5 HOW TO ENTER Please ensure that you have read this schedule thoroughly including the Rules and Regulations, Conditions of Entry, Closing Dates and Definitions. Carefully select the classes in which you would like to enter. Please contact Administration if you are unsure of definitions. ONLINE ENTRIES: Entering via online at or and follow the link. It is secure, cheaper, quicker and easier. Entries placed online will not attract the $10 administration fee Entering online is quicker offering instant confirmation COMPLETE THE ENTRY FORM Each Exhibitor must have their own entry form. Complete the entry form in full remembering to include a contact name and phone number in case there is an issue with your entry. Entry forms must be signed by the Exhibitor. Horses must be entered in the name of the owner/s shown on the Registration Certificate. Copies of Breed Registration Certificates and current Membership cards MUST be included with entries when entering breed classes. INCORRECT ENTRY FORMS WILL BE RETURNED AND A $10 ADMINISTRATION FEE WILL BE CHARGED. Incorrect entries will not be accepted nor processed until the Administration Fee is paid and the outstanding information has been provided. Pending registrations and memberships will not be accepted. STABLING Stabling is allocated based on distance from the Geelong Showgrounds. Stabling requests must be completed and paid for at the time of entry. Unfortunately there are no guarantees that a stable will be available on your chosen day(s). Unallocated stable fees will be refunded after the conclusion of the Show. ENTRY FEES You must include payment for your entries in full (plus $6 Swabbing levy) at the time of entry. Note: Donkey exhibitors are not required to pay the Swabbing levy. PLEASE PAY CLOSE ATTENTION TO THE ENTRY FEES LISTED FOR EACH SECTION AS THEY CAN VARY. DON T FORGET TO INCLUDE ANY ADDITIONAL REQUESTS (I.E. STABLING, MEMBERSHIP) ON YOUR ENTRY FORM. PASSES Individual entries that exceed $50 will receive 1 complimentary day pass. All Exhibitors will receive a Stock Vehicle Pass to enter the Showgrounds which allows the driver to enter free of charge. ENTRY CONFIRMATION & PASSES Entry confirmation and passes will be mailed to you approximately two (2) weeks prior to the Royal Geelong Show. CLOSING DATE ENTRIES STRICTLY CLOSE ON FRIDAY 28 AUGUST 2015 AT 5PM. LATE ENTRIES WILL NOT BE ACCEPTED UNDER ANY CIRCUMSTANCES. The Royal Geelong Show Horse Committee is proud to announce that the 2015 Royal Geelong Show is a qualifier for the 2016 GRAND NATIONAL SHOW HORSE CHAMPIONSHIPS The Grand National will be held in March/April 2016 at the Sydney International Equestrian Centre, Horsley Park NSW. All classes that are Grand National Qualifying Classes have been clearly identified throughout the program Successful Exhibits will be sent invitations to compete at this prestigious event. Eligible Champions must be registered with the National Saddle Horse Register and be a current member of the Show Horse Council prior to competing at the 2016 Grand National Show Horse Championships Page 3.

