1 City Cross Country Championships (Earl Bales Park) Important Reminders New Course: Please be aware that all the courses have been newly designed. Please review maps with your runners prior to the city meet. New course maps have been sent out to all athletic reps and principals and are posted on the HPE Board website. School Seating & Spectators: There will be a NEW designated seating area for schools. All participants, coaches and spectators are reminded not to be on the course watching the races. Due to the reorganisation of the courses all spectators and runners are to remain in one area. We will not be responsible for the sound in any other area of the park. Washrooms: Portable washrooms are being provided. They are the only ones allowed for our use as all the spectators and runners will be in the same area. Parking: Parking is allowed only in the designated parking lots at Earl Bales. Emergency access routes cannot be blocked. Cars that are not parked in the parking lots will be towed at the owner s expense. Police officers will be patrolling this area. Community Centre: The Community Centre is OUT of BOUNDS Clothing: Students must come prepared to the meets for all weather conditions. Athletes must wear an identifying school jersey/t-shirt for the entire meet. Garbage in the Park: we ask all students, staff and spectators coming to the crosscountry meets to reduce, recycle and reuse. In addition to caring for our environment, we also need to keep the parks clean so that we can continue to have permits granted for our meets. Start Time: 9:30 am walkthroughs (Remember all courses have changed) For immediate assistance in the event of an emergency on the day of the meet: Contact Nelli or Peter
2 Welcome to the City Cross-Country Meet! With your help, we can make it a rewarding, safe and enjoyable experience for the young athletes in our care. Here is a reminder of some of the rules which will help us to run a smooth event: 1 Runners may enter only one race. 2 No shoes with cleats, spikes either metal or rubber of any type are allowed. Runners will be disqualified. 3 Course marshals may remove a runner from a race who is in obvious physical discomfort or unable to finish the course in a timely manner. 4 The convenors may disqualify any runner for any violation of the rules of the course or for displaying poor sportsmanship. 5 Coaches, parents and other spectators are not permitted on the course during a race. The finish line and scorers/computer tables are also off limits during the meet. Please assist us in encouraging parents to remain within designated viewing areas. Please see the page on designated viewing areas for the races. 6 All school coaches are to have secured parental permission slips and media consent forms from students and have supervised an appropriate training program before allowing any students to participate. 7 We, the Athletic Executive, are advising principals and coaches that safety is our first and foremost concern: a) The services of a Professional Athletic Therapy Association will be available to serve the needs of athletes and coaches in the area of sport injury management. b) It is very important that coaches supervise their students immediately following the completion of a race to account for all their runners. Coaches are to notify the scorer s table if a runner does not finish his/her race. Please return the runner s sticker to the scoring table. c) All injuries or suspected injuries should be reported to the race officials for necessary treatment and notation. 8 See Excursion Manual for proper supervision ratio. 9 Transportation to the meet is the responsibility of the individual schools. IMPORTANT 10. The park limits the sound system amplification we can use, therefore please ensure that you remain in the spectator/runner assigned area or have someone closer to the sound system to hear the announcements. 3 CITY CROSS COUNTRY MEET TUESDAY, OCTOBER 27, 2015 LOCATION: Earl Bales Park North York. Location: North of Wilson Ave. on the east side of Bathurst St. at the Bainbridge Ave. lights. Parking lots are on the south side of the park by the ski chalet. (Turn right and follow road to the end.) Students, staff, family and friends will proceed to the designated spectator areas. BUS DROP-OFF-Buses are to drop off students by the Amphitheatre and then drive the loop and exit. BUSES ARE ASKED TO REMAIN OFFSITE TO ALLOW MORE PARKING FOR SPECTATORS. They should return only when called by their school. TIME: The walkthrough for all races will commence at 9:30a.m. SHARP! The first race will begin as soon as all walkthroughs are finished. We are aiming for a 10:15am start! If the walkthrough is missed there will be adequate marshals and adult supervisors on the course to assist the runners. Schools are responsible for ensuring their runners are on time and at marshalling area for their races. RUNNERS IDENTIFICATION: Self-adhesive stickers indicating the event and school of each competitor will be affixed to the left shoulder of the runner. Stickers will be handed out to each school s coach on the meet day. Stickers will not be given to individual parents if there are more than 2 of your students attending. Use an Identifying Symbol for your school on the sticker and clearly indicate first and last name of runner. EQUIPMENT: All participants should be properly equipped with shorts (or track pants if inclement weather), running shoes, T-shirts (need identifying school T-shirts or school sweater). Please review the Ontario Safety Guidelines for cross-country running. Please Note: Your competitors must wear identifiable school jersey or t-shirt while competing in their event. There will be a designated marshaling area where runners will gather prior to the start of their race. The marshal will confirm that they are in identifiable school jersey, appropriate running shoes, and have identifying sticker before to proceeding to the start line. **No soccer shoes or shoes with spikes (cleats) are allowed and will result in disqualification
