2 The Turkey Trax RUN Introduction Your charity or group has been chosen as one of seven to receive proceeds from the first annual Turkey Trax 5K Run/Walk. The race will be presented by The Starting Block. This proposal serves as your personal invitation to join the event. There are NO costs to your group and the financial benefits could be quite large in the years to come. IMPORTANT - There are some specific requirements to be involved, please read the entire proposal carefully. The Starting Block, Zimmer Communication and Ultramax Events present the Turkey Trax 5K Run. This run/walk event will be held annually in Columbia, Missouri specifically on Thanksgiving Day. The 5K Run/Walk was designed to accommodate everyone in the family, workplace, neighborhood and community. Gather your family and friends, pick your charity and start Thanksgiving Day out right. The only time that matters is the good time you will have with your family and friends. The event will start and finish at Rock Bridge High School. Thanksgiving Day runs are traditionally some of the largest events in the nation. It is not uncommon to see these runs exceed 5,000 entrants in only a few short years. The Starting Block, Ultramax Events and Zimmer Communications have teamed up to grow this event into one of the largest and certainly one of the most impacting events in the region. The Charity Reach: The Turkey Trax Run features a very unique charity component. A significant portion of each entry fee will go directly to the charity that is chosen by the individual entrant. The specific event production and direct marketing costs will be the only costs taken out of the entry fee budget. The remaining amount of each entry will go directly to the charities. Charity Return Your charity will receive the following on each type of entry 1. Individual - $7 2. Family Entry of 4 - $21 3. Child Entry - $4 The Turkey Trax event will be specifically marketed and promoted to represent all charities involved. Ultramax will provide printed race application forms for each charity. A PDF (online) version of the same form will also be provided. Charity Responsibility: Each charity will be required to use their own local marketing and support network to reach out and promote the event. Each charity will be responsible for developing itʼs own marketing approach that will deliver the most community impact. Your ultimate goal is to get the most entrants to select your charity. It is simple, the more entries YOUR charity recruits, the bigger YOUR donation. The bottom line is each charity is responsible for getting out and marketing the event. Rock Bridge High School Athletic Department 6. Rainbow House 7. Food Bank We will ask the participants to bring canned food to the event. Each person submitting food to the Food Bank will be eligible for the great door prizes we plan to give-a-way. Turkey Trax How it WORKS Registration A generic registration form (listing all charities) is available now at The Starting Block in Columbia, Missouri. You can also download an individual/family generic entry form or register online at You can drop off or sign up at The Starting Block located at 2902 Forum Blvd, Columbia, MO Register online Mail In Drop off at The Starting Block Entry Fees The Turkey Trax registration fee is $25 until 12:00am on Friday, November 19, After that date the fee will increase to $30. Children under 12 are $18 with no increase. Family Registration "- We are offering a family incentive entry package. A family rate is available for only $75. (Save $25) This rate includes up to four family/friends. You must use the same entry form when taking advantage of the family rate. Entry Fee Includes - A commemorative Turkey Trax t-shirt, post-race snacks, awards and great fun before the great feast! Virtual Race Entry Canʼt make the event? Race virtually and help support the charity of your choice. If you choose to race virtually you can still pick up your super cool event shirt at The Starting Block during the posted packet pickup hours. Awards - Distinctive awards will be presented to: 1st place Overall Male and Female 1st place Masters Male and Female 1st - 3rd place male and female in the following age categories: 6-10, 10-14, 15-19, 20-24, 25-29, 30-34, 35-39, 40-44, 45-49, 50-54, 55-59, 60-64, 65-69, 70-74, 75-79, 80 and over. Race Start Start: 8:30 a.m. at Rock Bridge High School. Race Course - The 5K Run/Walk Race Course will be around the Rock Bridge High School area, details and maps coming soon! Packet Pickup - Runners may pick up packets at The Starting Block on Tuesday, November 23 & Wednesday, November 24 between 12:00 pm. - 6:00 pm. Timing Chip - Each entrant will be wearing a unique timing device called the IPICO Timing Chip. You will pick up your computer-timing chip with your race packet. 