2 Swim-A-Thon FAQ's What is Swim-A-Thon? Swim-A-Thon is our single largest fundraiser each year. The funds raised will help to support the team s financial plan and goals of operating our own facility in the Katy area. As stated in our Registration Policies, this is a mandatory fundraiser where all families are required to raise a minimum amount of $125. (Please note the minimum amount is per family, not per swimmer.) If the family minimum is not met, the balance will be applied to your Account after the fundraiser has ended. Swimmers will be divided into Teams and earn money by swimming lengths of the pool. They will have two (2) hours to swim a maximum of 200 laps. (That's 2.84 miles in case you were wondering!) Swimmers can collect pledges per lap or flat donations from family, friends, neighbors, businesses, corporate matching, etc. prior to swimming. When and where is Swim-A-Thon? Swim-A-thon will be held Saturday, March 24 th, We will announce the specific times and pool locations of where each Swim-A-Thon Team will be swimming once we are closer to the event. What will we do at Swim-A-Thon? Athletes will swim and eat! We will have snacks for all to enjoy after they swim their laps. Parents will cheer and volunteer! There will be many opportunities to earn Service Hours for this event. We will need lap counters, food donations, set-up crews, clean-up crews, etc. Be sure to watch your for available Service Hours as we approach the event date. How do we raise money for Swim-A-Thon? Team Unify Donation Website This year we will be using TU Money to set up personal fundraising web pages. You can send your page link to family and friends via , Facebook, and Twitter. Then watch the donations roll in! See directions on how to set up your Team Unify fundraising profile on page 5 of this packet. Pledge Form Letters Mail out pledge letters to everyone you know! Grab your address book and go for it! Relatives and friends are great for sending pledge letters. A sample of the pledge form letter can be found on pages 6-8 of this packet. Envelope Collections Use your blue and white USA Swimming Swim-A-Thon envelope and ask everyone you know to sponsor you. You can get pledges per lap, or flat donations. Be sure to include neighbors, classmates, and co-workers of Mom and Dad when asking for donations! (The blue and white USA Swimming Swim-A-Thon envelope will be provided to each swimmer at practice during the week of January 29 th, 2018) Corporate Sponsorships In an effort to achieve our goal of $200,000, we are offering Corporate Sponsorship opportunities. A copy of the Corporate Sponsorship Packet, along with a formal club letter, can be found on pages 9-12 of this packet. The Corporate Sponsorship Packet is also available on our website under the Fundraising tab. Please print the letter/packet and take it to your family doctor, favorite restaurant, or employer. Many businesses generally get excited for the opportunity to support local athletes. 2

3 Corporate Matching Matching Gift Programs are charitable giving programs set up by corporations in which the company matches donations made by employees to eligible nonprofit organizations. For example, if a donor works for Bank of America and donates $250 to a nonprofit organization, Bank of America will then match the donation and write a check for $250 to the same organization. Note: This process can take several weeks depending upon the corporation. Any checks received after March 24 th will not be calculated into the Swim-A-Thon Prize Packages. However, the amount will go towards your family fundraising requirement. How can I earn Service Hours for Swim-A-Thon? Watch for Service Hour jobs online and sign up as they are posted. 1 service hour will be awarded to the Family Account for every $100 raised OVER the mandatory $125 family minimum. Be sure to turn in those pledges and see if you can get some Corporate Sponsorships for Swim-A-Thon. This is the easiest way to earn hours! Note: Service hours will only be credited AFTER final Swim-A-Thon accounting is complete. How can my Swimmer earn Prizes? Each swimmer will have the opportunity to seek donations individually to earn prizes. Individual prizes will be awarded at different levels, starting at $226. See Swim-A-Thon prizes on page 4 of this packet for more information on our fabulous prizes. What is the Deadline for turning in Donations? The deadline for turning in ALL Cash donations is March 24 th, 2018 at your Swim-A-Thon Pool Location. The deadline for ALL Online donations is midnight on March 24 th, When and where can I turn in my Donation Envelope? At the Katy Aquatics Office anytime during the Fundraiser Office Address: 1806 Avenue D, Suite 103, Katy, TX January 29 th March 23 rd ; Monday Friday from 9am 5pm March 24 th at All Swim-A-Thon Pool Locations Note: If you are watching donations online, offline donations from pledge letters and envelope collections will not be instantaneously updated online because they are manually entered. When will the Swim-A-Thon Winners be Announced? Swim-A-Thon Top Achiever Awards will be announced the week of April 2 nd, 2018 via . What if I have Questions? Please all questions to swimathon@katyaquatics.net. This will be monitored daily throughout the fundraiser to ensure all questions are answered. 3

The 2018 Top Team Award will be earned based off of several fundraising components selected by the coaching staff. The winning team will be awarded a Dinner Party during a practice in April! The party date and details will be announced after the winning team is confirmed. 4

How to Set Up Your Personal Team Unify Fundraising Webpage Each athlete will need to create/update their Team Unify fundraising webpage for our 2018 Swim-A-Thon campaign.

