2 A T L A N T A T R A C K C L U B Welcome Thank you for joining the 2017 AJC Peachtree Road Race Crew Chief Team. Without your help, it would be impossible to produce the world s largest 10K. Your hard work and enthusiasm during this event has a tremendous impact on the success of the event! This manual will guide and help you understand your role, as well as enable you to enjoy your experience at this year s Peachtree Road Race. Please take the time to familiarize yourself with its contents. Your knowledge of this information will help you be an effective leader and ensure that your experience will be an exciting and a memorable one. Please remember that while you are working for the AJC Peachtree Road Race, you are representing You are our bridge to the 3,400 volunteers who generously donate their time, so please remember to conduct yourself in a professional and courteous manner at all times. 4 The Importance of a Crew Chief Crew chiefs are the foundation of a successful race day. In order to mobilize over 3,400 volunteers, we have identified approximately 150 areas that require your leadership and expertise, not only on the event day, but the weeks and months leading up to it. Atlanta Track Club depends on you to communicate the essential details with your volunteers in a timely manner, engage them with the details of their assignments, and provide them with the knowledge to do their jobs effectively. While doing so, we ask that you establish a relationship with your volunteers that ensures their experience will be a great one, and makes them want to return to work with you next year. Finally, we ask that you consider the future of your area. Identify and train key volunteers to be your successors in case of emergency, or when you are ready for retirement, and give Atlanta Track Club the valuable feedback that will lead to future enhancements to your area. Volunteer Training All volunteer training should take place on event day. If additional volunteer training is required, please work with Atlanta Track Club staff to determine details of a training session. Please plan to hold a short briefing with your volunteer group on event morning and give them the knowledge and tools to perform efficiently on race day. Present your expectations of them and do not assume they know what to do. You can prepare them ahead of time with prodigious communication. You can also send them to the event website to gather some basic knowledge: Encourage your volunteers to visit the website as it contains valuable information that can help them perform their job. Reading through the participant instructions on the website is also highly recommended. Crew Chief Uniform and Check-In All crew chiefs receive a crew chief shirt, crew chief hat, and a credential to be worn on event day. The shirt and credential serves as your official uniform and identifies you as a crew chief which will set you apart from the volunteers. In addition to the shirt, hat and credential, each crew chief receives a volunteer shirt, commemorative pin, Home Depot apron, and a 10% discount Waffle House key fob. Crew chiefs are responsible for coming to the crew chief check-in PRIOR to the event to pick up their crew chief shirt, hat, credentials, goodies, and their volunteers gear. Crew chiefs working the Course will pick up their volunteers tees and goodies at this time. Crew Chiefs working with the start/finish will pick up their volunteers shirts to be handed out to their volunteers on race day. 5 Please make every effort to come during these scheduled times. If one of these times does not work for you, to make other arrangements. Volunteer Uniform and Check-In Volunteers will receive a volunteer t-shirt and credentials that must be worn on event day. This volunteer shirt and credential serves as their official uniform and identifies them as a volunteer to the participants. In addition to the t-shirt and credential, each volunteer will receive a commemorative pin, Home Depot apron, and a 10% discount Waffle House key fob. (Exception: Medical volunteers need only to wear their credential as they will be asked to wear a medical shirt during their assignment and will receive their volunteer t-shirt after their assignment). Volunteers will check in at one of the three centralized volunteer check-in locations, depending on what area they are volunteering at. The only exceptions are Course volunteers, who will check in directly with their crew chief at the area designated by their crew chief. Start and Finish volunteers will receive their credentials and goodies at the centralized volunteer check-in. They will receive their volunteer shirt directly from their crew chief after reporting to volunteer check-in. Volunteer Check-In: Expo Volunteer Check-In July 2 nd and 3 rd Location: Georgia World Congress Center Exhibit Hall C1 All Expo volunteers will check in here before their shift starts and will receive their volunteer goodies Start Area Volunteer Check-In Finish Area Volunteer Check-In Course Volunteers July 4 th ONLY Location: Front of Phipps Plaza Mall near valet entrance on Peachtree Rd. 3:45 am 6:30 am July 4 th ONLY Location: Grady High School Cafeteria; entrance to volunteer check-in is accessible only from the 8 th St. entrance due to security 4:00 am 6:30 am July 4 th ONLY Location and Time: Course volunteers will All Start Area volunteers will check in here, including start wave, runner control, start area medical, start area communications, and start water volunteers. All Finish Area volunteers will check in here, including finish area runner/crowd control, food, finish water and fluids, hospitality, finish area communications, and finish area medical volunteers. All Course volunteers will check in with their designated crew chief, and these include water stop volunteers 4

