1 Royston Rugby Club - Commitee Meetng 10/09/15 Minutes Apologies: Sara Siret, Nicola Howes, Jamie Johnson In atendance : Lee Fleming, Dafydd Hudd, Jamie Green, Rob Turner, Mick Clarke, Victoria Green, Godfrey Everet, Fergus McAulife Secretaries Report Nothing Presidents Report No reply from conservators Treasurers Account approx 15k, with Heath invoices to pay out of this. Pitch maintenance, DH spoke to Toby, TS said from November Heath will shut at 7pm. Pitch maintenance he will send stuf through as football club paid him, he pays 12,000. Invoices- TS he will check the invoices. Acton - Agreed VG will pay what we have had in terms of meals. Acton - FM to confrm the mini meals from last season FM Fixtures Godfrey reissued fxture list today. Changes in minis fxtures. U17 league matches totally changed, there will now probably be some clashes when we have minis at home, but we will put the u17s back to midday kick of. No change to 1 st 15, except we won t have another Herts cup match. Weston and Albanians 2 nd team matches venues have been swapped GE has heard nothing about Vets fxtures Acton - JG to try to get OAs on 17 th April when we have the development festval. Development festval don t get it to go beyond 5 sides per age group

2 1 st Team Captain Nothing to report Director of Rugby Training going well, with new players and good numbers RT is struggling to keep up with everything. He needs help or will have to step away. JG is helping with coaching. Some of the team aren t helping. GE asked what needs doing. JG says on a Saturday they players are asking where everything is partcularly strapping. GE says if they know they need strapping buy their own. The strapping is for emergencies/injuries. Captain is doing well on the pitch but isn t helping with admin. RT to concentrate on coaching. Other things to be done: Tape First aid bag Admin availabilites things change afer selecton commitee, RT is lef to do this, we need a phone man for this it is done on Whats app at the moment Kit before and afer training, who has the kit for games, who washes it Cleaning of Changing rooms. GE we need a jobs rota. Someone washes the kit each week. Post pads out and back Flags out and back Availabilites Sweep the dressing rooms Opening and Closing the changing rooms Roping of before the game RT needs an assistant. JG is trying to do this. GE has made a rota of 17 players. Too much for one person. Rota can go out on Whats App and can rotate it if you can t do it. GE will do the phone and sweep out. Acton - RT to get GE on Whats APP. Rota and team will go on availability. Acton - JG and RT will communicate this plan to 1 st team. Youth Chairman Numbers increased again. There has been a change in the coaching staf on U8s. Halloween disco booked, we are allowed 120 people. DJ is 155 for 2 hours

3 Probably can only sell 30 family tckets Get some glow stcks to sell. Acton - Fliers to go out next week or week afer. Great night down at Twickenham for Jamie s awards night, some networking done. Club coaching Coordinator Safeguarding course 21 st Sep parents need to go on this as they can see what is going on sidelines. Rugby Ready 15 th October will need lights for rugby ready, Lee is trying to book people on Acton - LF check closing tmes with TS to check we can have the room. New u8s coaches have been added to RFU. List is prety clean now. Lee has drawn up a poster to stck up round town. Acton - VG to talk to Tylers about samples. Social Secretary GE World cup Boars Head will only show rugby. Willing to do a discount card for members, 10% discount on everything he sells. He is running rafes and compettons. It won t hold too many people. Heath will play the world cup games but not sure what will happen if there is a clash. Not sure if we are really wanted here. Say both locatons want to support the club so let people choose their locaton. The commitee must wear their t shirts. One person at the Heath should do a draw on the score. Or 1 st try scorers. Will send it out all ways possible. Acton - RT to speak to Alex Hiom about social Sponsorship and Grants Mick needs to know what needs following up. If give 1k per year they will get 2 tckets every home internatonal but they have to pay, they stll have to apply for them. Mick can look at sponsorship pack. Acton - VG will pass over contacts. Mick will need to let Godfrey know who have agreed to sponsor by end of September.

4 Fundraising/Grants Mick is looking into grants. We have an RFU contact, they are happy to help with any meetngs we have with conservators GE someone to produce proposals re lights and changing rooms and storage RT has done this. Meetng between ourselves, cricket club and Hockey club to see what we can do. MC Has e mailed Lawson Keys and had a conversaton, perhaps get him to Royston to see the festvals. Lawson Keys if he places an engineer through us he will give us 5% of his fee. Acton - Mick will contact man from Lawson Keys to confrm arrangement re kick back on recruitment and invite him to festvals Acton - GE to pass MC the details for the Finance man from the RFU. Welfare DBS going on and safeguarding course. Volunteer Coordinator Acton VG to Follow up with NH about bag packing. FM will look to speak to Niall. Acton - JG and VG to do a newsleter to print and give out by end of September LF to do frst thought of the day. Last month s minutes Scrap the bit about the 450 in Treasurers report, treasurer wasn t at the previous meetng and not sure what this would be in relaton to School competton not happening. Rest agreed AOB Magazine, Godfrey e mailed it through. Kit Jamie would like some senior tackle shields and junior ones LF try and manage it for a month. Need 10 size 4 balls, 2 crazy nets Acton - GE to look for a lockable box. Shed, DH has fxed the shed. County coming on Sunday 1pm to do an u9 and u10 transiton, we have 10 other clubs coming. FM Royston runners Harvest Trail on 20 th. Few enquiries on u13 girls. Who has the girls fier? can we put another one into schools? JJ will have it. GE have e mailed the schools to get them to bring some girls up here, Melbourn has said yes and would someone go to the school to bring them up to speed, GE will be going. LF can we get some of the touch ladies to help with the girls?

5 MC There is plans to run an Octable Fest is there a possible kick back to the rugby club, 50%/50%. Acton - MC to touch base with Mark. Santa foat LF will sort this for the mini tour to all age groups. LF Kit JG and LF had a conversaton with Alfe Jack to sort out Tour Kit and Blazers. LF-Lights, Glen Foulger is going to take both sets of lights and bring one set back and then fx the second set. He has the bateries Meetng close 22:24 Next meetng Thursday 8 th October
