4 EXHIBITOR INFORMATION SEND WITH YOUR ENTRIES 1. PAYMENT IN FULL Make checks/money orders payable to each show as per entry form. Entries received with checks for partial payment, post dated checks or open checks or no payment will be treated as late entries and subject to late/post fees as outlined. 2. The complete and correct name and address of the registered owner must appear in the space entitled Owner Information. One owner can appear on each entry form. (Owner is defined as the recorded owner as listed on the registration papers) Entries may be made in the name of a stable or farm only if (a) the stable or farm is a bona fide owner appearing on the horses papers, or (b) the stable or farm has been registered with USEF and the number shown on the USEF certificate is noted in the space provided and certificate must be sent with the entries. Please refer to #4 below and AHA Membership section. 3. SIGNATURES ALL SIGNATURES MUST BE ADULT (18 or older). The Owner, Trainer, and Rider signature lines must be signed. If there is no trainer the owner must sign the trainer line. In addition Coaches (if applicable) must sign the entry blank. Parent signing for junior and need not be a USEF (USAE) or AHA member, however they must write Parent next to their name. If applicable, the Minor exhibitor Consent to Show section must be filled in and signed. 4. PHOTO COPIES OF ALL REGISTRATION PAPERS (BOTH SIDES) or front side if it shows the pedigree), showing the registration number and ownership information. If the name shown on the registration papers is different from the person entering the horse, an affidavit, a copy of the sales contract or authorization form is required. In the case of a pending transfer / lease please refer to AHA Handbook article Photocopies of signed transfer are not proof of ownership. In owners classes Contracts of Sale or Bill of Sale will not be acceptable as proof of ownership. 5. AHA Competition Membership Cards for every Owner, Trainer, Rider, river and Handler. If a stable of farm name is used as owner, the stable or farm must have an AHA Farm/Ranch/Business membership and that Farm/Ranch membership number or pay the Single Event Membership. The business membership numbers is used as the Owner AHA number. A copy of the Farm/Ranch/Business membership card must be sent with the entries. 6. USEF Membership Cards for every Owner, Trainer, Rider, Driver, Handler and Coach (if applicable) Proof of membership must accompany your entry or the non member fee must be paid or you can join at the show. USEF Amateur Cards for all riding in Amateur classes. This includes Junior Exhibitors who have reached their 18th birthday as of Dec 1, WDAA Membership: In order to compete in any Western Dressage class at a Federation licensed competition, as an exhibitor, rider, trainer, or his/her agent(s), a person must be an Active member of the Western Dressage Association of America or pay a nonmember fee to the Western Dressage Association of America. Exception: Local competitions, competitions restricted to a particular breed and exceptions listed in GR Copy of current negative Coggins test and proof of rabies if required may either be sent with the entry or brought to the show with you. If membership cards and registration papers are not sent with the entry, they will be considered incomplete and a fee will be assessed. STABLING AND ARRIVAL INFORMATION NO SMOKING IS PERMITTED IN BARNS NO PARKING IN BARN AREAS NO BARBECUES NEAR BARNS IN STATE HORSES 1. Proof of Current Negative Coggins Test within 2 years of date of show HEALTH CERTIFICATES OUT OF STATE HORSES 1. Health Certificates within 30 days 2. Proof of Current Negative Coggins Test dated within 1 year of date of show BRING WITH YOU INTERSTATE HEALTH CERTIFICATES State law requires a health certificate for horses Traveling between state lines. Certificates must be on the approved state form and must list the origin and destination of the transported horse(s). The HC must show a temp recording, and show that the equine(s) are negative to a USDA approved test for Equine Infectious Anemia (Coggins) and identify the lab performing the EIA test, the accession number and the result of the test and the date the sample was drawn. HC are good for 30 days from date of issue. BOX SEATS are available for the duration of the show for $ Reservations may be made on the entry form CAMPERS & TRAILERS MUST be in designated areas only. HUDSON VALLEY Camper sticker must be easily visible. COLISEUM will be reserved on Thursday between 7 7:30 for Junior exhibitors 13 and under, this would include walk trotters. DOGS USEF GR Dogs are not permitted to be loose on competition grounds and must be on a leash or otherwise contained. Individuals must not lead dogs on a leash while mounted. Dog owners are solely responsible for any damages, claims, losses or actions resulting from their dogs behaviors. Dog owners failing to comply with this rule may be subject to penalty as well as issuance of warning cards. DRIVING HORSES For safety purposes and to prevent accidents, driving horses will