6 check in directly with their crew chief, at the location and time specified by their crew chief and course marshals. Crew chiefs will pick up all course volunteer goodies at crew chief check-in on July 1 st and July 2 nd Parking Parking for crew chiefs and volunteers varies depending on where you are working. See below for details regarding your specific area: Expo All Expo crew chiefs and volunteers receive a parking pass for FREE parking while working the 2017 Peachtree Health and Fitness Expo. This pass will be ed via the mid-june AJC Peachtree Road Race Volunteer Newsletter. Recommended parking will be in the yellow lot. If Expo volunteers elect to take MARTA, Atlanta Track Club is unable to reimburse for the fare. Start All Start crew chiefs and volunteers are allowed to park in the Phipps Plaza parking deck. You must enter the deck by 5:30 am. If you arrive after 5:30 am, you will NOT be permitted in the area as the roads close at 5:30 am. No exceptions. This pass will also be ed via the mid-june AJC Peachtree Road Race Volunteer Newsletter. Course Each Course crew chief is responsible for identifying parking for his/her volunteers. It is important to identify legal/safe parking for all volunteers. If you identify a location and would like Atlanta Track Club to ask permission to use that location, simply notify someone at the Atlanta Track Club office. Finish All Finish crew chiefs are provided parking at either Grady High School Stadium or Cantoni Furniture. You will receive a SurveyMonkey survey to reserve a spot at either one of these locations. These lots are for crew chiefs ONLY. We strongly encourage all Finish volunteers to take MARTA, get off at the Midtown Station and walk East on 10 th Street to Piedmont Park. It is approximately a 10 minute walk depending on your pace. MARTA schedules can be found at itsmarta.com. MARTA should begin running at 5:00 am on race morning. If volunteers choose to drive, remember parking is limited and 5

7 make sure to park in a LEGAL parking space or you may be towed. Car access to Piedmont Park via 10 th Street is not available so plan accordingly. Atlanta Track Club cannot reimburse for parking at the finish area. Event Alert System (EAS) Atlanta Track Club will implement a color-coded Event Alert System (EAS) for the 2017 AJC Peachtree Road Race. This system communicates conditions of the race course to participants, volunteers and staff in the days leading up to the event as well as on race day. Colored flags will be located at the start line, along the course at hydration stations and in the finish line area. The flags will inform participants of specific alert levels which range from Low (Green) to Moderate (Yellow) to High (Red) to Extreme (Black) and are based on a variety of factors including weather conditions. Be sure you have everyone you want in your group registered prior to this deadline. Crew Chief s those volunteers signed up to date Ongoing ATC orders appreciation shirts April 1 ATC sends 1 st AJC Peachtree Road Race volunteer newsletter May 1 Send your volunteers a "welcome to the team" as they sign up. This lets you introduce yourself and lets them know they are needed and that you will be sending more information as the event draws near. It is necessary to continue communicating with your volunteers from the time they register until race day. Some crew chiefs need these for businesses along the course, or parking lots that grant permission to use, etc. This is the "welcome to the team" newsletter and goes to all registered to date. 1st of 5 newsletters sent. Crew Chief Meeting at ATC Office ATC sends 2nd AJC Peachtree Road Race volunteer newsletter ATC sends 3rd AJC Peachtree Road Race volunteer newsletter Late May June 1 June 15 All crew chiefs will be asked to attend. With all in attendance, the ATC has the opportunity to share all pertinent event information. This meeting also allows for the various areas to break off into smaller groups and work out the details of their assignment. This is the "welcome to the team" newsletter and goes to all registered to date. 2nd of 5 newsletters sent. This newsletter provides the volunteers with an overview of the event and volunteer expectations. The details of their assignment will still need to come from you but this just reinforces the importance of their role. 3rd of 5 newsletters sent. The Expo is hosted at the Georgia World Congress Center in Exhibit Hall C1 located at 362 Ivan Allen Blvd., Atlanta, GA The Expo is free and open to the public. 11 Volunteer Job Descriptions C O M M U N I C A T I O N S Position: Communications (Amateur Radio Operators) Description: Amateur (Ham) Radio Operators provide a layer of communications. Commercial radios are issued to select volunteers. The primary concern of the ham radio traffic is to coordinate communications in the event of an emergency or any other unusual circumstance. Non-critical communications include lead runner positions and supply requests. Time Commitment: A maximum of 6 hours on Race morning, July 4th. Crew Chief will provide specific meeting time and location. Equipment Commitment: Supply your own radio equipment (usually HT) and accessories appropriate to your assignment. What to wear: Amateur Radio Operators will be provided a volunteer shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. C O U R S E Position: Course Monitor Description: Assigned a designated area to monitor along the course. Primarily responsible for keeping the course safe for the runners (i.e. ensure course is clear of pedestrians, spectators, cars, etc.). This is an active position working in conjunction with the police to make sure the course is clear so that runners are uninhibited. This includes making sure runners know which way to go. In case of an emergency, course monitors should contact the crew chief in that designated area. Enjoy yourself and cheer on the runners as they go by! Time Commitment: Maximum of 5 hours on Race morning, July 4th. Course Monitors meet at a predetermined location on the course on Race morning. Crew Chief will provide specific meeting time and location. What to wear: Course Monitors will be provided a volunteer shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. 10

