1 The Nutcracker 2015 Theater/Production Rules and Procedures for Student Cast Members Thank you for allowing your student to be a part of the 53rd annual production of The Nutcracker. PLEASE READ THROUGH THE PACKET CAREFULLY AND GO OVER EACH SECTION WITH YOUR STUDENT CAST MEMBER. Ballet Austin performs The Nutcracker at the All Spacing and Dress Rehearsals, School Shows, and public performances will be held at the Long Center for the Performing Arts located at 701 W. Riverside Drive (corner of S. 1st Street) DIRECTIONS TO THE LONG CENTER FOR THE PERFORMING ARTS & STUDENT FROP-OFF: From I-35 Take the Riverside Drive exit. Turn west onto Riverside Dr. As you approach the Long Center, turn left onto Barton Springs Road. Turn Right from Barton Springs Road into the Service Yard (accessed via PEC tunnel that passes through the ground floor of the Palmer Parking Garage) at the back of the Long Center. Entrance to Service Yard through PEC Tunnel From MOPAC (Loop 1) Take MOPAC (Loop 1) and Exit Cesar Chavez /5 th Street Exit. Follow Cesar Chavez to South 1st St. Turn right and follow the South 1st street bridge across Lady Bird Lake. Turn right onto Barton Springs Road. Turn Right from Barton Springs Road into the Service Yard (accessed via the PEC tunnel that passes through the ground floor of the Palmer Parking Garage) at the back of the Long Center. Public Parking is available (after dropping off your student) in the Palmer Events Center Parking Garage located between Riverside Drive, South First Street and Barton Springs Road. (A Parking fee is collected upon entering) Student Cast member drop-off is at the Backstage Door located in the Service Yard of the Long Center, accessed from Barton Springs Road only. Please Note: Do NOT use the Long Center Circle Drive in front of the theater as a drop-off area. 1

2 GENERAL INFORMATION: Vicki Parsons will coordinate backstage staff and chaperones during student rehearsals and performances at the Long Center. Parent communication regarding time at the Long Center should be directed to Ms. Parsons. (See communication instructions at the end of this document) REFER TO THE SPECIFIC THEATER TIMES IN THIS PACKET FOR YOUR STUDENT PERFORMER S ROLE. o Drop-off and pick-up times and procedures may vary dependent on role and cast for each rehearsal and performance so please look over the schedule carefully and save for reference. Students who do not arrive to the theater by their designated check-in time may be replaced in the performance. This is at the discretion of the Artistic Directors. The Nutcracker is a professional production and we are privileged that our Academy children can participate. Thank you for entrusting them to us for this exciting time. DROPPING OFF AND PICKING UP A STUDENT CAST MEMBER AT THE LONG CENTER: Thank you ahead of time on behalf of Ballet Austin and Long Center staff for following pre-determined student drop-off/check-in and check-out/pick-up procedures. DROP-OFF AND PICK-UP LOCATION: 1. The student check-in/check-out station will be referred to as the Academy Security Check. 2. Academy Security Check is located outside at the Back Stage entrance in the Long Center Service Yard. 3. Enter service yard through the PEC tunnel (a driveway that passes through the ground floor of the Palmer Parking Garage) entering FROM Barton Springs Road. (see note on map) a. To be able to access the PEC tunnel, please display the neon green permit on the dash (PASSENGER SIDE) of your car. Neon green permits may be picked up at the Parent Information Meeting on October 17, or at the Check-in desk in the lobby at Ballet Austin beginning October After entering through the PEC tunnel (driveway) into the Long Center Service Yard: a. Turn right in the service yard following the cones, circle around and proceed to Academy Security Check. Long Center staff will be available to guide you. Please follow their directions. b. Please remain in the car while a Ballet Austin staff member receives your student. There is NO parking in the service yard. (See CHECK-IN PROCEDURE below) c. Exit the Service Yard through the PEC tunnel (driveway) to Barton Springs Road. CHECK-IN PROCEDURE: A BALLET AUSTIN STAFF PERSON WITH A SECURITY NAME BADGE WILL BE OUTSIDE AT THE ACADEMY SECURITY CHECK TO RECEIVE AND CHECK IN STUDENTS. 