1 Ashland Youth Hockey Association Board of Directors Meeting Minutes Wednesday, July 16, :00 PM Bay Area Civic Center 320 4th Street West Ashland, WI CALL TO ORDER: The meeting was called to order by President Gregor at 6:03 PM. Present- Absent- Representatives- Ray Gregor, Bonnie Stegmann, Christa Grande, Michelle Vuorenmaa, Mike Bigo, and Chris Bolz (arrived at 7:28 PM) Carrie Alajoki. Larry Kupczyk and Scott Stegmann. 2.0 APPROVAL OF MINUTES: Motion by Bonnie Stegmann, seconded by Mike Bigo to approve the June 18, 2014 meeting minutes as presented. All in favor; none opposed. Motion carried. 3.0 TREASURER REPORT: Bonnie Stegmann, provided the treasurer report to the Board. a.) Current Account Balances: $21, Banking; $10, Online; and $12, NSP. b.) Appoint New Treasurer/Discussion: The Board discussed a potential candidate who is interested in the treasurer position. The Board requested Bonnie Stegmann to contact the candidate to discuss the role and to update the Board regarding that discussion and the possible nomination status. 4.0 SCHEDULER UPDATE: Carrie Alajoki, Scheduling Director, was absent from the meeting. Therefore, no report was given. 5.0 REGISTRAR / SECRETARY: Motion by Bonnie Stegmann, seconded by Christa Grande to appoint Michelle Vuorenmaa as the interim Registrar/Secretary. All in favor; none opposed. Motion carried. Ray Gregor will provide IT access to Michelle Vuorenmaa (i.e. Cyber Sport program, USA Hockey, etc.) and Carrie Alajoki will train on the new website. The Board briefly discussed streamlining the registration process and the opportunity to meet with the previous Secretary/Registrar for direction if needed. 6.0 BLUE LINE UPDATE: Christa Grande, Blue Line President, provided the Board with an update on the following a.) Blue Line Committee is continuing to work on their plans for the 5K Glow Run. b.) Choice Title donated $100 towards the AYHA 4 th of July float. Christa also mentioned that the float came together well thanks to those who worked on it. Mike Bigo suggested an idea to coordinate an AYHA Christmas Parade float. Discussion followed. c.) Clothing Update Christa informed the Board that the Blue Line Committee plans to work with Heart Graphics on the purchase of AYHA logo apparel (i.e. Hoodies, warm-ups, hats, vehicle decals, etc.). The Board discussed purchasing a sample of each item as a display. Additionally, order forms will be made available on the AYHA website. Further, the Board discussed hockey pictures and their expectations for the upcoming season. The Board requested the Blue Line Committee to contact a potential photographer to coordinate player and team pictures. Further, the Board briefly discussed fundraising. It was the consensus of the Board that all local fundraising must be approved by the Board and the Blue Line Committee. 7.0 PLAYER DEVELOPMENT: Scott Stegmann addressed the Board regarding his plans for AYHA Player Development (see attachment 1). The AYHA Player Development Committee is as follows Scott Stegmann, Daryl Penner, Ray Gregor, Stu Salisbury, and Mike Bigo. The Player Development Committee plans to meet at the BACC on the 1 st Wednesday of each month at 6:00 PM, subject to change as needed. Discussion followed. Motion by Ray Gregor, seconded by Mike Bigo to appoint Stuart Salisbury as the Board s Player Development Representative. All in favor; none opposed. Motion carried. Further, Scott Stegmann informed the Board of the following 1.) Various coaches have been contacted for the upcoming season, with the following coaches who have committed Jay Meierotto, Stu Salisbury, Scott Stegmann, Ray Gregor, and Mike Bigo. Scott plans to hear from more coaches in the near future. 2.) A coaching clinic and WAHA certification update will be in progress. 3.) The Player Development Committee is in the process of creating a coaching manual for each level of hockey with USA Hockey online tutorials. 4.) Promotional radio ads will be running to promote hockey coaches and players. Also, discussed plans to coordinate a KG-8 th grade informational booth at the schools during orientation. 5.) 2 with the new Northland College coach to discuss a potential partnership. 6.) Discussed power skating and that Zoe Hill has retired; received the recommendation of Bronwynn Pichetti as a contact. Scott will contact Bronwynn Pichetti to discuss clinic options. 