4 REGIONAL QUALIFIERS: The top 22 runners, including team runners, from each race advance to the City Finals. The top 2 teams from each race also advance, (minimum 3 runners make up a team). Third team runners from the top 2 teams qualify no matter where they finish; A 4 th, 5 th, 6 th, 7 th, or 8 th team runner must have finished in the top 22 in order to have qualified. A maximum of eight runners from a single school will be permitted in each race. If a qualifying runner is unable to compete in the City Final, the next finisher in the regional meet should be a substitute. Please inform the convenor of any deletions at least two days before the meet. If a runner is a scratch on the day of the meet, 23 rd runners will be notified before the city meet begins in the morning. SCORING: Age Team Awards The first three finishers from a qualifying team even if they finish outside the top sixty, are counted in the scoring for age team awards. The highest placed team member will be used to break ties. A school with only two runners can not win a team age award. Only the first 60 finishers in each race are awarded points. All other runners will be used as place holders only and will be given a zero value for scoring purposes. The overall CITY CHAMPION SCHOOL winner will be determined on a reverse scoring system based upon 60 points for the winner of each race. The school which accumulates the greatest number of points is declared to be the winner. Team and individual runners are included in the winning school scoring. AWARDS: Individual awards will be given at the end of each race. Age Team awards will be presented as the meet progresses. Overall School Team awards will be announced at the end of the meet. Medals: Ribbons: Pennants: Participation Ribbons: Shield: Plaque: Top three individual finishers in each race For 4 th -20 th finishers per event 50 for the Champion school, 50 for Finalist school To the winning teams in each race plus up to eight medals for the team members For all finishers after 20 th place i.e. 21 st, 22 nd, 23 rd Awarded to the overall City Champion Awarded to the City Finalist J.E. Legault award given to overall City Champion

It will eliminate a great deal of confusion. Please supervise runners that are not competing. *** Students are not to be near the ski hill or parking lots in the park. ****Please note that times are approximate and if time permits, races may be moved earlier.
6 SAFETY I) The services of Professional Athletic Therapy Services have been contracted to provide for primary first aid and to serve the needs of athletes and coaches in the area of sport injury management. It is very important that coaches supervise their students immediately following the completion of a race to account for all of their runners. All serious injuries or suspected injuries should be reported to the race officials for necessary treatment and notation. Bring a first aid kit of your own for minor cuts and bruises. II) Proper precautions for sunny days should be taken. Plenty of water, sunscreen and hats should be included to prepare and protect the athletes. RUNNERS WITH INHALERS or EPI-PENS SHOULD HAVE THEM AT ALL TIMES, EVEN WHEN COMPETING. RUNNERS/SPECTATORS BEHAVIOUR 1 It is expected that the usual high standard of student behaviour be maintained once again through the careful supervision by all coaches. 2 It is especially important that the finish line area be kept clear to facilitate scoring. No students, parents and/or unauthorized personnel are allowed at the finish line. 3 Please try to limit the number of students using the washroom facilities at any one time. 4 Runners, whom officials judge to have conducted themselves in a very unsportsmanlike manner (deliberate pushing, tripping, directing foul language at officials and fellow competitors, not following course markings, obstructing competitors when being taken over), will be disqualified. 5 Parents, coaches and spectators should not be on the course or passed any roped or marked off area. Any individual(s) interfering with runners may cause their school (team) to be penalized. 6. Please note that master convenors will not be discussing results or fielding finishing questions from spectators. If there are any concerns, we ask the school coach to bring the concern to our attention. CANCELLATION AND ALTERNATE DATE: If the meet is to be cancelled, an will be sent to Principals, Secretaries, Athletic Reps and VP s by 8am. Schools will be notified if an alternate date is needed. 7 SPECIAL OLYMPIC RACES: Again this Year at the City Championships we are pleased to offer the Special Olympic Races held in the middle of the meet. These races will be coordinated through Special Olympics Ontario and be held as part of our annual championship day. The races will be approximately 250m contests. If your school wishes to enter students please contact Josh Budish at Special Olympics ext 246 However, please note that any students who wish to participate in these races must have as part of their exceptionality a mental disability. We are not at present equipped for extreme physically challenged students. EARL BALES RACE VIEWING AREA Viewing areas, due to the course changes will be directed by the master convenors. Please verify viewing areas upon registration on the day of the meet.
