2 WELCOME to the Fair! This Exhibitor Packet is a quick reference only. Please refer to the official documents such as the Competition Rules, Schedule, etc. for details. We are glad you have decided to participate with your 4-H project at the 2018 Douglas County Fair and Rodeo. This packet is provided for a quick reference for a few details about exhibiting at the Fair. For more details, please visit the Fair Website at: or ask a Fair Board Director, Extension Staff or Fairgrounds Staff member. Have a Great Fair! 4-H Family Wristbands and Fair Entry Junior Division Exhibitors will use their ID badges from the Justice Center to enter the Fairgrounds free of cost on Friday, August 3 and Saturday, August 4. Immediate family members attending the Fair with a Junior Division Exhibitor will be able to purchase a family wristband at a cost of $5/each. Any Junior Division Exhibitor who was unable to get their ID may purchase a family wristband. Wristbands will be available for purchase at the Extension Office between July 2 and July 27, no wristbands will be sold after this time and regular gate admission will apply. Camping Forms and information for camping at the Fairgrounds during the Douglas County Fair are available by contacting Maryjo Woodrick at mwoodric@douglas.co.us or Forms will not be accepted before 9:00 a.m. on July 12, No Exceptions. Camping registration forms will be accepted on a first come first serve basis (received at the Douglas County Events Center) until they are all assigned. In person applicant s will have priority over electronic ( and faxed) requests. Questions: Contact mwoodric@douglas.co.us The purpose of the camping spaces is to allow those junior division exhibitors and superintendents helping with livestock to have the ability to stay on the grounds close to the animals and have access to care for the animals at all times. Exhibitors that do not have livestock staying on the grounds will be placed on a wait list and will receive space if available. Photos As a separate entity from the Douglas County 4-H Department Douglas County Fair & Rodeo may take photos. These photos shall be the property of Douglas County and may be used by Douglas County Fair Management for educational or promotional materials. Cameras The Douglas County Fairgrounds have cameras placed throughout the grounds, parking lots and some barns. These cameras are used all year long to monitor all events. The purpose of the cameras is for security and safety. This equipment may or may not be monitored at any time. All areas being monitored are considered public areas. Cameras are not installed in private areas such as bathrooms, locker rooms or changing areas. 2

3 4-H Family Parking Permits With the growth in attendance of the County Fair, it has become necessary to manage the parking lots. We need everyone s assistance to ensure all exhibitors, competitors and guests have a positive experience at the Douglas County Fair and Rodeo. Please do your part and follow the established parking lot guidelines. Refer to the 2018 Fair Parking Plan and map for parking details. Each Junior Division Exhibitor Family will be given one (1) Green Lot parking permit. Display the permit on the rear-view mirror of the vehicle. The permit will be required Saturday, July 28 through Sunday, August 5. The Green Lot is located next to the Pavilion and Multi-Purpose Barn in Fairgrounds Parking lot #1 (the same area as the last couple of years). The lot will be manned by a parking official and a permit is REQUIRED. All other vehicles can park in Fairgrounds Parking lots 4, 5 or 6. Although a permit is required to park in the Green Lot, the spaces are available on a first come-first serve basis; once the lot is full, all other vehicles will have to park in Parking lots 4, 5 or 6. ADA parking spots are located within the Green lot as well as other areas on the grounds. We do not have any other provisions for special parking requests. Green lot parking permits will be available for pickup at the Extension Office between July 2 and July 27; no permits will be issued after July 27. If parking permits are duplicated all parking privileges for the family will be revoked for the entire week. 3

If empty must be taken off grounds. 6 4-H EXHIBIT DAY JULY 21, 2018 WHAT TO EXPECT FOR 4-H MEMBERS Please arrive at Kirk Hall 15 minutes prior to your scheduled interview time o If it is a project only meaning no interview- the project and record book must arrive at 9:00 a.m. Check-in at the registration table located inside the south entrance of Kirk Hall. o Your name will be checked off the list for each project and you will be provided a sticker for your project and one for your record book. Please wait in this area and listen carefully for your name to be called by our volunteer youth runners. They will call your name when the judge is ready for your interview. When your name is called, take your project/record book and follow the runner to your scheduled judge for completion of the interview. The judge will ask you questions about your project and 4-H year. This should be a pleasant conversation in which you may learn more about your project. You will leave your project and book with the judge to evaluate against the score sheet. Score sheets may be found at: if you would like to see them before Exhibit Day. Please exit Kirk Hall through the north door and wait for your next project interview. Results of the judging will be available for viewing starting on Wednesday, August 1, at 1:00 p.m. Remember that the results are the one judge s opinion on that one day. We encourage you to learn from the comments that the judge provides you on that score sheet. Not open to public. LIVESTOCK TACK STALLS In order to accommodate all members on an equal basis, tack stall assignments will be made as follows: You may sign up for stalls on a first come first serve basis after barns are set up on Friday, July 27. Sarah Fischer will assign Large Animal Barn stalls for tack purposes only. Once all tack stalls are assigned we will create a waiting list. No tack stalls are guaranteed. After Friday, July 27, any of the Beef Superintendents can assist with tack stall assignments. We encourage clubs and families to share stalls as space is limited. The tack stall map and name cards will be available on Friday, July 27, and it is expected that members respect their assignment and not change stalls. Tack stalls and all contents are subject to search by security personnel. All tack stalls must be cleaned out at the end of Fair or privileges may be lost for future years. Junior division exhibitors are encouraged to check with Superintendents after all animals have been checked-in to see if additional stalls are available for feed and equipment. 6