6 GENERAL REGULATIONS 1. All Exhibits must be the bona-fide property of the Exhibitor at the close of entries. 2. All entries must be lodged on the Official Entry Form on or before the nominated closing date. 3. No Exhibit will be admitted onto the Showgrounds, unless Exhibitor Pass is presented at the gate. 4. Exhibitors will be required to place Exhibits as directed by the Stewards or the EO. 5. No Exhibitor will be allowed in the section of the building/yard (except by permission of RGAPS) in which the Exhibit is placed during adjudication; and it shall be the duty of Stewards to prevent any person interfering with the Judge, and if necessary, order the removal of such offenders. 6. No person, except Members and Non-Members, on payment of admission and those actually in charge of stock, implements or machinery, and for whom an authority must be obtained from the EO, will be permitted to remain in the yard during the judging, under any pretence whatsoever. The persons in charge must on no account leave their respective lots, or address the Judge, unless authorised by the Stewards. 7. Person(s) in charge of stock will be admitted free of charge on presentation at the gate of an Exhibitor(s) Pass, and they shall be subject to the order of the Stewards. 8. The Judge may award a Second prize instead of a First, or may withhold a prize altogether when he/she think there is not sufficient merit. Where only two Exhibits are entered prizes may be awarded if they think proper, to both Exhibits, provided such Exhibits are not the property of the same individual, unless otherwise specified. 9. Where Special prizes are offered in a Class, the First prize offered by RGAPS will be withdrawn unless otherwise specified. 10. If, in the opinion of the Judge, any exhibition of livestock is unsound, either temporary or otherwise, the opinion of the Honorary Veterinary Surgeon of RGAPS may be obtained before the prize is awarded. 11. The decision of the Judge as to the merits of Exhibits shall be final and without appeal. 12. Protests against awards based on non-compliance with the conditions of the Prize Schedule or the Regulations will be taken into consideration by RGAPS, if lodged with the EO by 3.00 pm on the day of competition, or for Classes where a prize is not awarded on the first morning of Show, one hour after the Judge has made his award, together with $50 as a guarantee of the bona-fide of the protest. The money will be returned if the protest is found by RGAPS to be final and without appeal, excluding the dog section, which is affiliated with and controlled by the Rules of Dogs Victoria. 13. Exhibitors must give such information with regard to their Exhibits as RGAPS may require and submit Statutory Declarations with such information, and produce evidence if called upon by RGAPS. In case of non-compliance, the Exhibit may be disqualified and the prize withheld. RGAPS also has the right to refuse any entry and also refuse any Exhibit entered, the right to compete without giving any reason for same, provided the entrance money is returned. 14. RGAPS will not be responsible for Exhibits, but every reasonable care will be taken of the same. 15. No Exhibitor shall interfere with the Exhibits in ANY WAY whatsoever during the time the Exhibition is open. Anyone interfering without the permission of the Stewards may be expelled from the Showgrounds. 16. No animals, implements etc. except those entered, will be allowed on the Showgrounds. 17. All vehicles bringing Exhibits to the yards must be removed from the yards after discharging their loads, or placed where directed by the Stewards of the Section. 18. No person shall have proprietorship for the time being in the pens that have been allotted to the stock entered by such person, and no one will be permitted to put any placard or advertisement on the ground without the consent of the Stewards. 19. Exhibitors must state as accurately as possible, at time of entry, the date of birth of all stock in classes where age is specified, and in all sheep classes, the time of last shearing. 20. Implements, machinery and commercial exhibits, livestock and general exhibits must be in their designated areas within the Showgrounds by 8.00am on the day of Show. 21. Any infringement of these Regulations may disqualify the Exhibitor from taking a prize. Any dispute as to the construction of these Regulations or the interpretation of the Prize Schedule shall be determined by RGAPS, whose decision is final and without appeal. 22. Dogs must be registered under the Regulations adopted by Dogs Victoria. 23. Water will be provided for stock exhibited, but Exhibitors must provide their own fodder. Page 4.

