3 CHAMPIONSHIP CLASSES - RIDER ENTRIES 1. Riders are to enter event via Ktrials. 2. Rider entries close at 9pm Monday 28 th August. 3. Payment is to be made to your club once entries have been finalised. 4. Clubs will place you in a team after the close of entries. 5. Please include Helper Duty, Yard Booking and Declaration of Qualification with your entry. NON CHAMPIONSHIP CLASS - RIDER ENTRIES 1. Riders are to enter event via Ktrials 2. Rider entries close at 9pm Monday 28th August. 3. Payment is to be made to your club once entries have been finalised. 4. Please include Helper Duty and Yard Booking with your entry. INFORMATION FOR CLUBS 1. All clubs will be sent a summary of entries after close of entries and a Club Form Pack. 2. Club Form Pack will contain Rally qualification declaration for all Championship entries. Competency Declaration for all Non Championship entries. Team Selection Forms Payment Schedule 3. From the summary of entries, Clubs will need to: Verify that all rider/horse combination entering the Championship classes have completed 3 rallies Verify all riders entering the Championship classes are duly qualified as per 2017 criteria Put together club teams Select Team Managers Verify that all Non Championship entries are competent at the level entered 4. Club forms and payment are to be returned to by PCAWA by 5pm Monday 7 th September RIDER ENTRIES CLOSE: 9pm Monday 28 th August. 4 INFORMATION FOR TEAM MANAGERS The position of a Team Manager is classed as a helper duty. Team Managers will be expected to attend all Team Manager meetings/briefings. Team Managers are expected to remain with their Team for the duration of each phase gear check, warm up, competition. Team Managers are responsible for making all Team Members feel valued and important. Team Managers are responsible for making composite riders feel like a team. Team Managers to whom parent exemption does not apply MUST have a current Working with Children Check. Team Managers are expected to be conversant with the Role of a Team Manager outlined in the 2017 Gear Check Manual: INFORMATION FOR TEAM MANAGERS INFORMATION FOR HELPER DUTIES A helper needs to be provided for each horse/rider combination. Volunteer helpers over the age of 18 that will be having contact with children in the line of their duty and to whom parent exemption does not apply MUST have a current Working with Children Check. Helper Duties will be between 3-4 hours duration If your helper duty only takes an hour ie SJ Pack Away you will be given other duties to make up the time. If you have multiple riders, you may be given 1 longer duty instead of two 3-4 hour duties where possible. Your helper duty might clash with your child s riding time we apologise in advance but your Team Manager will be there to help your child. Gear Checkers will need to attend a Gear Check Briefing. If you can t make your Helper Duty it is your Club s responsibility to fill in for you. If you don t complete your Helper Duty your rider will be eliminated. If you scratch prior to the event and your position can t be filled, it is your Club s responsibility to complete your helper duty.

6 QUALIFYING FOR CHAMPIONSHIP CLASSES 1. The horse and rider combination must have attended at least three (3) Working Rallies, two of which MUST be with the Club they will be representing, in the twelve months prior to the close of entries. 2. Horse/Rider combinations must have achieved 2 qualifying results at the grade they wish to compete in the 12 months preceding the close of entries. 3. If a horse/rider combination incurs more than 75 penalties in the Dressage, this score will not be accepted as a qualifying round. 4. If a horse/rider combination incurs more than 65 penalties in the Cross Country OR more than 16 penalties in the Jumping phase, this score will not be accepted as a qualifying round. This is a total of both Jumping and time penalties for each phase. 5. Qualifying events are to be done at two separate events at different locations with one being outside their own club. 6. If a horse and rider combination has completed more than one course with a qualifying score at a Grade above that which they are entering in the preceding twelve months to the close of entries for the current Championships they are not eligible to compete in the lower grade. Please Note: If the grade that the horse/rider combination is qualified is not offered then, at the committee s discretion, a rider may ride down at Championships at and carry the 21 penalties. QUALIFYING FOR NON CHAMPIONSHIP CLASSES Horse/Rider combinations do not need to be qualified for non-championship classes, however they will need to be signed off by their Chief Coach as being competent at the level for which they are entered. SPECIAL RULES FOR STATE EVENTING CHAMPIONSHIPS 1. This event is to be run under the Current PCAWA Eventing Rules. 2. Eligible riders may compete on TWO different horses in two different grades, providing that both horses are duly qualified to compete. The SECOND nominated horse may NOT displace another rider who is entering their primary horse for that grade. 3. Each horse may only be ridden by one rider for the duration of the event. 4. Declaration of qualification and eligibility must signed by the chief coach and an executive member of the rider s club will be required with all entry nominations for State Eventing Championships. 5. Rider s ages are from the beginning of the calendar year in which they reach the required age for the grade nominated. Required ages for each class are PC1* - 14 yrs, PC yrs, PC95-12 yrs, PC80-11yrs, PC65 9 yrs. 6. For State Eventing Championships there must be at least two judges per dressage arena for PC 1* & PC Teams of four or three Riders will be drawn for the competition. The best three (3) scores will be counted to make the team total. 8. If entries are insufficient for a team competition in any grade then teams of two or three will be drawn. In this case the best two (2) scores will be counted. 9. Clubs are not permitted to replace a horse/rider in a Club team with a horse/rider from a composite team after the draw has been published.

