1 PEACE POSTER CHAIRMAN S GUIDE The International Peace Poster Contest was created in 1988 to give young people the opportunity to creatively express their feelings for world peace and to share their unique vision with the world. Approximately 350,000 children from more than 75 countries participate in the contest annually. Each year, twenty-four International finalists are selected to represent the work of 350,000 young participants. This contest is open to children ages 11-13, in local schools or organised, sponsored youth groups, such as Scouts and Boys & Girls Clubs. The contest provides Lions with the opportunity to interact with young children in their communities, introducing the youth to the true importance of peace, tolerance and international understanding, as well as giving Lions a vehicle for obtaining positive publicity for their clubs. Power of Peace is the theme for the Peace Poster Contest and Lions Clubs can sponsor the programme in their community for children in local schools or organize sponsorship youth groups. By serving as a link between District and local schools or organised, sponsored youth groups in your club, you are playing an important role in maximising your club s participation in the Lions International Peace Poster Contest. Your role is to promote and encourage participation in your local community; this guide will help you to define club goals for school/youth group participation and promote the contest. As a Peace Poster Contest chairman, you will also be expected to coordinate efforts with your district Peace Poster chairman, keep your district Peace Poster chairman informed about the progress and success of the contest. 2 GETTING STARTED The first step to spreading the word about the Peace Poster Contest throughout your local community is to familiarise yourself with the contest. This guide provides the information you will need, such as contest rules and conditions, along with helpful hints. The following resources should also be utilised: The Peace Poster Contest section on the Lions Club International Web site and Lions Australia website You Tube ; ; aynext=1&playnext_from=pl&index=46 Articles in the Australian Lion Magazine Articles in the District newsletters Materials available from District Chairman on request; material include Australian promotional brochure CD containing winning poster Slideshow presentation on CD ENCOURAGING LOCAL SCHOOLS/YOUTH CLUBS TO PARTICIPATE A few enthusiastic words can really make a difference. Communicate to the local schools or youth clubs who you are and your role in the contest. Provide your contact information. CONTEST AWARDS International Level One international grand prize winner will receive US$2, (or local equivalent) and award. In addition, the grand prize winner, two family members (one being a parent or legal guardian) and the sponsoring club president or a club member (as designated by club president) will travel to New York City, New York, USA, to attend the award ceremony at Lions Day with the United Nations (subject to change). The award ceremony is planned for March The 23 merit award winners will each receive a cash award of US$ (or local equivalent) and a certificate of achievement. In addition, the 24 finalist posters are exhibited to the public at different locations throughout the year, including the international convention. District 201 V1-4 This year, District 201 V1-4 proudly presents the following five prizes and they are as follows: One (1) District Winner will receive a book voucher of AUD$ and a plaque. District 201 V1-4 2

3 The four (4) Endeavour Award winners will each receive a book voucher of AUD$50.00 and a certificate of achievement. Note: Clubs, districts and multiple districts may offer additional prizes at the local level as they see fit. CONTEST KIT A club must purchase a Peace Poster Contest kit for each school or youth group it sponsors. Peace Poster Contest kits (PPK-1) are available from the district Peace Poster chairman ( order to Melissa Tung at melissa.chan.tung@gmail.com) or Club Supplies, National Office Newcastle (Order online at for AUS$20 each which includes postage. Kits are also available from Club Supplies Sales Department at International Headquarters for US$7.95 plus shipping, handling and applicable taxes. The Kit contains: 1. Official Club Contest Guide & Rules (PPC-1) 2. Official School or Youth Group Contest Guides & Rules* (PPC-2) 3. Participant Flyer* (PPC-3) may be duplicated and given to each student to take home 4. Sticker (PPC-4) to place on back of winning poster 5. District Governor Postcard (PPC-5) to notify the district governor of club s participation 6. Certificates for contest winner (PPC-6) and sponsored school or youth group * Please forward only the Official School or Youth Group Contest Guide and Rules (PPC-2) and the Participant Flyer (PPC-3) to your club s contact at the participating school or youth group. The club retains all other items in the kit. CONTEST DEADLINES Entries that do not meet the following deadlines will be disqualified. IMPORTANT DATES 15 January 2009 Kits go on sale from the Club Supplies Sales Department at International Headquarters. 1 October 2009 Deadline to purchase kits from the Club Supplies Sales Department at International Headquarters. 4 15 October 2009* Early postmark deadline for a club to send one winning poster (per contest sponsored) to the district governor - posters sent to the district governor by this date will be displayed at the District Convention at Tooleybuc on Oct *Please note: this date is only applicable to District 201 V1-4. Judging will not take place until after 15 November and all posters will be included in the judging. Club must notify district governor in advance of participation. 15 November 2009 Official Postmark deadline for a club to send one winning poster (per contest sponsored) to the district governor. Please note: Club must notify district governor in advance of their participation. 1 December 2009 Postmark deadline for a district governor to send one winning poster to multiple district council chairperson. 1 December 2009 Postmark deadline for a district governor not belonging to a multiple district to send one winning poster to the Public Relations Department at International Headquarters. 1 December 2009 Postmark Deadline for a club not belonging to a district to send one winning entry to the Public Relations Department at International Headquarters. 15 December 2009 Postmark deadline for the multiple district council chairperson to send one winning poster to the Public Relations Department at International Headquarters. 1 February 2010 International winners will be notified on or before this date. CONTEST RULES & CONDITIONS Clubs, districts and multiple districts should make sure their winning poster meets all the guidelines before submitting it to the next level of competition. Entries not meeting the rules and conditions listed below will be disqualified. Only a Lions club can sponsor the contest in a local school(s) or organised, sponsored youth group(s), such as YMCA programs, Boys & Girls Clubs, Scouts, etc. A Lioness club can sponsor the contest through its sponsoring Lions club. Note: the contest cannot be held in youth group Contest is open to students who will be 11,12 or 13 years of age on November 15, Eligible birth dates are November 16, 1995 through November 15, The contest theme is the Power of Peace. Artwork must be no smaller than 13 inches by 20 inches (33 centimetres by 50 centimetres) and no larger than 20 inches by 24 inches (50 centimetres by 60 centimetres). Do not mat or frame artwork. District 201 V1-4 4

