Player registration fees provide a baseline for obtaining funds; however, the opportunity to raise dollars should not end there. There are abundant opportunities before, during, and after the tournament. SPONSORSHIP Sponsorships will cover the majority of a tournament s expenses.» Practice Greens: Every golfer passes it at least twice during the day. A sponsor can host a one-on-one interaction, allowing golfers to play a quick putting game while positively representing the sponsor s brand.» Golf Carts: Recruit companies to sponsor golf carts, reducing overhead.» Golfer Gifts: Brand golfer gifts with the tournament logo and also sell the opportunity for sponsor representation. 22

31 TIME PRIOR TO EVENT TOURNAMENT TIMELINE 6 months - 1 year 6 months 3-4 months o Establish the goal of the event (client appreciation, fundraising, social). o Determine your budget. o Select a golf course. o Meet with the person responsible for your golf event at the host facility. o Estimate the number of participants. o Negotiate/sign contracts with the golf course. o Begin acquiring sponsors. o Discuss tournament format, special contests (closest to the pin, longest drive, etc.), and the day s schedule. o Design event logo and promotional materials. o Finalize the schedule of events o Purchase hole-in-one insurance, if needed. 1-2 months o Finalize the format. o Make initial pairings. o Confirm tee times. o Review status of awards and gifts. o Develop a tournament rules sheet. o Order banners, tee signs, and any other signage. 1-4 weeks Check-In or Pre-Registration Tournament Day o Finalize pairings and cart assignments, and create one group list and one alphabetical list. o Communicate number of players to the golf course. o Inventory all gifts and prizes. o Have a final conversation with resort or club to make sure personnel will be on hand to assist you. o Make up score cards, locker labels, and gift bags. o Hand out first-tee gifts, especially clothing gifts that players might want to wear in the tournament. o Arrive at the course at least two hours before the golfers. o Set up the registration tables near the carts or a walkway through which all golfers must pass. o Check cart amenities, such as rule sheets, balls, towels. o Check on special event holes. Course staff should place proximity markers on those holes. o Have two people set up tee signs and banners. This task often takes more than an hour. o Make certain that the beverage cart is ready to go. o Check on driving range access for your group. o Hold a short, 10-minute meeting with your staff and course staff to give them all the pertinent information that golfers will need. o Remind someone to pick up the proximity markers after play. 31
