1 SMHA COACH/MANAGER MEETING (Stettler Minor Hockey Association ) SUSPENSIONS/DISCIPLINE/GAME SHEETS OUR ZONE 7 HOCKEY ALBERTA REPRESENTATIVE Kevin Gallaway CELL (texting is fine) kevgallaway@telus.net game sheets in PDF form only. Any and all suspensions or disciplinary actions in Tournaments and Exhibition Games must be reported to Kevin. Any League suspensions or disciplinary actions will be dealt with by your NCMHA Governor. The League Governor and Kevin work closely together to ensure continuity. No player and/or coach can be on a bench until they have received a notice from one of them on the action to be taken. Please know that Hockey Alberta and the NCMHA will inform your SMHA President Jason Hegberg (jasonhegberg@stettlergm.com) of all above scenarios. If you have any questions about eligibility of players or coaches, please do not hesitate to ask. TOURNAMENTS & EXHIBITION GAME SHEETS MUST BE ED IN PDF FORMAT TO KEVIN GALLAWAY UPON COMPLETION OF THE TOURNAMENT. If issues arise during the tournament, please contact Kevin IMMEDIATELY so you are fully aware of any suspensions that may occur. We do not want players or coaches to have to sit longer than necessary. - For all NCMHA League games, game sheets are to be submitted to your Division Governor immediately after completion of game. Please ensure that all subsequent paperwork (Ref Reports, etc.) are submitted as well. Your Governor will inform you of how they would like to receive the game sheets (fax, scanned , etc.) These can be in addition to Hockey Alberta minimum suspensions NEW THIS YEAR: NCMHA MINIMUM SUSPENSION GUIDELINES Please discuss the importance of keeping penalties to a minimum at your team parent meeting and with your team.

Leave a suspended player on the roster. Scratch the suspended player s name and write the number of the suspension beside his name. (ie. Susp 1 of 1, 2 of 3, etc.). Only a carded person to the team can verify the game sheet. If your Manager is NOT carded to the team, they cannot be on the roster or verify the game sheet. Timekeeper/scorekeeper must sign the game sheet. Those individuals put in that position should respect they are to remain neutral. - Suspensions cannot be served in an exhibition game. Suspensions can only be served in league, tournament or Hockey Alberta sanctioned games. In the case of a tournament, please make sure your Governor and Kevin Gallaway are sent the tournament game sheets to show the player s time served. - No suspended coach or player can be on a bench or in the dressing room during a game. They cannot be in the time/scorekeeper boxes, penalty boxes or within 50 ft of the bench during a game. If the suspended player is also an On Ice, that suspended player may still fulfill his On Ice Officiating duties during the day immediately following the suspension. After that period, the suspended player will then be required to serve his suspension and have to resign any other On Ice Officiating until the suspension has been served.

3 TOURNAMENT SANCTIONS & TRAVEL PERMITS Contact: Glen Morbeck - If you will be attending a Tournament or Exhibition game that is outside of Zone 7, you are required to have a Travel Permit. Please do not leave without one Travel Permits are NOT required for NCMHA League scheduled games. AFFILIATION - SMHA encourages the use of affiliation to ensure the teams have an appropriate number of players to participate in a game. Furthermore, SMHA encourages the use of affiliated players during practices to assist in player development when appropriate. - If you would like to request an affiliate player, you must contact the coach of the players registered team first. Use of an affiliated player can be turned down by the coach of the players registered team in situations where the players registered team is playing in a game on the same day or when the players registered team is attending a tournament out of town. AFFILIATE PLAYERS MAY ONLY PLAY A TOTAL OF 10 GAMES WITH THEIR AFFILIATED TEAM. THESE 10 GAMES MAY BE AT ANY POINT DURING THE SEASON. - If you are requesting an affiliate goalie, but you have no intention of using the goalie, (only in emergency purposes), advise the ref at the beginning of the game. If he/she does not play that game it would not count as one of the ten. -TO FIND OUT OR REQUEST WHO YOUR AFFILIATES ARE, please talk to David Zondag, dczondag@gmail.com OVERAGE PLAYERS -Overage players are not allowed to skate in a game or practice until they have been approved by HA. Please contact David Zondag before any OA participates on ice. Overage Players cannot be affiliated.

