1 1) Introduce any visitors (5 min) 1/14/2013 CUPA Board Meeting Agenda a. Chilly, Nick D, Peter, Ian, Ryan, Izzi, Eddie, Joel, Dale, John, Nick F, Scott L, Mike, Russ, b. Guests: Raymie, Maddie, Steph 2) Review / approve previous meeting minutes (Izzi - 5 min) a. Gorman does not approve of sarcasm. Should be stricken from official posted minutes. 3) Agenda Review (Mike - 5 min) a. If an organization needs fields added to our insurance policy. Name of Legal Entity, mailing address, phone number, contact person to Nick DiNardio. 4) Finances (Ryan - 5 min) a. Were sent out to board via e- mail to save paper b. Ryan will figure out a way to where to post finances with only CUPA board. We do not want finances shared. c. Surplus is good, bank account is good. d. Ryan confused Quicken with QuickBooks. $60 purchase for the software. Backups can be stored anywhere. 5) Follow Up Items from Last Meeting (Izzi 10 min) a. See below 6) Upcoming Leagues (confirm timing, League Director, fields, costs - 20 minutes) a. Winter League (1 st and 2 nd ) i. Only one session ii. Russ is just showing up and creating teams iii. Registration is full. iv. No subs allowed. Russ will put this on website. v. Russ will send list of people to Eddie to cross over for lockin vi. ITS HAPPENING b. YUC i. Have a lot of teams already expressing interest ii. A and 2 Bs, possibly C. 8 teams for A division iii. Indian Hill will move up iv. WE NEED COACHES. 6-7 teams need coaches v. Send out team names. Eddie will send it out to list of volunteers. vi. Final date to submit teams is Jan 31 st. vii. Coaching clinic is Sunday 3 rd. 11:30 3:30. Blue Ash Rec center. 1. All new coaches. Strongly suggest one from each school. c. Spring Juniors leagues i. Happening. Don t know when ii. Give insurance and discs d. Spring Leagues (Open and Women) i. Normal(coed) spring league Monday at Lockland. March 11- April 15.
2 ii. Second session is April 24- May29. Wednesday. Riverside Park. e. Summer League i. Need new coach for High School League ii. Tuesday/Wednesday still Liz/Izzi iii. Peter will talk to Allison about Corporate League iv. Thursday still at Clear Creek, will be starting one week sooner to account for July 4 th f. Online Waivering Status for YUC (Nick/Bill) i. Not for youth. We need parent signature. ii. NICK F has form posted online g. Handling Registration Payments Made Through PayPal (Ryan) i. As treasurer Gorman will monitor PayPal and send list of people to the league director. ii. Nick F has a feature to automatically check off players who pay via paypal? 7) AUDL Raymie Younkin (20 minutes) a. Called in Steve Gordan, AUDL commissioner i. AUDL analyzed looked into the strengths and weaknesses of each fanchise ii. Move to Cinci has been talked about for quite some time, commitment has been made. AUDL is looking forward to moving into Cinci market. iii. Raymie is looking to locations around Cinci iv. AUDL is trying to culminate an AUDL culture that translates to a pro league v. Lack of revenue sharing caused issues with teams vi. Teams had concerns about the leaderships of last years AUDL 1. Board of directors has been formed with 6 owners and 1 commissioner. Members will be elected on a two year staggered basis. vii. Looking into national marketing/licensing campaign. Entering into contract with three people to help with this. viii. Teams will share all the profits ix. Willing to do everything they can to make their statements be respectful of where they ve come from and the existing organizations. Want to have a strong relationship with USAU and work close with local organizations. b. Sitting a table with 3 Steamboat players, and 2 ex players, Raymie claims that Cinci doesn t have a strong club presence c. Would like to invite youth players out to the combine d. Would like to receive: help opening doors, find a venue, get word to players/community, cross marketing for leagues, want to have kids at Centrals come to home game(discount tickets) e. Should be okay for cross promotion f. Want a game v. Indianapolis at Poultry Days g. Would like to sponsor some of the college teams in the area(uc and OU to start) h. CUPA would possibly like a coaching tie in i. Revolution will be signing on new players. All of last season s players were on 1 year contracts j. Combine:: 2 nd and 3 rd of Feb. Still looking for location. k. As far as we re aware, they re not involved with USAU, in it for money, issues all internal. We think they want people who would be willing to go and watch the game. We are willing to promote some things. We cannot get
3 8) Tournaments (20 minutes confirm timing, location, TD, any issues, move on) a. ALL TOURNAMENTS SHOULD BE LISTED ON CUPA WEBSITE i. For any CUPA sponsored tournament. On director to make sure it s up there. b. Upcoming i. Adult Lock In (Scott S.) 1. Friday Still has plenty of spots 3. Need 50 people to break even 4. In future, needs more advertising ii. Club Vogue (Ryan) teams, 6 paid 2. Partnered with Savage deal made via Twitter 3. $150 by Dec 31, $200 by some day, $250 up to week before 4. Feb 9/10 5. Ryans people will contact Eddies people iii. HS Vogue (Dave/Mike) 1. 6 teams total 2. Feb 15/16 iv. SW Ohio States Qualifier (Phil/Joel) 1. April 20 th 2. USAU sanctioned team v. YUC City (??) vi. Eddie can help again vii. May need a new location viii. States (Joel) 1. Waiting to hear back from Roger ix. Centrals (Dale) 1. Had meeting from USAU and Warren County 2. Looking for volunteers a. 2-3 people volunteers looking for more time commitment(social media, fields, catering) b. Want new committee members to learn how to run a tournament 3. May 18/19 x. SCINNY (Mike/Peter) 1. oh god 2. Will have a final decision this week xi. Cin City Classic (Ryan) 1. July YES mixed. Intention to have Open. Will this absolve Scinny? 3. Does not want to step on Scinny.