not be allowed into the holding ring until the class preceding theirs has entered the Coliseum/Show Ring. No other horses will be allowed in the holding area at this time. PARTY AND ALCOHOL REGULATIONS. Any exhibitor hosting a function at the show must first get the approval from the show management. All alcohol must be purchased from Colly s Corner (Eddie Shore Enterprises, Inc., the official food and beverage vendor for the Show) and bartender service must be provided to prevent minors from being served alcohol. REFUNDS VET or DR Full refund, less office fee before closing date. After closing date Vet or Doctors certificate must be in the Show Secretary s hands before THE CLOSE of the show. Stalls fees, Office fees and 9-90 fees are NOT refundable. NO REFUNDS ONCE CLASSES COMMENCE. In the case where a horse has been entered and not shown all fees will be forfeited. Page 4 Page 5

5 SHOWING OUT OF TRAILER Showing horses from the trailer and/or van is permitted. A fee of $35.00 will be charged per day per horse. No horses will be allowed to remain in the trailer or van overnight. OFFICE HOURS The show office will open on Thursday, and each show day 1/2 hr before classes start and close at 10 pm each evening except Sunday it will remain open until 1/2 hr after the last class. SCRATCHES The office or in-gate must be notified if a horse does not intend to show in a class and a class scratch form must be filled out at the show office. Please, this is a courtesy to other exhibitors. Failure to do so will result in a fine SHOW ACCOUNTS An open account may be started at the show for post entries only if a signed, blank check payable to Hudson Valley is left on file at the office. If a posted class is charged to the exhibitors account, and is later scratched, the exhibitor is still responsible for payment of that class. Even exchanges (with the exception of dressage and sport horse in hand classes) for posts and scratches will be allowed, provided they are done at the same time and is the same owner or payee. ENTRIES received without registration papers and or membership cards will be charges a fee of per entry blank for incomplete entries. STABLING AND ARRIVAL INFORMATION Stall reservations forms must be filled out & returned. Box stalls have permanent doors. PLEASE FILL OUT THE STABLE REQUEST FORM AND RETURN IT WITH YOUR ENTRIES. ONLY ONE FORM IS REQUIRED PER GROUP WISHING TO BE STABLED TOGETHER Stalls will be available starting Wednesday May 11 after 9am. Stalls must be vacated by noon Monday May 15 noon ASSIGNMENTS OF STALLS WILL BE DONE ON A FIRST POSTMARKED BASIS BUT IS ALSO THE PREROGATIVE OF SHOW MANAGEMENT - Patrons are given first priority by post mark -stall/aisle location of their choice - There are 620 permanent box stalls with permanent doors. NO INITIAL BEDDING IS PROVIDED PLEASE BRING YOUR OWN OR PRE ORDER FOOTING AND RING SIZE Coliseum 100 X 200 with a mix of sand, wood chips and clay. D Barn Ring 75 x 150 with stonedust. C Barn Warm up stonedust DIRECTIONS TO SHOW GROUNDS-EASTERN STATES, WEST SPRINGFIELD, MA From points South, take interstate 91 north to Springfield, to route 5 on Columbus Ave., go over the second bridge which is Memorial Bridge, at Rotary take Memorial Ave. (Rte 147), you will be making a left turn into Eastern States. From points east or west, take Mass Pike (interstate 90) you get of at interchange 4 and go south to Route 5, down Riverdale St to the West Springfield Rotary, go right on Memorial Ave (Rte147), you will be making a left turn into Eastern States. From points north, take interstate 91 or 5 south to the West Springfield Rotary, go right on Memorial Ave, you will be making a left turn into Eastern States. ENTRIES & FEES ENTRIES CLOSE APRIL 25 th. No entries accepted by phone. A check for FULL payment must accompany entries. Entries or payment postmarked after April 25 th will be charged a late fee of $15.00 per horse. POSTAGE METER IS NOT ACCEPTABLE. Entries received with checks for partial payment, post dated or open checks will be treated as late entries and subject to the late fees. Canadian Exhibitors must pay in US funds either by money order or check drawn on a US Bank or a US Fund account. Checks returned by the bank for any reason will be charged 10% of the face value of the check or $50.00 whichever is the greater amount. The order of go will be strictly adhered to. If you feel you have a conflict, please contact the sport horse coordinator IN ADVANCE of your scheduled go, to request a change. The coordinator can be reached at the sport horse ring. In Hand classes MUST be entered by April 25th in order to assign times. Contact show secretary for post entry availability. Exceptions: Horses competing only in Individual Breed Classes (IBCs) at DSHB competitions, sires and dams of horses in DSHB group classes, where those sires or dams are not actually competing in the same competition, horses competing only in breed restricted dressage or DSHB classes at Regular Competitions (e.g. all Arabian, all Friesian, or all Morgan classes), or in USDF Introductory Level tests, pas