7 ANIMAL CHECK-IN Douglas County Fair has implemented a health check practice for the 2018 Douglas County Fair & Rodeo in the hopes of minimizing the potential risk to any of our guests and exhibitors and their animals. These practices are subject to change should other health risks arise. Facility Practices Fly control is a priority for the Douglas County Fairgrounds. The County contracts with a pest control company to manage pests. Therefore, manure and shavings must be removed immediately following events. Stalls are disinfected with a 10% bleach solution following show use. Participants are encouraged to always practice good biosecurity at home and at shows. More information can be found at the Colorado State Veterinarian Web site: JUNIOR DIVISION FIRST WEEKEND- SATURDAY, JULY 28 Cats 4-H Cats will be checked in by between 7:30 a.m. 8:30 a.m. Saturday, July 28, in the Multi-Purpose Barn. Exhibitors need to bring current proof of vaccinations. Superintendents will insure general health of the animal according to the Junior Division Competition Rules. Cats will be released after the show is over. Dogs 4-H Dogs will be checked in by between 7:30 a.m. 9:00 a.m. Saturday, July 28, in the Indoor Arena. Dogs will be released after the show is over. Llama All Llamas must arrive between 7:30 a.m. 8:30 a.m. on Saturday, July 28. Health checks to be conducted at Gate E prior to Llama entering the Fairgrounds. Exhibitors must complete the Health Declaration Form, provided at initial health check, for admittance. Llamas will be checked at the trailer at Gate E by our superintendents. Llamas will be stalled in the north end of the large animal barn. Llamas will be released Saturday, July 28, by 6:00 p.m. Utility Goats All Utility Goats must arrive between 7:30 a.m. 8:30 a.m. on Saturday, July 28. Health checks to be conducted at Gate E prior to Utility Goats entering the Fairgrounds. A Superintendent will check animals for specific breed and age classifications once animals are stalled. Utility goats will be released Saturday, July 28 by 6:00 p.m. 4-H Horse Participants All equine participants will be required to follow the Colorado State Veterinary guidelines. Please check their website for current guidelines: When entering at Gate E you will need to complete a health declaration form prior to entering the Fairgrounds. If exhibitors remove their horse from the grounds, they will be required to present any necessary forms before re-entry. Re-entry will only be allowed during designated check in times listed below. Horse Show The Horse Show is on Sunday, July 29, and Monday, July 30. New this year horses will be granted entrance to the grounds during designated check in times each day: o Sunday, July 29, 6:00 a.m. 8:00 a.m. and 10:00 a.m. 11:00 a.m. o Monday, July 30, 6:00 a.m. 8:00 a.m. and 10:00 a.m. 11:00 a.m. Stalls are on a first come, first serve basis in the Outdoor Barns (Brown and Green). You are responsible for providing shavings and cleaning your stall at the end of the show. 7