4 c. YCC/Grand Masters Bid Status (Dale) i. YCC is a no. Still waiting to hear back on GrandMasters d. Volunteer Event Recap / Honoring resources (John) i. Great event. Lots of stuff from 5 to give away ii. Nick D is redoing his kitchen. iii. Mike will create something for Steve Rock. Give him something at the city tournament. 9) Youth Outreach / Committee Updates (5 minutes) a reachout for young kids 350 kids, 18 troops b. Have troops looking to book in spring 2013 c. GIRL SCOUTS only did a few troops, have a new owner for GSA Connor Shirley will be taking over that NEED TO UPDATE WEBSITE. Connor will make her own flier. Izzi needs to remember to talk to Connor. d. Peter will order 1000 discs. e. Go through PTA for elementary school kids f. Tim at some YMCA is interested in trying to do another youth league. Modeled after Milford. Invited to coaches clinic. 10) Team Updates (10 minutes) a. College (Scott) b. Club i. Steamboat off season. Get act together in March. Qualified for Select Flight. ii. Old Guys will have to split Masters and Grandmasters. Need to pull in younger guys. iii. Age has one person signed up for Vogue iv. Rogue/Flow Connor and Izzi will pull together a team. Looking for 4 tournaments 11) Discussion Items 10 minutes per item. a. Tournament Revenue Sharing Steamboat/Vogue (John) i. Vogue revenue has typically gone to funding kids ii. All will end up going back to CUPA anyhow (pay back for discs) iii. (1/3 CUPA)/(2/3 organization) split for CUPA sponsored tournament (Club Vogue). Motion: Peter. Second: Joel. No nays. iv. Flat fee for help with cones/insurance? v. Leagues are now pulling in money. vi. High school Vogue going to Revolution b. Sharing Address Information for Spring League (John) i. They need to give us a form. We will not give them address. 12) NEXT MEETINGS: - Kaylor will send out stuff for Master plan - Board meeting after next: 3/12/2013
5 - Need to pick next data 5/21/2013 Follow Up Items from 8/29/2012 Meeting 1) Nick D - Research criteria used for background checks. a. Nick D is still looking into the Background check. i. Believe it searches for any felony/sex crime/crime of violence ii. Will not pull up recent DUI CUPA policy is to not drive them around, will not be covered under CUPA insurance iii. From the databases, covers about 90% of the districts, checks for felonies/misdemeanors iv. To perform background checks every two years, this is not a change in policy v. Information is not on the website, handouts were given to coaches last year vi. Chaperone form(still work in progress) has details on background process 1. YUC director will approve 2. Anyone working with kids under 18 will fill this out vii. Conversation will be tabled to be worked out with youth and volunteer committee viii. We may look into sexual harassment seminar for coaches in the future. For the time being, we will follow USAU policies. ix. Russ suggests to set up guidelines will follow up 2) Ryan - media person job definition. What does the position do? a. Ryan needs to define his media person job that he created for himself i. Include promotion within different papers/magazines around town? 1. Ryan may not be ready to contact newspapers/more media. 3) Nick F - Check on possibility of online waitlist when registration over capacity for a league. a. Current process is to tell user to e- mail the league director to be put on a wait list. Process is working fine. b. Nick has not had time to look into this, still process to e- mail league director 4) Nick F and Eddie collaborate on background checking potential volunteers a. Both Nick will follow up with Eddie for background volunteer checks. Put link/form on website. i. Boy Scouts have Youth Protection Training. Online, takes ii. Prefer the link to not be on the website. Get sent link to fill out background check after signing up. iii. Background checks every two years? -