12 Position: Course Vehicles Description: Responsible for pre and post-race vehicle logistics, staging of course vehicle support crew at Race start and direction of the press truck motorcade to assure visibility and outstanding Race coverage. Time Commitment: A maximum of 6 hours on Race morning, July 4th. May require up to 6 hours prior to Race day to manage vehicle logistics and prepare vehicles for the Race. What to wear: Volunteers will be provided a volunteer shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. Position: Aid Station Load & Delivery Description: Pick-up and deliver supplies to each aid-station. Physical activity is required. Time Commitment: A maximum of 6 hours on Race morning, July 4th. Crew Chief will provide specific meeting time and location. What to wear: Volunteers will be provided a volunteer t-shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. Position: Course Water Stop Description: Prepare water tables and serve water to participants at water stops along the course. Keep aid stations clear during event by raking up leaves. Clean up and break down the water station after all participants have come through. Time Commitment: A maximum of 5 hours on Race morning, July 4th. Crew Chief will provide specific meeting time and location. What to wear: Volunteers will be provided a volunteer t-shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. F I N I S H A R E A Position: Runner Control Description: Monitor designated area for problems, answer directional questions, and ensure that runners and spectators are able to get to where they need to be without interfering with the Race. 11

Position: Finish Line Marshals Description: Assist in confirming road closure on Tenth Street, final fencing and sponsor signage setup in finish line area, helping spectators and volunteers to their correct destination, course marshaling at the approach to the finish line. Time Commitment: A maximum of 5 hours on Race morning, July 4th. Report to finish area on Race morning. Crew Chief will provide specific meeting time and location. What to wear: Volunteers will be provided a volunteer t-shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. Position: Atlanta Track Club Member Hospitality Tent Description: Grant entry into hospitality tent for those designated as Members. Ensure each guest in the hospitality tent has everything they need. Monitor designated area for problems, answer directional questions, and ensure that runners and spectators are able to get to where they need to be without interfering with the Race. Time Commitment: A maximum of 5 hours on Race morning, July 4th. Report to finish area on Race morning. Crew Chief will provide specific meeting time and location. What to wear: Volunteers will be provided a volunteer t-shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. Position: Sponsor Hospitality Description: Grant entry to hospitality tents for those designated by particular sponsors. Ensure sponsors are equipped with everything they need. Field directional questions, and ensure runners and spectators are able to get there they need to be without interfering with the Race. Time Commitment: A maximum of 5 hours on Race morning, July 4th. Report to finish area on Race morning. Crew Chief will provide specific meeting time and location. 12

