1 These procedures are divided into the following parts: Publicity Preparing for the Pairings Tournament Eligibility Getting the Pairings Generated and Posted Handicap Adjustment for Teal Players Prepare for Play Checking Players in on Game Day Weather and Cancellations Determining the Winners and Closing out the Game Points to Remember Publicity 1. Prepare a short write-up about the tournament and ask the STLGA Publicity Chair to include the information in Heard Round the Bag Drop in the Sea Trailer. This must be done before the 15 th of the month PRIOR to the month of the tournament. 2. Check the number of tee times allocated for the tournament. If you anticipate that the number allocated will not be enough, contact the Pro Shop to see whether additional times can be obtained. If you cannot get additional times, note on the sign-up sheet that the tee times will be limited to the allocated number. 3. Post a sign-up sheet on the bulletin board ONE month prior to the tournament date. The sign-up sheet should include: Tournament Date(s) Cost and how money will be collected Course(s) Tee times Format Deadline for sign-up 1. Sign-up can also be done via the Online Sign-up Form on the Internet. 2. Ask Lynn Wiedman (lynnw@atmc.net) to put an announcement on the internet banner that the sign-up sheet has been posted (and sign-up is available online, if applicable). 1 April 2015

2 Preparing for the Pairings 1. Take the sign-up sheet down at noon on Saturday prior to the day of play (or the deadline for sign-up). 2. Go to and click on Online Sign-up Form (left side of page). Select STLGA (or the name of the Special Tournament. If applicable). In the Name field, type in Printing List and click Submit. Print the sign-up page after noon on Saturday (or the sign-up deadline). 3. Merge the players names from the sign-up sheet and the Internet into an alphabetical list of player names for the week. Make 2 copies. Verify that all players are current members of STLGA. 4. Ensure the eligibility of each player that has signed up to play in the tournament (see the Tournament Eligibility Section below). 5. Note on the list any players who have signed up to play from the teal tees, as these players handicaps may need to be adjusted (see Handicap Adjustment for Teal Players below). Tournament Eligibility 1. Participation in the Club Championship Tournament shall include those members who have played at least ten round of golf on league day one year prior to the Club Championship. 2. Participation in the Charm Tournament, the 4 Member/Member and the 2 Member/Member shall include those members who have played at least 5 rounds of golf on league days one year prior to each respective tournament. 3. The requirement of five or ten rounds of golf shall not be required for those members who are 75 and over. For those members who are physically unable to play five or ten rounds of golf prior to the tournaments shall present their situation to the President of STLGA on a one to one basis. 2 April 2015

3 Getting the Pairings Generated and Posted 1. As soon as possible, give the Jones/Byrd Pro Shop the following: a copy of the alphabetical list of players the format for the game The Pro Shop generates the pairings based on the game you have picked and the list of players. NOTE: Remember to schedule you and your pairings partner(s) so that one of you tees off in the last group for that day. 2. Pick up the tee times, pairings and scorecards from the Pro Shop on Monday or Tuesday. You are responsible for any cancellations and re-pairings at this point. 3. Check the scorecards and handicaps to ensure that no player s full handicap is over 40 or half handicap is over 20. Player s handicaps will not exceed the tee times and pairings to Jo Larson at jolarson28468@yahoo.com as soon as possible on Monday or at the latest on Tuesday. Use Microsoft Word or Excel and type the tee times and names in a single column. 5. Make four copies of the pairings sheet and distribute as follows: Post on the STLGA Bulletin Board at the Jones/Byrd Clubhouse Put in the Tournament Chair mailbox on the left side of the STLGA computer Give a copy to the Bag Drop on the day of play Keep a copy for yourself to use on game day Handicap Adjustment for Teal Players 1. If there are enough teal tee players to constitute a teal flight, no adjustment is needed. Those players will be competing against each other in the game and the teal handicap as computed by CGA is used. 2. If there are not enough teal tee players to constitute a teal flight, an adjustment must be made to their handicaps. Because the teal tee players are competing against red tee players and there is a difference between the course rating for the red and teal tees, an adjustment must be made to allow 3 April 2015

