1 November 22, 2015 Parents, The intent of this letter is to provide you with the pertinent information you need for the upcoming season of 4 th through 6 th Grade Youth Basketball. It contains a great deal of information that will take some time to get through. Please read it completely and me with any questions. Let s have another great season! Bill Theisen PEM Youth Basketball Administrator btheisen@isd2899.k12.mn.us 4 th through 6 th Grade Youth Basketball Parents Informational Letter 1) Communication The primary method of communication between PEM youth basketball and the coaches, players, and parents will be through . Our hope is no paper information beyond the registration forms will be distributed via the schools. At the beginning of the season, I will contact each parent to receive an address to use during the season. Each parent may provide additional addresses if they wish. 2) PEM Youth Basketball Website The PEM youth basketball website is THE location for all information including practice and game schedules, tournament brackets, game locations and directions, etc. will be used to notify parents of pertinent information but the website will contain the details (for example, practice schedules, game schedules, and rules). 3) PEM Teams Girls: 1 or 2 4 th grade teams, 1 or 2 5 th grade teams, and 1or 2 6 th grade teams. Boys: 1 or 2 4 th grade teams, 1 or 2 5 th grade teams, and 1or 2 6 th grade teams. If there are two teams for a grade and gender, the team will always practice together. They will be identified as PEM Black or PEM Gold. Assignments to the teams will be made by the coaches at some point during the first three weeks of practice. Every effort will be made to have balanced teams. 4) Practice Gyms Plainview: Cafeteria Gym, MPR Gym, HS Gym Elgin: 4-6 Building Gym, 7-8 Building Gym 5) Practices Weeknight practices will be scheduled once per week for grades 4 and two times each week for grades 5 & 6, beginning the week of November 30. Grade 4 teams will
2 typically practice Monday or Tuesday. Grade 5 and 6 teams will typically practice Monday and Thursday or Tuesday and Thursday. Practices will also be scheduled on Saturdays during the Saturdays in December. No practices will be scheduled during the school s winter holiday break. This is to accommodate scheduled gym maintenance during that time. From January through February, the Thursday practices are optional for those players who sign up for skiing. Please try to limit the number of practices missed for skiing to two or less. See Ski Nights below. 6) Practice Schedules The practice schedules are posted on the PEM website. You will be notified via of any changes to the schedules. 7) League Schedules The league schedules are typically posted in mid-december. For 4 th grade, teams will play two games each Saturday for six of the eight Saturdays in January and February (two bye weekends). For 5 th and 6 th grade, teams will play two games each Saturday for eight consecutive weeks beginning in January. League play begins Saturday, January 9 th. One bye weekend is a possibility depending on the availability of schools to host games during the season. You will be notified via when the league schedule is available on the website. 8) Practice Cancellations If school is closed due to a weather related cancellation, all after-school activities are cancelled, including youth basketball practices. Cancellations for any other reasons will be announced at the 4-6 building and you will be notified via . Cancelled practices are not rescheduled. 9) League Game Cancellations Any cancellations made prior to the Saturday of the league games or tournament games will be announced at the 4-6 building and you will be notified via . Cancellations occurring on the Saturday of the league games or tournament games will be made by me. I will notify the coaches who will subsequently contact each of the parents by phone. I will also notify you via . Cancelled league games are not rescheduled. 10) Jersey Policy, T-Shirts, and Equipment Players must purchase a game jersey for $30 when they register for the league, unless they already own a PEM youth basketball game jersey purchased in a prior year. This jersey may be reused in subsequent years as the jerseys will be the same for all grades. The jersey will be numbered and have the player s last name on the back. Practice jerseys will be distributed to the players prior to their first practice. The practice jersey must be returned when the game jerseys are distributed. Parents will be charged $10 for any lost practice jersey. Players are to bring their practice or game jerseys to every practice and game. Practices are much easier to conduct if players can be matched up by color using the reversible jerseys. T-shirts beneath the jerseys are encouraged, especially for games. The t-shirts should be black or white.