7 24. RGAPS will not be held responsible in cases where wrong Class tickets have been given to Exhibitors after judging has commenced. It is the responsibility of the Exhibitor to check section tickets with the Prize Schedule prior to the Show. 25. If, in the opinion of the Stewards, the conduct of any Exhibitor or any other person shall be such as to demand such a course, they shall have the power to forfeit any or all prizes such Exhibitors may have won, and may further cause such person or Exhibitor and Exhibit to be removed from the Showgrounds. 26. Beverages/Food brought onto the Showgrounds in glass containers is strictly forbidden. 27. If due to unforeseen circumstances sponsorship is not forthcoming for any sponsored class, the prizemoney/prize may not be provided by RGAPS. 28. ENTRY FEES, PRIZEMONEY & OTHER CHARGES All entry fees as specified in Schedule must be paid at time of entry. Prizemoney is GST inclusive. If you are registered for GST, the onus is on the Exhibitor to remit GST to the ATO and provide RGAPS with a Tax Invoice. Any prize (trophy, voucher, etc.) awarded by RGAPS at any of their competitions and left unclaimed for a period of six months, will be forfeited and cancelled by the RGAPS Management Council. Any prizemoney cheques not presented within fifteen (15) months from the date of the Show will be cancelled by the RGAPS Management Council. 29. REFUND OF ENTRY FEES Entry fees for various categories are listed within Section Regulations. RGAPS will NOT refund monies overpaid by $10 or less. 30. ACCESS After Hours Access to/from Geelong Showgrounds after 9.00pm on each day of the Show: Pedestrian access is available for personnel exiting the Geelong Showgrounds from all gates between the hours of 9.00pm and 11.00pm. Vehicle access will be available to exit the Showgrounds, from Gate 6 between the hours of 9.00pm and 11.00pm, and thereafter, only from Gate 2 (Breakwater Road). No vehicle is permitted entry after 9.00am, except where appropriate vehicle passes have been provided and attached to the windscreen of the vehicle, otherwise entry will be refused. Gate instructions must be strictly adhered to. Security and Show Gate personnel have the right to enforce all Regulations in regard to gate access to the Geelong Showgrounds. 31. CONDUCT ON THE GEELONG SHOWGROUNDS Security and Show personnel have the right to enforce all Regulations and control in regard to people s behaviour and remove those persons as determined. Alcohol is not permitted to be brought into the Geelong Showgrounds. 32. PASSES FOR ATTENDANTS As many attendants as RGAPS may deem necessary will be allowed into the yards free to take charge of Exhibits, and passes will be issued on application to the EO. Passes are to be presented and officially marked at entrance gates. 33. INSURANCE Primary Producers who show their animals are required to have Public Liability Insurance ROYAL GEELONG SHOW JUDGES A LIST OF HORSE JUDGES WILL BE RELEASED ON THE ROYAL GEELONG SHOW WEBSITE FROM THE 1ST JULY Go to for more information. 8 IMPORTANT NOTE The Royal Geelong Agricultural & Pastoral Society Inc will not be held liable for any injuries that may be suffered by a person or persons taking part in functions on behalf of an Exhibitor. In the event of an incident, RGAPS will appoint attendant/s to take charge and control of all his/her entries. It is the owner s responsibility to provide security to ensure their animals are kept safe and secure for the duration of their time on the Geelong Showgrounds SAFETY REGULATIONS FOR EXHIBITORS DUTY OF CARE: All Exhibitors have a Duty of Care to avoid exposing themselves or other people to situations that could lead to injury. This Duty of Care extends to the prevention of damage to property. DIRECTION OF ROYAL GEELONG AGRICULTURAL & PASTORAL SOCIETY INC (RGAPS) Exhibitors must comply with any reasonable request of RGAPS representatives. EMERGENCY INFORMATION: Emergency information and maps showing Emergency Assembly Points are located in the various animal pavilions and buildings. Exhibitors should be familiar with these plans. FIRST AID: Colbrow First Aid Services will provide the First Aid services at the Royal Geelong Show, located near the Administration building. EMERGENCY FACILITIES: Fire fighting and other Emergency Equipment must not be removed or used for any other purpose. Missing or unserviceable equipment should be reported to Section/Pavilion Supervisor or Administration immediately. HAZARD & INCIDENT REPORTING: Exhibitors must notify the Section/Pavilion Supervisor or Administration immediately of any hazards detected or incidents. Hazards or incidents are any situation that could result or has resulted in: (a) the injury, illness or death of any person or animal. (b) the damage, destruction or loss of property. WASTE DISPOSAL: All waste, including liquids, must be disposed of responsibly. Storm drains must not be used for the disposal of waste. HOUSEKEEPING: All areas must be kept clean and tidy with clearly defined and available access and exit routes at all times. Build up of combustible waste must be avoided at all times. SLIPS, TRIPS & FALLS: Care must be taken to minimize trip hazards and obstacles that people may walk into. Avoid laying unprotected cables or pipes on or above paths, walkways or roads. MEDIA COMMENTS: Media comment about matters involving RGAPS or the Showgrounds is co-ordinated by the EO. SMOKING: Smoking is not permitted inside buildings, within 10m of a building entrance, around combustibles, during public performances or while handling hazardous materials. ALCOHOL: Alcohol is not permitted to be brought onto the Geelong Showgrounds ELECTRICAL EQUIPMENT Exhibitors should supply their own Safety Switch (RCD) for installation at each power outlet they use. Extension cords must be earthed and all electrical appliances must be earthed or double insulated. Appliances must be in a sound working order. The use of double adapters is strictly prohibited. Power boards must be fitted with current overload protection. Radiant electric or gas heaters are prohibited. Light sockets must not be used for any other purpose than for lighting. No naked flames are permitted. All Exhibitor electrical items, including leads, must have a current safety compliance tag.

