1 Tournament Manager: Running a VEX IQ Event - Beginner Indiana IQ Event Partner Workshop Agenda 1. Main Window a. Once i. The Main Window has a standard menu bar. ii. A series of tabbed pages filling the majority of the window iii. Status bar at the bottom 2. Starting the Audience Display Program a. The Audience Display shows important information to the audience during the event. b. Before starting the Audience Display program, the display properties on the computer that the audience display will run must be set. c. A computer (laptop) will be needed that can output an image through the monitor port. i. A Raspberry Pi can be used for the audience display ii. The connection to the monitor will be an HDMI port iii. Events using a laptop for Tournament Manager can connect a monitor to the HDMI port and selecting the Extend option in display properties of the laptop. d. The Audience Display can be started within TM under the Displays menu or a shortcut in the TM folder in the Start menu of the computer. e. The TM password may be needed for displays on the TM network. 3. Starting the Pit Display Program a. The Pit Display typically is shown on a projector or large TV monitor in the venue pit area. b. The Pit Display usually runs on a different computer than the one used for scorekeeping. i. A Raspberry Pi could be used for this display. ii. The computer/raspberry Pi needs to be connected by a wired network connection. iii. The Pit Display is operated similar to the Audience Display. TM: Creating a VRC Event - Intermediate 1 7/17/2017

2 c. When any of the display programs is started on another computer other than the scorekeeping computer, a Connect to the Tournament Server window will appear. i. In this window the following must be entered 1. IP address of the main scorekeeping computer a. It may automatically discover the computer on the network 2. Tournament Manager password d. After entering the IP address and password, click Connect and the display will start. 4. Before the Beginning of the Event a. Registration and Team Check-in b. Inspection c. Print Match List d. Drivers meeting 5. Running Practice and Qualification Matches Main Window a. Once the event begins, the primary job of the scorekeeper is to run and score practice and qualification matches in the Main Window. b. Field Set Window i. Matches are run by opening the field set window. ii. There are two ways to open a field set window. 1. Select the Field Set menu followed by the name of the field set. 2. Right click the next qualification match and select Queue Match on Default Field. iii. The field set window controls what is shown on the Audience Display 1. Match On Field indicates which match number is ready to be played and is controlled by the Scoring tab. 2. Saved Match indicates that match that will be displayed on the Audience Display when Saved Match Results is selected and is typically the last match that played on the field. 3. 3 iv. Beneath the Match Timer are the Start Match, Reset Timer and End Early buttons. 1. Start Match will start the match timer and play the start of the match through the Audience Display. a. Play sounds could play through the scoring computer if Play Sounds is checked in the field set window. 2. Reset Timer changes to Abort Match which a match is running. a. Pressing Abort Match will stop the match timer and play the aborted match sound through the Audience Display. 3. While a match is running, the End Early button is enabled. 4. After a match ends, either normally being aborted, Abort Match will change to Reset Timer. a. Reset Timer will reset the match time to prepare for the next match. v. The field box indicates which field within the field set will be controlled. vi. The Set Timer button inside the Time-out box allows the scorekeeper to use the match timer to keep track of a timeout called by a team on the field. 1. When the match timer is set to the timeout value the Match On Field box will TO to indicate the timeout. 2. The Start Match button can be used to start the timeout timer. vii. On the right side of the field set window is the Audience Display box. This box will control which screen is shown on the Audience Display by changing the selection in the box. 1. There are 11 selections a. The Intro and In-Match screens will show information for the match listed in the Match On Field box. b. The Saved Match Results will information for the match in the Saved Match box. c. The other screen choices can show i. Current rankings ii. Alliance selection iii. 4 d. The screen can be set to None or Logo during periods of downtime. e. Teams often appreciate it when the rankings screen is shown during longer breaks such as during lunch. c. Scoring Tab i. In addition to the field set window, the Scoring tab in the Main Window is used while running practice and qualification matches. ii. After the referees finish scoring a match, the scorekeeper will enter the scores into the Scoring tab and click the Save Scores button. 1. This will save the scores into the tournament data file and update the rankings. iii. When match scores are entered into the Scoring tab, the Tournament Manager checks the scores against the known limits of the game. If the score entered is not possible for the game, TM will display a warning and highlight the score values that are out of range. 1. If that happens, the Head Referee will need to be consulted to ensure the entered scores are correct. 2. Note: TM will allow out of range scores to be saved. d. Match List i. The Match List is located on the left side of the Scoring tab. 1. Organized with: a. Practice b. Qualification c. Elimination rounds 2. Pressing on the + next to any category will expand it to show the list of matches available under that category. a. Click on any match to enter/edit scores on the right side of the Scoring tab. 5 ii. The Match List Tree is where the scorekeeper can control which matches are currently in the Match On field and Saved Match boxes in the Field Set window. 