8 Participant back numbers will be available for pickup at the Horse Show Office. One copy of the 4-H Horse Show patterns will be provided per Participant. JUNIOR DIVISION LIVESTOCK TUESDAY, July 31 (Beef, Goats, Poultry, Rabbits, Sheep, Swine) Livestock check-in will be from 8:00 a.m. 10:00 a.m. Initial health checks will be conducted by Superintendent or Assistant Superintendent in Parking Lot 5 prior to livestock entering through Gate E (Beef, Swine, Sheep and Goats). Animals with a 30 day or less OCVI (not required) must present certification papers to superintendent for verification. The superintendent will determine if any additional inspection is necessary. Exhibitors must complete a Health Declaration Form, provided at this check point, to be presented at Gate E for admittance. This form must be signed off by inspection Superintendent. Once checked, trailers will proceed through Gate E. Animals and equipment will be unloaded in the appropriate barn. Stalls will already be assigned, so look for your name. Members will need to provide their own bedding, feeders, waters, etc. See Junior Division Competition Rules for specifics on what is allowed. After animals are unloaded trailers must be moved to Parking Lot #1 in the designated 4-H Trailer Parking. Trailers will only be allowed to stay if they are being used for storage. Otherwise please take your trailer home so that there is enough parking for everyone. When the weigh in times are scheduled, members will halter their animal and take them to the scale house to the weighed. Members will have a choice of having one animal ultrasounded for the carcass contest. The Fair needs to know which animal has been chosen before taking it across the scale. The Fair Board will pay for one animal. If a member would like to ultrasound more than one animal, they can do so for $5 per head. This must be done by providing the correct change and identifying this animal before going across the scale. If members would like to bring equipment to the Fairgrounds on Sunday, July 29 they will be allowed to unload different equipment between the hours of 11:00 a.m. - 6:00 p.m. Non-Market (Dairy/pygmy/fiber goats) A Superintendent will check animals for specific breed and age classifications once animals are stalled. Poultry Official Poultry check in is between 8:00 a.m. 10:00 a.m. in the Poultry Barn. The check will include a general health check and a throat swab checking for diseases. Birds will be allowed in the barn after they are checked by the vets. While in the barn, youth will be divided and assigned a day to be barn managers for the cleaning and maintenance of the cages. Birds are messy throughout the day and it takes this team to keep the barn looking clean for the public. Rabbits Rabbits will be checked in by the Superintendent and Assistants between 8:00 a.m. 10:00 a.m. Exhibitors do not need to bring their own cages as they are provided. Rabbit check in will take place in the in the South section of the Multi-Purpose Barn (Rabbit Barn). Each Rabbit will have its health checked by the Rabbit Superintendent or Assistant Superintendent prior to being allowed to be placed in its cage. Cages are furnished for your Rabbits. Cages are pre-assigned. There will be a coop card on the cage, with your name, and your rabbits breed and class. Members are to provide their own feed and water dishes. Please see the Junior Division Competition Rules for specifics on what is allowed. 8

9 Members will complete a Declaration of Animal Health Form, provided at the check in table, for each Rabbit. Mandatory Exhibitor Meetings: Exhibitors are expected to attend these meetings conducted by the Department Superintendent Dairy/Pygmy/Fiber /Utility Goat: Tuesday, July 31, at 2:00 p.m. held in the Multi-Purpose Barn. Beef: Tuesday, July 31, at 2:30 p.m. held in the Large Animal Barn. Swine: Tuesday, July 31, at 3:00 p.m. held in the Pavilion. Sheep: Tuesday, July 31, at 3:30 p.m. in the Pavilion Market Goat: Tuesday, July 31, at 4:00 p.m. in the Multi-Purpose Barn. Poultry: Tuesday, July 31, at 8:00 p.m. in the Poultry Barn Master Showmanship: Friday, August 3, at 8:00 a.m. held in the Pavilion Round Robin: Saturday, August 4, at 6:00 p.m. or directly after the Grand entry of the Rodeo held in the Pavilion dinner will be provided (Dogs & Llamas need to be present) Mandatory Junior Livestock Sale Meeting Friday, August 3, 5:00 p.m. in the Indoor Arena This is a MANDATORY Pre-Sale Meeting for all Junior Division Exhibitors electing to participate in the Livestock Sale. Exhibitors with qualifying animal(s) that have been selected for the Sale must attend. Parents are encouraged to attend this meeting. Junior Division Exhibitors who do not attend this meeting will be disqualified from the Sale and may be subject to discipline as set forth in the Douglas County Fair and Rodeo Competition Rules. Livestock Sale BBQ: The Douglas County Fair Livestock Sale Committee would like to share the purpose of the Livestock Sale BBQ as a way to honor and thank those who are Buyers. The Sale Committee is encouraging Exhibitors, Parents and Volunteers to find alternatives for dinner that evening. Only Livestock Sale Buyers are invited to the BBQ served in the Pavilion. This will allow the rising costs of providing the meal to be kept at a minimum. Thank you for your understanding. 9

10 KIRK HALL Kirk Hall closes at 4:00 p.m. The release of projects to Exhibitors begins at 5:00 p.m. on Sunday, August 5. Exhibitors and parent must be present at Exhibit Release to sign out their projects. If you cannot be present on August 5, you must have someone else pick it up for you. They will be required to have a note signed by the Exhibitor and parent. Exhibitors will line up at the North end of Kirk Hall according to initial of last name. Runners will deliver record books and projects to Exhibitor. Projects that are not picked up on Exhibit Release Day on Sunday, August 5, at 5:00 p.m. will be thrown away. State Fair: If your project receives a champion ribbon in its class, it has qualified to compete at State Fair. County projects do not go on to State Fair. Your project is due to the Extension Office by 4:00 p.m. on Monday, August 13. For your convenience, State Fair Projects may be taken to the 4-H Office on the evening of Sunday, August 5. Exhibits must be dropped off by the Exhibitor and/or parent and a release must be signed. State Fair Food Projects and Cake Decorating Projects must be recreated and are due by Tuesday, August 14, 12:30 p.m. PREMIUM MONEY: Premiums (prize money) will be given to the Organizational Club Leaders by October 1 to be distributed to members. 10
