Strawberry Valley Golf Committee Minutes of Meeting Wednesday, June 4, 2008 Town Hall, Abington, MA In Attendance: Mark Chirokas, Chairman, Joseph Cavanaugh, Vice Chairman, Steve Wakelin and Frank Lane Mr. Chirokas opened the meeting at 7:01pm and asked Mr. Eckstrom to address the committee. Mr. Eckstrom handed out the May financial statement. Mr. Lane noted the gift certificate sales were up. Mr. Chirokas commented people will be buying gift certificates for Father's Day. Mr. Eckstrom reported May had a few good days and the Ladies Tuesday League is really taken off. He also stated they did a lot of work to the course last month; top dressed & seeded all tees, fertilized tees and greens. Mr. Wakelin asked about fertilizing the fairways and Mr. Eckstrom replied he's waiting for the right time but currently the fairways are in good shape. Mr. Eckstrom stated he may wait till the end of June to spread the "Merit" grub control. Mr. Wakelin commented the greens were in good condition last year. Mr. Eckstrom reported 3 pallets of fertilizer stored in the barn basement were destroyed by water and mold ($1,500 value.) Mr. Eckstrom feels the basement is not usable to store anything. Mr. Lane asked if a sump pump would help and Mr. Eckstrom replied it couldn't hurt. Mr. Wakelin asked Mr. Eckstrom about the personnel at the course and Mr. Eckstrom replied he recently fired one grounds person but has hired someone from Abington to take his place and also has his son working there. He said he has two new people plus Debbie and Chris inside and George is the starter. Mr. Chirokas inquired about CORI forms and Mr. Eckstrom said they were up to date except for his son which he will handle. Mr. Chirokas asked if the benches were painted and Mr. Eckstrom replied they were painted and the beds were mulched and flowers planted. Mr. Chirokas asked about youth rental clubs and Mr. Eckstrom replied Bill is putting sets together but he will check on it.

2 Mr. Wakelin asked about utilizing T2 driving range but Mr. Chirokas reported the land is for sale and the family is feuding over it. Mr. Chirokas said the town has 1 st refusal to buy land from the Newcomb's. Mr. Chirokas asked Mr. Eckstrom the status of golf pro for the course and Mr. Eckstrom replied he has no one as yet, but Bill will conduct lessons. Mr. Lane reported he was told some golfers were looking for hot dogs after their round of golf but no one was cooking and the employee in the clubhouse suggested they have a beer and said they cook hot dogs sometimes but weren't cooking any then. Mr. Lane feels this is sending the wrong message. Mr. Chirokas suggested using hot dog rollers for cooking and said they have them at the Island Grove and they are easy to use. Mr. Wakelin asked how the sprinkler system was working and Mr. Eckstrom replied he replaced a few heads but the system and pump house are working well. Mr. Wakelin asked if there was any destruction to the course during the last couple of months and Mr. Eckstrom replied no, but noticed there is a broken window on the 2 nd floor of the clubhouse and he will replace it. Mr. Cavanaugh commented the people renting the house on the course reported they only had one ball hit the house so far this season. Mr. Eckstrom announced they booked an outing for September but wasn't sure of the details. Mr. Chirokas confirmed the Town Appreciation date of September 14. Mr. Chirokas asked Mr. Eckstrom to get more carts, pull carts and rangers this year. Mr. Chirokas suggests putting a sign in the parking lot announcing the upcoming Town Appreciation Day. Mr. Lane suggested keeping a paper trail on the golf pro situation and Mr. Chirokas explained that's why he asks Mr. Eckstrom at every meeting the status of the golf pro. Mr. Chirokas reported they are all set with the tee markers and Mr. Cavanaugh reported there are extras on the shelf. Mr. Chirokas said he'd order more yardage markers and ask why the current markers faded. Mr. Wakelin asked about appointing another person to the board once Mr. Chirokas becomes the liaison to the committee. Mr. Chirokas will talk to Mr. Warren. Gate: Mr. Cavanaugh will use a pip pin lock on the front gate. Mr. Lane reported he has the gate sign with logo ready to install. Mr. Cavanaugh will stop by fire department to have them open the lock. Minutes: Mr. Lane motioned to accept the minutes of the May 7th meeting and Mr. Wakelin seconded the motion, all were in favor. 3 Clubhouse: Mr. Chirokas asked if the committee feels the clubhouse is a one person operation. He suggested moving the food to the registration area. Mr. Lane asked if the committee should put a hood in the kitchen before the new tenants take over and Mr. Chirokas feels the committee should wait to see the proposals from the bidders, some may want to split the concession 50/50. Mr. Wakelin asked why the committee isn't announcing or advertising the upcoming bid. Mr. Chirokas will ask Mr. Warren about this. Mr. Lane suggests being pro-active and put it on the COMPASS website and mail notice to companies as a pre solicitation notice. Lease Agreement: Mr. Chirokas stated he would like the lease agreement completed at the next meeting. Netting: Mr. Chirokas stated he will the netting specs to the committee tomorrow. Mr. Cavanaugh asked it the netting on the 7 th hole is Johnson's responsibility. Mr. Lane suggests addressing this in a letter to Johnson's Golf Management. Mr. Chirokas said he would call Mr. Eckstrom about the netting. Capital Plan: Mr. Chirokas said he would the FY09 Capital Plan to the committee. Mr. Wakelin suggests discussing the clubhouse kitchen as part of the capital plan. Mr. Chirokas feels the hood could be a negotiation tool on the lease. Mr. Chirokas stated the gas pump should be the 1 st item on the capital plan. Mr. Wakelin motioned to adjourn the meeting at 8:32, Mr. Lane seconded motion and all were in favor. Action List: 1. Mr. Eckstrom to fix broken window. 2. Mr. Eckstrom to check on junior club sets 3. Mr. Cavanaugh to have fire dept open the lock 4. Mr. Chirokas to order yardage markers 5. Mr. Chirokas to ask Mr. Warren about appointing another person to the committee 6. Mr. Chirokas to ask Mr. Warren about advertising the bid. 7. Mr. Chirokas to netting specs 8.
