In addition to the Age Groups each Association will to include their 8m and 15m Championship events in the same weekends. The whole event will again be held at the popular Manchester Aquatic Centre during January. All the information will be ed to the Competition Secretaries and the entry files can be ed back to D Hoskins with the cheque and the Club Entry form being sent by ordinary post all to arrive on or prior to the closing date for entries. Electronic entry forms are available on the Website for individual swimmers so they can be completed by the swimmers and returned electronically to the Club s Competition Secretary. The Sportsystem computer entry system details are contained on the final page of this set of documents. We hope you will support the galas as well as you have in previous years. The programme is intended to appeal to all your swimmers. The details of the competition plus entry forms are attached. 2 General Information The Promoters of this event are Bolton & District S & WPA and Manchester & District S & WPA. 2 The event is licensed by the ASA at the Licence Level 3 for entry into County and Regional Competitions. 3 The competition will be held under ASA Laws & ASA Technical Rules. 4 Venue: Manchester Aquatic Centre. 5 Dates: 12 and 13 January; and 26 and 27 January ENTRY FEE 3.5 per event. 7 All Entries to: As per 213 Club Entry Form. 8 Closing Date for Entries: 4 December 212. NO LATE ENTRIES ACCEPTED. 9 All entrants must be a member of an affiliated club to either Bolton & District S&WPA or Manchester & District S&WPA and registered with the ASA at Category 2. 1 The Consideration Times are given below, however the promoter reserves the right to return entries if events are over subscribed by reducing the Consideration Time. 11 A totally Cardless system will be used. After the closing date for entries confirmation of entry will be posted on the Website and in addition the swimmers will receive via their Competition Secretary confirmation of which events they are swimming plus details of how to withdraw from an event should the need arise. 12 All events will be seeded on submitted times. 13 Entries from registered Disability Swimmers are welcome and these swimmers are not required to meet the general consideration times but must, however, meet the Disability Times for ASA County/Open Meet as listed for this meet on the Manchester & District Web Site at 14 Swimmers must report to the Competitors Stewards when instructed to do so. Any swimmer not reporting in time may be excluded. 15 The promoters reserve the right in the interests of time to operate OVER THE TOP starts. 16 Results sheets will be posted in a position where spectators and swimmers can see the final positions for each event. A full set of results and a Club specific set of results will be ed to the Competition Secretary or the Coach if previously notified to the Promoter. The results will also be available on the Website. It is hoped again that this year we will be able to post Heat Start Lists and Results straight to the Manchester & District Website during the competition. 17 No Coach/Team Manager will be allowed on poolside unless they are in possession of a Coach's Pass which must be applied for at the time of submitting the Entries. Any number of Passes may be purchased and they will be valid only for the day and date specified. The Pass may be transferred to another Coach/Team Manager during the day. Anyone not displaying a valid Pass will be asked to leave the Poolside. The payment for the Pass will entitle the holder to a Programme for the day plus a Heat Start List for the Sessions on that day. 18 The promoters reserve the right to refuse admission to any person. 19 Any situation not covered by the above information or Meet Conditions will be at the discretion of the promoters, who also reserve the right to make any changes that may be considered necessary for the smooth running and discipline of the event.

3 2 The Diving Pool at the Aquatic Centre will be available before and during each session for continuous warm up and warm down, however, in the event of mis-use of this facility, the Manchester Aquatic Centre reserve the right to close it at any time. 21 Any swimmer or child found behaving badly in the leisure centre will in the first instance be returned to the Coach or parent. In the event of a second occurrence by that child, if it is a swimmer, they will be excluded from further competition during that day, or if it is a spectator child they will be excluding from the premises for the rest of that day. The above sanction will also apply in the event of a swimmer being outside the poolside or changing area without being adequately clothed or not having suitable footwear. Age Group Competition The age groups are 9/1yrs 11yrs 12yrs 13yrs 14yrs 15yrs 16yrs & over. Ages as at midnight on Sunday 27 January year olds are fully included this year provided they are 9 years of age by 27 January No formal Presentations will be made however medals and pennants will be available for collection during each session. 24 All Age group winners will be on a heat declared winner basis. 25 The first three (3) swimmers in each Age Group will receive medals and pennants for 4 th, 5 th and 6 th in each event. 26 There will be awards for highest scoring team in each age group. Points will be awarded as follows: 1 st = 6 points; 2 nd = 5 points; 3 rd = 4 points; 4 th = 3 points; 5 th = 2 points; 6 th = 1 point. Championship Long Distance Events The 8m and 15m events form no part of the Age Group Competition and will not attract Points as detailed in the conditions above. 28 Each Association will award their own medals and Trophies for the first three (3) swimmers of each sex who achieve the fast times within their Association. Provided that the swimmer's Club is affiliated to both Associations, the swimmer shall have the choice of which Association's Championship 8m and 15m events he/she is entering and this shall be recorded on the Entry Form. 29 The Entries for the 8m will be a maximum of 2 Heats. If there are more than 16 swimmers entered the fastest will be selected mindful that each Association should be represented with at least 3 swimmers. The submitted entry time for the 8m must be no more than 12 minutes. 3 The Entries for the 15m will be maximum to 2 Heats. If there are more than 16 swimmers entered the fastest will be selected mindful that each Association should be represented with at least 3 swimmers. The submitted entry time for the 15m must be no more than 25 minutes.

9 SPORTSYSTEM Entry Manager You will require a Broadband connection to the Internet and I would suggest if you are in any doubt about the process you give David Hoskins a telephone call on and he will contact you on your landline and will guide you through the process. Do not leave the setting up to the last minute it is better to set the programme up sooner rather than be rushing as the deadline for entries comes close. If you already have Sportsystem Entry Manager installed on your PC you can move to Step 2 (although when you are in the Entry Manager Programme you may wish to install any programme updates and also download the latest list of your club s swimmers). Step 1 Go Where you will see the following:- Click on this link and on the next page you will see:- Download SPORTSYSTEMS Entry Manager v2 Download the SPORTSYSTEMS entry manager for SPORTSYSTEMS Meet Organisation 5.3 Click on this link and Run the SS2EntryManagerInstall.exe so it installs straight to your PC OR download the.exe file onto you PC and then Double Click it to install the programme on your PC. You may wish to view some of the help videos that are available on the Sportsystem Website. Step 2 Either from the sent to you save the attachment BM13_EntryData.sef to your hard-drive or you can download onto your hard-drive by going to and click the button below Download the Entry File Set (sef file) for B & M Age Groups and it has the file name BM13_EntryData.sef You must know where you have saved the file on your hard-drive of your PC. Open up Sportsystem Entry Manager and go to Entries Import Entry File Set and you must then locate the.sef file listed above to be able to link the Entry Manager to the Entry File Set NOTE: Do NOT try and open the.sef using Windows Explorer it is not designed to be used this way. Once you have entered all your swimmers with times (saving after every swimmer has been entered) I would suggest going to Reports Report Entries and print off Boys and Girls entries to ensure they are correct. When you completed all your entries go to Entries Export Meet Entries and this should say Entry File Export Completed, return to Organiser and will give a path name of where it is stored on your computer, it is likely to be at e.g. C:\SPORTSYS\SSEntry\Export\BM13MEET_STRN_ sez where STRN is the name of your club and is the date (in reverse order) plus the time that you exported the file to your hard drive.