7 TEAM COMPOSITION PC 80 CLUB TEAMS - for teams of three (3) or four (4) members and/or Associates from the one club. If a club has more than 4 riders entered, the number of members per team shall always form the majority. Pc 95/105/1* CLUB TEAMS - for teams of three (3) or four (4) members and/or associate members from the one club without restrictions on the number of associates competing. (If there are less than six (6) entries in any year teams of two (2) Riders will be considered) NOTE: A club is permitted to enter more than one (1) Club Team provided such Club has a minimum of seven (7) qualified horse and rider combinations. COMPOSITE TEAMS - for teams of three (3) or four (4) individual competitors comprising: Additional members and/or associate members from clubs with teams already entered in Club Teams. A maximum of two (2) members and/or associate members from clubs NOT entered in Club Teams. GENERAL INFORMATION RIDER ELIGIBILTY All riders entering any state competition must be current financial members of a pony club affiliated with Pony Club WA. All competitors should be aware of the rules of the sport in which they are competing. AGE OF RIDER For all state competition conducted by Pony Club WA the age of the rider is taken as at the first day of the year. CLOSING DATES Entries for all state competitions must be made by the closing date, which is advised on the entry forms and website. NO LATE ENTRIES WILL BE ACCEPTED. DECLARATIONS Entries for state competition will not be accepted without signed Attendance/Qualification Declaration where applicable. PAYMENT Payment for all state competitions must be made by the advertised date. WITHDRAWALS Rider withdrawals must be made in writing to the relevant Sport Committee.

8 REFUNDS Entry Fees are generally only refunded by Pony Club WA under the following conditions: Where an entry is not accepted by Pony Club WA due to the total number of entries received exceeding the maximum capacity of the event/venue refund in full minus an administration fee. Where a rider withdraws prior to close of entries refund in full minus an administration fee. Where a Doctor s Certificate or a Veterinary Certificate is provided refund in full, less administration fee. Where a team or pair is no longer eligible to participate due to a withdrawal as outlined above and a replacement cannot be found - refund in full, less administration fee. Requests for refunds must be forwarded to Pony Club WA Office on the prescribed form, together with the required Certificate (if applicable), within seven days following the competition. UNIFORM When competing as an individual in a state competition, pony club uniform is required to be worn. When competing as a part of a club team in a state competition, pony club uniform is required to be worn. A competitor whose safety helmet comes off his or her head whilst riding in any competition must, on penalty of elimination, replace it before continuing. All competitors must be in uniform during presentations at state events. COMPOSITE TEAMS Composite teams/pairs when permitted by the sport, are formed at random by the Sport Committee to allow no bias or favour unless otherwise stated in the Sport Specific Rules. SUBSTITUTIONS In the case of injury after the closing date of a state event, an application for substitution of a team member or horse must be made to the appropriate Sport Committee. The application must be made by submitting a Pony Club WA Substitution Form and such applications will be given full consideration. The decision of the Sport Committee is final. DRAW Where a Sport Committee is responsible for creating a competition draw; it is to be completed at random without bias or favour. A draw for a state competition must be approved by the relevant Sport Committee. Changes to a draw once published need to be approved by the relevant Sport Committee.

9 GEAR CHECKING All dress and saddlery must comply with the current PONY CLUB WA Gear Checking Manual and any subsequent amendments see the PCAWA website - Gear Checking. Riders must be accompanied by the Team Manager for Gear Checking prior to the start of the competition. Gear Checking is carried out prior to each phase of a competition. SCORES Competition scores and results will be posted as soon as possible after the completion of the relevant class/phase and any relevant test sheets/score sheets made available. Score sheets must be signed by with time of posting prior to posting. STATE COMPETITION COMPLAINTS Competition complaints are queries and complaints that arise from Pony Club WA competitions. This includes, but is not limited to: a) incorrect results; b) missing scores; c) rules of competition; d) eligibility of horse or rider; e) irregularities or incidents during a competition; f) conduct of officials; and g) conduct of participants. Competition complaints that concern processes, rather than the outcome or result of a competition, are dealt with by the relevant Sports Committee in the first instance. If the complaint cannot be resolved by the Sports Committee, a formal complaint may be lodged as per the Complaints Policy. Competition complaints that concern results are dealt with in the first instance as an enquiry by the Technical Delegate. If the complainant is not satisfied with the senior technical expert s decision, he or she can protest the decision to the Appeal Committee. Only the following persons are entitled make an enquiry with the Technical Delegate.Team Manager for Team events. Parent or guardian for individual events if the rider is under the age of 18. Rider for individual events if the rider is over the age of 18. PROTESTS A decision by the Technical Delegate is a prerequisite in order to lodge a protest. Only the following persons are entitled to lodge a protest: Team Manager for team events. Parent or guardian for individual events if the rider is under the age of 18. Rider for individual events if the rider is over the age of 18. A protest, or the intent to protest, must be lodged with the Event Secretary or senior technical expert no later than 30 minutes after the scores and results have been posted.

