1 2015 Summer Swim Team WELCOME Welcome to the Ashland Aqua Aces summer swim team. We are glad you are choosing to join us. The main goals for swimmers are to have fun, learn the four basic competitive swimming strokes, improve both technique and times, grow as a person, and to learn to be a part of a team. This packet provides all the information you need to make it through the season as a swim team parent. If you have any questions, please feel free to contact me at any time! 3 THE COACHES We have a team of coaches who are excited and ready to work with your swimmer this summer. Our head swim coach this year will be Caitlin Howman. Assistant swim coaches will be Kristyn Krohn, Morgan Riley, and a team of volunteers. Our coaches have years of experience as swimmers and coaches. Their experience ranges from qualifying for Olympic trials as a swimmer to coaching alongside the Olympic swim team coach; from age group record holders to age group championship coaching. But they are also parents and teachers and know how to engage and stimulate young people to learn, try hard and succeed. Your children will get high quality coaching, technique tips and hours of fun with this group of coaches! If you have any questions, please contact Caitlin at or by at prdteacher@yahoo.com THE LEAGUE The Aqua Aces summer team competes in the Greater Mansfield Aquatic Conference (GMAC). Our swim meets will be during the months of June and July. It is a summer league, so it s more laid back than winter swim team -- we hope you enjoy your time with us. For league information, please check out the summer website: Our parent representative to the league is Kelly Kuhn. She can be contacted at (cell). FEES All Swim team members are required to be members of the Ashland Y. There are discounted three month summer memberships available, which can be purchased at the front desk of the Y for $ Please see the front desk for more information on memberships. Remember that scholarships are also available from the YMCA. Please see the front desk for more information on a scholarship. The Swim Team Fee for summer team is $ payable to the Ashland Y. This includes your $10 fee to the league. This should be turned in at the Front Desk before the first practice on May 19 th. PRACTICE SCHEDULE / ATTENDANCE Swim Practice (all practices held at Ashland YMCA) May 19-June 4: Tuesday, Wednesday and Thursday from 6:15 7:45pm June 8 - July 16: Monday 9-10:30 am, Tuesday and Thursday 6:15-7:45 pm, and Friday 9-10:30 am High School Coach Krissy Geren will be running Junior high/high School practices Monday, Tuesday,Thursday and Friday 6:00-7:30am for those interested in attending those practices. We realize summer is summer! People have vacations, camps, and a million other things planned. We do not expect everyone to attend every practice. Our hope is that each swimmer attends at least two practices per week. Please choose the ones that work best for your schedule. However, please realize that the more you practice, the more improvement you will see. Relay participation may also be based on practice attendance. MEETS A meet schedule is attached, as well as directions to each away meet. Sign-up sheets for each meet will be posted on the swim team bulletin board in the pool hallway. These sign-up sheets will be taken down 2 days before the meet. Please confirm your child s participation on this form, or mark that they will not be competing or if there are any special circumstances we need to know about. If you do not come into the YMCA regularly, you can also call or Coach Caitlin at least 2 days before each meet to indicate your participation. If nothing is marked by your child s name and we have not heard from you, we will assume your child is not competing in the meet and therefore will not enter them in any individual events or relays. Please note that dual meets usually run about 3 hours, and all of our away meets are outside. We continue to swim the meets in rain unless it is lightning. If it is questionable weather, please call the Y at and the front desk person will have information about any change of plans. Swimmers may swim up to 3 individual races and 2 relays per meet. We will encourage swimmers to try different events throughout the season. Please remember that your swimmer is a part of a team and that sometimes this means they will be asked to swim events that are not their favorite, or asked to swim in an age group that is not their own. We do this to either give that swimmer a different experience or to gain points we would not be able to get otherwise. In our league, swimmers are able to move up an age group but not down. 5 The GMAC Championship Swim Meet is July at Walnut Hills. If you are swimming with the Aqua Aces Swim Team this summer, you are expected to participate in the GMAC Championship Meet. Please try to schedule your vacation around this date. Everyone swims in this meet unless they have let us know ahead of time. Please let us know as soon as possible if you know you won t be here for the GMAC championship meet. * Swimmers must swim in 4 dual meets in order to swim in the GMAC meet. What do I bring to meets? We encourage parents to bring lawn chairs to meets, as there are normally not enough seats for everyone. Get there early and stake out a good spot! Other things to bring include swim suit, goggles, cap and towel(s) for your swimmer, sunblock for outdoor meets, water bottle and snacks (there are usually concession stands at each meet as well). For longer outdoor meets, pop-up canopies are helpful to have a place to get out of the sun. You may also want to bring a sleeping bag or blanket for your swimmer to stretch out on, and things to occupy younger swimmers (video games, coloring books, portable DVD players, cards, etc.). Try Out Week will be on May 11&14th call to schedule an appt with Jen the aquatic director. Do you have a friend or family member who is not so sure about swimming and is 1 st year swimmer for Aces? This will be a chance to schedule a time slot to have your swimmer assessed to determine their ability level. (Please sign-up at the front desk for a time slot) PARENT INVOLVEMENT We are glad you are going to join our group of parents who work to provide a great team experience for your child. Our team has been successful because our coaches have been able to focus on coaching, and not worrying about all the details of running meets and extra activities. This is possible because we have an amazing group of parents who get involved and lend a hand. We hope you ll get involved! Here are some ways parents can get involved: Team Treasurer: The team is looking for a detailed, responsible person to serve as our treasurer. Duties