9 GENERAL RULES HORSE RULES & REGULATIONS 1. Should any conflicting rules arise between the Royal Geelong Agricultural and Pastoral Society Inc (RGAPS) and any other affiliated body, then the rules of this Society will be overriding. 2. All horses are to be handled only by competent handlers. 3. Competitors must obey Marshalling and Stewarding directions otherwise they will be subject to disciplinary action by RGAPS. 4 Competitor s age shall be taken as at the first day of the show. Proof of date of birth may be requested for age restricted classes. 5. The Horse s age is to be taken from 1st August. 6. In these rules, the word Horse shall be deemed to describe any equine type or breed including Ponies, Horses, Donkeys etc. 7. All perpetual trophies will remain in the RGAPS Administration Office. 8. Participants are excluded from claiming against RGAPS in the event of an incident. 9. Exhibitors understand that due to diseases such as equine influenza, government bodies may restrict the movement of horses, vehicles and personnel for a period of time ( standstill ). Exhibitors acknowledge and agree that a standstill is a risk of participation in the event or activity and agree that any costs or expenses incurred by the organising committee for or on behalf of Exhibitor s animals as a result of a standstill will be borne by the Exhibitor. LUNGING 10. Lunging will be permitted until 7.30am daily in the Main Arena, and from 11am 2:30pm only in the Sand Arena 11. Horses must be bitted and lunge lead attached to the bit. SAFETY HELMETS 12 Every mounted Rider and Steward within the Geelong Showgrounds must wear a riding helmet that accords with the current Australian Standard. The restraining strap on the riding helmet must be fastened at all times. Riders without appropriate riding helmets shall be ineligible to compete until rectified. ENTRIES 13. No horse is to be nominated by more than one party and must be entered in the name of the owner on the Registration Certificate. 14. RGAPS reserves the right to cancel any event if sufficient entries are not received. 15. Horses must be entered in one height class only. 16. Height Certificates: Exhibits that hold a current RASV or Show Horse Council Height Certificate must present to the Superintendent s office for height verification. Height verified Exhibits will receive a height stamp on their neck number and will be checked by Stewards in the ring. Where a neck number is not height stamped and a current height certificate cannot be produced the Exhibit will be disqualified. 17. Child riders / handlers must enter in their own age class only. They must be no younger than 5 years old on the first day of the Show. A birth certificate must be provided for all children in these classes. 18. Exhibitors must provide registered names of horses and riders on entry form except where stated. 19. It must also be stated in the appropriate section of the Official Entry form, the gender and height of all horse exhibits. 20. Entries must be lodged on the Official Entry form and accompanied by the correct payment for those entry fees by 5.00pm Friday 28 th August LATE ENTRIES WILL NOT BE ACCEPTED UNDER ANY CIRCUMSTANCES 22. Incorrect entries will incur a $10 Administration fee payable prior to entries being accepted and processed. This includes but is not limited to, a failure to produce registration papers and incorrect or declined payments. Incorrect entries not finalised by 5pm on 18 September 2015 will be rejected. REFUND OF ENTRY FEES 23. On production of Veterinary or Medical certificates 75% of entry money will be refunded should a horse or rider be certified unfit to compete in any event. SUBSTITUTIONS ARE NOT PERMITTED UNDER ANY CIRCUMSTANCES.

