Cancellation of stabling: Applications for refund of charges, received by the Organising Committee later than Thursday 22 nd December 2011, will under no circumstances be considered. Cancellations of boxes after this date will be on riders account. The riders receive an Invoice for the ordered boxes at 150,00 (excl. 6% VAT) per box. Declining entries The Organising Committee may at their absolute discretion, with Ground Jury approval, remove any person or animal from the event without being liable for any compensation. OFFICIALS Officials are the guest of the Organising Committee; hotel accommodation, breakfast, lunch and dinner will be paid by the Organising Committee (extras: telephone, internet access, beverages, drinks etc. not included).the hotel rooms will be reserved by the Organising Committee. Costs will be paid for a maximum of 4 nights, from Monday 26 th December until Thursday 29 th December A longer stay will be at the expense of those concerned. Officials staying in a hotel other than the one selected by the Organising Committee, will have to pay all expenses incurred themselves. On Monday evening at hrs the O.C. will offer a welcome buffet for the officials. 3. ATHLETES Cost of hotel accommodation are for the account of the athletes. Cost of meals are for the account of the athletes. There is a catering possibility at favourable rates for athletes for lunch and dinner from Monday 26 th December until Thursday 29 th December 2011.at the showground. However, the O.C. will offer every morning a breakfast for the athletes. On Monday evening at hrs the O.C. will offer a welcome buffet for the athletes. 4. GROOMS Grooms (maximum 1 per athlete, per category) will stay at the event at their own expense. There is a catering possibility at favourable rates for grooms for lunch and dinner from Monday 26 th December until Thursday 29 th December 2011 at the showground. However, the O.C. will offer every morning a breakfast for the grooms. On Monday evening at hrs the O.C. will offer a welcome buffet for the grooms. For those staying at the event, the Organising Committee will provide sufficient clean sanitary and showering facilities, with hot and cold water, for male and female grooms. 7 5. HORSES / PONIES All horses / ponies entered for the CSI Roosendaal 2011 must be 6 years or older. Accommodation for the horses in will be available for home and foreign athletes in temporary stables, as from Monday 26 th December hrs. for the entire duration of the event. Athletes and/or grooms will not be allowed to erect extra stabling facilities or to erect any private stable shelters. All transport expenses to be paid by the athletes themselves; there will be no reimbursement of travelling expenses by the Organising Committee. 6. WELCOME Horses / ponies may not arrive earlier than Monday 26 th December hrs and must depart no later than Friday 30 th December hrs., unless otherwise agreed upon in advance with the Organising Committee. 7. LOCAL TRANSPORTATION Athletes, grooms and owners need to arrange their local transportation themselves. 8. ADVERTISING AND PUBLICITY ON ATHLETES AND HORSES The Athletes are authorised to carry the logo of their personal sponsor on the saddle cloth in accordance with Art and of the FEI Rules for Jumping. The Chief Steward will check that the advertising and publicity on Athletes and horses complies with these Articles. VI. MISCELLANEOUS 1. GENERAL CLASSIFICATION AT THE END OF THE COMPETITIONS Leading athlete award No Best foreign athlete No Best home athlete No Team awards No 2. PRIZE - CLASSIFICATION Prizes in kind will be distributed during the prize giving ceremony in the main arena. The prize-money will be distributed at the Show office at the latest after he last competition. Each competitor will receive his/her prize-money by bank transfer. At the end of the Event the O.C will provide each rider with a breakdown of Prize Money won. Twenty-five percent of participants per competition must receive prize money (one prize for each group of four commenced competitors or part there of). All entry fees have to be paid at the latest on Thursday 29 th December 2011 at the Show office. The account will be made, based upon the definite entries. Payments must be made in (Euro) in cash or by credit card (will be debited by a levy of 2% over the total amount due). An ATM will be available at the show office as well. No Cheques will be accepted as means of payment. The O.C. reserves the right to withhold money due from the prizemoney won, as long as outstanding bills have not been paid. 8 According to the relevant Dutch tax regulations, the Organising Committee of CSI Roosendaal 2011 must charge 6% VAT on all fees to be paid by athletes. Athletes will receive an invoice, showing VAT specified separately and can apply for re-imbursement of all VAT paid at the CSI Roosendaal 2011 by filling out a form to request this refund of VAT by the Dutch tax authorities. The form to apply for re-imbursement of VAT must be sent to: Belastingdienst / Limburg Foreign Office Po Box 2865, 6401 DJ Heerlen Within six months maximum after the end of the year in which the event took place. Requests for amounts smaller than (EUR) 27,00 will not be taken into consideration. Any such request can be handed in once a year only. 3. PRIZE GIVING CEREMONY 6 athletes have to present themselves each prize-giving ceremony except for the Grand prix, where 8 athletes have to be present. If a rider is not present at the prize giving ceremony he/she loses the rights to the prize-money won at that class. 