4 PROVINCIALS Participation in Provincials is not mandatory and is a decision that is left for individual teams to make as a group that are eligible to participate. YES/NO DO YOU WANT TO GO David Zondag will have numbers and placement for your teams soon. It is the team s responsibility to let David know if they want to go to Provincials. He must know by the end of November, at the latest. The deadline for entering provincials is December 1 st. There is a $200 entry fee for provincial playdowns. This is the team s responsibility. The fee can be submitted to SMHA. In the event that a team wins their zone provincial playdowns, SMHA will cover the costs of their ZONE BANNER. SMHA COACH & PLAYER DEVELOPMENT SMHA will be hosting a condensed version of the Coach Mentorship Program, delivered by Doug Swanson, in late October or early November. We strongly encourage all coaches to attend. SMHA has numerous resources for coaches to utilize including various manuals and DVD s that can be borrowed, for anyone who is interested. Please contact Brad Robbins. SMHA offers both Power Skating and Goaltender instruction to our member teams wanting specific development in these key areas. Should you wish set up sessions, please contact Brad Robbins (Power Skating) , and Trevor Speakman (Goaltending) COACH CLINICS Coach Education Requirements: (all must be achieved by Nov. 15th of the current playing year) Please note- some of the program names have changed. Please go to the Hockey Alberta website to register. Receipts can be submitted to SMHA If you are not able to attend the clinics in Stettler, you can look on the Hockey Alberta website for other clinic locations and dates. SMHA will pay for your certification. Please submit your receipt to our treasurer, Angela Smith for reimbursement. NORTH CENTRAL MINOR HOCKEY ASSOCIATION (NCMHA) - All info regarding schedules and placement and timelines should be on soon if not already. Logins and Passwords will be provided by Keith Werbowesky. All

6 - We belong to the NCMHA. These League games are the first priority over the season. All Tournaments and Exhibitions come second. Provincial Playdowns and Tournaments take precedence, but they do NOT take the place of NCMHA League games. So, if you plan on playing in Provincials, you have a couple of options to ensure all your League responsibilities are met. First, you can try to play some of your games sooner rather than later. Do not put off playing your games until late in February when you have to cancel for Provincial games. Your schedule will become very loaded, and ice time will be at prime. Play them earlier in the season. Second, if you are playing a Provincial game against a team that is close, try to play that during the week and leave your League scheduled games where they are already situated. - Any team not finishing their Regular Season games with NCMHA, may not have the opportunity of participating in League Playoffs. Please do not get yourselves too far behind. Your NCMHA Governor will be in communication with you regarding this and WILL INSIST you keep caught up. - Movement Deadline Nov 15/ Contact our NCMHA Rep, KeithWerbowesky, krefrig@telus.net, with any requests for team movement if you feel your team has been placed in the wrong Tier. Make sure your request can be supported with scores from tiering or league play etc. Do not go directly to NCMHA OR YOUR GOVERNOR Always go through our SMHA Rep so they can ensure proper communication with NCMHA. The information sent to Keith will be seen sooner by NCMHA as it is coming from the Rep. Send the info and Keith will cc the proper Governor and yourself so everyone will be kept in the loop. - Please ensure that you have one person that will be the main contact for Keith in all Tiering and/or Tournament issues. -Game changes and/or cancellations must be approved by your Tier Governor (including preseason). These forms can be found on both the SMHA website ( ) and the NCMHA website ( Make sure you are aware of the suspensions for your team and do not play a suspended player or coach until you receive the Suspension Notice in writing from the governor. Playing a suspended player or allowing a suspended coach on the bench can result in years of suspension for both player and coach. OFF-ICE OFFICIALS Please inform your volunteers in the timekeepers box and penalty box, that they are in the neutral zone. They are not to discipline, they are to only open/close doors, keep the time or scorebook. If you cannot handle the language or any other happenings in these areas,

