1 Soccer Club of Guilford Board Meeting Meeting Minutes November 13 th, 2014 Opening: The General Meeting of the SCOG Board was called to order at 7:22 PM on November 13 th, 2014 in the Guilford Community Center by Joe Guerra its President. Present: Joseph Guerra, Enrique Rivera, Shadi AbuGhazaleh, Joshua Krusewski Absent: Gene Mulone, Tim Paris, Duncan McClintock, Victoria Corsini, Meg Malatesta, Kamila Brettman, Dan Miller, Ray Iglesias, Brett Donoghue Attendees: Darin Meder, Michelle Kendrioski Approval of Agenda The agenda was unanimously approved. Approval of Minutes General Meeting A motion to accept May minutes was made by Shadi AbuGhazaleh and seconded by Joshua Krusewski. Board Member Reports President Joe Guerra 1. Continued recruiting for Fields Coordinator. Have received Zero interest. Will be sending more s and following up as needed. 2. Recruiting for Vice President continues 3. By-Laws re-write or replacement discussions are just starting. 4. Coordinated Club Photos are complete 5. Bridgeport Sound Tigers event has been put on hold indefinitely. Not enough resources to get this coordinated to date. 6. Uniforms - Planning for next fall has started. Dan Miller and myself will be researching the options. We will be presenting the options, Pros, Cons and recommendation at the December meeting. Between the December and the January meetings the board members must get all their questions and issue on the table. In the January meeting the final direction will be set. Between January and February meetings bids will be acquired and reviewed. At the February meeting the vendor will be selected and then notified for Fall 2015 acquisition of uniforms. 7. Order for 3,000 more patches have been ordered for inventory. 8. Unemployment Insurance has been acquired. 9. The SCOG Web Store I am working with Zuse on all the garment and novelty items to get it live thanksgiving week I would also like to offer Select Soccer Balls on the Web Store. As a board we need to decide on the ONE option to offer the members. We do need to order in case quantities and keep the extra for later sales. Options #3 & 4 would be printed/stamped with the club logo. The investment by the club is higher because of the lot quantity of 400 balls. All the cases of 50 or 400 can be a mix of Size 3, 4 or 5 balls. All the balls from select have the ability to put the player number on the ball (see inset image below).

All known expenses all paid to date. 2. The club obtained and paid for a yearly coverage of Workers Compensation insurance which is required to have by law but was lacking in the past.
3 3. Collection of W-9 forms from Referees is underway, we are missing 5 W-9 s from Referees who were paid in 2014 (down from 16 reported at last month s meeting). No Referee will receive checks this fall unless we have their W-9 on file. 4. Collections: Prior Season: $482.44; Current Season: $925 this represents declined/expired recurring credit card transactions; Current Winter Indoor Games U10 Travel Pool - $548 initial cost was not known at registration. Collections follow-ups are being made weekly. The SCOG Year To Date Financial Statements and all Statements back to Fiscal Year 2009 are available in printed from at tonight s meeting. Included for each Fiscal Year: Balance Sheet, Profit and Loss and General Ledger. Registrar Victoria Corsini Sandra MacMillan, Assistant Registrar Director of Coaching Josh Krusewski Met with Mario Prada new technical director CJSA - A new online F license will be offered after January - Youth modules going away - Technical modules going away - They will be instituting a new Connecticut you license appropriate for the brand-new parent coach - The F and the Connecticut youth license would prepare somebody for the E going forward He has meetings with US soccer in Florida over Thanksgiving and we will reconvene around January to make a plan for a course offering as well as a course progression for the club Scheduling meeting some teams with smaller game counts although not as concerned about it need to be better prepared going into scheduling Some teams didn't fare well in standings not sure how to handle the district in placement because ultimately it comes back to enrollment on the travel Rec side and SCD deadlines Fall GK, U8/U10, U5 fall clinics finished well Working on Turf for U12 supplemental tryout, as well as initial U16 tryouts U10 Travel programs after changes going into fall worked out well, all positive Met with in house staff to discuss in house changes academy Winter clinic registration going well. Director of Recreational Programming Brett Donoghue U6/7 micro finished up last Saturday. Meg's idea to hand out patches was well received. Season went well but will be putting together some ideas to present in December meeting on some possible tweaks going forward in the spring. U8-U10 player rankings were sent to commissioners to distribute to all coaches. Will be sending follow up . Fall season went by quickly and looking forward to the spring season. In-House Rec Coordinator Boys Meg Malatesta All IHR completed their season. Fall 2014 was a success!
