2 Introduction & Background IMPORTANT INFORMATION and RULES FOR ENTRY INTO THE GALA The 2016 Club Championship 25m Events and Development Championship will take place December. These events are aimed at swimmers in ALL Development Squads, Club Squads & Academy. Development Events can only be entered by swimmers, who do not have a Middlesex County Qualifying time for a stroke & their age in 2017, these events are NOT licensed. Hence, times will be added to the TSC Hytek system but will NOT be submitted for inclusion on Nationals Ranking NEW 2016 Place medals will be awarded for 25m events (this replaces the Novice Medals presented in 2016) NEW m events for 9 years will be Development events restricted to Development Saturday 4:00 & 4:30 members Reminder: The programme may need to be adjusted after close of entries. Swimmers entering all events and deciding, what to swim later results in scratches. This in turn affects the estimates regarding how long a session will take and could mean the programme is amended or another swimmer s entry is refused unnecessarily. Who can Enter? All ASA category 1 & 2 registered members of Teddington Swimming Club. Some events are restricted to specific squads and or age groups, as detailed later. How to Enter? All entries must be made using the TSC online entry facility available via Teddingtonsc.co.uk This document is also available on the meet entry page at Teddingtonsc.co.uk The Promoter reserves the right to restrict entries to ensure the smooth running of the gala. The Club Championships are organised and managed by volunteers. A team will be responsible for arranging swimmer management, officials, recording, front of house etc. If you can help please use the online form Under Gala s to register your details. 4 PROMOTER S CONDITIONS 1. All events will be conducted in accordance with FINA & ASA Technical Rules for Swimming 2. Competitors must be full members of Teddington Swimming Club. ASA registration numbers MUST be included on the entry submitted. 3. The entry window will be Friday 21 st October to Monday 28 th November for events on 17 th & 18 th December No late entries will be accepted. (Please note it is of the responsibility of the swimmer/parent to check published entry list carefully and report omission in the requested timescale) 4. Entry lists will be published a week after close of entries. Swimmers must check these lists. Swimmers/parents will have one week to report any omissions or errors. 5. Ages will be as at 31 st December All entries should be made using the online entry facility. 7. The Club is using Hytek software and this will be a card-less meet. All swimmers must therefore sign-in for each event they are swimming. Sign in will be 30 minutes prior to the commencement of the session warm-up. Swimmers, who know in advance they will withdraw from the gala or an event, should clubchamps@teddingtonsc.co.uk prior to the gala. 8. All events are seeded from slowest to fastest according to entry time. Where entries without entry times are permitted, those swimmers will swim before those with entry times. Swimmers with no entry time will be seeded by the meet management software. 9. The final heat of each event will be swum in a spearhead formation 10. Over the top starts will be used at the discretion of the Promoter and the Referee. 11. Gold, Silver & Bronze medals will be awarded to the first, second and third placed swimmers in each Event. Place medals for fourth, fifth & sixth places will be awarded for 25m events ( Both Championship & Development 25m) 12. Medallists will be announced as soon as possible after each race has finished. Medals will be available from the Medals desk during the gala, swimmers who do not collect their medal(s) on the night will need to arrange collect during a Teddington Training Session. 13. Entry for spectators will be 4 per adult, payable on the door. Children under 8 will be admitted free of charge, but must be supervised. Spectators will be issued with a wrist band to confirm payment. 14. The programme will be ed to swimmers prior to each session. If possible Hytek Meet Mobile will be used to publish heats and results. 15. Data Protection Swim meet entries and results will be managed on a computer. By submitting entries, consent is thereby given, as required under the Data Protection Act 1984, to the holding of personal information on a computer. 16. Video Recording/Photography/Mobile Telephones In accordance with the recommendations of the ASA Child Protection Policy, any person (including swimmers and coaches) wishing to engage in video, zoom or close range photography, including the use of mobile telephones with photographic capabilities, must first