include collecting parent group fees, processing check requests for various items, and keeping accurate records of the team checking account. The treasurer works with the YMCA Business Manager to make deposits, get checks, and balance the account. Volunteer Coordinator: The coaches do not have time to find parents to work at each meet, so we depend on a parent volunteer to help manage all of the other volunteers throughout the meet. This person is responsible for posting a sign-up sheet for volunteers, ensuring that enough parents volunteer, and making sure all parents get to the right spot at each meet. Concession Workers (Home Meets Only): Parents will purchase, make and sell snacks at our meets. This is a great way our team earns money! We will also always accept any donated items for the concession stand (cookies, snacks, drinks, paper products, etc.) Parents who work in the concession stand will be relieved to go watch their kids swim. 6 Timers (Home and Away meets): If you can push a button on a stop watch, you can serve as a timer! We normally need at least 12 parents willing to volunteer as timers at each meet you ll only work half the meet. This gives you a front row seat to watch the meet but you may get a little wet. Officials (Home and Away meets): Officials keep a close eye on swimmers during the meets to ensure their starts, strokes, turns and finishes are legal according to league rules. All GMAC officials and starters must attend the training on May 31 st and June 2 nd. We really need 3-4 parents to help in this area this summer! Scorers (Home meets only): Because we don t use the timing system for the summer, we need 3-4 parents who will take the times on the cards from the timers, average them, compare them to the place results from the officials, and record all information on the score sheet. We will train you, so don t let this be intimidating! Runners (Home and away meets): As a runner, you will work half the meet, collecting time cards from the timers and taking them to the scorer s table. Bullpen workers (Home and away meets): We run a bullpen for our younger swimmers to help them get to their events at the right time. Workers help collect the younger swimmers, line them up, and get them to the right lane for their events. Meet set up and tear down (Home meets only): Before each meet, we need at least 6-7 parents to help set up bleachers, the scorer s table, the concession stand, and a few other odds and ends. If we get a good team together, it won t take very long! Meet tear down (Home meets only): We ask ALL PARENTS to stay after home meets to help clean up and tear down. We have to sweep the deck, put everything away, and clean up the concession stand and locker rooms. If we all work together, no one will have to stay long! We understand if you are new that it may be intimidating not knowing what is going on. However, you will learn faster if you jump right in. We will teach you. It often helps in getting to know the others on the team. Ideally we would like to have parents only have to work half of a meet and watch the other half. However, this is not always possible when everyone doesn t work. Please be willing to volunteer and step forward before being asked. It will make for a much smoother season. COMMUNICATION This is key for the summer. This is a short season and two-way communication is very important. We will put out a newsletter via once a week (usually Sunday evening or Monday morning). PLEASE make sure to read this. It will contain any meet information, any changes to the schedule and other important information. We will also be setting up a text message group to receive quick and important updates via text. Please mark on your parent form if you want your cell phone number added to this list. We will also utilize the team s Facebook site on a regular basis for fun updates and photos. Like us on Ashland Aqua Aces Swim Team to be a part of that community. Aqua Aces Summer Handbook Page 6
7 The swim team has a bulletin board in the back hallway by the pool. We will put any pertinent information on the board, including meet sign ups, announcements, copies of the weekly newsletter, and other information. Please make a point of going into the Y every week to look at the bulletin board. If you have questions, concerns or issues at any time, please call Coach Caitlin at (cell) or her at prdteacher@yahoo.com EXPECTATIONS OF SWIMMERS We are glad you want to join the swim team. We are excited to work with you and we hope you learn a lot and have fun!! Before you come, we want to let you know what we would like from you. 1. Respect Please note that we are a team of coaches we are working together for you and we ask that you respect each of us no matter who is working with you at the time. As well as respecting Teammates! 2. Be on time We understand that there are times it can t be helped and this is ok. However, please make the effort to be on time. It helps everyone. Make sure you are on deck ready to go at the time practice is scheduled to start. Plan to arrive at the YMCA minutes prior to that in order to change and get ready to go. 3. Be ready to give your best and work hard. There will be times when you are tired. This is OK! Work through it and push yourself. You won t see much improvement if you aren t willing to work. 4. If at any time, something is too difficult for you, you have a problem, or you feel PAIN (not just soreness) please tell us, we all care about you! 5. Remember even though most of your events are individuals, you are on a team. Cheering and supporting ALL your teammates is a great encouragement to everyone. Please participate in all team activities. 6. Meet warm-ups. In the past we have had difficulty with some swimmers choosing not to warm-up. We expect everyone to do this. It is a very important part of the meet. Please be ready for stretches 10 minutes before warm-up. Two older swimmers will be asked to lead these at every meet. HIGH SCHOOL SWIMMERS Some high school swimmers train at other camps throughout the summer and still compete with the Aqua Aces. We are happy to have you! Please remember that you are a role model; the younger swimmers follow your example and attitude. Please make sure you warm up at the right time, and join in other team activities (cheers, parade, etc.). You ll still need to register with the team and pay the team fee. You ll also be expected to let the coaches know 2 days before each meet if you will be competing. If you would like to volunteer to help the younger swimmers, please see Coach Caitlin. You can get a $25 discount on your fees if you are willing to help out with at least one practice per week. Aqua Aces Summer Handbook Page 7