10 24. Scratching s and Veterinary certificates not received within 30 days of the conclusion of the Royal Geelong Show will forfeit any eligible refund. APPEALS 25. Exhibitor appeals will only be considered regarding an Exhibitor s eligibility to compete and will not be accepted for an Exhibit s condition. TRANSFER OF PENALTIES 26. The Society reserves the right to refuse entries from Exhibitors who are under suspension by another Society, organisation, body or breed association within Australia. 27. The Society may recognise, act upon and enforce any penalty imposed upon any Exhibitor or Exhibit at any time by any other Society, organisation, body or breed association within Australia. DISTRICT & NOVICE EVENTS 28. Novice is defined as an Exhibit that has not won a first prize competing singly at any Australian Royal Show at the time of judging. 29. All District events are confined to Exhibitors residing within a 60km radius of the Geelong Post Office. 30. In all District events, the horse must also reside within the 60km radius area for at least 3 months prior to the first day of the Show. HORSE MEASUREMENTS 31. Only height certificates issued by the RASV or Show Horse Council are duly recognised by RGAPS. All horses must be exhibited in accordance with a current Height Certificate issued by these organizations. Please note RGAPS does not accept height certificates from Equestrian Victoria. 32. Horses without a current RASV or Show Horse Council Height certificate will be required to be measured by an RGAPS appointed Measurer. 33. Horses to be measured must be in a bridle, un-rugged and unsaddled. 34. Measuring will be available at the following times: Wednesday 14 October 4.00pm pm Thursday 15 October 9.30am am Friday 16 October 6.30am am Saturday 17 October 6.30am am DISCIPLINARY ACTION 35. Excessive use of spurs or whips by an Exhibitor will result in disqualification. 36. Exhibitors failing to comply with instructions or regulations of RGAPS will be disciplined as provided for in RGAPS General Regulations. STALLIONS AND COLTS 37. All Stallions and Colts are to be handled or ridden by persons 18 years and over. 38. All Stallions and Colts over 1 year must be bitted. 39. Stallions and Colts are only eligible to compete in Classes specified with exception of Showjumping, and Donkeys. STABLING AND YARDING 40. Stables will generally be allocated on preference to Stallions, Broodmares, and distance to Showgrounds. There is no guarantee you will be allocated a stable. 41. There shall be no stable used or reserved for horses not competing in events. 42. Horses must not be removed from stables or yards without the permission of Stewards or the Owners. 43. Stable refunds under $10 will not be issued. Refunds will be issued after the conclusion of the Royal Geelong Show. 44. Stables will be allocated, where applicable, at a fee of $15 per Full day (24hrs) and $10 per Half day (Evening or Day). Stable fees must be included with entries, and allocations will be advised prior to the Royal Geelong Show. 45. Allocated stabling times are: Day am to 5.00pm, Evening pm to 7.00am and 24 hours am to 7.00am. 46. Fodder and bedding is the responsibility of the Exhibitor, with STRAW being the only bedding material permitted. A $20 penalty fee will apply if shavings are used and not thoroughly cleaned out and removed from the Showgrounds. 47. All horses must vacate the stables by the allotted times and stables are to be left in a clean and tidy condition. 48. Stables must be properly cleaned out and vacated before 7.00am and 5.00pm. 49. Exhibitors must keep their allotted stables in a clean and proper condition throughout the Show, to the satisfaction of the Horse Stewards. 50. Stables are allocated to an Exhibit and not the Exhibitor. If the Exhibit allocated the stable is not in attendance or not

11 going to attend, then the stable is forfeited and the Exhibitor must notify Administration so stables can be reallocated. 51. No alterations may be made to stables without permission of the Horse Superintendent. 52. Exhibitors must apply on the Official Entry Form to erect small, suitable, temporary yards. Yard sizes are restricted to 4m x 4m. 53. Temporary yarding may only be erected in designated areas of the Horse Exhibitor s Parking Area and must be taken down during the day. 54. ARENA ACCESS & HORSE MOVEMENT 59. All Exhibitors may only access the Arena through the permitted entry of the Eastern Laneway, Gate 1 Showjumping Yards Gate, Southern End Laneway Gate 2 (refer to map page 25). 60. Horses MUST only move at a walk on any part of the Showgrounds except when on the Arena or in the exercise yard. 61. All horses must tie up and behave in an educated manner. Horses or riders behaving in a manner that could be dangerous to the public will be asked to leave the Showgrounds. 62. Horses not entered in an event or being used for riding competitions will be removed from the Showgrounds. VEHICLE MOVEMENTS 63. Livestock vehicles will be refused entry onto the Showgrounds unless they have a Stock Vehicle Pass attached to the windscreen. 64. Livestock vehicles upon entry to Showgrounds will be directed to parking areas by Horse Parking Stewards. 65. Exhibitors wishing to arrive at the Showgrounds prior to the first day of the Show, must seek permission from Administration prior and only park where directed. 