3 2018 Youth Grant Attention Branches with Youth programs or camps! There is money available through SK Lotteries (as part of the provincial SWF grant) for branch youth programs/ camps. If you had a camp/program in 2018, please fill out the form and return it to Central Office asap. The form must be returned before October 12th, so it can be processed before our year-end which is October 31st. Thank you for the time and effort your branch has taken to provide outdoor education and information to our youth. We hope this grant will help you continue. 5 REGIONAL JOB DESCRIPTIONS & GUIDELINES ** Please Note: Due to the fact that the S.W.F. is registered under the Non-Profit Corporation's Act - Article 5 states that: No individual who (a) is less than eighteen years of age; (b) is of unsound mind and has been so found by a court in Canada or elsewhere; (c) has the status of bankrupt; can be a director. All those holding Regional positions must be current members of the SWF. Regional Directors The Regional Directors shall act as the representatives from their Regions on the Board of Directors. In the event of a Regional Director position becoming vacant, a special Regional Meeting may be called after thirty (30) days notice to elect an Interim Regional Director, who will hold this office for the unexpired term of his predecessor. Regional Directors shall be responsible to adhere to the SWF Constitution and Policies. Regional Directors shall be responsible to attend the following: i) The Annual Meeting (convention) ii) Their respective Regional Meetings iii) A minimum of 75% of Board of Director meetings iv) As many regional functions as possible, i.e. banquets, meetings, dedications, etc. The Director's first responsibility will be to the Provincial Federation and at all times will act, as they determine, in the best interest of the provincial body and in controversial matters will seek the advice of the President. Included in this responsibility is the realization that the branches of their region are an important part of the Federation and that they, with the branches of the other regions, in fact make up the Federation. Shall have full cooperation from the Executive Director and Central Office staff in matters concerning their region. Shall be responsible for conducting their respective Regional Meetings (2 a year) in cooperation with the Executive Director. Shall keep in close touch with the branches in their region, offering encouragement and assistance in all branch matters as they see fit. Will act as the President's contact in a region. Will cast the region's votes at Board meetings. Copies of their correspondence should be forwarded to the President, Central Office, and the codirector of their region. Hand written letters may be submitted to Central Office to be typed and returned. Will be compensated for expenses incurred while on S.W.F. business. Expense sheets (with receipts) must be sent into Central Office on a bi-monthly basis. With the assistance of their co-director, will work out a regional plan for their duties (e.g. splitting zone, membership, branch visitation, etc.) May write reports regarding events in their region for the monthly mail to the branches in their region May write bi-monthly reports regarding events in their region, for the provincial magazine, Outdoor Canada West 5
6 REGIONAL JOB DESCRIPTIONS & GUIDELINES Regional Fisheries Chair One per region elected every two years at the S.W.F. Fall Regional Meetings. The regional chairman may be re-elected into this position for any number of terms. Responsible to the Provincial Fisheries Chairman. Report (written or verbal) to the Provincial Fisheries Chairman and Central Office on regional activities and projects quarterly. Assist in developing programs. Motivate, work, and assist Branch Fisheries Chairmen with initiation of local projects and programs. Stay current on fisheries issue, fisheries projects, and potential projects in his/her region. Work closely with SWF Fish Enhancement Coordinator on developments in his/her region. May use the resources of the S.W.F. staff to send reports or requests to SWF branches in his/her region, other regional fisheries chairmen, Board of Directors, etc. Report to his/her Spring and Fall Regional Meetings (in person or in writing) on regional fisheries activities. Responsible for communication with SWF Fish Enhancement Coordinator prior to Spring and Fall Regional Meetings to discuss current projects and relevant information pertaining to fisheries in his/her region. Will be compensated for expenses incurred (up to $500 annually) while on Fisheries business for the Saskatchewan Wildlife Federation. Additional expenses may be pre-authorized by the SWF Fish Enhancement Coordinator. Regional Habitat Chair One per region elected every two years at the S.W.F. Fall Regional Meetings. The regional chairman may be re-elected into this position for a number of terms. Responsible to the Provincial Habitat Chairman. Report (written or verbal) to Provincial Habitat Chairman and Central Office on regional activities/ projects quarterly. Assist in developing programs. Monitor activities on Habitat Trust and Wildlife Development 6
7 REGIONAL JOB DESCRIPTIONS & GUIDELINES Regional Henry Kelsey Chair Assist the Henry Kelsey Provincial Chairman in operating the records keeping program, establishing direction and guidelines, and looking after operations at a Regional level Assist in developing programs, seminars, updating records and forms, etc. Assist Henry Kelsey Official Measurers within his/her region with measuring problems, workshops, etc. Shall vote on controversial issues from time to time and the appointment of new Henry Kelsey Measurers. Shall be elected (1 per SWF Region) Regions 1, 3, 5 in odd years; Regions 2, 4, 6 in even years at the SWF Fall Regional Meetings, with the term being two years, serving no more than three terms consecutively (6 years). Nominations should be in to the SWF Central Office and the Henry Kelsey Chairman prior to the Regional Meeting, or nominations will be accepted from the floor, as per the SWF Constitution, Article XV. May use the resources of the S.W.F. staff to send reports or requests to SWF branches, other HK measurers in his/her region, or Board of Directors. Report to his/her Spring & Fall Regional Meetings (in person or writing) on regional Henry Kelsey activities. Will be compensated for expenses incurred (up to $500 annually) while on Henry Kelsey business for the Saskatchewan Wildlife Federation. Regional Game Advisory Chair One per region elected every two years at the S.W.F. Fall Regional Meetings. The regional chairman may be re-elected into this position for a number of terms. Responsible to the Provincial Game Advisory Chairman. Monitor game populations in his/her region and report to the Provincial Game Advisory Chairman and Central Office on regional populations on a monthly basis. May use the resources of the S.W.F. staff to send reports or requests to SWF branches in his/ her region, other regional game advisory chairmen, Board of Directors, etc. Assist the Provincial Game Advisory Chairman in the Game Advisory presentation at the annual 7