5 Only one entry per student, and each entry must be the work of only one student. All artwork must be the individual student s original creation. Duplications are not accepted. All media are accepted. Note: Chalk, charcoal and pastel entries should be sealed with a fixative spray to prevent smearing. Do not laminate entries. Three-dimensional entries will not be accepted. Nothing may be glued, stapled or attached to the artwork in any way. The use of lettering or numbering on the front of the poster, in any language, is not allowed. All artist signatures or initials should be written on the back of the poster. Artwork should be done on a flexible material, so it can be rolled for shipping in a mailing tube. Do not fold poster. Participants accept all responsibility for late, lost, misdirected or illegible entries. Entries sent with insufficient postage will be disqualified. Lions Clubs International is not responsible for damaged, destroyed or lost during the judging process. Entries cannot be acknowledged or returned; they become property of Lions Clubs International upon receipt. Peace Poster Contest images cannot be used without written permission from Lions Clubs International. In consideration for the opportunity to enter the Peace Poster Contest, participants agree to allow Lions Clubs International to use their names and photographs for promotional and publicity purposes. In addition, the international grand prize winner, two family members (one being a parent or legal guardian) and the sponsoring club president or a club member (as designated by the sponsoring club president) are required to attend the award ceremony at Lions Day with the United Nations in New York City, New York, USA (subject to change). An international grand prize winner is not eligible to receive subsequent prizes in future Peace Poster contests sponsored by Lions Clubs International. By entering, participants agree to be bound by these rules and the decisions of the judges and Lions Clubs International. Lions Clubs International may cancel the contest without notice at any time. The contest is void where prohibited, taxed or restricted by law. CONTEST JUDGING An appropriate individual such as the school principal, youth group leader, local artist or a panel of judges may select the winning poster. Posters are to be evaluated on three criteria at each level of judging. The criteria are originality, artistic merit and expression of the theme, The Power of Peace Only one poster can be selected, per contest sponsored, to advance to the next level of judging. A club sponsoring more than one school or youth group or multiple contests within the same school (by purchasing more than one kit) will send one poster foe each contest sponsored to the next level of judging. Posters selected must meet all the requirements outlined in the Contest Rules and Conditions. Posters not meeting these specifications will District 201 V1-4 5

6 be disqualified. FORWARD WINNING POSTER After the winning poster is selected, it must be prepared and forwarded to the next level of judging. Clubs who have purchased more than one kit, will forward a winning poster for each kit purchased. Complete sections I and II on the winner sticker. Be sure to fill out all the information requested. Affix sticker to the back lower right hand corner of the poster. Posters without the completed winner sticker will be disqualified. No reproductions of the sticker are permitted. To ensure the poster arrives at the next level of judging in good condition, roll the poster and send in a mailing tube. Do not fold the poster. Clubs are responsible for the cost of postage/shipping, neither District, Multiple District or International Headquarters will reimburse this cost. Send the poster to your District Governor for District judging entries must be postmarked on or before November 15th 2009 Follow up with your District Governor to make sure that he/she received your Club s poster. Any Club failing to submit its winning entry by the due date will be disqualified.
