, decorating committee, dinner vs. appies, dance (band/dj)etc. more concrete details will be decided at further meetings. 2 ADSS Prom 2103 Agenda, Tuesday, November 13, 2012 Chairpersons: Melissa Netzer, Tami Fines, Jackie White Fundraising Rhonda Doughty Secretary Suzanne Murray Treasurers Crystal Clement, Lisa Decorating Colleen Larson, Christina Tewinkel 1) Call meeting to order 2) Read and motion to accept minutes from last meeting 3) Reports from Students Cassandra Greneveld, Kate Schievink Theme has been voted on Under the Sea - Prom, June 8 at Athletic Hall 4) Report from Board Members: Fundraising (Rhonda Doughty) Colleen Larsen will be at school on Friday, Nov. 13 to pick up money for poinsettias. -Rhonda needs help on Friday, Nov. 29 at 1:00 to help organize poinsettias. Pick- up for all who ordered them is on Thursday, Nov. 29 from 3:00 5:00. - Rhonda will be at school to sell grad wear on Tuesday, Nov. 20 at lunch and Monday, Nov. 26. That will be the last date, then sales again in the spring. -Purdy s chocolate bars will be handed out to sell on Nov. 27, $2.00/bar. - somosa sales Eleanor will help, but not sure about sales yet or who may do them. - Bottle Drive Saturday, Nov. 24, the more kids and parents, the better! Takes place at college starting at 10:00 - Motion was passed every student or parent who volunteers at any event will get a tick, if a student is driving their own vehicle, they will get an extra tick. What the ticks will be used for will be decided at a later date. -Bulldogs games coming up in February and March. Will need 13 + volunteers for five games. Suzanne will keep running tally of all grads/parents who help out with ALL fundraising. Any other fundraising ideas are greatly appreciated. Raffling a basket or item at bulldogs games was suggested but no one volunteered to take it on. Treasurer opened account with $5500 from last year. Need to pay athletic hall $500.00

3 5) Need entertainment committee Lisa Hedman and Anita Kurutz (thank you) have volunteered. They are looking into hypnotist, possible casino, and photobooth. 6) Security Still need someone to take on 7) Advertising Committee Stella Bujotzek (thank you) 8) Pre-pay need to still organize, but looks like grads will be pre-paying $50.00 by Feb. 22. Designated driver- if you would like to help/book, call Lori Terryberry Dec. 1, Dec. 7, Dec. 8, Dec. 15, (need lots) Possible beer and burger night in January/February. Rhonda will organize but needs help. 6) Entertainment Report Dave Rutherford $ for the night, looking magician booked hour and a half interactive, $ , photo booth build our own or??? 5 New Business : Student tickets/guest ticket pre-payment of $50 for all tickets, if a grad wants to bring a date, then ticket prices will be higher. Incentive/reward for fundraising for students possible reduction in ticket price for those that help out? Call Meeting to order 2. Review to read, pass and accept minutes from Nov. 27, 2012 accepted by Jackie White and Crystal Clement 3. Student Report nothing to report 4. Treasurer Report - $23,000 in bank, however we still have to pay back for samosas, etc. 5. Fundraising Report samosas are ready for pick-up amongst some confusion still to be figured out, grad wear ready to pick up on Dec. 17, bottle drive on Sunday, January 6 need a parent to be in charge of it, still waiting on Purdy s chocolate money to come in, one more Dec. 15, QF we will do another student bagging on a Friday afternoon (students check at their Thursday meeting for Dec. 21), beer and burger night at Boston Pizza (or pizza, or pasta) need a parent to organize raffle prizes Missy Netzer has volunteered, prom pre-payment tickets are $50 and can be paid any Monday at lunch to Rhonda. Students interested in having a fashion show a lot of work anyone interested to volunteer? Not sure how much it would make. 6. Entertainment committee - DJ is booked, looking into caricature, magician is available but nothing is booked yet. Still may be getting a hypnotist. Stirling images is doing the photo booth. 7. Student tickets are for sale $50 pre-payment. Must be paid by Feb Designated Drivers - may be more in the New Year. 9. Decorating Committee - meeting with the students to discuss what the students want. Decide on budget and what it will look like. 10. Jal Designs and Graphics? Car parade Anita Wilson- lots of work, Anita needs help. Possible get the wrestling club to help with manning the intersections. They will get back to us. 8. Security Mr. Steinbach absent/wristbands. Mike has some names and numbers. We will count doors and see how many people should be stationed

