3 Overview The purpose of this Handbook is to ensure that all people involved in sport at Upper Hutt College have a clear understanding of what is required and the standards that are needed to create a sporting culture which will allow students to succeed in their chosen sporting arena. If you cannot get a hold of him and it is an urgent matter, please feel free to contact the office staff and they will direct you to the best possible location to assist in your matter. Sports at Upper Hutt College A list of sports that the school provides can be found below. If we do not cater for your child s sport or competition that they wish to enter, please contact the Sports Coordinator and he will attempt to find a solution. We like to encourage students to participate in as many extra-curricular activities as possible. However, we expect a full commitment to attend all trainings and games once the student has signed up. A full break down of dates and times is provided on the UHC Sports website. We advise that your child play no more than two summer or winter sports at one time as the work load and commitment with study would be too great. 4 Administration Fees All fees for sports must be paid directly to the school office by the beginning of the season or your child will not be eligible to play. Sports fees are only able to go on Automatic Payment if your account is in credit or you have made a payment plan with the office staff. Details on how much each sport costs can be found on the UHC Sports website. Draws and Results Most competitions that the school enters individuals/teams into are organised through College Sport Wellington. Draws and results for your child s competition can be found at Sports such as Hockey and Touch are not affiliated to College Sport so their draws can be found on their respected websites. Students can find draws on the Sports Noticeboard outside the Sports Coordinator s office, on the Noticeboard in the School Library and on the UHC Sport Facebook page. The College Sport Wellington App is also recommended by the school. It is freely available through both Apple App and Google Play Stores. We hope it helps give all our College Sport community - the students, their families and all those who support them (including Regional Sport Organisations), immediate and up-to-date access to our activities. While it has a focus on the management of the competitions, you can choose to get alerts specific to codes or grades of interest. It also contains other key features including a Google Maps link to every school and virtually every sports ground in the region. Draws for specific tournaments are not usually posted on websites or the app, so the Team Manager will ensure that all parents / caregivers are notified of the draw so that they can attend games if they wish to show their support. Uniform A full uniform list for each sport can be found on the UHC Sports website. Three ways that students can get their playing strips are outlined below. Player purchase before season All Netball players need to purchase a netball dress from NZ Uniforms online store before the beginning of the season. All Rugby players must have a pair of rugby shorts, which are the same as the UHC PE shorts. They also need to purchase sports socks from NZ Uniforms online store. All Football players must purchase sports socks from NZ Uniforms online store. 4

5 School loan If your child is playing a team sport they may get a uniform loaned to them from the school for the season. They will be responsible for maintaining the uniform to an acceptable standard. This involves washing and drying etc. If the uniform is damaged while playing for the school, it will be the school s responsibility to replace it. However, if it is damaged while being worn casually, the school will look to recover the cost to replace the uniform, likewise if it is not handed in at the end of the playing season. P.E Gear Certain sports are required to wear correct PE gear while playing and representing the school. If this is the case, students must not use this as an excuse for having incorrect uniform for PE the next day. The school also has a specific sports hoodie that can ONLY be purchased if you are representing the school. This is a requirement if your child s team attends Tournament Week. The sports hoodie is not part of the regular school uniform and is only worn for sporting fixtures. To order a school hoodie, your child needs to pay the money to the school office first and then see the Sports Coordinator to place their order. There is a 8 week turn around for the hoodies so they will be ordered on the dates below only. This means that the hoodie must be paid for before this date or they will need to wait for the next order to go through. Term 2 Friday week 2 Friday week 9 Term 3 Friday week 2 Term 4 Friday week 2 Codes of Conduct Players: are to attend and actively participate in all trainings and games where possible* are to maintain a positive balance between sport and class learning / assessment demands are to communicate personally, as soon as possible, with their Coach or Manager if they are unable to attend training or a game will play the game within the rules and spirit of the game will recognise and respect the abilities and disabilities of others - both team mates and opponents, officials and spectators will accept the Officials decisions without gesture or argument will represent Upper Hutt College with pride will be humble in victory and gracious in defeat will respect the decisions made by the Team Coaching and Management staff will thank the coaches, officials, opponents and supporters where appropriate will interact appropriately with school social media. * Sustained truancy may render a student ineligible to play for a period of time or participate in a school exchange or tournament. This will be dealt with on a case by case basis by the Sports Coordinator, Head of House, and Senior Management with oversight of Sport. 5

6 Top Team Players, as above plus: will attend and depart all games in correct senior uniform o if your team is provided a tracksuit, this is acceptable attire to attend and depart games in o the school hoodie is an acceptable replacement for the blazer on game days only will be placed on an umpiring course so that they will be able to assist the code if needed and are qualified to do so will be removed from the team if they fail to attend 3 trainings in a term with no excuse for their absence. Parents / Caregivers: will positively encourage and support the efforts of all players will make an effort to understand the rules of the game will refrain from any criticism or abuse directed at officials, players or supporters will put an emphasis on genuine effort ahead of victory and encourage players to accept the outcomes of all games, irrespective of the result will respect that all decisions made by the Team Coaching and Management staff are for the better of the team will recognise good play by both teams will interact appropriately with school social media. Communication Parents / Caregivers The main lines of communication to parents/caregivers will be via and text messages. Communication from the school regarding the sports your child has chosen will mainly be done via . Coaches and Managers may look to use text messages as an effective way to communicate with you, as the parent/caregiver, regarding training and game changes or any other communication that is needed. Facebook All Facebook groups will be managed by the Sports Coordinator. He will invite you into the main group and the students can find their sporting group from there. We encourage the parents/caregivers of each team member to sign into the group as well so they can share any photos taken at games as well as see things, such as points tables, that are posted by the Manager or Coach. We do not advise, encourage or support Coaches and Managers to start private or group messages with students through Facebook Messenger. Cancellations All cancellations will be posted on the UHC Sports Facebook page. If you have the College Sport Wellington app, this will also send a notification to your phone the moment a game is cancelled. All Managers and Coaches will also be asked to text parents/caregivers informing them of a cancellation. 6