5 How to Set Up Your Personal Team Unify Fundraising Webpage Each athlete will need to create/update their Team Unify fundraising webpage for our 2018 Swim-A-Thon campaign. To set up an online fundraising page for each athlete, all you need to do is log into your family account at and click on the Fundraiser Banner on our homepage to access your setup. From here, choose your swimmer from the Participant box to begin the setup of your swimmer s profile. Next, you will personalize/update your swimmer s profile page by filling in their fundraising goal, lap goal, and message template. You can even choose to upload a personal photo! Swimmers also have the option to place additional flare to their page from the Stock Photo Library provided by Team Unify. If you would like to edit your swimmer s message template, simply click inside the text box to personalize your thoughts about swimming with Katy Aquatics. At the bottom of the Set-Up page, there is a designated area to type in your Facebook URL and Twitter URL. Once you ve added your Social Media links, click the SAVE button located at the bottom. After you have set-up your personal page, simply click on the Promote tab to post your fundraising page on Facebook and Twitter. There is also a designated section under the Promote tab where you can enter addresses of close family and friends. For extra assistance, there is a Help Video tab with tutorials to guide you through the set-up process and how you can make the most of promoting your fundraiser page through Social Media. 6 How to Fill Out Pledge Form Letters Make copies of the pledge letter on pages 7-8 of this packet, or go to katyaquauatics.org and click on Fundraising in the top gray bar. Then click on 2018 Swim-A-Thon to find the file and print all the copies you need. Enter the donor s name at the top of the letter, sign your name at the bottom and add a personal note. Fill in the address of the donor along with YOUR personal return address. Place postage on the letter. Drop them in the mail to your friends and family. Note: All pledge form donations will be returned to YOU. You will be responsible for submitting all cash donations in your collection envelope at any designated Swim-A-Thon pool location. All donations must be turned in by Saturday, March 24 th. 10 1806 Avenue D, Suite 103, Katy, Texas Greetings, Katy Aquatics is a 501 (C) (3) non-profit swim club supported by tuition, small grants and donations. Our organization has been in existence for over 30 years and is recognized as one of the top 50 swim teams in the United States. We have more than 1,200 swimmers participating in our programs, and the skill level in our club ranges from children who are just learning to swim, to highly accomplished athletes who represent the club at National level competitions across the country. In March, Katy Aquatics will take part in USA Swimming s National Fundraising Event, Swim-A-Thon. Swim-A-Thon is our yearly fundraiser where participants earn money by swimming lengths of the pool. All of our swimmers will help raise funds for the club and the USA Swimming Foundation as they strive to complete 200 laps (almost 3 miles) in two hours. It is a great way to combine our passion for swimming with a wonderful cause. When young people become members of Katy Aquatics, they learn the values of sportsmanship and teamwork. Our club supports the development of each individual swimmer and challenges all athletes to strive towards excellence in everything they do. We are consistently growing every year, and currently rent practice space from the Katy Independent School District as well as other properties across the community to accommodate our programs. A sponsorship or donation made through our Swim-A-Thon fundraiser will help to support the team s financial plan and goals of operating our own swim facility in the Katy area. Our recent land purchase of five acres was only made possible because of the generosity and contributions from many Katy Aquatics friends and families through the years. Our future site is located within close proximity to Grand Parkway at an optimal position near the newest high school in Katy ISD Patricia E. Paetow High School. The Aquatic Center is to include a 50 meter outdoor competition pool, an indoor teaching/programming pool, locker rooms, a dryland training facility complete with running track, office space and parking. However, purchasing land is just the first phase of our Facility Expansion Plan and construction will occur in multiple stages over time. This is why every donation made on your behalf to our team will be utilized responsibly, and to better the experience of all swimmers in our club. We truly hope you can share in the excitement as we approach a brand new journey and prepare for the construction of a multipurpose Aquatic Center.
