Check equipment for faults as part of a regular maintenance regime. Undertake a hazard assessment of any new piece of equipment. Place equipment where it is easy to use & does not interfere in the flow of the office. Trips/Slips Slippery floors Cords Unsecured floor coverings Storage Steps Falls causing injury Arrange office so extension cords are not across walkways. Use non-slip surfaces on floors. Clean up any spills immediately. Use anti-slip polish. When replacing flooring use anti-slip variety. Identify trouble spots & place up signs on wet days. Enforce walk rather than run policies. Use hanging power points or use cord covers. Use appropriate storage rooms/shelving to remove trip hazards. Keep stairways, corridors & fire exit doors clear at all times. Lighting Insufficient Too much Glare Flickering Eye strain Headaches Use blinds for too much light. Inadequate light levels stronger bulbs. Look at using lamps or adding more lights. Have the office surveyed with a light meter. Arrange equipment so screen & workers are not affected by glare. 2 02 Lifting/Manual Handling Back injury Muscle strain Make arrangement with couriers to handle heavy packages or take them where it needs to go. Use a trolley. Ask for assistance if item is too heavy. Provide manual handling training. See Manual Handling Control Plan for more suggestions. Refer to OSH publication, Code of Practice for Manual Handling. Store heavier items at waist height or lower. Computer use Occupational Overuse Syndrome Back/neck injury Circulation problems Make sure workstation is set up correctly for the workers (an expert may be required or use Co s on line training). Vary tasks as much Instruct workers on safe computer use take breaks, exercise, good posture. Ensure chair is adjustable & there are copyholders & other pieces of ergonomic equipment. Use in accordence with ACC short guidelines for using computers. Work organisation Constrained postures Back injury Stress Ensure the task is undertaken with enough room & good posture is maintained. Organise work so that tasks are varied & not overly repetitive. Ensure office is adequately staffed. Ensure office workers are aware of site rules and have access to the PPE required in other areas they have permission to enter. Photocopier Ozone Toner Lung function problems Chemical poisoning Have a trained technician change toner cartridges if its an issue. 3 03 Telephone use Abusive or threatening calls Ergonomics Stress Occupational Overuse Syndrome Neck/back injury Develop procedures for dealing with abusive or threatening calls. Ensure workers are trained in above procedures. Instruct workers never to hold the telephone handset between their neck & shoulder as this can cause serious neck injury or stroke. Provide workers with telephone headsets if call volumes are heavy or answering telephone is undertaken in conjunction with using the computer. Workload Stress Ensure the office is adequately staffed. Ensure workers are sufficiently trained to complete work required. Make sure job descriptions are clear. Encourage staff to report high workloads to their manager. Environment Cold Hot Drafts Ill health Heat stress Locate desks so workers are not in drafts. Allow for good ventilation. Organise office so workers are not sitting in direct sunlight. Provide a barrier between staff & entranceway to combat drafts, if the door needs to be kept open. Comply with NZS 4303 Ventilation Air Quality. Keep kitchens, bathrooms & other communal areas clean & tidy. Noise Stress Hearing damage Headaches Noise induced hearing loss Provide appropriate barriers between workers.