Position: Finish Food Description: Set-up food area, distribute food to participants one item per person to ensure later finisher participants receive food items, and break-down food area at the conclusion of the morning. Time Commitment: A maximum of 5 hours on Race morning, July 4th. Report to finish area on Race morning. Crew Chief will provide specific meeting time and location. What to wear: Volunteers will be provided a volunteer t-shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. Position: Top 1000 Cards Description: Hand out Top 1000 Cards to the first 1000 participants to cross the finish line. Time Commitment: A maximum of 2 hours on Race morning, July 4th. Report to finish area on Race morning. Crew Chief will provide specific meeting time and location. What to wear: Volunteers will be provided a volunteer t-shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. Position: Parking Description: Verify that all cars entering the parking lot are permitted to park in the lot. Time Commitment: Required to work as early as 4:00am and finish at approximately 7:30 am on Race morning, July 4th. What to wear: Parking Volunteers will be given a volunteer t-shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. 13

15 Position: Finish Water Description: Responsible for setting up and maintaining water station area in the finish chute. Time Commitment: Maximum of 6 hours on Race morning, July 4th. Crew Chief will provide specific meeting time and location. What to wear: Fluids Volunteer will be given a volunteer t-shirt to wear on Race day. Dress for the weather and wear comfortable shoes. Position: Finish Area T-shirt Distribution Description: Responsible for setting up and distributing t-shirts to runners, and breaking down the area at the conclusion of the race. Time Commitment: Maximum of 6 hours on Race morning, July 4th. Crew Chief will provide specific meeting time and location. What to wear: T-shirt Distribution Volunteer will be given a volunteer t-shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. Position: Finish Powerade and Coke Description: Responsible for setting up and maintaining Powerade and Coke area on 10 th Street. Time Commitment: Maximum of 6 hours on Race morning, July 4th. Crew Chief will provide specific meeting time and location. What to wear: Fluids Volunteer will be given a volunteer t-shirt to wear on Race day. Dress for the weather and wear comfortable shoes. M E D I C A L Position: RN Description: Provide medical assistance to the runners. Must have medical license. Time Commitment: Arrive 60 minutes prior to the report time of the first volunteer assignment and depart as last runner leaves assigned area. 14

16 What to wear: Always dress for the weather and be sure to wear comfortable shoes as your volunteer assignment will require you to be on your feet. You will receive a credential to wear on Race Day. Position: Medical Spotters Description: Help runners in need of medical attention get to the medical tent. This assignment is physical in nature and does not require any medical training. Time Commitment: Arrive 60 minutes prior to the report time of the first volunteer assignment and depart as last runner leaves assigned area. What to wear: Always dress for the weather and be sure to wear comfortable shoes as your volunteer assignment will require you to be on your feet. You will receive a credential wear on Race Day. Position: Medical Doctor Description: Provide medical assistance to runners in need of medical attention. Must have medical license. Time Commitment: Arrive 60 minutes prior to the start of the Race and depart as last runner s leaves assigned area. What to wear: Always dress for the weather and be sure to wear comfortable shoes as your volunteer assignment will require you to be on your feet. You will receive a credential to wear on Race Day. P R E - R A C E Position: Expo Description: Set-up and staff Atlanta Track Club booths and areas at the Expo; hand out race numbers to participants. Time Commitment: Expo is July 2nd and 3rd. Each volunteer would be asked to work an AM, Mid, or PM shift. Each shift lasts 3-4 hour hours. What to wear: You will be provided with a volunteer t-shirt and credential to be worn during your shift(s). Wear comfortable shoes because you will be on your feet. 15

17 Position: Course Practice Water Description: Sets up, maintains and breaks down aid station located along Peachtree Course. Time Commitment: Maximum of 3 hours on assigned Saturday and/or Sunday in June. What to wear: Course Practice Water Volunteer will be given a volunteer t-shirt to be worn while working. Position: Office Help Description: Possible duties include: data entry, mailings, phone calls, proofing data, etc. Time Commitment: As available. What to wear: Data Entry volunteers will be given a volunteer t-shirt. Position: Pre-Race Construction Description: Helps set-up start and finish area. Volunteers are outside and must be prepared to work in the sun and heat. Work is physical. Time Commitment: July 1-3 at either the Start or Finish. Time is flexible as construction takes place from 7am- 4pm daily. What to wear: Pre-Race Construction volunteers will be given a volunteer t-shirt and credential. While working dress for the weather, wear comfortable shoes, sunscreen, etc. S T A R T Position: Runner Control Description: Show runners where to go on Race morning. Line up the runners in their designated areas, and clean up the area after the Race begins. Time Commitment: Maximum of 5 hours on Race morning, July 4th. Crew Chief will provide specific meeting time and location. What to wear: Runner Control Volunteers will be provided a volunteer t-shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. 16