4 for that difference. The following procedure should be followed in regard to the teal tee players handicap when competing against red tee players. If a player is playing from the teal tees (and competing against red tee players), subtract the course rating difference between red and teal (see below). Subtract that number from her teal tee handicap to determine how many strokes she will receive from the teal tees. The differences between the red and teal course ratings are as follows: BYRD JONES MAPLES Red 67.6 Teal 61.8 = 6 strokes Red 69.3 Teal 61.5 = 7.8 rounded up to 8 strokes Red 68.6 Teal 61.6 = 7 strokes Example: Jane Doe s teal tee handicap is 25. The course rating difference between the red and teal tees is 6.0, so her adjusted handicap from the teal tees would be 19 instead of 25. (25 6 = 19). If the Teal Tee player s handicap is above 40, move handicap to 40 then make the adjustment. No player shall play with a handicap over 40. Prepare for Play 1. Ask the Pro Shop to prepare scoring sheets for easy posting of scores at the end of the tournament, if you choose to use them. 2. Write a brief description of the day s game and include any special rules for the day and how ties will be broken. Make enough copies for each cart to have a copy of the description and rules. 3. Decide how many places to award and how much money each person/team will receive. The amount of prize money for each place and the number of places to award is up to you and your partner(s). If you play in flights, award prizes in flights. 4 April 2015

5 Checking Players in on Game Day 1. Drop off a copy of the pairings sheet at the Bag Drop along with the game descriptions and rules for distribution in each cart. If there have been any pairing updates, give a new copy to the clubhouse check-in desk. 2. If you have special events such as closest to the pin or longest drive, arrange to have tape measures or markers put on the course. 3. If it s a shotgun, read the rules of the game and plans for the day to participants. Weather and Cancellations 1. When course conditions are such that play could be slowed due to very wet fairways determine if any special rules (i.e., lift clean and place through the green, etc.) will be in effect for that day. If special rules are to be used, make sure all players are informed at check-in time. 2. If weather looks threatening on the day of play, discuss the possibility of canceling the tournament with the Pro Shop and reach consensus on the play/no play decision. 3. A determination to cancel play is not to be made until the time of the first scheduled tee time. Determining the Winners and Closing out the Game 1. Collect all the scorecards and post the scores on the scoring sheets, if you choose to use them. 2. Determine the winners and divvy the prize money. 3. If there is a social following the tournament, take the completed score sheets (along with the scorecards, in case there are questions) to the social. Announce the winners and distribute the prizes. 5 April 2015

6 4. Complete the scoring worksheet and make two copies. a. Place one in the Handicap Chair s mailbox on the left side of the STLGA computer b. Keep one for the game paperwork (See Step 9) 5. Write the winner s name, date, and place on a small envelope and insert the appropriate amount of cash winnings. 6. Prepare the Publicity Sheet by printing the full names and scores of winners and their place. Include all birdies, chip-ins and closest to the pin when appropriate. Prepare an alphabetical list of all STLGA players who completed 18 holes and an Excel or Word version to the following people: Mary Alice Jerome at mjerome985@aol.com 8. Prepare a brief write-up of how you ran the tournament, what worked and what didn t and any changes that might be made going forward to make the tournament better. Send your write-up to Roz Dahlen at roz_golf@yahoo.com or insert in the Tournament folder. 9. Bundle the following paperwork after the game and place it in your pairings folder: Alphabetical list of player names Sign-up sheets (written and Internet) Scoring worksheets Score cards 6 April 2015

7 10. After the tournament, place the tournament folder in the Tournament Chair mailbox on the left of the STLGA computer. Be sure to include all of the paperwork. Points to Remember Ask Pros in advance to help you with the scoring if you want help on tournament day. If you have special events, such as closest to the pin or longest drive, inform the Pro Shop on the day prior to play. At check in, give the Closest to the Pins tape measures and markers to the first groups that will arrive at those holes. Prepare and make available the following information for each cart: Format of the event How ties will be broken Any special rules in place due to inclement weather conditions The following Tie Breaking Methods should be utilized: 1. A 3 hole playoff must be utilized for the two major tournaments: The Charm Tournament and the Club Championship. 2. Match of Cards Tie Breaking Procedure: Determine winner by comparing the scores on last 9 holes (10-18), then last 6 holes, then last 3 holes and then 18 th hole.