7 it may not the place for you to be. In other words leave the Reffing to the Refs; leave the Coaching to the Coaches. HOME TOURNAMENT GUIDELINES SMHA tournament administration fee is 10% of the tournament profit. - See the SMHA Manual Tournament checklist - Following a tournament please submit finance/sponsorship report to Glen Morbeck. DATES FOR DIVISION TOURNAMENTS ARE: November Atom/Peewee Female s November Atom s December Bantam/Midget Female s January 3-4 Novice s January Bantam s January Feb1 Peewee s February 14 Mites All tournament ice is booked as follows: BLUE ARENA Friday 5:15pm -midnight Saturday 8:00am-midnight Sunday 8:00am-6:45pm Novice BLUE ARENA Saturday 8:00am-8:30pm RED ARENA Friday 6:45-midnight Saturday 8:00am-8:30pm Sunday 8:00am-3:30pm RED ARENA Saturday 8:00am-8:30pm Sunday 8:00am-4:00pm Sunday 8:00am-3:30pm Mites Blue Arena, Saturday, 9:00am-4:00pm - All teams are to confirm ice times with Fran Sharpe prior to scheduling game times. If you do not use all of the ice time that has been allotted to your tournament, it is your

8 responsibility to let Fran know. If Fran is not notified with the sufficient notice (8 days), your teams will be responsible for paying for that ice. - Please forward your tournament game schedule to Fran as soon as possible so she can set up reffing. - Guns n Games Source for Sports would like to be contacted by the Tournament Coordinator to include their flyer for each coach package. SOBEYS IS A MAJOR SPONSOR TO THE REBELS FUNDRAISER AND NOT TO BE APPROACHED BY ANY TEAM. WE VALUE THEIR CONTRIBUTION AND THEY ONLY ASK THAT WE KEEP IT TO THAT ONE TIME A YEAR LIMIT. If in doubt of who our major sponsors are, look at the boards, look at the website, they are all listed. ICE BOOKING/ICE CANCELLATIONS Fran Sharpe ICE/REF ALLOCATOR ice.ref.allocate@gmail.com CONTACT FRAN BY PHONE, TEXT, OR FOR ALL ICE BOOKINGS AND CANCELLATIONS. NEW THIS YEAR: You must give the ice allocator 8 days notice of any ice cancellations. This is a Stettler Recreation Centre policy.

9 ICE CANCELLATIONS: Over the past few seasons, NCMHA has had problems with some teams cancelling games at short notice. This results in local minor hockey associations being held responsible for paying for unused ice times and reffing fees. If you are contacted by a team requesting a game change, please do your best to encourage that team to find a way to play. We have very limited available ice time. If a game is cancelled, SMHA will be billed for the ice time and the cost of reffing. These costs will be passed on to the association who cancelled. CANCELLATIONS DUE TO WEATHER: A cancellation due to weather is STILL a cancellation. Any team that cancels due to weather can expect a bill for ice fees and reffing to be forwarded to their association. On that note, please remember that we live in central Alberta and winter driving is a fact of life. Too often, we are quick to cancel games at the beginning of the season due to poor driving conditions, BUT when the end of the season is approaching and games NEED to be played, we are often faced with driving in weather that is just as bad, or worse, than the weather we initially cancelled a game for We want all of our members to stay safe, so when faced with winter driving conditions, consider the following: Give yourself lots of time Travel in a convoy Carpool with drivers who are more comfortable with winter driving Pack extra winter clothing in case of emergency DO NOT CANCEL A GAME DUE TO WEATHER BASED SOLELY ON THE FORECAST. ICE FLOODING Atom and Peewee will have 1 flood per game. Bantam and Midget will have 2 floods per game. Note: SMHA will be making a concerted effort to check for possible discrepancies on ice billing. Managers, please forward your addresses to our treasurer, Angela Smith, as she will be contacting you to check for accuracy on billings for ice. Angela Smith, ajcw@xplornet.ca League Schedule In the beginning of the season, there are always errors on the NCMHA website within the schedule for your team. Please do not go ahead with this schedule until you have checked with Fran Sharpe, Ice Allocator. Until she has approved schedule, it is not considered playable. She must check all Division and lists to ensure we are not double booked, etc, before she can approve it. Please do not keep phoning her- and wait for a response from her. She will get it straightened out as soon as she can. At