4 Dogs & Strollers Will be allowed but they must start at the rear of the start wave. We will strictly enforce this rule. Volunteers If you donʼt care to run or walk, how about volunteering? Its so much fun. There's registration, water stations, set-up, take down and more. Refund Policy - All registrations are final once payment is submitted. By registering to participate in this event, you acknowledge that you have read and fully understand the terms and conditions of this participation agreement. Training Program The Starting Block will feature Saturday morning runs leading up to the event. The runs are free and open to all ability levels. THE Advertising and Marketing Campaign A big key is the cooperative marketing approach. Each charily will be required to use its own marketing and support network to reach out and promote the event. The charities will independently work to get individual entrants to select their charity at the time of entry. Ultramax Events, The Starting Block and our exclusive media partner Zimmer Radio Group will provide the following marketing campaign; Zimmer Communications will provide extensive radio promotions on multiple channels to a variety of audiences. Stations Included: KCLR KTXY KSSZ KCMQ KTGR o Ten promotional mentions per day per station promoting registration for the event o Banner ad promoting the event on each station website with a link to the Turkey Trax website for registration o Promoted on each stationʼs Facebook page and Twitter feed o o Featured in each stationʼs e-blast to each stationʼs loyal listener database Live interviews with: Scotty and Carissa on the Clear 99 morning show Cosmo and JC on the Y107 morning show KTGRʼs The Big Show Tom Bradleyʼs show on The Eagle Start Date: October 18, 2010 (soft launch) November 8, 2010 (full court press) Ultramax will create and maintain the event website at site 5,000+ post cards distributed throughout Columbia and Mid-Missouri. 5,000+ entry forms distributed throughout Columbia and Mid-Missouri Ultramax Nation e-newsletter distribution 3X to 12,000 subscribers The Starting Block e-newsletter distribution 3X to 6,000 subscribers The Starting Block will include promotional signage in the store. The Starting Block will include a marketing post card in each sales bag at the store. Ultramax Events and The Starting Block will own and manage all aspects of the event production including but not limited to; planning and logistics, registration and data management, marketing and promotions and sponsorships. 2. The individual charities will have no direct event costs or liabilities. 3. Only the selected charities are eligible to receive donations. 4. A minimum of $7 per entry will be given directly to the selected charity. 5. Specific event production and direct marketing costs will be taken from the event budget and entry fees. 6. Each charity must agree to provide a minimum of 15 volunteers for the event. 7. We plan to present the individual charity checks on race day during the awards ceremony. 8. IMPORTANT We reserve the right to remove/replace the lowest producing Charity (the lowest number of entry fees) and replace with a new charity in As you can see the exposure for your charity group is HUGE. Not to mention the financial possibilities. EVENT FEATURES The 5k (3.1 mile) course will start and finish at Rock Bridge High School. The final course will be announced soon. Ultramax will deliver the event complete with all the features of the very best running events. Participants in the Turkey Trax Event will receive the following: Custom printed event shirt Ultramax Chip Timing Post-race food and beverages Age Group Awards The Starting Block and other sponsors will provide drawing gifts. About the owners Mark and Amy Livesay are the owners of Ultramax Events and The Starting Block (Columbia and Springfield, Missouri). Together we have finished hundreds of multi-sport events, including 15 Ironman Triathlons. Among those Ironman finishes is a husband-wife appearance at the 2002 Ironman World Triathlon Championships, held on the Big Island of Hawaii. Turkey Trax Event Charity Agreement Terms and Conditions Ultramax Events, The Starting Block and Zimmer Communications (The Group) will fulfill services solely upon the terms presented in this proposal and below. These terms and conditions shall supersede any provisions, terms and conditions contained on any purchase agreement, confirmation or other writing. Client may give or receive, and the rights of the parties shall be governed exclusively by the provisions, terms and conditions hereof. The group makes no representations or warranties concerning services except such as are expressly contained herein, and these terms may not be changed or modified orally. Acceptance of Service Contract If acceptance does not occur within a 10-day period, this Agreement shall be deemed null & void and terminated by silence. Terms of Payment Payment terms: The group agrees to make balance of charity payments in full within (30) days of the event. Event Cancellation Ultramax Events is not responsible for any act of God causing the cancellation of an event. The charity groups will still receive payments on any entries accepted before the cancellation. Limitation of Liability In no event shall The Group be liable for any incidental or consequential damages, including loss of income or profit, even if The Group has been informed of the possibility of such damages. IMPORTANT: The charities involved must agree to the conditions presented in this simple agreement. Please remit signed agreement to ensure your participation in the event.
