Please ensure that sufficient time has been allowed for entries to reach the office within the deadline stipulated. We recommend that you send your entry via special delivery to ensure receipt. Please see the box below for a guide on how to fill in your entry form for this event: GUIDE TO FILLING OUT YOUR ENTRY FORM Online Entry 1. Go to the Swimming website at 2. On the front page there is a link to the online entry; please follow the instructions. 3. If your chosen payment option is debit or credit card please follow the Paypal payment instructions. 4. If you choose to pay by cheque, please ensure these are made payable to British Swimming Ltd and that the title of the event British Gas Swimming Championships, swimmers name, British Swimming registration number and club are written on the back. Attach your cheque to a copy of your entry form and ensure that both reach the Events Department by the closing date (March 3 rd 2010). 5. If you are submitting entries for multiple swimmers, please send one cheque to cover all entries. Postal Entry Disability and Foreign entries 1. Complete the entry form enclosed in this pack (please note there are two separate entry forms). Please ensure that every section is completed accurately. 2. Fill in the credit/debit card form with your card details or alternatively: 3. Enclose a cheque or Postal Order made payable British Swimming Ltd. If submitting entries for multiple swimmers, please send one cheque to cover all entries 4. On the back of your cheque, please ensure that the following information is written clearly: Swimmers name, club and British Swimming registration number Title of event British Gas Swimming Championships If entering more than one swimmer, please ensure that this information is included for each swimmer. If you require confirmation for the receipt of your entry please enclose a stamped self addressed postcard (this is not a confirmation of entry). All entries and the appropriate entry fee (both online and posted copies) must be received in the Events Department by 12 Noon on Wednesday 3 rd March Entries will not be processed until payment has been received and will be rejected if they do not arrive by the closing date. Entries sent without fee, entries incorrectly completed and improved entries will not be accepted. Please enclose an A4 Stamped Addressed Envelope for the return of your entry confirmation.
3 Confirmation of entry will not be sent to competitors. A list of processed entries will be available via the online entry front page on the British Swimming website Competitors are requested to check their details carefully and inform Barry Saunders immediately if there are any errors on (after 6pm) or national.entries@swimming.org (at anytime). Entry Fees Individual Events Relay Team (clubs will only be permitted to enter one Team in each event) Session Times The session times will be as follows each day: Heats: 9am Finals: 4pm Training Training will be available for all competing swimmers on Saturday 27 th and Sunday 28 th March in the leisure pool at Ponds Forge ISC. Training times are as follows: 7.30am 9pm on both days. Warm up and Swim down The warm ups will take place at the following times each day: Heats: 7.15am 8.45am Finals: 2.30pm 3.45pm The diving pool will be available for warm-up & swim down during competition time. Withdrawals Full details of the Withdrawal Procedure will be published with the swimmers Information Sheet after the closing date has passed. Doping Control Swimmers are warned that random doping control may take place during these championships. Please ensure that you bring with you to the championships your passport or other form of identity, which incorporates your photograph. Accreditation Competitor accreditation will be issued to your coach from 5.00pm at the accreditation desk at Ponds Forge, the day before the competition starts (Sunday 28 th March). Accreditation must be worn at all times inside the complex and swimmers will not be allowed to gain access to the pool area without it. Accreditation is non-transferable and only one accreditation pass will be issued - if this is lost or mislaid during competition you should report to the British Swimming stand where a replacement accreditation will be issued at a charge of Coaches Passes/Chaperone/Physiotherapist passes All coaches, chaperones and physiotherapists must have a valid accreditation to gain access to the pool deck. Spectators Information Tickets and programmes will be available to buy from the website early in Tickets will also be available to buy on the day of the competition from the British Swimming desk in the foyer at Ponds Forge ISC. Any tickets which are purchased in advance of the Championships via the website will be sold at a discounted price (please note programmes will remain at 5 regardless of when purchased). Pre-
4 ordered tickets and programmes can be collected from the advanced ticket sales desk in the foyer at Ponds Forge ISC. Please be aware that online ticket sales will only be available up until 22 nd March After this point tickets can only be purchased at the event. Used responsibly, such devices are perfectly safe, but sharing images widely may betray a confidence or even an identity & such information may help those who might want to harm children. The use of such equipment is difficult to control but we can all be vigilant & if you have any concerns in this area, please bring them to the attention of someone responsible. This event will be photographed and videoed. Static images will be displayed on the website at the venue and used to promote the sport at this event and events in the future. Moving images will displayed at the venue and used to produce DVD s which will be sold at the event. British swimming and the ASA work closely with our experts to ensure that in making these images available to enhance the presentation of the event; we are not putting any children at risk in any way. 8 BRITISH SWIMMING LIMITED BRITISH GAS SWIMMING CHAMPIONSHIPS (50m) General Conditions 29 th March- 3 rd April 2010 [a] The British Swimming Managing Board ( the Board ) reserves full powers over the British Gas Swimming Championships (50m). [b] The Championships shall be held at a venue and for a period determined by the Board. [c] The Championships shall be competed for annually under FINA Rules, the British Swimming Judicial Code and any additional conditions (printed in the respective Meet Information). Where FINA Rules do not provide (eg Health & Safety Regulations or Child Protection Guidelines) the requirements of the ASA shall apply to events held in England or Wales and the requirements of SASA shall apply to events held in Scotland. [d] Entries may only be accepted from competitors registered as members of the ASA, SASA or WASA, or competitors from one of the countries affiliated to FINA. Where required to do so, competitors shall present their passport for age verification to the National Events Administrator not later than 15:00 hours on the day before the Championships begin. [e] A competitor must have been a registered member, or equivalent, of the club in whose name he is entered, at least 60 days prior to the first day of the Championships. [f] Individuals forming the teams must have been registered members of the club, at least 60 days prior to the first day of the Championships. A swimmer entered in the name of one club in the individual events may not compete in the name of another club in the team events. [g] Only competitors who are eligible to represent ASA, SASA or WASA, will be eligible to progress to semi-finals and/or finals. 