3 Good tennis shoes should be provided for the players. They do not need to be overly expensive but should be able to provide a good grip on the floor. I recommend separate tennis shoes for basketball from regular daily use but that is not mandatory. Gym shorts should be worn to practices and must be worn at games. Black shorts are preferable. Players may bring their own basketballs to practice. Youth basketball teams use the women s size basketballs (28.5 cm) during practices and games. 11) Picture Day A Picture Day will be scheduled within the first two weeks of practice. The specific date and times for each team s pictures will be provided via . Brochures will be distributed during the first week of practices by your coaches. 12) Ski Nights Thursdays in January and February are ski nights for community education. To allow all players to participate in skiing if they choose, Thursday practices are optional for players if they attend skiing. We request you limit the number of practices missed for skiing to two or less. 13) Wednesday Evenings and Sundays PEM community education policy restricts practices on Wednesday evenings and all day on Sunday. Practices will typically be scheduled on Mondays, Tuesdays, Thursdays, and Saturdays. As a general rule, practices will also not be scheduled on Fridays. 14) PEM Youth Basketball Playing Time Philosophy PEM s youth basketball program is designed to develop the abilities of all participants. Winning is an element we would like to achieve but not at the expense of some of the participants. We do not have a win at all costs attitude; our hope is playing time will be divided relatively equally. However, there are times coaches need to utilize the experience and talent of some players in order to assist newer, less developed players. This can give the appearance of bias when in reality the coaches are trying to create balanced, competitive squads on the floor throughout the games. Determining the makeup of the squads and balancing playing time is easily the coach s most difficult task. Please keep this in mind as you watch your child play this season. 15) PEM Youth Basketball Informational Documents There are multiple articles on the PEM youth basketball website under Informational Documents. These include: Parents Code of Conduct Coaching Fundamentals Concessions Tips Referee Employment Guidelines Traveling Team Basketball Documents Please read these articles when you have a chance. 16) Referees Each host school must provide referees for home games. At PEM, as at most other schools, the referees are high school players, typically varsity level players but not always. These referees are not always of the highest quality. Please remember that
4 they are inexperienced and either volunteer their time or are paid a small amount. They should not be subject to abuse from players, coaches, or parents. We would love to have adult referees to assist our high school referees. If you are interested, please contact me. 17) Scoreboard Clocks At the games PEM is hosting for our league, we will try to find high school students who are willing to run the clock and keep track of game fouls. Unfortunately, the number of students available for this task is sometimes limiting. In that case, we will need parents to volunteer to run the scoreboard clocks, not just for our games but also for the games of other teams that are joining us at our site. Please consider volunteering to help run a clock this season for various games when needed. The job is quite simple and we will provide the basic instruction right before the game begins. 18) Admissions Our league permits the charging of admissions to league games. The funds from the admissions are used to pay the referees for their work. When PEM hosts league games, we will not charge our own parents and direct family members. However, we will charge visitors from other schools and outside family members, such as grandparents. Please remember that you may and probably will be charged to attend away games. Plan accordingly. Players and coaches will never be charged admission to league games, at home or on the road. We need your assistance for collecting admission fees for our home games. Prior to the season, we will assign a schedule of admissions workers. Each parent will be assigned a two hour slot to work at one, and perhaps two, of the home dates this season. If you cannot make the assigned game, please arrange to have someone work in your place. We will have the cash envelope ready for you when you arrive for your slot. The admissions work schedule will be ed prior to the start of the league season. 19) Concessions Concessions at home games are optional. If you choose to organize a concessions stand for our PEM games, the use of the profits for your teams are entirely up to you. Prior concession stands have used the profits to offset the cost of the end of year party for the team. If you are interested in running concessions at our home games, please let me know through . There is a document on the website that provides some tips for setting up and running a concession stand. Use it as you see fit. 20) Traveling Teams No traveling teams are allowed during the season. Students in PEM youth basketball are not allowed to participate on another team. Organizing select traveling teams after the season is up to the parents and the players. Community education does not get involved in this activity. All select traveling teams must arrange their own practice times, pay rent for the practice facilities, and pay for the tournament fees. Jerseys that have been purchased for the players may be used for traveling squads. PEM Youth Basketball will allow the use of basketballs for traveling squads; the basketballs must be returned after the traveling season. 21) Parents Code of Conduct

If our parents and coaches adhere to this code of conduct, I am convinced we will have a successful and rewarding season. 22) Youth Basketball Administrator I have been the youth basketball administrator for over 20 years.