7.) Goalie development, shooting, and puck handling was discussed. 8.) Daryl Penner, High School Coach, will provide the Board with player development recommendations at the next meeting. 9.) Scott discussed the BACC outside rink with Steve Sharp, City of Ashland Facilities and Grounds Director. They are exploring jetting drainage tubes to clear the rink drain blockage and the possible re-grade of the area (and the West end rink also needs to be re-graded). Ray Gregor will contact potential contractors regarding the rink re-grading. Scott Stegmann will provide the Board with an update on the drainage status. 10.) The BACC ice schedule is as follows: Ice in from September 15 th - October 2 nd ; ice out October 6 th 11 th (for Whistlestop); ice in October 20 th. Further, the Board also discussed the following: 11.) Mike Bigo discussed the need for another set of U8 goalie pads and suggested searching ebay. Larry Kupczyk and Ray Gregor discussed the NHL Goals and Dreams Program (grant writing and application process for monetary grants and equipment donations). It was the consensus of the Board to obtain a top 10 wish list from Player Development for U8 Squirt levels. It was further discussed to contact Brauer and Easton for donations as well. 8.0 BACC: Larry Kupczyk, BACC Manager, provided the Board with an update on the following: 1.) Larry reported that there has been an increase in broken glass and pucks. He summarized several s from others who reported similar issues. It was determined that there was a batch of bad (Gufex) pucks. Larry plans to eliminate all old Gufex pucks; as the new pucks seem to be okay. As a means to eliminate the bad pucks, Larry suggested purchasing cases of pucks with the AYHA logo (to identify approved pucks) and to exchange unapproved pucks from the players. Larry further indicated the need to conduct a glass inventory and the need to have glass and plexiglass in-stock. Ray Gregor suggested that Larry compile a glass supply list and that he will contact H-Window for pricing information. The Board further discussed the possibility of including high school and college level addendum language regarding glass breakage. {Chris Bolz arrived at 7:28 PM.} 2.) Larry suggested that the Board consider creating a portable/timed shooting area for kids. 3.) Larry informed the Board that the zamboni is in need of new bearings and a replacement seat. Ray Gregor requested a zamboni punch list from Larry. 4.) Larry informed the Board on an update on the Civic Center roof project To date costs total $108, with $105,525 raised for the project. 5.) Larry reported that the Civic Center budget is -$6,000 (due to the increase of costs, decrease of weddings, and the loss of the carnival and the circus). Due to the deficit of the BACC budget, the AYHA s rent will increase by at least 3%. The Board discussed the need for the treasurer to establish a budget. 9.0 OLD BUSINESS: a.) Team Manager Expectations Mike Bigo, Director / Coach, discussed the need to establish a Team Manager job description, so that essential and nice to do tasks are well communicated and handled appropriately (see attachment 2). He further indicated the need for all coaches to recruit their team managers. b.) Homecoming The Board discussed contacting Ashland High School (AHS) to indicate their commitment to run Homecoming concessions NEW BUSINESS: The Board discussed the following - 1.) The need to develop a Mission Statement. 2.) Discussed having a booth with promotional items at the school open house/orientation day. 3.) Tentative registration date of October 14 th for in-person registrations. 4.) Past player registration discussed contacting past players via as a registration reminder and as a part of Player Development to have the coaches call players with a registration reminder. 5.) Pictures. 6.) Online volunteer sign-up - suggested that the Blue Line Committee touch base with Jessica Pergolski regarding this. 7.) Raffle tickets. 8.) New to U8 hockey meeting with parents. 9.) High School games and the need for a trained Zamboni driver vs. crowd control. Bonnie Stegmann will discuss the contract with Brian Miller. 10.) Coaching application to be put on AYHA website. 11.) Carrie Alajoki and Bonnie Stegmann to contact AmericInn regarding sponsorship opportunity (i.e. zamboni maintenance / registration system). NEXT MEETING: August 13 th at 6:00 PM BACC.