No backpacks, purses, etc. Each person will be checked at the door for any kind of alcohol, drugs, etc. RCMP will be called if ANY student shows up with alcohol, etc. or appears to have been drinking. Non-refundable tickets for anyone with anything. 9. Decorating Committee have some quotes, has some great ideas, working bees will start soon. Will need lots of help 10. Insurance - $300 for car parade, $ Scholarships dry grad, there are, 6 - $500 ones. Money will be set aside for next year.

Call Meeting to order 2. Accept minutes from last meeting 3. Student Report need to decide this week t-shirt design and colour. 4. Treasurer report raised $33,000 approx with a few more fundraisers left. 5. Entertainment report Lisa additional photo booth, Colleen will book, illusionist show around 11:00 but he also entertains throughout the night. 6. Fundraising report Rhonda - Purdys done, a few still need to hand in money. Restaurant raffle winner Dennis Galloway, $1900 made - Grad wear - done - Flower sales due April 22, pick up Wed before Mother s Day - Beer and pizza night Wednesday, April 17. Tickets $20, each or 3 for $35, 50/50 who? Tickets? Who in charge of signs for silent auction items? Nicole S? Anita will do 50/50 - QF pointes/baggers last Thursday of the month. Need volunteers - Liquor store done. Should hear from them soon - Garage sale Italian Hall Saturday, April 27. 9:00 1:00. Set up on Friday night. Need lots of helpers on Saturday with trucks. Please let Stella know if you can help. The Italian Hall is donating their hall to us. Can as many people like their facebook page as possible; that s all they are asking for! 7. Car parade N drivers same rules for all N drivers one passenger A form will go out that all drivers must fill out regarding insurance. More info to follow. 8. Security Mike S Ron Barkley will do first aid, have volunteers but may still need more. As we get closer to the date, Mike will have a

June 1 test drive a car athletic hall help out as a fundraiser for wheel chair lift. Please help on this day by test driving a car. We are getting a good deal on the hall so please help them fundraise for a wheelchair lift. 10. Decorating Committee Colleen tableclothes, white, chair covers, etc. LOTS of awesome ideas. scissor lift Gordie Pierce can operate. Start decorating Thursday night. So far spent around $ t-shirts when? Tickets when? Order extra t-shirts for those not going to prom to buy. Tickets and t-shirts will be given out end of May 12. Prom Gifts/ prizes Suzanne 13. Times of Events formal schedule will be made. All grads attending prom will receive and Info sheet at April assembly outlining day/expectations, etc. 14. 22 Advertising Committee Stella Bujotzek 1. Call meeting to order 2. Accept minutes from last meeting Mike and Gordie accept 3. Student Report Kate - t-shirt design has been accepted. 4. A few students concerned about not having a King and Queen raised their concerns. Lots of discussion revolving around this even though it was voted as a no at the last meeting. For a variety of reasons that were discussed, it was decided that this is a learning experience for all involved and that there will be no King or Queen. Thank you to those students who attended to voice their concerns and for listening to all sides. It will be a fun night for ALL with no stress for anyone. Students will have the opportunity to wear a Queen and King sash for the photo booth if they choose a win/win for everyone. This matter has been laid to rest. Thank you student body! 5. Treasurer report Crystal we have raised approx. $34,000 Thanks, Cyrstal! 6. Fundraising Rhonda (away) - Beer and Pizza night raised made approx. $ Garage sale - Italian Hall Saturday, April 27. 9:00 1:00. Need help for sure at 1:00 on Saturday to clean up.
