1 33rd Annual General Meeting Sunday 9 July 2006 Minutes of the 33rd AGM for New Zealand Federation of Young Farmers Clubs (Inc) which was held during West Coast Feral Festival Festival Week in the Sports Bar, Revingtons Hotel, Tainui Street in Greymouth commencing at 9.30am Welcome National President, Hilary Phillips welcomed everyone to the meeting and thanked everyone who made the trip to the Coast. Reports National Presidents Annual Report "Moved that the President s Annual Report be adopted Hilary Phillips / Ben Allomes Financial & Auditors Tineka presented the 2005 accounts and explained that the Rural Leadership Development Programme is currently integrated into the NZYF accounts, which distorts the accounts and makes them look better than what they are. We made a $19,246 loss in 2005, which was budgeted for, and was part of changing the administration from Federated Farmers. 3 Moved that nominations for National President close and that we vote for President of NZYF Elliot Scott / Bevan Proffit Voting was completed and Ben Allomes was declared President of NZYF. National Vice Presidents Three prior nominations for the two National Vice President positions were received. Steve Belton, Melissa Brown and Bevan Proffit. Ben Allomes nominated Craig Chadwick for Vice-Chair. Kim Dowson seconded. Moved that nominations for the two National Vice President positions close. Mark Stewart / Megan Colling Voting was completed and Stephen Belton and Bevan Proffit were declared Vice-Presidents of NZYF. Moved that Hilary Phillips be declared of NZYF Stephen Belton / Emily Coppard National Board The National Board consists of Hilary Phillips, Ben Allomes, Steve Belton, Bevan Proffit and one coopted member, to be invited to the meeting in August. Hon. Solicitor Moved that White Fox and Jones, Ashburton act as the solicitor for NZYF Bevan Proffit/Megan Colling Auditor Moved that the auditor for NZYF remain that of The National Bank Young Farmer Contest, Myers & Co. Bevan Proffit/Richard Reid Remits Move that If someone is elected to National President or Vice President before their 31 st birthday, they may stay in office for two years Appointments to other bodies Moved that the appointments to other bodies stay the same Bevan Proffit / Richard Reid Elliot Scott / Bevan Proffit General Business Affiliation fees Moved that the affiliation fees for the 2007 year be: FULL sub: increase to $70.00 (incl GST) HALF year: increase to $40.00 (incl) YOUTH: remain at $30.00 (incl) S:\NZYF\Meeting\AGM Minutes\AGM July 06.doc Page 3 of 5

4 NZYF Supporter: remain at $30.00 (incl) as decided upon by National Committee Bevan Proffit / Ben Allomes Honoraria Hilary, Ben and Steve left the room while Brian Milne chaired the meeting to discuss honoraria s. It was noted that the AGM will recommend the rate of the honorariums to the Board, as it will depend on finances Moved that the honoraria for the past year be set at $5000 for the National President and $1800 for each of the National Vice Presidents Euan Reeve/Bevan Proffit Paul suggested that the honoraria are to be reviewed every year at the AGM and will be treated like a performance payment. National Board & National Committee Melissa Brown expressed her thanks to the NZYF National Board and the NZYF National Committee. Management Committees Megan Armstrong thanked the Contest Management and Grand Final Committees. Host Region Stephen Belton thanked the hosts of Festival Week, West Coast and Tasman Young Farmers. Hilary Phillip offered thanks to Brian Milne, out-going Board member and James Allen, the out-going Other Emily Phillips, the Canadian exchangee, thanked NZYF for being excellent hosts and supplying her with a fantastic time.