1. PARENTS SHOULD REMAIN IN CAR. If a staff member is not present please wait. o Please do not drop off a student unless the Ballet Austin staff member is present. 2. NO ONE (INCLUDING PARENTS) WILL BE ALLOWED BEYOND THE DROP OFF POINT EXCEPT DESIGNATED BALLET AUSTIN STAFF AND PERFORMERS. o PARENTS ARE NOT PERMITTED IN THE BACKSTAGE AREA OF THE THEATER. 3. EARLY CHECK-IN IS NOT AVAILABLE. Due to tight scheduling backstage, limited staff, and limited space in the Long Center Service Yard, please wait to enter the service yard and drop off a student until the arrival time noted for their part. (There is not a place to wait in the Long Center Service yard) CHECK-OUT PROCEDURE: A BALLET AUSTIN STAFF PERSON WILL ESCORT STUDENTS OUTSIDE WHEN THEY ARE FINISHED PERFORMING. 1. Arrive at the Backstage entrance at your student s scheduled pick-up time. Due to the volume of traffic, arriving early and waiting in the Service Yard is not permitted. 2. PARENTS SHOULD REMAIN IN THE CAR TO WAIT FOR THEIR STUDENT. 3. A Ballet Austin staff member will bring your student to the car when they are ready. 4. If a student is picked up more than ten minutes after the scheduled ending time, Ballet Austin will assess a $25 late pick-up fee unless notified of the delay. In case of emergency or unforeseen traffic causing a delay, please call the Academy emergency cell phone at See section below for more quickly picking up your student when you are watching a performance. 2

3 SPECIAL ACCOMODATIONS FOR CHECK-IN AND CHECK-OUT: 1. Parents who have purchased tickets to watch a performance and would like to have your student performer join you in the audience for Act II (only if student is an Act I performer): a. You must purchase a ticket for your child to see the performance. Tickets may be purchased at the Ballet Austin Box Office at i. Students will not be allowed to watch the remainder of the performance without a ticket. ii. Notify the Ballet Austin staff member at CHECK-IN BEFORE THE PERORMANCE that the student has a ticket to watch Act II and will be picked up at intermission as per directions below. b. INTERMISSION CHECK-OUT FOR ACT I STUDENT PERFORMERS WHO HAVE PURCHASED A TICKET TO WATCH ACT II FROM THE AUDIENCE: i. Students will get dressed after performing and a chaperone will escort them at the end of Act I to the Coat Check window on the lowest level of the Performing Arts Center (near the elevator in the Rollins Lobby). ii. Students should be picked up by a parent/guardian immediately following Act I (at the beginning of intermission). Students must have a ticket. 2. Parents who have purchased tickets to attend a performance and would like for your student to check in early (ACT II performers only) or remain backstage until the end of the entire performance (Act I or II performers): a. Arrangements can be made for students to remain backstage outside of their scheduled time FOR THIS REASON ONLY. b. Notify the Ballet Austin staff member when you drop off your student IF you will be attending the performance and your student will need to remain backstage the entire show. 3. No student performers will be allowed to remain at the Long Center between matinee and evening performances if they are cast in two shows on one day. (December 11, 19) PLEASE NOTE SPECIAL PICK-UP ACCOMODATIONS WHEN PARENTS ARE WATCHING: Parents who are watching the entire performance and picking up their student backstage at the end of the performance may walk through the service yard gate (next to the front circle drive) to pick up their student at the backstage entrance. This will expedite the pick-up process before getting your car from the garage. PREPARING AHEAD OF TIME FOR PERFORMANCES AT THE LONG CENTER: 1. STUDENT PERFORMERS ARE RESPONSIBLE FOR COMING TO THE LONG CENTER PREPARED TO PERFORM, BRINGING EVERYTHING THEY NEED TO EACH DRESS REHEARSAL AND PERFORMANCE. 2. CHECK ARRIVAL AND DEPARTURE TIMES CAREFULLY FOR EACH PERFORMANCE. 3. THE SCHEDULE OF DROP-OFF/PICK-UP TIMES MUST BE STRICTLY ADHERED TO. 4. Please refer to the schedule and requirements for Spacing and Dress Rehearsals. Requirements vary from cast to cast. 5. Ballet Austin recommends that students pack a dance bag or backpack to be used exclusively for The Nutcracker performances. Items to pack into a dance bag should include: a. Individual costume pieces required for the student s part/under garments required for part b. An extra Academy uniform (leotard, tights, shoes) c. Make-up (ONLY if applicable) d. Extra Hair Supplies (hair Brush, hair elastic for ponytails and buns, bobby pins, hair net for bun, hair gel, and hairspray). HAIR SHOULD BE DONE BEFORE ARRIVING TO THE LONG CENTER. 6. OTHER ITEMS STUDENTS MAY BRING INCLUDE: a. Books or quiet games for waiting time b. Pillows and/or blankets c. A Water bottle 7. LABEL ALL PERSONAL BELONGINGS. Leave all valuables at home. Ballet Austin does not assume responsibility for loss of items while at the Long Center. 3

