Coordinator Target Challenge Weekend Archery April 28-29, 2017 Date: March 22, 2017 The Georgia 4-H S.A.F.E. Program will hold the Target Challenge Weekend for Archery on April 28-29, 2017 at Rock Eagle 4-H Center. Competition will be held on Saturday, April 29. Following are details for the event: Due April 14, 2017: Go to the 4-H Event Registration Website and enter all adults and 4-H ers participating in this year s event. Please be sure to select Archery Participant for 4-H ers and the event attributes that apply for each member participating in the tournament (division, class, team). This information is needed to set up flights and scoring. You will need to register all adults and youth that are lodging and eating meals at Rock Eagle. If adults or family members are just coming in for the day, they do not need to be registered in the online system. If your team is just coming for the events on Saturday, all certified coaches and participants must be registered in the online system. Saturday participants and coaches must check Facility Fee and Archery Participant or Certified Coach. All registration must be entered in event registration by April 14. There will be no late registration. Facility Fees: The cost of meals and lodging will be $22.50 per person. This includes lodging Friday Night (no meal) and breakfast on Saturday morning. All coaches and shooters must pay a $9.00 per person facility fee. Saturday Lunch Options: There will be only one option for Saturday lunch on April 29. The dining hall will be open on Rock Eagle 4-H Center from 11:00AM 1:30PM. Meals for the dining hall must be ordered through the event registration website and those selecting that option will be provided a meal card for dining hall use.

2 Match Fees: There will be an individual registration fee for all match participants. The registration fee covers all awards, supplies, insurance and labor. Fees are due at the event. Match fees per participant will be $12.00 per archer. Cancellation Fees: There will be cancellation fees for those entered in the system and not removed before the April 14 deadline. For all participants registered in the event registration system requesting lodging and meals there will be a $12.00 cancellation fee. For each shooter not showing for the match, there will be a $5.00 cancellation fee to cover the cost of supplies ordered for each individual. April 14 is the deadline for registering for this event. There is no late registration period. On Site Check-in: Check-in will be held in the Krannert Building from 6:00-9:00PM on Friday evening and from 7:30-8:30AM Saturday morning. For registration, please bring a check-in list printed from the Event Registration site. Checks should be made payable to GA 4-H Foundation. Please do not fill in the amount on your check until you are at registration. For Senior Overall Competition, coaches must designate at check-in which senior teams want a chance to compete for overall winner and a chance to represent Georgia 4-H at the National match. Only the top 5 teams in the FITA round will advance to the 3D/Field round to determine the overall winning teams. Check-in is conducted on a county basis. Only coaches should enter the registration building for check-in of their entire county. Do to the high volume of participants we are not equipped to provide housing information and details to 4-H ers and individual families. Please instruct your group where to meet you prior to arrival at Rock Eagle. Awards: The following awards will be given for the event. For team placings, each team will be recognized with a plaque and individual members will be recognized by medallion. All other individual awards will be recognized by medallion. FITA Recurve Team (1 st - 3 rd ), Individual (1 st 5 th ) Cl., Jr., & Sr. Division FITA Compound Team (1 st - 3 rd ), Individual (1 st 5 th ) Cl., Jr., & Sr. Division Novice Archery Team (1 st -3 rd ), Individual (1 st -5 th ) Overall Senior Teams (Compound & Recurve) 1 st place teams only Award Pins: Each registered participant and one certified coach per team will be provided with a 2017 S.A.F.E. Award Pin. To insure that each participant for all state events receives a pin, additional pins for other leaders will be available for purchase at a cost of $1.50 each following completion of all the 2017 SAFE Target Challenge Weekends. Pins may be ordered by contacting Michael Rabalais( rabam@uga.edu) at the State 4-H Office after June 1.

3 Who is Eligible to Attend: 4-Her s that meet the guidelines outlined in the 4-H Awards Guidebook and county requirements are eligible for competition. Where required, change in county 4-H membership forms must be completed and on file in the County and State 4-H Offices. Coaches, parents and other family members are eligible to attend. For Senior level competition, members of previous state winning teams are eligible for individual competition only. Range Setup: Again this year, we will have two separate ranges for the state event to accommodate growing numbers. Novice and Cloverleaf competition will be held on Area 3 field. Junior and Senior Competition will be held on or Area 4 field. The 3-D and Field Archery Course has not been finalized at this time. Please plan accordingly to have coaches with your Cloverleaf, Junior and Senior Groups. Coaching Credentials: Certified Coaches entered in the event registration system by the registration deadline will be provided credentials to allow them in the equipment area. All other adults must remain behind the spectator line. Scoring Targets: Adults will be assigned to assist Novice, Cloverleaf and Junior 4- H ers with the scoring of targets. Seniors will be responsible for scoring as a group based on target assignments. Please review the scoring information for FITA, 3-D, and Field Archery with your high school 4-H ers found in the Archery Competition Guidelines prior to attending the event. Field referees will be assigned to make final calls on arrows as needed. Adults / Volunteers: Each county is responsible for the chaperoning and coordination of their group. Certified Coaches and volunteers must meet the UGA Policies on Volunteers. All adults who attend Target Sports Weekends that are housed overnight at Rock Eagle must meet UGA Policies on Volunteers. There will not be separate adult housing available for the event. Each county will be required to provide 1 adult per 4 Cloverleaf and Junior 4-H ers participating to assist in scoring targets. Additional volunteers will be needed to serve as safety officers, score card runners, assist with scoring and crowd control. Adult assignments will be made by county and set up on a rotational basis. Counties will be responsible to make sure the assignment is filled by a qualified adult leader. Medical Release and 4-H Code of Conduct: A Medical Release Form must be properly completed on each 4-H er and family member less than 18 years of age. A current copy of the 4-H Code of Conduct must be completed and on file with the county office. Medical release forms should remain in the procession of the lead adult responsible for the county group and accessible by event management upon request. What to Bring: Linens for a twin bed or sleeping bag and personal articles. Each county will need to furnish shade and chairs for the range. Please review the rules and

4 regulations in the Awards Guidebook before the match. Please stress safety and safe equipment handling to each of your archers. Leave at Home: 4-H ers should leave skates, roller blades, skate boards and bicycles at home. They are not to be used on 4-H Centers. Radios, video games and other equipment are the responsibility of 4-H ers and their parents. Georgia 4-H and Rock Eagle 4-H Center will not be responsible for lost, damaged or stolen items. Cell Phones: Cells phones should not interfere with any program or event during the weekend. Cell phones must be turned off by all individuals on the ranges so they do not disrupt the archers. Policy on Grills and Food: Grills (gas and charcoal) or any other outdoor cooking devises are not allowed on center at Rock Eagle. In addition, food (both eating and storage of) are not allowed in Rock Eagle Cabins. Traffic Management Plan: Traffic has become an increased problem with the number of people that attend our state events. It is extremely important that we maintain clear fire and emergency lanes at all time. If necessary, counties will be provided with a traffic plan at registration, which may include some one-way travel or designated no parking areas. We ask that you limit driving as much as possible and help follow the plan to provide a safe environment for our 4-H ers and families. 4-H ers providing their own Transportation: If 4-H ers are providing their own transportation to the event, their vehicle should be parked and their keys given to an adult leader from their county until they leave to go home. 4-H ers are not allowed to drive while on center. Coaches Meeting: One coach from each county staying Friday evening must attend the coaches meeting held on Friday evening.
