All events will be swam as Heat Declared Winners (HDW) Medals awarded to: 1 st, 2 nd & 3 rd places in age groups 9, 10, 11, 12, 13, 14, 15 & over All events have Slower than qualifying times Ages will be as at 2 nd October 2016 Closing date for entries: Midnight, Friday 9 th September 2016 Entries will be confirmed by Sunday 18 th September 2016

2 PROMOTERS CONDITIONS 1 All events shall be competed for under A.S.A. Laws and Regulations Technical Rules of racing 2 This meet has been designated as a development meet (Licensed to Level 3) to extend the opportunity of good class competition for emerging competitors. A maximum time for each event and age group will be published and competitors who have achieved better than that listed are not permitted to enter 3 The competition is open to members of clubs affiliated to Somerset County A.S.A, eligible to compete and registered in accordance with A.S.A. laws and technical rules 4 The promoter, Somerset County A.S.A, reserves the right to reject any entry without giving a reason. By submitting entries, competitors accept the rules of this competition. Competitors whose entries are accepted and subsequently found to have been entered in the wrong event(s) a. because of incorrect entry information will be withdrawn from the event(s) and will not have their entry fees refunded b. because of an organiser error, will be withdrawn from the event(s) and will at the organiser s discretion and without further obligation or liability by the organiser either a) be entered in the correct event or b) receive a refund of the relevant entry fee(s) 5 The pool is 25m and the competition will be swum Short course. Anti-wave devices will be in place 6 The acceptance of competitors will be based on times submitted so it is essential that only times achieved or realistic times as agreed by the club coach be entered. As many heats as possible will be run in the time available for the meet 7 Whilst ranked times are not required to enter this meet Coaches are asked to be mindful and not allow competitors to enter who are too fast for this event. Competitors must not enter with slower times that they have achieved in nonlicensed or licensed meets. Any competitor proven to have entered on incorrect personal best times will be withdrawn from all events entered and no refunds will be given 8 All competitors must be Category 2 registered with the A.S.A. prior to submitting entries 9 Minimum age is 9 years of age (age as of 2 nd October 2016) 10 The promoters reserve the right to amend the number of heats in each event depending on entry numbers 11 Should the meet be over-subscribed, an equal amount of the fastest competitors from each age group will be scratched 12 Entries are to be made via Hy-Tek Team Manager. Manual entry forms will only be accepted from clubs who are entering 3 or less competitors. All entries are to be ed to sasameetmanager@outlook.com and include the Event Summary Form. Closing date for entries will be midnight on Friday 9 th September Confirmation of entries and entry fees to pay will be received by clubs no later than Sunday 18 th September Clubs are to check their

3 confirmed entries thoroughly in case competitors have been scratched in line with point 11 above 13 Once entries have been confirmed to clubs no refunds will be given for scratched competitors 14 The entry fee is 2.00 per event 15 Payment must be paid direct to the Somerset A.S.A. bank account by Thursday 29 th September Evidence of cleared funds will be confirmed by the Treasurer to the Competition Secretary prior to the event. Clubs who do not have evidence of cleared funds by the date above will not be able to compete. Cash & cheques must be paid directly into this account or bank transfers arranged. Sort Code: Account Number: Coach Packs will be available at a cost of to any club which has competitors accepted. Clubs with over ten competitors may request up to a maximum of four coach packs. The pack includes: a programme for the meet, a coach entry pass, coffee/tea and heat starts lists will be available at the start of each session. Only competitors reporting for their event and appointed officials are allowed on the poolside during the meet. During warm ups, only coaches holding valid meet passes will be permitted on the poolside. Application for coach packs should be made when submitting entries. Only Coaches/Team Manager s wearing Coach Passes are permitted on the Competitors balcony. It is the responsibility of the club to ensure each person entrusted with these passes are checked in line with the A.S.A. Child Protection Policy and must hold a current DBS certificate for their swimming volunteering role 17 Ages will be as at 2 nd October 2016 (minimum age is 9 years) 18 Meet entries will be managed by computer. By submitting entries, consent is thereby given, as required under the Data Protection Act of 1998, to the holding of personal information on a computer. Personal data, including submitted and recorded times, may be made public during the meet 19 Under A.S.A. child protection laws all spectators wishing to use cameras must register with the Front of House staff 20 Heats will be pre seeded. Competitors do not need to sign in. The organisers reserve the right to amend the running order of the events and to add nonscoring competitors at their sole discretion should it become necessary 21 All events will be HDW. Entries will be seeded into heats from submitted times, these will be seeded before the event, where competitors have withdrawn late the lane will be left empty. Slowest heats will be swum first. All heats will be spearheaded 22 Only competitors reporting for their event and appointed officials are allowed on poolside during the competition

4 23 Competitors must towel down and wear appropriate clothing and footwear before accessing the spectator s balcony 24 Medals will be awarded to the first three overall competitors in each event and in each age group, 9, 10, 11, 12, 13, 14 and 15 and over 25 During the meet and in case of unforeseen circumstances out of our control the promoter may need to alter the conditions to insure the smooth running of the competition 26 Any swimmer breaking these conditions will be liable to disqualification from any or all events 27 The Organiser reserves the right to ban the use of gas hooters, klaxons etc., which in the Organiser s opinion, could be a hazard or danger to competitors, officials or spectators