4 BACKSTAGE RULES AND PROCEDURES (Parents and performers please read carefully): 1. No eating or drinking (except water) in the dressing room or while in costume. a. Students should eat before arriving to the theater. Eating is not allowed in the dressing room area. i. Students requiring a snack for medical reasons may speak to a chaperone about stepping out to eat their snack. This information must be documented on the Medical Forms. ii. If a student is found with food or drink (other than water in a closed container) in the dressing room he or she may be dismissed from The Nutcracker or not allowed to audition for future performances. 2. No chewing of gum allowed at any time while in the Long Center. 3. The food set out in the stage left hallway is for company dancers exclusively. 4. Keep all costume parts together and hang back on the assigned hanger when done performing. Wardrobe staff will assist. 5. NO ink (pens or markers) will be allowed in the dressing rooms. 6. Touch only the props that belong to you. 7. No un-chaperoned wandering about the Long Center will be allowed. a. Students must remain in their assigned dressing room until escorted to the backstage area. Older students (Party Girls and Rats must remain in the dressing room area and not proceed to the stage area UNTIL THEIR CALL. This is policy from Production Director/Stage Manager, Bill Sheffield. If you arrive earlier than your call you may be sent back to the dressing room. Clara will follow her call as directed by the Production Director. b. Students must remain with their assigned chaperone at all times when traveling to and from the stage. 8. The Disney Channel or live feed from the stage are the only shows that may be on the dressing room TV S. 9. Maintain absolute quiet backstage when in the wings. 10. NO CAMERAS OR CELL PHONES ONSTAGE OR IN THE WINGS OF THE STAGE. 11. Students will NOT be allowed to stay in the stage area after their portion of the performance is over. When finished dancing all students must return to the dressing room with a chaperone. 12. Students will follow directions from Ballet Austin staff and chaperones on duty. 13. Inappropriate language or behavior will NOT be tolerated. 14. It is a privilege to perform in a professional production. Be mindful and respectful of this at all times. THERE WILL BE A PARENT INFORMATION MEETING ON SATURDAY, OCTOBER 17 FROM 2:45PM TO 3:30PM AT BALLET AUSTIN IN THE CITY VIEW LOUNGE UPSTAIRS. The meeting is optional but strongly recommended, especially to new performers. Important theater policies and procedures and backstage rules will be discussed, and there will be an opportunity for questions and clarification before going to the theater. 4

5 SCHEDULES SPACING REHEARSAL SCHEDULE: Spacing rehearsals will take place at the Long Center for the Performing Arts. CAREFULLY READ SPACING INFORMATION AND PROCEDURES FOR STUDENTS AND PARENTS. TUESDAY, DECEMBER 1 - SPACING REHEARSAL: Student cast members called on December 1: See Schedule for December 1 Parents of cast members called on December 1: Parents are invited to stay and view the Spacing Rehearsal from the house on Tuesday, December 1 while their child is in the spacing rehearsal. 1. To enter the front of house after dropping your student cast member off at the backstage door as directed, proceed to the front (main) entrance of the Long Center. 2. Go to the top of the outside stairs to the City Terrace, and enter through the glass doors to the left. 3. There will be a designated parent area in the front section on the Orchestra level (no parterre seating). 