5 register their details on the form provided at the entrance desk. They will be provided with an identification wrist band (permit) which must be worn at all times. There should be no flash photography at the start of any event. The Promoter reserves the right to refuse the granting of a permit. It is requested that all mobile telephones are switched off or switched to silent during the competition to be fair to the swimmers. A Club photographer may be present during the competition. If you do not wish your child to be photographed please inform the Chief Whip or Promoter on the night during warm up. 17. Safety: All participants and spectators must observe all safety precautions in operation at the pool and follow instructions of Pool Staff and the Referee. Competitors in wet swimwear are not allowed in the spectator seating or other public areas. Competitors must cover up and wear shoes before leaving the pool area. Spectators are not permitted to sit in the swimmers area. Only accredited officials and volunteers should be on the poolside during the galas Swimmers should remain in their relevant marshalling area to ensure that they do not miss their race(s). Swimmers and parents should not approach the recorders desk. The results of each event will be announced as soon as they become available. Any queries should be directed to the Promoter or the Referee. No glass or other fragile items should be taken onto the poolside and no hot liquids should be taken on poolside. Anyone at poolside should take care not to drop any transparent bottle tops All rubbish must be placed in the bins provided. Abusive behaviour and language will not be tolerated. These rules are in the interest of safety. 18. The Promoter reserves the right to amend the Conditions, without prior notice, to ensure the smooth running of the Championships. By submitting an entry participants have deemed to agree to such decisions. 19. Failure to comply with any condition may result in disqualification. 6 General Information If you re new to competitive swimming the information below may assist you in deciding which events to enter. MY FIRST GALA Want to understand more about when to enter events? The link below is to Long term Athlete Development How to find your ASA no The Promoter reserves the right to restrict entries to ensure the smooth running of the gala. What does that mean? If we don t have enough time to complete the gala based on entries received, we may reject some entries, this has never happened at a Teddington SC Club Championship. We are keen to encourage members to take part and would look at other options before saying a member could not compete Sign in To reduce the number of empty lanes & the time required to complete the gala ALL competitors are required to sign in to confirm that they are attending and which races they will swim. Sign in will be open 45 minutes prior to the commencement of the session warm-up and close 15 minutes prior to warm-up. Sign in will take place in the Schools changing. Swimmers will be required to remove their shoes/ the footwear they have been wearing while waiting outside on entry to the Schools Changing Room. After sign in closed the recorders scratch swimmers who have not signed in, heat ALL events and print whipping slips. ALL competitors does mean everyone and includes those whose parents are assisting with the running of the gala. Prior to scratching a swimmer we check that they are not at poolside, if everyone signs in this process is much quicker. This is a Club competition and we appreciate that many first time competitors are nervous so please help us ensure they enjoy the event by making sure no one is scratched because for example they arrived early and thought it wouldn t matter. What is an Event? An Event is the distance and stroke being swum for either Boys or Girls, there may be a number of age groups within the event for scoring or awards (medal purposes) eg Girls 50m Freestyle What is a Heat? Swimmers for the event are divided into heats, there may be 34 swimmers for an event, these will be split into heats, usually 4 in the first heat followed by 5 heats of 6. To help swimmers achieve their best time, we need to avoid empty lanes in the middle of the pool, this is why we need swimmers to sign in. Empty lanes can also mean the gala takes longer.