4 Micro U6 and U7 Coach Andre and Neto handed out SCOG patches to all of those who attended last session. I have had a few requests to mail patch to boy. Overall, very pleased with Everson coaching staff and the kids seem to interact with them very well. Everson never followed through with weekly plan to be posted on website. U8 s Chris Cieplik beginning to get some questions regarding the format for next season and replied in an to all boys U8 group. U9/10 s ended the season with no goals and no heads up from the town that there were no goals at Chittenden (Sunday s game r/s to Cox). Tying up the season: I sent thank you to all head and asst. coaches. Encouraged them to join us at our monthly meetings Would like to send out end of the season Survey Monkey to get parent feed back Need to hand out plaques from Lifetouch to IHR coaches. Need to get plaques for sponsors and get to them. In-House Rec Coordinator Girls Raymond Iglesias District Representative Dan Miller Travel Director Shadi AbuGhazaleh Most travel teams are done (one or two make-up friendlies left). Great season. Several teams are organizing to sign up for winter indoor sessions. We've offered to help and the use of the SCOG system if desired. Referee Coordinator Gene Mulone No update reported Equipment Manager Tim Paris I will be picking up equipment order from Soccer and Rugby this Friday, early prep for spring season. Fields Coordinator Duncan McClintock 1. Season is complete 1.1. Fields are under the care of the Parks & Rec department 1.2. Many of them have sustained significant wear and tear especially Chittenden, which will likely be returned to be a small field next season 2. Received an inventory of the fields and goals 2.1. Goal Inventory (only two sizes maintained by Parks & Rec) X total sets X total sets not including the GHS Turf field Here is a blurb from Tony Annicelli Foreman at Parks & Rec: We do not have any other sized goals that we maintain, move or use. We don't have all sets out every season, it varies, for instance this fall we had (6) 24' sets out and (8) 21' sets out. So this Fall that left us with two 21' spare sets and four 24' sets as spare inventory and replacements for damaged. A lot of our goals have been welded multiple times for repairs and have been failing as of late.( we have found at least 5 broken weld/goals in the past three months) Once they are welded two or three times and they break, they're tough to fix. We do have other odds and ends parts we kept when we did inventory in the spring of 2014 but I can't assume or guess how many full sets we could make out of those if any. On Duncan's excel sheet, he has small goals 6' x 18' which is wrong, All of our small goals are 7' x 21'. We have no 18 foot goals anymore, last set we had was about 5 yrs ago or longer End of blurb from Tony Annicelli Fields Coordinator role Secures and coordinates field use for all activities of the SCOG Involved in the Guilford Parks & Rec department s fields meeting prior to each season (45 days prior) All youth leagues (baseball, football, lacrosse, etc.) are involved as well as GHS Athletic Director Goal of meeting is to assign fields, days and times to each league Represents the SCOG in all activities related to the securing of field use through agencies and in allocating their use Coordinate with adult soccer leagues to provide field scheduling and ensuring those scheduled times are included in the SCOG website Coordinate with GHS to ensure there are no overlaps in field usage include GHS Soccer team (6 teams) schedules into SCOG website Requires moderate computer skills Should have moderate skills around Excel and the usage of the currently built spreadsheets Will be trained in the use of the SCOG website and its tools Requires an intensive two week period before each season to lay out all practices and games. Multiple people can be of assistance here.

Multiple persons can be of assistance here. Web Administrator Joe Guerra 1. Potential duplicates at Collections: Prior Seasons: $482.44, Current Seasons $1, due to Credit Card Rebilling s. No issue exist. 3. Start creating Winter Programs registration for only the U10 boys. No other interest to date.
