1 REUNION ADVISORY BOARD OF GOVERNORS (ABOG) AND REUNION MANAGEMENT MONTHLY MEETING SUMMARY March 10, 2015 Meeting Purpose: The ABOG meets monthly with Reunion s Managing Director and the Directors of Membership, Food and Beverage, and Golf Departments to provide them with input on Club programs, plans, activities, policies, rules, and regulations. Although the ABOG s role is strictly advisory in nature, management deems their input as critical to the long-term health of the club. This monthly summary highlights the major items discussed during this meeting and as a means to communicate important Club information to all Members. A new game needs to be introduced to replace that Member activity. Jan asked Bev why Members can only bring 4 guests into the Water Park when Wyndham Vacation Ownership Villa guests are allowed to bring 8. Bev indicated that this policy ties into the number of sleeping accommodations in the villas. She also 1

2 Don Rafferty stated that guests renting a house in the Reunion Rental program pay Club amenity fees as part of their overall rate to gain admission to the Water Park and other Club amenities. Men s Interclub Kevin is working with the golf committee on establishing an interclub in 2015 and 2016 with clubs that have a similar course standard as Reunion. Tournaments The Golf committee and Department are currently discussing having: A new Super Senior Championship for golf Members 70 and over; and A Senior Championship for golf Members 60 and over in lieu of 50 and over. Alan Gardner The Club Championship for all golf Members would continue. Member Parking Lot To prevent Members from parking in the location at the end of the Members lot, Alan suggested that No Parking lines be drawn. Memberships Alan stated that Reunion needs to make Memberships easier to obtain. Fountains A Resort Member suggested that Reunion place fountains in our ponds throughout Reunion. Such fountains not only add a very positive aesthetic look to the surrounding landscaping and ponds, but also reduce algae growth, result in fewer dissolved toxic gases, eliminate bad odors and water stagnation, and overall lower pond maintenance costs. Reunion's CDD's own two of the ponds, the West Side Lagoon and the pond within Patriots Landing. The East CDD Board has asked the CDD Management Company's Buildings & Grounds Manager, Alan Scheerer, to obtain proposals for procuring and installing fountains in these ponds. The cost of providing power to these fountains may be the most costly part of their installations, and is being evaluated as well. Some proposals have already been received, and additional ones are being sought. The 2

3 Resort has also been asked to consider the installation of like fountains in some of its Golf Course ponds as well, and Kevin Baker and his team are conducting a study to consider. Once all of these initial proposals are received by Alan Scheerer, and Kevin Baker is ready with his preliminary study, a meeting is being planned to see just how the Resort and our CDD's can possibly benefit from a joint effort in procuring and installing these fountains in both sets of property ponds - at the lowest possible cost. Of course, any decisions made to procure and install fountains in our Reunion CDD owned ponds would have to be made by the respective Reunion East and West CDD Boards. Bev Kelber New Members Parking Lot Code The code for the arm in the Members Parking lot has been changed to 7593 (the address of the Grande.) ABOG Guidelines Since the last meeting there has been an addition to the ABOG. Don Harding was selected by the Chair and approved by Management for the position of ABOG Member. Don will provide additional input to management on items that are outside of the roles of the committee chairs such as CDD and Reunion s Neighborhood Watch Program. New Member Website The much improved new Member website continues to be worked on now and is on track for completion the end of this month. This new site will be separate from the current resort website and will include a public site, private site and a Mobile app. The site will enable Members to make tee times (a feature that is no longer working on the current site) and will allow Members to review tee sheets with names of those playing. Membership Numbers The Membership numbers remain relatively flat with some Memberships added and some Memberships dropped. The following initiatives are in place to grow Memberships within Reunion: 1. Monthly new homeowner list purchased; postcards sent to new homeowners 2. Quarterly list requested from Aegis for new homeowners; letters sent to new homeowners 3