7 Over the Top Starts: After completing an event, the swimmer stays in the water against the wall near the lane rope and remains completely still until after the start of the next heat. When the following competitors have dived over the top of the previous swimmers, the referee will tell the swimmers they may leave the water to the side of the pool. Swimmers should not communicate with the swimmers who are about to race you could both be disqualified. Completely still means you shouldn t be treading water or moving your arms What do I receive for winning my Event or Heat? Events will be swum as mixed age group races and heated based on swimmers entry times. This means a swimmer can win a heat but not be the fastest swimmer for their age group in the event. Swimmers need to be the faster competitor in their age group across all heats of the Event to receive the gold medal. Results & Medals Once checked the announcer will confirm the first three places in each age group and a copy of the results will be posted at poolside for swimmers to check and in the foyer for spectators. If you do not understand the result please ask one of the stewards to investigate. Parents should not approach the race officials or the recording desk. The sooner a problem is reported the easier it is to obtain the information to investigate. Only swimmers who have medals to collect should approach the medals table. Results are posted at poolside for swimmers to check. Gold, Silver & Bronze medals will be awarded to fastest 3 swimmers in each of the Championship Events, subject to the competition conditions. Medallists will be announced as soon as possible after each race has finished. Medals will be available from the Medals desk during the gala, swimmers who do not collect their medal(s) on the night will need to arrange collect during a Teddington Training Session. The times achieved at the licensed galas for events of 50m and above will be submitted to the ASA National ranking database. What happens after entries close? Entries are extracted as a Hytek entry file from online entry system The entry file is transferred to HYTEK Meet Manager no times are added/ changed Volunteers list & entries are issued to coordinators, so that roles can be allocated we need at least 40 people per gala, Door & sign, swimmer management, recording, Officials & Time Keeping etc etc. A report of entries received will be issued to all squad members Swimmers will have an opportunity to check their entry and report omission and errors Programmes, sign in sheets, recording sheets will be generated by Meet Manager ALL Swimmer sign in for the gala that includes swimmers whose parents are helping on poolside! Swimmers who did not sign in are assumed to be absent and are scratched ie removed from events Heat Sheets and lane timer sheets are produced Whips organise/line swimmers up in heats & the heats are swum Time Keeper make a note of the swimmers time and passes this to the Chief Time Keeper

8 The Chief Time Keeper checks the times against places, if the times do not match placing they will refer the race result to the referee Results for the heat are given to the recorders who transfer the information to Hytek Meet Manager, and manual recording sheets for each event When all heats for an event have completed a report of the times and places for each age group is generated, this report is checked against the manual recording sheets, any differences are investigated before the result is passed to the announcer and displayed Results will be given to the medals table, the announcer and posted on the Club Notice Board & at poolside After the Gala results will be passed to Hytek Team Manager Results will be sent to the ASA for inclusion on the Ranking Database Reports will be produced by the Promoter and the Referee for the London Swimming Licensing Officer Data is collated for Trophy winner calculation Disqualification & race/event advice MY FIRST GALA An introduction to attending Swimming Galas you about pool set up and reasons why you could be disqualified. The Club Championship will be the first gala for many swimmers, which is recognised by the Promoter and Referee. This doesn t mean stroke infringements or false starts are ignored. It is the coach s responsibility to train and brief swimmers on the ASA Laws & FINA Technical Rules of Swimming and any health and safety issues that can arise during a gala. What to wear? Health & Safety - The club recommends that swimmers do not wear Jewry or watches when swimming to avoid injury to the swimmer or another competitor. ASA Laws & FINA Technical Rules allow a swimmer to wear ONE Costume, Hat & goggles, any additional strapping or bands could be an infringement of these rules. If a swimmer wishes to wear an item that could be consider as an infringement of the rules they should ideally declare this at the time or entry, failing this it should be reported to the chief whip during warm up. If the Referee identifies an issue during the progress of the gala, a swimmer could be disqualified. The Referee will speak to the swimmers coach so that the issue can be addressed & if appropriate the disqualification appealed before results are issued. Swimwear: Swimmers must wear only one swimsuit in one or two pieces. Swimwear for men shall not extend above the navel nor below the knee, and for women, shall not cover the neck, extend past the shoulder, nor shall extend below knee. All swimsuits shall be made from textile materials. All swimsuits shall be non transparent. So if your swimming costume or jammers are getting baggy you ll need a new one. If your racing suit is too big and covers your knees wear another swimming costume or jammers. New swimwear can be ordered via the TSC website