de deux or quadrille, are exempt from this requirement. The membership year is December 1 through November 30. PMs are available for 1-year ($75), 5-years ($300), or life ($1,500). A USDF Youth Participating Membership (YPM) is available for individuals who have not reached their 21 st birthday by December 1 of the current membership year ($60). A PM allows the member to compete at USEF-licensed/USDF-recognized competitions and to participate as a rider and/or owner/lessee for all Adequan /USDF Year-End Awards, Great American Insurance Group/USDF Breeders Championship Series Finals and the Great American Insurance Group/USDF Regional Dressage Championship program. Group Membership (GM): A membership issued to an individual by USDF when the member name and dues are submitted to USDF through an affiliate Group Member Organization (GMO). The GM year begins December 1 and ends November 30. A GM allows the member to compete at USEF-licensed/USDF-recognized competitions and participate in the USDF Rider Awards program. Business Membership (BM): A membership that runs December 1 through November 30 and is issued to a business or organization directly by USDF. The USDF BM ($200) offers a wider variety of advertising benefits. BMs satisfy requirements of horse ownership only. Education Membership (EM): A membership issued to an individual directly by USDF. This online education only membership expires 12 months after the date joined. This membership type does NOT allow an individual to compete at a USEF-licensed/USDF-recognized competition. Non-Member (NM) Identification Number: For each USDF NM owner/lessee and USDF NM rider there will be a USDF NM fee of $25 per competition that must be collected by the show secretary and submitted to USDF, along with the USDF Report of Fees document and the $5 affidavit fee and Competition Affidavit Form if the person cannot provide a copy of their USDF NM card. Owners/lessees or riders exempt from the NM number requirements are also exempt from paying the USDF NM fee. If there are multiple owners of a horse and all are NMs, only one of the owners must pay the NM fee. If the horse has at least one owner who is a current USDF PM, GM, or BM there is no NM fee assessed. Competition management will be invoiced for all applicable USDF NM fees not received with the USDF post competition paperwork, along with a report listing all USDF NMs. Competition management is then required to submit the NM fees within 30 days to the USDF. An individual with a USDF NM identification number is not eligible for any USDF membership benefits. Once a USDF NM number has been assigned, a USDF NM card can be obtained from the USDF website. Horse Identification (HID) Number: A one-time tracking number for horses ($25). Scores earned by a horse with an HID number will be recorded, but will NOT be counted towards Adequan /USDF Year-End Awards. A horse with an HID number is not eligible to compete in Great American Insurance Group/USDF Regional qualifying or championship classes or Great American Insurance Group/USDF Breeders Championship Series Finals. Any act of discourtesy or disobedience to the officials on the part of the owner, rider, groom, exhibitor, or driver shall disqualify the horse from being judged. The managements reserve the right to remove any of the aforementioned without being liable for compensation or damages. The Show Managements reserves the right to decline to receive any entry, and to return any entry fee(s) and/or stabling charges before or during the show without being liable for any compensation. No persons will be allowed in the ring except participants in the class, judge, assistants, and show photographer. Attendants will be allowed only after being called by the judge or ringmaster. No exhibitor shall approach a Judge with regards to a decision unless they FIRST obtain permission from the Steward who shall arrange an appointment with the Judge. Motorized Vehicle Statement - In accordance with GR Minors who do not have a valid driver s license which allows them to operate a motorized vehicle in the state in which they reside will not be permitted to operate a motorized vehicle of any kind, including, but not limited to, golf carts, motorcycles, scooters, or farm utility vehicles, on the competition grounds of licensed competitions. Minors who have a valid temporary license may operate the above described motorized vehicles as long as they are accompanied by an adult with a valid driver s license. The parent(s), legal guardian(s), or individual who signs the entry blank as a parent or guardian of a minor operating a motorized vehicle in violation of this rule are solely responsible for any damages, claims, losses or actions resulting from that operation. Violations of this rule will be cause for sanctions against the parent(s), guardian(s) and/or trainer(s) who are responsible for the child committing the offense. Penalties may include exclusion of the child, parent(s), guardian(s), and/or trainer(s) from the competition grounds for the remainder of the competition and charges being filed against any of the above individuals in accordance with Chapter 6. Wheelchairs and other mobility assistance devices for individuals with disabilities are exempt from this rule. Page 25

