Approve the Special Event calendar for 2018 and the recommended venues. 2. Authorize the City Manager to execute the two separate stage and sound contracts to Southern California Sound, Stage and Lighting Corporation for the Festival of Whales Concert and Concerts in the Park. ISSUES: Establish a preliminary calendar of Special Events sponsored by the City and approve the recommended venues. DISCUSSION: To meet the growing expectations of the residents and visitors to Dana Point, it is necessary to establish a well-balanced events schedule taking place in Dana Point, and to create a calendar for publicity and scheduling purposes. When planning the calendar it is important to avoid competing with other events sponsored by non-profit, or governmental entities. The calendar consists of City events, City co-sponsored events, private/commercial events that pull special event permits, and non-profit fundraising entities. With City Council approval, staff will adapt the proposed calendar of events and secure the necessary venues and finalize contracts.

2 02/06/18 Page 2 Item #12 In 2017, the City contracted with Southern California Sound, Stage & Lighting Corporation (aka Star Way Productions) to provide quality stage and sound equipment and professional technical staffing for the Festival of Whales Concert, and Concerts in the Park. Staff received high praise from concert attendees, entertainers, and support organizations regarding the professionalism, the high quality equipment and the expertise of the technical staff for Southern California Sound, Stage & Lighting. In order to secure professional sound and stage services for 2018 staff solicited competitive bids from the following companies: Southern California Stage & Lighting Corporation P.O. Box 883 Murrieta, CA Atmosphere Events Rancho Parkway South, #125 Lake Forest, CA Mark Wood Entertainment & Production Sky Park Circle, Suite K Irvine, Ca SOS Entertainment 1414 Golden Crest Drive Escondido, Ca Vendor 6 Event Total * Southern California Stage & Lighting Corp. $38,375 Atmosphere Events $50,630 Mark Wood Entertainment & Production $52,455 SOS Entertainment $59,850 *One event, the Festival of Whales Concert, will occur this fiscal year (FY18), and the five Summer Concert Events will occur next fiscal year (FY19). Based upon the bids received, and the level of professionalism that they bring to our events, staff recommends awarding the contracts to Southern California Sound, Stage & Lighting Corporation (aka Starway Productions).