18 Position: Traffic Control Description: Provide traffic control, direct runners to the start, and clean up the area after the Race begins. Enjoy yourself! Time Commitment: Maximum of 5 hours on Race morning, July 4th. Crew Chief will provide specific meeting time and location. What to wear: Traffic Control Volunteers will be provided a volunteer t- shirt to wear on Race day. Dress for the weather and wear comfortable shoes. Position: Start Water Volunteer Description: Set-up, maintain, and clean up the aid station. Time Commitment: A maximum of 5 hours on Race morning, July 4th. Crew Chief will provide a specific meeting time and location. What to wear: Start Water Volunteers will be provided a volunteer t-shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. Position: Start Wave Volunteer Description: Start Wave Volunteers will maintain their start wave corral with signage and ropes, and ensure that only runners from their wave (and runners from earlier waves, as per the race rules) enter the start wave corral. Volunteers will escort the start wave to the starting line and send them on their way. Time Commitment: A maximum of 4 hours on Race morning, July 4th. Crew Chief will provide specific meeting time and location. What to wear: Start Water Volunteers will be provided a volunteer t-shirt and credential to wear on Race day. Dress for the weather and wear comfortable shoes. 17

19 Atlanta Track Club Crew Chief Tool for Volunteer Management Using VolunteerLocal VolunteerLocal is the new volunteer management tool Atlanta Track Club has adopted for our Signature events. This tool allows crew chiefs to manage all of their volunteer groups for our 4 major events, all in one place! Note: VolunteerLocal does not automatically send you an when a volunteer registers for your group. If you are not receiving s with each new volunteer and would like the notification turned on, please contact Caryn Lamphier. Below Find Instructions On How To: 1. Check on your group to see how many/who have registered (REPORT) 2. Download your volunteer data for more details and addresses (EXPORT) STEP 1: Go to: volunteerlocal.com 18

20 STEP 2: Sign in using the password you ve created when you opened your ed invitation from volunteerlocal.com. This will be your password forever more, for all big events so please remember it! (Publix GA Marathon, Peacthree, PNC 10 Miler, Thanksgiving Day Half). If you need me to send you new instructions in this introductory period, and let me know. STEP 3: Roll over Volunteers and click either Report or Export. Report allows you to see the volunteer jobs you are managing as crew chief and check volunteer numbers and names. Export allows you to download all volunteer data and give easy access to list for communications. (If you do not see any jobs, or see incorrect jobs, contact me right away and I will fix!) 19

21 REPORT: Click on your job(s) to see who is filling your spots! EXPORT: Click the Event name that you d like to export data from. 20

22 Click CHECK ALL for both the custom and standard fields, or alternatively, check only those fields you d like to see. Click Export Volunteer Data and get your report! 21

23 Appendix C O U R S E M O N I T O R Tips for a Successful Course Monitor Be prepared to move to assigned location in car or by walking using map provided Wear safety vest at all times Identify yourself to the police person at your location, if present, and work as a team with them. (They are responsible to handle traffic.) Give 200 yard notice to race lead runner for upcoming turns Give both visual and verbal signals to runners at corners to indicate direction of turn. Make sure runners know where to go. Cheer enthusiastically for passing runners At end of shift, leave vest on a cone or return to cone crew truck Remain at course station until cone crew passes Remember that while your mission is to protect the runners your own safety is primary. Atlanta Track Club is not asking you to put yourself in danger in any way. Be familiar with location of water stops and aid stations A I D S T A T I O N Tips for a Successful Aid Station ALL volunteers must wear gloves at all times Volunteers responsible for raking cups or picking up debris should not be the same crew that handles fluids. If volunteers must crossover tasks be sure to put on clean gloves Aid Station order should be as follows: Powerade and then water Make layers of water in preparation of coming runners Be sure all stations are clearly marked to help participants as they approach station Be sure to keep aid station clear of unnecessary cups, clutter, trash, etc If the station is adequately staffed, then volunteers could hand out water or Powerade to participants. If staffing is low, be sure to keep volunteers behind the tables restocking and allow the participants to grab fluids. 22