1. To accomplish this, right-click on any match listed to bring up the Queue Match menu. a. From this menu, a match can be chosen to be queued on one of the available field sets which will place the selected match into the Match On Field box. b. If the match score for the selected match has already been saved, the match can be sent to the Saved Match box on the field set window in order to show the results on the Audience Display. iii. Field Test Match 1. At the top of the match list tree is a special match called Field Test Match. a. The match can be queued to a field set just like a normal match for practice. b. When queued, The Field Set window will show P0 as the Match On Field c. It is important to queue this match for ad-hoc practice d. If a scheduled match is used for testing, the Pit Display will update the match times displayed to teams which could be confusing. e. Times will not be updated when the Field Test Match is used. 6 6. Running Skills Challenge Matches a. Skills challenges allow teams to compete on a field by themselves. b. Tournament Manager supports two types of skills challenges. i. Drivers Skills 1. Driver controlled ii. Programming Skills 1. Autonomous control c. To access the skills challenge feature, select the Skills Challenge tab in the Main Window. i. The left side ii. The right side iii. The right side 1. This area allows a skills challenge match to queue on a Field Set and to display scores on the Audience Display. iv. Once team has completed a skills challenge match, select the team in the Team Number dropdown and enter the score details in the Score area. Click: 1. Add Driver Skills Score or 2. Add Programming Skills Score v. The score will be added to the list on the left. vi. To edit an existing score, right click on it in the scores list, select Edit score, modify the score details, and save the score. vii. To delete an existing score, right click on it in the scores list and select Remove Score. viii. The skills score can be shown on either the Pit or Audience Displays by selecting SC Rankings in the display control area. 7. Running Finals Matches a. Some game configurations call for alliances of the top teams to be automatically paired with one another and then each alliance plays a single Finals match to determine the winning alliance. b. After qualification matches are complete, Finals matches must be created by selecting the matches tab, c. In the i. TM will create alliances based on the number of alliances created in set=up. ii. For example, to create 5 alliances; teams that finished 1 and 2 will be alliance 1, 3 and 4 alliance 2, 5 and 6 alliance 3, 7 and 8 alliance 4 and 9 and 10 alliance 5. d. Matches will start will alliance 5. e. Each alliance will be assigned to a field if there is more than one competition field. f. Each alliance will play one round. 7 g. The alliance with the highest score will win the tournament. i. If there is a tie, the alliance with the highest qualification ranking will be the tie breaker and win the tournament. h. A good way to create some excitement during the finals is to have the MC announce the results after each match. i. After the scores are saved, right click on the finals match, select Send to Field Control to display the results in the Audience Display. i. After the first finals match, TM will display the score to beat in the lower right corner of the Audience Display. 8. Assigning Award Winners a. The list of award was set during the Tournament Setup. b. To assign award winners, select the Awards tab from the TM Main Window. c. Select the award to assign by clicking on the award name in the list on the left side of the window. d. Choose the Team Number of the winning team in the area on the right. e. Click Save to save the award winner information. f. Note: The list of awards must match the list of awards in the event in RobotEvents.com. 9. Displaying Award Winners and Other Slides a. Enter winning teams into the Awards tab. b. To display award winners on the Audience Display, select the Slides tab. c. Auto Add Slides button. i. To display winners of each award one at a time, click Auto Add Slides button. ii. Select the appropriate options from the pop-up window and click Create Slides button. iii. Two slides will be added for each award. 1. Intro slide 2. Single award slide iv. After the list in the bottom left quadrant of the window is populated with the award slides. 1. Select a slide 2. A preview is shown in the upper-left quadrant. 3. Either double click the slide in the list or click Send Preview to Live button to show the slide on the Audience Display. 8 10. Finishing the Event a. Once the event is complete, results need to be uploaded to RobotEvents.com. b. The event must be listed on RobotEvents.com. c. Event Code and TM Code must be in the General settings panel. d. During this process, results are sent to VEX for tracking results and displaying event information in the Internet. e. To upload event results, select File = Upload Results to RobotEvents.com menu option. i. The Upload Event Results window will appear. ii. In this window, the type of results to upload and finalize is available. iii. Once the results are finalized, the award winners will appear on the event page at RobotEvents.com. iv. Once your information is entered, click on Upload Now. v. As a reminder, Tournament Manager shuts down after the elimination round is complete, the user is prompted to upload results. vi. Results can be uploaded and finalized later if there is not Internet access at the event. f. If teams have been added to the event, they must be added to the event at RobotEvents.com before the event will finalize. g. If additional trophies have been given out at the event, they must be added to the event at RobotEvents.com before the event will finalize. 11. Shutting Down the Software a. Once the event is complete and TM and all displays are no longer needed, the software can be shut down. b. To shut down the software. i. Close the Main Window. ii. When prompted, choose the option choose the option to shut down all TM programs. 1. All other programs will close automatically. c. If the Main Window is running on the same machine as the Tournament Server, then when it is closed, there will be the option to shut down all tournament applications. i. Select Yes and all displays, TM windows, Field Control programs and the Tournament Server will shut down automatically. TM: Creating a VRC Event - Intermediate 8 [Date]
