1 August 1, 2017 TO: 4-H Agents and Vocational Agricultural Teachers (Sugarcane Producing Parishes) RE: 2017 Sugarcane Festival 4-H Livestock Show & Sale, September Dear Agents and Ag Teachers in Sugarcane Producing Parishes: The 2017 Sugarcane Festival 4-H Livestock Show & Sale is scheduled for Thursday, September 21 st - Saturday, September 23 rd 2017 at SugArena in New Iberia, LA. Traditionally, this is the first fall show for many 4-H exhibitors will be the eighteenth year that all of the livestock events take place at SugArena. This facility allows for housing cattle, sheep, goat and swine overnight as well as washing and grooming space. Camper hook-ups are available on a first come first serve basis. The phone number for SugArena is Wood shavings will also be available for purchase. ( Outside betting is not allowed.) SugArena is located at 713 Northwest Bypass (off of Hwy 3212) in New Iberia between Hwy 90 and Admiral Doyle Drive. (Call the Iberia 4-H office if you need a map o r go t o ww w. s u g a r e n a. c o m ) This year the open livestock shows will be: 1) Beef Breeding, 2) Commercial Heifers and 3) Rabbits. These 3 shows are open to junior exhibitors from the sugarcane producing parishes. Youth must be currently enrolled in 4-H or FFA and must be between the ages of Exhibitors must not have completed their senior year of high school. Baby Beef/Steer, Market Hogs, Market Goats and Market Lambs are restricted to Iberia exhibitors only. Enclosed is a schedule of events. Enclosed are the general rules, schedule of events and official entry forms for the livestock and rabbit shows. Beef breeding & commercial heifers will be charged a $10.00 fee per animal. Entry fees will be used to pay for awards and/or premiums. Exhibitors may not have more than one breeding animal in any breeding class. Exhibitors must have possession of their animal thirty days prior to the show and must bring valid health papers to the show. Show officials and/or local veterinarians will be checking health papers. Without proper health papers that have been checked, 4-H ers will not be allowed to show. All exhibitors must check-in upon arrival. Rabbit entry forms are enclosed for distribution. Please have 4-H members mail them directly back to our office by Wednesday, September 13 th. There will be a $3.00 per rabbit entry fee this year for rabbits pre-entered, so that premiums can be paid. A $5.00 entry fee will be charged for rabbits entered the day of the show. Please duplicate this form as needed. Each rabbit exhibitor must pre-enter using the enclosed entry form. Enclosed is a summary sheet for each parish/ffa chapter. Four-H agents who have FFA programs in their 1
2 parishes that have livestock exhibitors are asked to forward this information to the appropriate FFA advisor. Exhibitors should return their completed livestock entry forms along with registration papers (for all breeding animals) and entry fees, made payable to Iberia 4-H Foundation. Mail to the Iberia Parish 4-H Office, 415 Providence St., New Iberia, LA by Friday, September 1, Please duplicate forms as needed. Agents please note that exhibitors can send their paper work and fees in directly to the 4-H office in New Iberia. For those of you who would prefer to send in all of your parish entries with one check, a summary sheet is enclosed. Agents please note that exhibitors may turn their entries into you or the Iberia 4-H Office; however, we have found that there are fewer errors and mistakes when agents proof the entries and then send them to our office. Livestock entries sent in by individual exhibitors or grouped and proofed by agents/advisors should be returned to: SUGARCANE FESTIVAL 4-H LIVESTOCK ENTRIES, 415 PROVIDENCE ST., NEW IBERIA, LA BY FRIDAY, SEPTEMBER 1 st and rabbit entries are due to the same address by September 13 th. 3 2017 SUGARCANE FESTIVAL 4-H LIVESTOCK SHOW AND SALE GENERAL RULES AND REGULATIONS 1. Exhibits will be accepted only from bonafide residents of recognized sugarcane parishes of Louisiana. Recognized sugarcane parishes are: Acadia, Allen, Ascension, Assumption, Avoyelles, Beauregard, Cameron, Calcasieu, East Baton Rouge, E. Feliciana, Evangeline, Iberia, Iberville, Jefferson Davis, Lafayette, Lafourche, Livingston, Pointe Coupee, Rapides, St. Charles, St. Helena, St. James, St. John, St. Landry, St. Martin, St. Mary, St. Tammany, Tangipahoa, Terrebonne, Vermilion, Vernon, Washington, West Baton Rouge, and W. Feliciana. Youth exhibitors must be between the ages of 9-20 years old and cannot have passed their 21 st birthday as of the first day of the festival. 2. All exhibitors must fully complete all entry forms and return them by the entry deadline. 3. All exhibits must be the product or property of the exhibitor. Open livestock exhibitors must be bonafide 4-H/FFA members. Exhibitors will not be allowed to bring exhibits not entered in show. 4. All livestock entries should be filed with the Iberia 4-H agent by September 1, Entries received by September 1 st will be $10 per animal. Entries will not be accepted after September 1 st. 5. All livestock must be present and in place by the times on the printed schedule. All exhibitors must comply with the general rules and special rules for each division in which they compete. 6. In all open junior livestock show divisions, exhibitors may not enter more than one breeding animal per breeding class. 7. For market and commercial divisions, there will be no minimum and maximum weight requirements for these divisions. 8. Breeding classes for beef will be based from the latest Louisiana State Fair Class breakdown. 9. Cash prizes for the open junior divisions (breeding and market) will be based upon the number of entries in each class. 10. Any breeding class with more than 10 entries will be allowed to show as a separate breed. 11. The Louisiana Sugarcane Festival and Fair Association will not provide feed for livestock nor be responsible for their feeding and general care. Exhibitors are responsible for their own animals. 12. The Louisiana Sugarcane Festival and Fair Association, the Iberia Parish Government, SugArena at Acadiana Fairgrounds, the Iberia Cattlemen s Association, the Louisiana Cooperative Extension Service LSU AgCenter and 4-H volunteers/leaders will take every precaution to ensure safety of all exhibits, but in no case shall be held responsible for any loss, damage, or injury of any character, from any cause to such property while same is at livestock exhibit or in transit to and from the livestock facility. 13. Any exhibit removed prior to the official release time without the superintendent s permission will be automatically disqualified. No premium will be awarded even though the exhibit placed. 14. The livestock events officially close Saturday afternoon, September 23, 2017 at the conclusion of the livestock sale. All livestock not sold in the sale must be removed by 5:00 p.m. on Saturday. 15. Watchmen will be provided from 11:00 p.m. until 6:00 a.m. Thursday and Friday night. 16. No dogs will be allowed in the barn. 17. The records in Judge s books will be the final basis on which all premiums will be awarded. 18. For all other rules not listed above the most current year s edition of the LSU AgCenter s livestock show catalog/rule book will be used. 3