4. DEDUCTIONS FROM PRIZE MONEY In accordance with the relevant specific Dutch tax regulations, no income tax will be deducted from prizes won by home athletes or by foreign athletes from a country with which the Netherlands have made a treaty in order to avoid double income tax levies. However, 20% income tax will be deducted from prize money won by foreign athletes, domiciled in a country with which The Netherlands do not have a similar tax treaty. In all cases, athletes will be invited to provide all necessary information, in order to guarantee the correct tax procedure; to this purpose all athletes must provide the Organising Committee with a copy of the relevant pages of their passport and their home address. Every athlete is responsible for the correctness of the details he/she submits. 5. INSURANCES All owners and athletes are personally responsible for damages to third parties caused by themselves, their employees, their agents or their horses. They are therefore strongly advised to take out third-party insurance providing full coverage for participation in equestrian events at home and abroad, and to keep the policy up to date. The Organising Committee (including their employees, representatives and show officials) will not be responsible for any accident, injury or damage that may occur to, or any illness or disease which may be contracted by any horse entered at the CSI Roosendaal 2011, however occurring, and the athletes shall keep the Organising Committee indemnified against all liability whatever arising from any accident, injury, damage, illness or disease. The Organisers will not be in any way liable for anything that may happen (from any cause or circumstances whatever) to property brought into the event or for any other loss, claim, matter, circumstance or event whatever in connection with, or arising out of, or attributable to the actions of the Organising Committee (including their employees, representatives and show officials) or any of their officers, or agents or these or any other rules or regulations special conditions prescribed by the event. Each athlete will be considered responsible in all aspects for the attendants in charge of his horses and for any other servants or agents of his for the consequences of any infringement by any such persons of these rules and regulations. SAFETY CUPS In accordance with art. 210 of the FEI rules for Jumping Events, the safety cups in use during the competitions of the CSI Roosendaal, will be of the FEI approved type CARO Cardinali & Rothenberger GmbH / Bünde (GER). 7. TIMING DEVICE Timer: Alge Timing, FEI report nr A, model: Timy PXE with integrated printer Photocells: Alge, FEI report nr B.RSL1n; Wireless transmitters: Alge, FEI report nr C, model TED/TX10 - RX ENTRY RIGHT TO SHOWGROUNDS (Art. 132, 1005) There will be free access to the show grounds for the athletes, their partners, grooms, owners of participating horses and officials. The necessary accreditation should be collected from the secretary s office upon arrival. Per competitor 1 groom maximum will be accredited. A maximum of two owners per participating horse / pony, will be accredited, providing their names are duly registered as such in the official FEI-passport of the relevant horse. The O.C. Committee reserves the right to withdraw, confiscate or otherwise any passes whether issued with entry or purchased, without refund, immediately in the event that they are either cut, removed or in any way damaged. Passes are non-transferable once issued. All athletes, owners, grooms and other persons must display relevant passes at all times, otherwise entry will be refused. 9. DOCTOR / MEDICAL SERVICE / FARRIER Veterinary and medical assistance, as well as farriery services, are available for the duration of the event. These are at the expense of those requesting them. When, in the opinion of the Show s veterinary surgeon, a horse is so severely injured that it ought to be humanely destroyed, the Person responsible will where possible first be informed. However, the Show s veterinary surgeon will proceed with humane destruction, without reference to the PR, in order to prevent undue suffering to the horse. Before taking this action, the Show s veterinary surgeon will, wherever practicable, seek a second veterinary opinion. In such eventuality, owners are responsible for the cost of disposal. 11 THE FEI CODE OF CONDUCT FOR THE WELFARE OF THE HORSE The Fédération Equestre Internationale (FEI) expects all those involved in international equestrian sport to adhere to the FEI s Code of Conduct and to acknowledge and accept that at all times the welfare of the horse must be paramount and must never be subordinated to competitive or commercial influences. 1. At all stages during the preparation and training of competition horses, welfare must take precedence over all other demands. This includes good horse management, training methods, farriery and tack, and transportation. 2. Horses and Athletes must be fit, competent and in good health before they are allowed to compete. This encompasses medication use, surgical procedures that threaten welfare or safety, pregnancy in mares and the misuse of aids. 3. Events must not prejudice horse welfare. This involves paying careful attention to the competition areas, ground surfaces, weather conditions, stabling, site safety and fitness of the horse for onward travel after the event. 4. Every effort must be made to ensure that horses receive proper attention after they have competed and that they are treated humanely when their competition careers are over. This covers proper veterinary care, competition injuries, euthanasia and retirement. 5. The FEI urges all involved with the sport to attain the highest levels of education in their areas of expertise.