10 the beginning of the season, Fran is dealing with all of SMHA s ice slots on a daily basis. As we all know, this is time consuming and she needs time to get it worked out. Do not consider the NCMHA schedule to be solid until she has it confirmed. Once she has approval, check the schedule often, because it does change in the beginning- a lot Always double check a change with her, to make sure a team has not already been scheduled in that time. Please verify all games with your Ref Allocator (Fran Sharpe) regardless of what type of game (League, Exhibition, Tournament, etc.) to ensure nothing gets missed. Please give her as much time as possible to find reffing for your games. (4 days would be best) As the season gets rolling, there will be times where teams are scrambling for ice to complete provincial playdown games and playoff games. We encourage all teams to work together and be open to trading ice times, if needed. If Fran is requesting a trade for your team, please try your best to accommodate. OFFICIALS Our local Referee Representative will assist Fran by being a liaison between our Association and the Referee Association. Please note: - You cannot request to NOT have certain Refs for your games. If a request like this is made, you will be sure to have that ref for your next game. -You cannot ask for out of town Refs for your games. Local refs will be used first. (We will use our local refs as much as possible and only bring in out of town when we cannot fill a game. This goes for the Regular Season, the Playoff Season, Tournaments, and Provincials.) -These requests will not be tolerated by the Referee Association or NCMHA. -The Alberta Referee Association will not hear complaints from coaches, managers, or parents. Complaints and issues will only be considered if they are submitted by an association s president. If there is a major concern, you must contact Jason Hegberg. -Do not go into the Refs Room. This includes before games and during tournaments. Fran will provide refs with any special instructions for tournaments, play downs, etc. -Ref reports will be brought out when they are completed. The Refs complete the reports as quickly as they can. A note regarding local referees: The number of young officials in our area has been declining over the past few years. This is largely in part because of the verbal abuse that these refs experience from coaches, parents, and even spectators. Imagine going to work and having people yell or swear at you, or tell you how bad you are at your job. How long would you work in those conditions? Reffing is a job. It s not an easy job. Our young refs are learning and they are being mentored by more experienced officials. Stay cool on the bench and in the stands. Remember, a lot of these refs are still kids and

11 they re putting forth their best effort. Respect that they are learning, be patient, and we will see our young refs come back season after season JERSEYS/PUCKS/LOCKERS LOCKERS Your team has been assigned a locker (DO NOT CHANGE LOCK) for storage, first aid kit, practice pucks, away jersey bag. These items are your responsibility, so please keep track of them If you have any missing items from your locker or are in need of anything supplied by SMHA, please contact our Equipment Director, Greg Risler garisler@xplornet.com. Greg Risler has locks and codes for all of the lockers. Please Greg at garisler@xplornet.com PUCKS At the beginning of the season, each team will be supplied with 30 pucks. At the end of the season, 30 pucks must be returned to SMHA. - Cold game pucks will be kept in the freezer in the Concession. These pucks are to be used for games only and must be replaced at the end of the game. Please talk to the Concession about getting a few when you need them. JERSEYS Jerseys are the property of SMHA and we ask that no players take the jerseys home in their hockey bags. This creates unnecessary damage and wear on them. We appreciate our sponsors and would like each Manager to allocate someone to be responsible for the team jerseys. Each team is given a jersey travel bag to carry to away games. All home jerseys should stay at the rink and only be taken in the event of tournaments or for washing. The Head Coach and Manager are considered responsible for the care of the SMHA jerseys. Name bars will be allowed on jerseys. In order to preserve the lifespan of the jerseys, SMHA will only allow name bars to be attached and removed by ID Apparel or Cindy Zimmermann (Seams Right Alterations, ). Please note: Cindy Zimmermann has offered to sew on name bars for free this year.

