2 INFORMATION & CONDITIONS Individual Events ENTRIES This Event is held under ASA Laws and regulations, ASA Technical rules of racing and to the ASA Open Meet Licensing Criteria 1 Age for Championship events is as at 31 st December The closing date for the Age Group Championships 2017 is midnight 23 rd December 2017 AGEGROUPS 3 Agegroups are : 10/11, 12, 13, 14, 15, 16, 17, and 18+yrs 4 10/11yr olds 50 s, 100 s, 200 s 400 f/s WITH FINALS FOR ALL 50 S AND 100 S 5 Ages 12, 13, 14, 15, 16 and 17 ALL Events ALL EVENTS WITH FINALS FOR ALL 50 S AND 100 S 6 Ages 18+ ALL EVENTS ALL EVENTS WILL BE HDW

3 ENTRY INFORMATION 7 ALL payments must reach us by 2 nd January 2018 Midnight by BACS payment for SPORTSYSTEM file entries and via PAYPAL by 23 rd December 2017 for individual entries 8 All entries MUST be submitted electronically using the Sportsystems Entry file OR the individual entry form NEW - ALL ENTRIES MUST BE SUBMITTED VIA THE ESSEX SWIMMING WEBSITE BY midnight on 23rd December 2017 Entries will be verified straight away these verified entries are your ACCEPTED Entries 10 Entry fees will be 5.00 per event 11 ALL swimmers inside the QT will be accepted with the exception of : The 1500/800 which maybe restricted at least the fastest 10 in each agegroup will be accepted The 10/11yr old agegroup 400m events maybe restricted to the fastest 16 swimmers 12 On 3rd January accepted entries will be ed to respective clubs for checking. 13 Corrections cannot be made after 12pm 23 rd December ABSOLUTLY NO ENTRIES WILL BE ACCEPTED AFTER THE CLOSING DATE 15 Entry times cannot be updated or altered once submitted 16 ALL entries MUST be on the ASA Rankings at the time of submission 17 ALL Entry times must have been gained at Licensed Meets level 1,2,3,& 4 Meets between 23 rd December th December Entry times cannot be edited 19 All entry times are SHORT COURSE (converted LC times are permitted and the Sportsystem Entry Manager Software will automatically convert the time- taking the fastest possible entry time for the swimmer)

4 COACH PASSES Coach passes are FREE for the first TWO passes FOOD IS INCLUDED and must be applied for, for ANY club with swimmers in the competition and MUST be worn at all times on poolside. Coach Passes are ONLY available in advance and ALL applications must be accompanied by a CRB declaration form - Food tickets will be given out at ALL dates where there are 2 sessions and these MUST be presented for food to be issued 22 A maximum of 4 Coach Passes per Club are permitted extra passes are charged at 40 each AND DO NOT INCLUDE FOOD- food cannot be added to extra passes- COACH PASS FORMS MUST BE RETURNED TO essexswimming@btopenworld.com by 23 rd December 2017 EVENT INFORMATION 23 ALL events are LONG Course 24 All top 8 swimmers shall be eligible to swim in a final regardless of time (Top 10 swimmers for all Events held at LAC) There will be 2 reserves per final- these will be published along with the results 25 If a swimmer wishes to withdraw from a final they must do so within 10 minutes of the results for that event being published after this time a 10 penalty will occur If a swimmer pulls out of events due to illness or injury having NOT been withdrawn from the event they will NOT be permitted to swim in any other events in that DAY including any finals that they may have qualified for m, 400m, 1500m and 800m events will be seeded slow to fast with all heats spearheaded 27 50m & 100m events last 3 heats to be cyclically seeded and all heats spearheaded

5 WITHDRAWALS / SIGNING IN 28 THERE WILL BE NO SIGNING IN AT THIS YEAR S CHAMPIOSHIPS If a Coach wishes to withdraw a swimmer from an event they MUST fill in the withdrawal form ONLY and take it to the results Desk before the start of the 1 st Warm Up for each session - There is no other method of withdrawal - Withdrawals CANNOT be ed Failure to swim when a swimmer has not been withdrawn using the appropriate form shall result in a fine of 10 per swimmer per event, which must be paid BEFORE the next session of the Championships OR the next Essex Competition if during the last session. In the event of a competitor not paying the fine, the Club in whose name the competitor has entered the Championships shall be responsible for payment. THIS RULE WILL BE STRICTLY ENFORCED All proceeds from fines shall be donated to a charity nominated by the Executive Committee prior to the start of the Championships Withdrawals will close at the START of the 1 st Warm Up for each session MARSHALLING 29 Please note that all swimmers must report to the Marshalling area before their event and it is the responsibility of the coaches to make sure they do so - This will be located inside the changing rooms at both Basildon Sporting Village and London Aquatic Centre- THIS DOES NOT INCLUDE RELAY EVENTS REGISTRATION 30 Swimmers must be registered with the competing ESSEX Club and the ASA as at the closing date of 23 rd December 2017 and ALL swimmers must be registered CAT 2 swimmers with the ASA 31 Swimmers who are registered with more than one Club are reminded that they are only permitted to swim in ONE County championships per swimming season and represent ONE club throughout RELAY EVENTS These events are not licensed and are therefore subject to separate conditions PLEASE ENSURE WHEN ENTERING RELAY TEAMS THAT TIMES ARE ENTERED- Entries with no times will be rejected