4. Enter the Orchestra seating are through door 11. Please remain in the Orchestra level until time to pick up your student. Return to Service Yard area to pick up students at the Backstage entrance where they were dropped off. Refer to the Spacing Rehearsal schedule for December 1 to know if and when your child should be at the theater. Videotaping and photographing is permissible on Tuesday, December 1. No flash photography is allowed. WEDNESDAY, DECEMBER 2 - SPACING REHEARSAL with the Company Wednesday, December 2 is a Company Spacing rehearsal. ONLY Claras and Rats will be called to the theater on December 2 for spacing rehearsal with the Company. Spacing rehearsal is at the Long Center. (refer to packet for times). Warm up before going to the Long Center by taking barre portion of regular class (5:00-6:00pm) Call at the Long Center is 6:30pm Students on December 2 may park in the Austin Energy Parking Garage on Barton Spring Road. Turn right off South first onto Barton Springs Road. You will need a permit to park. Pick up a parking permit for the Austin Energy garage on Barton Spring Road (for December 2 only) from Vicki Parsons NO LATER THAN 4:00pm on Wednesday, December 2. o Enter the Long Center Service Yard through the Pedestrian Tunnel under the garage. (do not enter where cars enter) Use the gate access code to enter gate of pedestrian entrance to the service yard of the Long Center (located off Barton Springs). Enter through the Backstage door and proceed to your dressing room. Company Manager Eugene Alvarez will be at the theater if you have any questions. There will not be access to the theater on December 2 for parents to stay and watch. DRESS REHEARSAL SCHEDULES: Dress rehearsals will take place at the Long Center for the Performing Arts. CAREFULLY READ DRESS REHEARSAL INFORMATION, DIRECTIONS, AND PROCEDURES FOR STUDENTS AND PARENTS. THURSDAY, DECEMBER 3 - DRESS REHEARSAL 1: Parents of cast members called on December 3: Parents are invited to stay and view the Dress Rehearsal from the house on Thursday, December 3 while their child is in dress rehearsal. 1. To enter the front of house at the theater after dropping your student cast member off at the backstage door, proceed to the front of the Long Center. 2. Go to the top of the outside stairs to the City Terrace, and enter through the glass doors to the left. 3. There will be a designated parent area in the House Parterre. 4. Enter the Parterre seating are through door 14. You may sit in the center of the Parterre area, in parterre rows AA-JJ Please refer to the Dress Rehearsal schedule for December 3 to know if and when your child should be at the theater. Personal non-flash photography is permissible on Thursday, December 3. No flash photography is allowed at any time. 5

6 FRIDAY, DECEMBER 4 DRESS REHEARSAL 2: Parents of student cast members called on December 4: Parents are invited to view the full dress rehearsal from the house on Friday, December 4. Ballet Austin s Night of Community is presented on the Friday night dress rehearsal. 1. Two complimentary tickets per student performer called to be a part of the dress rehearsal Friday night will be distributed to parents to watch the rehearsal from the theatre. a. Tickets for Night of Community will be available at the Academy Security Check at the backstage entrance on Friday, December 4 when Cast members are dropped off at the backstage entrance. b. Tickets are NOT available before that time and are not for public distribution. c. Tickets are general admission in the designated Academy parent area. 2. To enter the front of house after dropping your student cast member off at the backstage door, proceed to the front of the Long Center. a. Go to the top of the outside stairs to the City Terrace, and enter the theater through the glass doors to the left. b. The doors to the theater will open at 7:00pm for a 7:30 performance. c. There will be a special area reserved for Academy parents in the theater. 1. Orchestra House Left is reserved for Academy parents 2. Enter the house for seating through door #11 only please. Please refer to the Dress Rehearsal schedule for December 4 to know IF and when your child should be at the theater. No photography during this dress rehearsal/performance. Due to restrictions of the musicians union, videotaping or audio recording of any kind is prohibited during Friday s dress rehearsal. PROMPT ARRIVAL AND PICK UP OF STUDENT PERFORMERS FOR ALL DRESS REHEARSALS AND PERFORMANCES IS EXTREMELY IMPORTANT. 6