7 Coaching and Team Selection Coaching At Upper Hutt College we rely heavily on parents/caregviers and community members donating their time to ensure that we can provide Coaches and Managers for all our sporting teams. If coaching at Upper Hutt College is something that interests you please contact the Sports Coordinator. There is often a lot of interest to coach our top senior sides. Due to this, we ask that people who wish to coach these teams contact the Sports Coordinator for a copy of the job description to fill out an application form. Teams When required, teams will be selected through a trial. Times and dates for these trials will be published on the sports noticeboards, in the daily notices, on the UHC Sports Facebook page and website. Trials are a long and stressful process for all involved. These will normally need a pre-registration. Please ensure that your child intends to play the sport once placed in the team no matter where placed. If a parent/caregiver is the Coach of a top senior school team, an independent selector(s) will be sourced to aid in selections to ensure that the trial is fair for all students and to protect the Coach from potential accusations. Once teams are named, this is final. However, if you feel that your child has been incorrectly placed you can make a written submission to the Sports Coordinator via within 48 hours of the team announcement. He will undertake to provide feedback as to why your child was placed in that team. This will not mean that they will be moved. Junior students, Years 9 and 10, will not be eligible to play for a top school side such as the 1 st XV Rugby team, the Premier 1 Netball team etc. This is to allow for correct development of students and ensure that we have a healthy and renewable source of sporting talent within the school. Exemptions to this rule may be made: a. if a senior team cannot field enough senior players and require juniors to play in order to enter a team b. if a student believes that they have BOTH the physical and mental capability to perform at, or higher than, the level required to play in the school top senior side (In either of these situations a written application must be made to the Sports Coordinator at least 5 days prior to any trial. The Sports Coordinator will then contact previous coaches in order to make an informed decision). c. if a player in a top senior side is injured and the Coach believes that a junior is the best player to fill this position, they can make a request to the Sports Coordinator for an exemption for a specified time. Also, if a senior player suffers a season ending 7

8 injury and no suitable senior player can be sourced to replace that player, a junior may be granted exemption for the remainder of the season. Tournaments The school regularly sends teams to Winter and Summer Tournament Week. A team may request to go to Tournament Week or an overseas trip by contacting the Sports Coordinator. He will then go over the process with the Coach and Manager. All teams looking to attend either a Tournament Week, College Sport Wellington qualifying, preseason or premier tournament or a trip overseas must meet the following terms before being considered: 1. players must follow the code of conduct (see pgs 5 & 6) 2. players must show commitment to fundraising if the team chooses to do so 3. Coaches and Managers must be willing and able to take a team away 4. a staff member(s) must also be willing to attend 5. all fees must be paid at least one week before departure. Injury and Rehabilitation All sporting injuries that cause a player to be removed from the field during play or training must be reported. The form that needs to be completed can be found page 10. Extra copies will also be placed in your first aid kits and can be ed to you on request. This form must be completed by the Coach or Manager and sent to the Sports Coordinator within 48 hours of the injury. A major injury that requires the student to be hospitalised requires the form to be filled out within 24 hours and the Sports Coordinator notified at the first possible time to do so. Concussion There is heightened concern around concussions that young people are getting from a multitude of sports as well as peoples understanding and diagnosis of it, the short and longer term effects and ultimately, the young person s return to learning (and sport). Red Flag symptoms that should receive immediate medical treatment include: Loss of consciousness Seizure or convulsion Nausea and vomiting Dizziness Neck Pain Blurred vision Severe/increasing Headache Tingling/Burning in arms/legs 8

9 Other potential symptoms include: Feeling slowed down Pressure in the head Irritability Sadness Fatigue or low energy Confusion Don t feel right Difficulty remembering/concentrating Drowsiness More emotional Sensitivity to light/noise Amnesia Feeling in a fog Balance problems Anxiety/Nervousness Rehabilitation The Sports Coordinator must be informed if a player demonstrates any symptoms possibly relating to concussion. The player must be stood down from all sport until they have fulfilled the mandatory 23 day stand down as prescribed below, and require a medical certificate to support their return to play. The Sports Coordinator will assist the return-to-play process. While the graduated return to play outlined below has been prepared and endorsed by the NZ Rugby Union, UHC believes that it should be adopted across all sporting codes. The stages below are the minimum expectations for all people aged under 20. GRADUATED RETURN TO PLAY - REHABILITATION STAGES* 1. Medical assessment within 48 hours of suspected concussion Day 1 2. Complete mental and physical rest until symptoms have cleared Next 14 days 3. Once symptom-free, light aerobic exercise, such as walking or stationary cycling Next 2 days 4. Sport-specific exercise, such as running or ball handling activities only if symptom-free. NO head impact activities. Next 2 days 5. Non-contact training drills only until medical clearance given and only if symptom free. Next 2 days 6. Medical Clearance - only then back to full contact training Next 2 days 7. Return to play pending #6 Day 23 At any stage in this return to play, athletes need to remain symptom free before going to the next step. Should they develop symptoms during this process, they need to rest again until they have been symptom free for 48 hours, before returning to the level where they did not have symptoms. * These guidelines and protocols have been endorsed by: Dr Ruth Highet, Medical Director of Wellington Sports Medicine; and Dr Theo Dorfling, Capital Sport Physician and Hurricanes Super Rugby Team Doctor. 9