6 AWARDS/POINTS 32 The individual Top Boy/Girl Awards for ALL Swimmers will be calculated as 8, 7, 6, 5, 4, 3. 2, 1 points for 1 st to 8 th place respectively (top 10 places for 50m events) awards will be made to the 1 st place Boy & Girl swimmer in each agegroup 10/11yrs, 12yrs, 13yrs, 14yrs, 15yrs, 16yrs, 17yrs and 18+yrs 33 For the purpose of calculating Club points, for ALL swimmers the following will apply 1 st =8points, 2 nd =7points, 3 rd =6points, 4 th =5points, 5 th =4points, 6 th =3points, 7 th =2points and 8 th =1 pont For all events held at LAC the top 10 swimmers in each event will attract points 34 Medals/Awards will be presented -to the top 8 swimmers from the finals of all 100m events ( 18/OVER Top 8 HDW) to the top 10 swimmers from the finals in all 50m events ( 18/OVER Top 10 HDW) - to the fastest 8 swimmers in the heats for all 200m,400m, 800m and 1500m events per age group and - Medals/awards for HDW events will be presented BEFORE the finals for each session ALL swimmers must be present at the time of presentation to receive their award/medal SPECTATORS 35 There will NOT be a 2 session entrance system for spectators- All seat tickets at all venues will be valid all day or part of -the Balcony at any venue will NOT be cleared between swimming sessions Entrance prices Adults 5 and Children 3 (Children 1 at LAC and 1500 & 800 events) Swimmers will not be permitted on the balcony without an entrance ticket at any venue 36 So as to comply with fire regulations - Absolutely no fold up chairs /Deck chairs or additional seats of any kind ( with the exception of wheelchairs ) will be permitted either on poolside or in the spectators Galleryat EITHER venue 37 Blue Badge holders may reserve seats by ing me at essexswimming@btopenworld.com and providing a copy of badge ECASA reserve the right to put any restrictions on the number of spectators that they deem necessary for the smooth running of the event- A numbered ticket system will be in operation at ALL (excluding 1500 and 800 events) venues for when Spectators join the queue and seat tickets will be numbered at BSV REFUNDS Refunds will NOT be issued in ANY circumstances unless a swimmer has been rejected from an event

7 TIME TRIALS 40 The ECASA has determined that Time Trials shall not take place at any Championship event. OFFICIALS 41 Hot Food and will be provided where an Official is covering more than 1 session in a day ADDITIONAL INFORMATION 42 Glass containers of any kind or hot beverages are NOT permitted on poolside. 43 The changing village/poolside is out of bounds to non-competing swimmers and spectators. 44 Mobile Phones are NOT permitted to be used on poolside OR in the Changing facilities at London Aquatic Centre and Basildon Sporting Village for the purpose of taking photos 45 Any Medical Conditions MUST be reported to the Meet Organiser 46 Once swimmers leave poolside at ANY venue ALL swimmers aged 12 and under must be accompanied by a parent/guardian AT ALL TIMES- Any unaccompanied 12 and under swimmers will be returned to poolside 47 Swimmers will NOT be permitted on the Balcony/Spectator Gallery at any time FINAL PRESENTATION 48 At the end of Session 9 there will be a presentation Ceremony in the order below for: Top Club 2018 The most Outstanding Performance by a 11/14yr swimmer ( Calculated by the most points) Top Boy swimmer 10/11yrs, 12yrs, 13yrs, 14yrs, 15yrs, 16yrs, 17yrs, 18+yrs Top Girl Swimmer 10/11yrs, 12yrs, 13yrs, 14yrs, 15yrs, 16yrs, 17yrs, 18+yrs These presentations will take place BEFORE the finals presentations for the last session 49 By entering into this competition swimmers are agreeing to all rules and conditions 50 Any issues not covered by these conditions will be determined by the Promoter and Referee, subject to ASA Laws, Regulations and the ASA Technical Rules of Racing

Eligibility The above events in the Championships are open to competitors whose ASA Membership Record includes the relevant IPC Para- Swimming Sport Class, as shown above and who meet the Qualifying Entry times 3. Support staff A Competitor may have 1 support staff in attendance- This must be applied for and all applicants must hold a current CRB 4. Medals Medals shall be awarded on a multi-class timed final basis, to 1 st, 2 nd and 3 rd placed competitors, based on the British Para-Swimming Points System. ENTRY PROCEDURE FOR PARA SWIMMERS 1.