4 3. Estoppel requests routed through Membership Sales Manager in order to increase awareness of property sales 4. Realtor relationships cultivated routinely 5. New Member Referral program initiated 6. New website to be unveiled soon is a Membership-specific site where prospective Members can learn about Club Membership and benefits and can easily contact Membership for more information 7. Currently work with a sales spreadsheet; new CRM software in the works to provide tools for increased and timely follow up with prospective Members 8. Featured Builder Program continues to provide mechanism for Membership for new homebuilders 9. New consolidated Sales Center where Membership, Rental Management and possibly, Real Estate agents (depending upon buyer s realtor) work together to promote Membership and Reunion s Rental Management Program 10. Researching possibility of using data collected by security at gates to reach out to property owners who are not Members; perhaps offering Member for a Day/Week benefits to preview Membership ABOG Member s Website Updates Bev has completed the updates submitted for the ABOG webpages provided at the January meeting and will add the ABOG/Management February monthly meeting summary. Membership Benefits Review Updates At the January meeting, Carlton indicated that Reunion management would review the final report provided to him by the 10-person Membership Benefits Review ABOG/Management sub-committee in August 2014 to determine the status of the recommendations made. Bev indicated that this review would be accomplished in the near future. Wayne Malagon Wine Dinner The Wine Dinner to be held in Forte on March 26 th is nearly at capacity. New Menus New menus are coming out on the 12 th in Eleven and during the week of the 16 th in Forte. The new menus for the Clubhouse are being printed and will go into effect once received from the vendor. 4

5 Outside Grille To expedite lunching at the clubhouse on Fridays, Saturdays, and Sundays, there will be an outside grille set up. Offerings include hamburgers for $9; chicken sandwiches for $8; hot dogs for $6; and fries and soda for $3. Member discount applies. Special menus with these offerings are provided on all tables. Chef Guy Kevin Baker Chef Guy has left Reunion due to personal issues. There is a possibility that he could return in the future. Lobby Tables It was recommended that extra tables should be placed in the lobby bar in lieu of some of the furniture. New furniture in Eleven New high-top tables and bar stools have been purchased for the outside area of Eleven. It was recommended that they not be placed too close to the railings. It was asked when the clubhouse bar would be getting new bar stools. This topic was held for Carlton to discuss. Advance Tee Times Kevin indicated that the courses will be busy over the next 5 weeks and that Members need to make advance tee times. If a Member is unable to get a tee time, he/she should contact him or Vic Shallow directly. Monday Golf Clinics Due to a lack of participation, the Monday Golf Clinics have been cancelled. Wednesday Putting Challenge The 4:00 pm Wednesday Putting Challenge which is open to all Golf Members has been replaced with the following: 1 st Wednesday of the Month-Complimentary Golf Clinic 2 nd Wednesday of the Month-Putting Contest at the Putting Academy 3 rd Wednesday of the Month-Short Game Challenge 5

6 4 th Wednesday of the Month-9-hole Challenge Participants receive a complimentary beverage. Fountains Last month s discussion regarding placement of fountains in the ponds has led to further discussion on the issue. A study is being done to determine course impact (as well as to the players) should fountains be placed in the ponds on Palmer holes 1 and 7 and Nicklaus 3, 4, 14, and 16. Leaves The Oak tree leaves are being blown to areas not impacting residents or removed, as needed. Bunkers Carlton Grant Bunkers continue to be repaired; i.e. the greenside bunker on #8 of Watson. Tree Trimming More trees have been trimmed especially on holes 11 and 12 of Palmer. The dead tree on Watson hole 11 was removed. Hole By Hole Issues The 3 magnolia trees planted on hole number 5 of Palmer will be moved to the other side of the cart path. Nicklaus Course Update The Nicklaus design team has completed the plans to modify holes 17 and 18. These holes will move left (as they should have been) allowing for homes to be built by Encore on the street side and right of the fairways. Both holes will maintain their PAR 4 and 5 ratings. These holes will be taken down May 15 th and should be made available again in November. While the modifications are being done, the other 16 holes will be available to play and players will replay two holes (to be determined.) Nicklaus Driving Range The Nicklaus driving range will be closed on May 15 th until the modifications have been made to holes 17 and 18. 6

7 Nicklaus Clubhouse Update We will break ground on the Nicklaus Clubhouse in early November once modifications have been made to the Nicklaus golf course. The size of the Clubhouse is currently over 7,500 square feet of air conditioned space. It will contain a themed sports bar/restaurant; pro shop; fitness center, locker rooms, restrooms. Encore will occupy a desk in the lobby until all of the property surrounding Nicklaus has been sold. There will be a cart barn below and two putting greens behind the clubhouse. Seven Eagles Fitness Center The proposed renovations are acceptable to the CDD Board. However, final approval is pending the completion of certain legal documents. $60k worth of equipment has been purchased and will be installed once the renovations are completed. Palmer/Watson Clubhouse Carlton indicated that new bar stools would be purchased for the clubhouse bar and that wallpaper, paint, and carpet refreshment will be made as determined needed. Lubert-Adler and Encore Agreement Carlton indicated that the agreement made between Lubert-Adler and Encore has no aspects that would negatively impact Reunion Members. 7