2.0 The Events Individual: 50m, 100m, 200m, 400m, 800m [Women] & 1500m [Men] Freestyle, 50m, 100m, 200m Backstroke, Breaststroke & Butterfly 200m, 400m Individual Medley Team: 4 x 100m Freestyle & Medley 4 x 200m Freestyle 3.0 Entries [a] Entries shall be received by the appropriate Championship Administrator ( the Administrator ) by the relevant closing date, accompanied by the appropriate entry fee. [b] Competitors whose entries have been accepted will be expected to swim unless they have complied with the withdrawal procedure. [c] Entry times for all individual events must be recorded in the British Swimming Rankings from Swimming Competitions designated or licensed for entry into National competitions since 1 st May [d] A swimmer may only compete in the name of one club at the competition. [e] A club is permitted one entry in each team event. 4.0 Trophies and Medals [a] Perpetual Trophies, as appropriate, will be presented to the Champions. [b] Medals shall be awarded to the competitors placed first, second and third in the Final 5.0 Officials [a] Technical Officials shall be selected from lists approved by British Swimming. 6.0 Doping Control [a] Competitors taking part in the Championships may be subject to random doping control; [b] Competitors are required to bring with them either a passport or other form of identity incorporating their photograph. All competitors must be registered as members of a swimming club affiliated to the Amateur Swimming Association (ASA) Scottish ASA (SASA) or Welsh ASA (WASA) at the time of entry. Qualifying times must have been achieved in the 12 months immediately preceding the closing date and may be achieved in either a long course or a short course pool. Times from time trials will not be allowed. All classes of swimmers will swim together (Multi-Disability). Finalists shall be determined by the top 10 British Disability Point scorers from the heats according to the competitors classification, the stroke and the distance. There will be the appropriate number of heats (dependent upon entries) and a final for each event (no semi-finals or B finals will be held). In the event of a dead heat of equal points which results in the number of finalists exceeding eight a swim-off shall take place to determine which of those swimmers shall go forward to the final. A minimum of 3 swimmers must progress from the heats for a final to take place. Finals shall be seeded by time. The competition shall take place under the relevant IPC Swimming, Swimming Rules. Please note: FAC s are no longer required for submission at the British Gas Championships.
11 Accreditation All coaches and personal care attendants must have accreditation. Personal care attendants will only be permitted for swimmers in the following classes: S1, S2, S3, S4 and S11. Such attendants will be excluded from any restrictions and will be given the same accreditation as the swimmer for whom they have personal care responsibilities. A swimmer in any of the classes as specified above may have both a coach and a personal care attendant present. The first accreditation will be at a charge of 15. The second accreditation will be free of charge. All applications for both coaches and carers must be made to the National Events Administrator on the official form supplied. Two passport size photographs will be required for each pass. All coaches, chaperones and personal care attendants must conform with the ASA child protection procedures. Medals Medals shall be awarded on a multi-disability basis to 1 st, 2 nd and 3 rd place in each event. Medals shall be awarded to the top three British Disability Point scorers in each event. If there are less than four competitors in any one event then a minus one ruling shall apply. If there is only one competitor in an event then a medal shall be awarded if he/she breaks the British record, for their classification. Medals shall be awarded during the relevant session that the event has taken place. All swimmers shall be required to present themselves to the awards steward when notified. 16 ALL APPLICANTS MUST BE CRB CHECKED THROUGH THE ASA PLEASE SEE INFORMATION BELOW. Applicants are advised the CRB process can take at least 4-6 weeks to complete, forms can be obtained through the ASA CRB Office on All applicants must be registered with a club. The ASA will not be processing CRB Enhanced Disclosure Certificates issued by other registered / umbrella body organisations from 1st January The ASA have endeavored to offer a portability service but this has been increasingly difficult due to the withdrawal of support from other registered bodies, who will not share information they have received with The ASA. Accordingly and with regret this service will be withdrawn with effect from the 1st January All ASA clubs and license applicants will have to complete a CRB application form regardless of any previous enhanced disclosure they have with another organisation, however recent. Further information on the CRB guidelines on portability are available on their website at First time applicants must complete both the CRB form and Self Declaration form (purple). The purple form will allow an individual to appear on the club s child protection list whilst the CRB application is being processed. The purple form gives the applicant the opportunity to declare any convictions that may appear on their disclosure. Forms obtainable from ASA CRB Office ( ) All new applicants must enclose 1 passport sized photograph and existing coaches may provide a new photograph or photograph held on file will be used. Please note in order for the pass to be valid coaches must have swimmers attending the relevant competition that the pass has been issued for. The closing date for coach s passes will correspond with the closing date for entries to the relevant competition. Annual Coach passes (for all 5 events must be applied for by the British Championships closing date Monday 1 st March 2010.) IMPORTANT Please note that Coaches/Chaperones will not be allowed on poolside without a valid pass. Under no circumstances will Coaches/Chaperones passes be issued on the day of competition. Lost/replacement passes will be charged at 10.00