10 Protests must be in writing, signed by the person making the protest and presented personally with any supporting evidence, names of witnesses and the necessary deposit of $50. The $50 fee will be refunded if the protest is upheld. APPEAL COMMITTEE The Appeal Committee is responsible for: Dealing with appeals against decisions of the senior technical expert. Dealing with cases of infringements of any rules for which the senior technical expert is not responsible. Inviting any person deemed necessary to help them reach a decision. The decision of the Appeal Committee will be final. If the senior technical expert s decision is overturned by the Appeal Committee, the protest fee will be refunded to the applicant. OVERDUE ACCOUNTS Any Member Club or Individual Member who has an outstanding account, over 60 days with Pony Club WA will not be permitted to participate in State competition until such time payment has been received in full. SWABBING As from 1 January 2000, Pony Club WA has adopted a policy of random swabbing. Swabbing may be carried out at any or all the annual Championship events in any or all disciplines. SMOKING AND ALCOHOL All Pony Club events are smoke-free and alcohol-free. Smoking or the consumption of alcohol will not be permitted while riders are wearing zone or pony club uniform. The penalty may be disqualification of the individual or the team. DOGS AT PONY CLUB WA EVENTS As of 2011, NO DOGS will be permitted at any Pony Club WA state competition or preliminary event. If dogs are found to be at these events, the rider to whom the dog belongs or is associated will be disqualified. USE OF PORTABLE YARDS AT EVENTS Stabling and yards should be of solid construction. The use of electrified tape, strings, ropes or chains, is not permitted at Pony Club Events..

11 TROPHIES AND AWARDS Grade PC 1* SANS PEUR TROPHY Donated by Mrs Helen Clements This trophy is presented to the rider in Grade PC 1* who obtains the lowest number of penalty points over the three phases. NEVILLE WESTLUND TROPHY Donated by Hills Zone This trophy is presented to the rider in Grade PC 1* who obtains the lowest number of penalty points over the Cross Country and Jumping phases. GRADE PC105 LILA MALLOCH TROPHY Donated by the late Miss Malloch This trophy is presented to the PC105 Team with the lowest number of penalty points with any three riders over the three phases. DR STEVENSON TROPHY Donated by Dr Stevenson This trophy is presented to the Grade PC105 Team, which obtains the lowest number of penalty points with any three riders over the Cross Country and Jumping phases. If there is a tie the fourth score will count. TEAMS DRESSAGE TROPHY Donated by the Australian Quarter Horse Association This trophy is presented to the Grade PC105 Team, which obtains the lowest number of penalty points with any three riders in the Dressage phase. The score of an eliminated rider will not count. Grade PC95 LINDISFARNE TROPHY Donated by Mrs Jean Lishman This trophy will be presented to the Grade PC95 Team with the lowest number of penalty points with any three riders over the three phases. WEST COASTAL ZONE TROPHY Donated by the West Coastal Zone This trophy is presented to the Grade PC95 Team, which obtains the lowest number of penalty points with any three riders over the Cross Country and Jumping phases. If there is a tie the fourth score will count.

12 TEAMS DRESSAGE TROPHY Donated by Margaret River Pony Club This Trophy is presented to the Grade PC95 Team which obtains the lowest number of penalty points in the Dressage phase with any three riders. The score of an eliminated rider will not count. Grade PC80 SOUTH WEST ZONE TROPHY Donated by the South West Zone This trophy will be presented to the Grade PC80 Team with the lowest number of penalty points with any three riders over the three phases. HILLS ZONE TROPHY Donated by Hills Zone This trophy will be presented to the Grade PC80 Team, which obtains the lowest number of penalty points with any three riders over the Cross Country and Jumping phases. If there is a tie the fourth score will count. HILLS ZONE DRESSAGE TROPHY Donated by Hills Zone This Trophy is presented to the Grade PC80 Team, which obtains the lowest number of penalty points in the Dressage phase with any three riders. The score of an eliminated rider will not count. Individual Champions There will be an award for the rider with the lowest penalties in each grade. This rider will be named as the Grade Champion. In the case of equal penalties, the rider will be placed by XC optimum time. Non Championship PC80 Ribbons to sixth place and prizes depending on sponsorship. Non Championship PC65 Ribbons to sixth place and prizes depending on sponsorship Off The Track Winner will receive an OTT embroidered rug and rosette Prizes and ribbon for 2 nd & 3 rd place. One set of prizes is reserved for Thoroughbreds and one set for Standardbreds. Please make sure you enter your horses registered ASB TB or SB name when entering this class to be in the running for the prizes!
