1 4.4.1 Planning for an Athletics Carnival As early as possible Ensure date chosen fits into overall calendar Book venue Book venue for suitable back up date as well Advise canteen staff of details -8 weeks before Discuss safety issues and develop risk management plan with principal/staff Firstly referring to the relevant sections of Guidelines for the Safe Conduct of Sport and Physical Activity in Schools or, as a minimum, by utilizing the Sport Risk Management One Page Checklists CD Athletics (contains separate pages for Track, High Jump, Long Jump, Shot Put and Discus) Check venue booking including availability of equipment, canteen and toilets Notify parents/guardians of date of carnival by newsletter At staff meetings, encourage staff to include athletics activities in PE or game skills Official jobs for the carnival to be allocated and discussed Permission notes to be organised and distributed to parents Check all equipment Organise trials for field events Check out details of zone carnival and organise information note/consent form package for those progressing to that level Finalise program House meetings organise Invite guests as appropriate Check for multidisability entries/interest and familiarise with procedures One week before Organise equipment Canteen to be advised Programs to be printed Carnival information details to go in newsletter Certificates, ribbons/trophies to be organised Advise parents regarding zone competitors have letter/costs/consent ready Check venue for relevant field markings Trials to be completed Hold house meetings The day before Final check of all equipment Make arrangements for children not attending Check transport arrangements Recording sheets check Staff members to receive copies of programs Ensure staff are clear about their duties for the day stress safety Speak to children about all aspects and organisation and expectation
2 During the carnival Set up everything early allow time for unanticipated problems Supervise officals check regularly with all officials Handle any problems that arise Ensure tiolets are supervised Refreshments for officials Think safety risk management is ongoing After the carnival Present certificates, ribbons/trophies Select school team Distribute information and permission notes for Zone carnival Book transport for next carnival Determine champion athletes Return any loaned equipment and make a list of new equipment required Letters of appreciation Acknowledge results in newsletter Update records Complete staff evaluation of carnival Engraving on perpetual trophies to be carried out School team training to begin