12 WEBSITE Our Website Co-coordinator is Andrea De Young Please or talk to Andrea with any questions you may have. You can put in your team, games, add stats, messages for the team members, etc, to the SMHA website. You can also your team, in bulk, with any team info. Please try to ensure that everyone's addresses are put in the system. This will allow all our Members to receive Association s. Logins and passwords are currently available. Contact Andrea and she will get this information to you. ARENA Please report any issues with the arena (maintenance, staff not being there in the morning, etc.) to the SMHA executive. We want to be made aware these issues so they can be brought to the attention of the arena manager. NEW THIS YEAR: TheDrillBook.com- see brochure TheDrillBook.com is a new program from Hockey Alberta. Coaches and managers can use the program for scheduling, team communication, practice planning, and much more. Mobile app is also available. TheDrillBook.com's goal is to create coaching resources which enhance a love of the game and create passion and enthusiasm. HELPFUL NOTES FOR HEAD COACHES/ MANAGERS If you have any problems with any parents, players etc, that you feel you cannot control please see your Director. Do not let situations get out of control before you seek help. We are here to help, and if we are brought in too late it is sometimes the he said - she said scenarios can get out of hand. Please have a meeting with your parents early on. Talk about your expectations of your team players and parents and ask them about theirs. Remind players and parents that they represent not only their team, but their association, their community, and minor hockey in general and their behavior will display how we, as a group, are perceived by others. Let them know the chain of communication starts with their Coach/Manager and goes from there. Please inform parents of the Chain of Communication when it comes to dealing with NCMHA and Hockey Alberta- Hockey Alberta does not want to hear from individual

13 parents regarding any issues. Parents need to first go through the SMHA, then on to NCMHA or Hockey Alberta. This way, procedures are always followed and nothing gets missed. Remind parents of our NO ABUSE policy to officials, coaches, and players. It will not be tolerated in the Stettler Rec Center and the SMHA holds the right to ban any spectator, player or coach who abuses an official, player or coach. Please refer to the SMHA Code of Conduct. If an incident occurs in another association's rink, please inform a member of SMHA Exec Council, so we are aware of the situation. Any damages or complaints received are dealt with in confidence and your Association cannot help if they were not informed. You are ultimately responsible for all actions by your team and will be held responsible as a team if there are costs or retribution warranted. We stand fully behind you in all situations and will defend our teams to the best of our ability. Please go through all of this in your parent meeting, to keep everyone up to date on their responsibilities as members of this association- the more communication we have, the better everything runs. We all appreciate and understand the amount of hours put in by the Executive/Board, Tryout Committee, Evaluators, Coaches/Managers and Volunteers. Many hours of work go into making this Association run as smoothly as possible and we would like to thank all of you who help us accomplish this. We are all here for the same reason - to enjoy watching our children play hockey, to be part of a team, to make new friends, and a have sense of belonging. We as parents need to remember it is not all about the winning or placement; it is about the safe place for this to happen. SMHA competes well at all levels and we should be proud of our association, coaches, players, and the beautiful facility that we all get to enjoy. Be proud We wish you all a happy hockey year and a great experience that brings many great memories. With common sense, communication, helpfulness, appreciation, and the ability to work together, this can be achieved. There are also now 5 slots for team officials Use NCMHA Ref Report books, not Hockey Alberta books Game sheets must be uploaded and entered into website within 24 hours or there will be a $50 fine imposed Please ensure entries into website for goaltenders is correct, so they may be chosen for the All Star game Please ensure entries for penalty minutes are correct so the new suspension guidelines can be properly applied Visiting teams should verify uploaded game sheets. If the game sheet is correct, hit verify. If an error is noticed, please make a note on the page. The governor will review game sheets. NCMHA suspension rules apply to regular season only- penalties incurred during exhibition and playoff games do not count- HOWEVER players are suspended before playoffs or provincials, the suspensions will carry through Please let your Governors know when rescheduling Please try to reschedule before Christmas, before provincials, and before extra tournaments If there are any double bookings on NCMHA, contact Nick NCMHA ALL STAR GAME All Star game in Viking on Dec. 6 for Midget Tier 1 and Bantam Tier 1

It is mandatory to send players to the All Star game November 24 th is the cut off date for placing Midget and Bantam for the All Star game