19 MEMBERSHIP AHA MEMBERSHIP STATEMENT EACH COMPETITOR (THIS INCLUDES AT LEAST ONE RECORDED OWNER AND ALL TRAINERS, DRIVERS, RIDERS, HALTER HANDLERS, COACHES AND THE PERSON(S) SIGNING THE ENTRY BLANK) IN AN ARABIAN HORSE ASSOCIATION RECOGNIZED ARABIAN DIVISION, AT THE TIME OF ENTRY INTO ACOM PETITION, MUST SUBMIT A COPY OF A VALID AHA MEMBERSHIP/COMPETITION CARD, JOIN AHA OR PAY AN AHA SINGLE EVENT MEMBERSHIP FEE PER COMPETITOR. WHEN AN AGENT SIGNS FOR THE OWNER AT AN AHA RECOGNIZED COMPETITION, BOTH THE OWNER AND AGENT MUST BE MEMBERS OF AHA OR PAY THE AHA SINGLE EVENT MEMBERSHIP. A nonmember may participate as a handler, rider, driver, owner, lessee, agent, coach or trainer at Regular Competitions, Eventing Competitions, Dressage Competitions, Reining Competitions and Combined Driving Competitions upon payment of a $45 Show Pass fee. Participants in the following classes are exempted from the Requirements of this rule: 1) leadline; 2) exhibitions; 3) games and races; 4) classes for 4-H members; 5) walk trot (exception: Friesian performance FR222) and academy classes (academy classes are classes limited to horses used regularly in a lesson program); 6) USDF introductory level tests, pas de deux and quadrille classes; 7) NRHA Endorsed Reining Competitions. 8) Opportunity classes, 9) citizens of other nations who have proof, in English, of current membership in good standing of their own National Federation, 10) USEA beginner novice division; and 11) assistant handlers in Dressage Sport Horse Breeding classes. GENERAL ADMISSION TO ARENA No person permitted in arena during classes except judges, assistants and exhibitors and show photographer. Headers (wearing a plain white smock is required) are not permitted in arena until summoned by order of the Judge. CLASS CALLS / GATE HOLDS Will be made promptly. First, second and third calls will be broadcast in the barns and the warm-up rings at the proper times. The In-Gate will close two minutes after the first horse enters the ring. Gate holds will be permitted for exhibitors with back-to-back classes, if time permits and must be made with the Paddock Manager or Show Office. Responsibility for entering classes on time rest with the exhibitor. In the event of a failure of the announcing system, it is still the exhibitors responsibility to be ready to enter the ring on time. DRIVING HORSES For safety purposes and to prevent accidents, driving horses will not be allowed into the holding ring until the class preceding theirs has entered the Coliseum/Show Ring. No other horses will be allowed in the holding area at this time. Page 26 IDENTIFICATION NUMBERS Every horse in the show will be assigned an exhibitor number and this number must be worn by the exhibitor when the horse is being shown. Any exhibitor using the wrong number on not having a number may be excused or disqualified. MANURE MUST be dumped in designated areas ONLY. Anyone found dumping into empty stalls, undesignated areas or on the grass, will pay an additional fee. PARKING and UNLOADING Parking and unloading MUST be in designated areas only. All improperly parked vehicles will be towed away at owner s expense. PROFESSIONAL SERVICES Any professional service or consultation performed by the Show Veterinarian and/or Farrier for exhibitors outside the show ring will be upon a private fee basis. Vets phone number for after show hours will be posted at the show office PROTECTIVE HEADGEAR All exhibitors in over fences and Hunt Seat Equitation classes must wear a helmet passing ASTM testing standards. ALL junior exhibitors riding anywhere on the grounds must wear protective headgear with harnesses buckled or they will be prohibited from riding anywhere other than the show ring. Adults are encouraged to comply with this safety rule. NYS requires parents or guardians to abide by the law requiring anyone under the age of 14 to wear a helmet. A law Officer can assess a fine to the parent or guardian not abiding by this law the case where a horse has been entered and not shown, class fees will be forfeited. SHARPS/MEDICAL WASTE State rules will supersedes USEF (USAE) sharps rule. Where applicable medical waste must be disposed of in marked containers, any needles etc, found in stalls will be subject to a $ fine. WARM UP RING There is to be no lunging or long lining in the warm up or holding ring when classes are in session. CLASS DEFINITIONS & RULES Abbreviations USEF recognized abbreviations for classes: JTR/D/H - Junior To Ride/Drive/Handle Under 18 JOTR/D/H - Junior Owner To Ride/Drive/Handle Under 18 AOTR/D/H - Amateur Owner To Ride/Drive/Handle (all ages) AAOTR/D/H Adult Amateur Owner To Ride/Drive/Handle over 19 ATR/D/H Amateur to Ride/Drive/Handle (all ages) AATR/D/H Adult Amateur to Ride/Drive/Handle over 19 ACTS Classes-Are limited to horses used regularly in a lesson program. Amateur To Ride/Owner To Ride All riders in Amateur