66. Any disobedience towards Horse Parking Stewards will result in disqualification of entry or entries. CAMPING ACCOMMODATION 67. Camping may be restricted to Exhibitors residing outside the district radius (60km). 68. No tents are permitted. HORSE SWABBING 69. Random swabbing of horses will take place under Equestrian Australia Anti-Doping Regulations as per Equestrian Australia National Medication Control rules. A $6 swabbing levy will be payable per Exhibitor (excluding Donkeys). DOGS 70. Dogs are not permitted on the Arena at any time. 71. Competitor s dogs must be restrained in the competitor s truck/float at all times. OPEN SHOW HUNTER CLASS GUIDELINES 72. Exhibits competing as Show Hunters in either Led or Ridden Classes may not compete in Open Led or Ridden Saddle Classes and Open Saddle Exhibits may not compete in Show Hunter Led or Ridden Classes. 73. Type Show Hunters should have more substance than the riding pony type, but still maintain quality. 74. Turnout Show Hunter Turnout is more subdued than that of Open Saddle Classes. There should be no coloured browbands. There should be no multi-coloured hair ribbons or flowers on child riders. Junior riders should not wear top boots. 75. Paces Show Hunters are NOT expected to jump but are expected to move freely at all paces. Show Hunters may be expected to, at any time, gallop for the Judge. 12 SOCIAL MEDIA POLICY Introduction Social media gives individuals, groups, organisations the opportunity to instantly share information with online communities. Blogs, forums, social networking and video sharing sites are the most popular types of social media sites, however, any forum which allows a user to upload and share information is considered part of the social media space. It is also important to note that information that is shared need not be written; it could take the form of an image or audio visual material. Purpose This policy has been developed to provide guidelines for the appropriate use of social media in professional and personal capacities including employees, Executive Committee and Sub Committee members, officials, RGAPS representatives and members and volunteers associated with RGAPS when, as part of a person s social media activity, there is a connection to RGAPS including references to RGAPS through a person s profile. It is important that RGAPS s reputation is not tarnished by anyone using social media tools inappropriately, particularly in relation to any content that might reference RGAPS. Those who work and are associated with RGAPS including all staff and committee members, volunteers, helpers need to understand that comments made or photographs, videos or images posted using social media or online platforms are as public as if these comments were made directly to the media or in a public forum. Official social media platforms are considered advertising in the eyes of the law. Consumers may rely on the information delivered on official RGAPS pages. Therefore, posts or comments made on behalf of the RGAPS by somebody with the authority to do so must comply with advertising codes regarding misleading, deceptive and defamatory conduct and regulations regarding discriminatory and offensive content. Users of RGAPS social media med iu m s should ensure they monitor and moderate our social media platforms to ensure that third party comments which could offend or breach other legal obligations are not uploaded. Scope of Social Media: It is essential that everyone understands that the messages or images they send via social media are as public as if they were communicating in a public forum or via other media. The fact that such messages or images can be easily downloaded and distributed to others and can never be fully erased should encourage all to think very carefully about their use What is Social Media? Definition: Social Media comprise relatively inexpensive and accessible tools that enable anyone to publish, interact or access information via the World Wide Web. Social Media may include (but are not limited to): social networking sites (eg Facebook, Myspace, LinkedIn, Bebo, Google +) video and photo sharing websites (eg Flickr, Youtube) blogs, including corporate blogs and personal blogs blogs hosted by media outlets micro-blogging (eg Twitter) wikis and online collaborations (eg Wikipedia) forums, discussion boards and groups (eg Google groups, Yahoo groups, Whirlpool) vod and podcasting ) instant messaging (including SMS and MMS) geo-spatial tagging (Foursquare) If you notice inappropriate or unlawful content online relating to the area, or content that may otherwise have been published in breach of this procedure, you should report the circumstances to the EO or RGAPS Executives. Offensive or Obscene Material: Online material may be deemed offensive or obscene (and may infringe relevant online classification laws) if it is pornographic, sexually suggestive, harassing, hateful, racist, sexist, abusive or discriminatory. If such material is posted online, the matter may be referred to the police. Compliance: Anyone associated with RGAPS including Entrant/Competitor who fails to comply with this policy will face consequences. This disciplinary action may involve Cancellation of entries a verbal or written warning or, in serious cases, termination or engagement at the RGAPS w h ich may recover from you any costs incurred as a result of a breach of this procedure. If you break the law, you may be personally liable.