to Ride classes must have in their possession a current Amateur Certification Card issued by USEF or make application for the card, at least one hour prior to riding in these classes. Applications may be secured through the Horse Show Secretary. Juniors are automatically considered amateurs. Combined ownership is not allowed in Amateur-Owner Classes unless all owners are members of the immediate family. Leased horses are not eligible for owner to ride classes unless the lessee and lessor are members of the immediate family. Horses entered in amateur owner must be registered in the name of the competitor or a member of the competitor s family, as defined by USEF (Horses registered in the farm, ranch, syndicate, partnership, or corporation name may be shown in Amateur Owner classes provided the family is the sole owner of the farm or entity as defined by USEF. The sale of a horse does not eliminate this registration requirement. (Contracts of Sale or Bill of Sale will not be accepted) Page 27

20 Exhibitor Age For horse show purposes, the age of an individual on December 1st 2015 shall be maintained the entire show year. Lead Line Exhibitors must be least two years of age and have not reached their 7th birthday. May not enter any other class at this show. The leader must be at least 14 years old, class will be judged, but not placed: All exhibitors will receive the same awards. Stallions not allowed. Exempt from AHA & USEF membership requirements as long as they are in classes designated Lead line. Maiden, Novice & Limit Classes Horse/Rider Maiden, Novice, & Limit classes are open to horses which have not won one/three/six first place ribbons respectively, at a Regular Member Competitions of USEF or the EC in a particular performance section in which they are shown. This does not apply if a horse changes sections Select Rider - AOTR, AAOTR, ATR, AATR JOTR, JTR. Refer to USEF Arabian Division Rules Competitors in the Arabian, Half-Arabian, or Anglo-Arabian Divisions shall not be considered separately when competing in the same performance or breeding/ halter section. If a competitor is eligible to compete as a Select Rider/Driver/ Handler in a section on December 1, said eligibility remains throughout the current competition year. (Said eligibility is determined beginning with Regional and National competitions of 1997). Select classes were called Limited classes beginning in Walk/Trot Open to Juniors 10 & under. May not enter any other performance class at this show. Stallions not allowed. Exempt from AHA & USEF membership requirements as long as they are in classes designated a Walk/Trot. For horse show purposes, the age of an individual on December 1st 2015 shall be maintained throughout the current competition year. THE FOLLOWING ARE RULES THAT APPLY TO ALL BARNS AND THE ENTIRE SHOW GROUNDS. We hope common courtesy and common sense will prevail. Remember safety is a primary consideration. 1. No smoking is allowed in the barns or in the coliseum. 2. Fireproof material must be used for all stall decorations, No live trees,(unless potted) wreaths, roping, etc. 3. The center Aisle of barns must remain clear. a. Aisle displays are not to exceed: Main aisle 30 from each side, side aisles- 24 from each side b. No accumulation of litter or rubbish allowed. c. All exits shall be kept free and unobstructed. d. All fire lanes and other means of access for emergency vehicles shall be kept free and clear at all times. e. All fire extinguishers, fire pulls and fire alarms stations shall b e f ree and clear of obstructions and readily visible in their designated locations. 4. Bedding material and the like are not allowed on the floor of any aisle. This would include wood shavings, wet sawdust, peat moss, fine ground wood mulch, etc. large wood chips or coarse bark mulch may be used, but must be kept damp at all times. No coverings over aisles, which would in any way limit the effectiveness of the sprinkler system. 5. No graffiti in barns or stall. You will be billed for any type of damage. 6. Dogs must have current rabies vaccinations. 7. No children are allowed on the rail in the coliseum. 8. No motorized vehicles of any type including bicycles, kateboards, roller blades, scooters, golf carts or mopeds are allowed in the barns, practice areas or any normal route used by horses. Any violation will result in the immediate impounding of the vehicle until the conclusion of the horse show. 9. No one under the age of 16 is permitted to drive a motorized vehicle on the grounds unless they have a permit or valid drivers license in accordance with the states registry of motor vehicle law. This regulation includes golf carts and mopeds. 10. All children 12 years and under must wear a helmet when riding a bicycle. 11. No rollerblading or skateboarding will be allowed on the Eastern States Exposition grounds. 12. All extension cords used by exhibitors MUST BE ALL RUBBERIZED TYPES AND MEET OSHA SPECIFICATIONS - NO HOME TYPE EXTENSION CORDS ALLOWED WEST SPRINGFIELD THE FIRE MARSHALLS DO CHECK TO MAKE SURE THE ABOVE REQUIREMENTS ARE MET.
