1 It s that time of year again, and once more Mission is getting ready for all of the traditional Christmas festivities! The Mission Regional Chamber of Commerce extends an invitation to you to join in all of the fun for our Annual Candlelight Parade. 32 nd ANNUAL CANDLELIGHT PARADE The evening parade will be held FRIDAY, December 4th. Marshaling begins at 6 PM on Railway Avenue, east of the Murray Street Overpass. You must enter from the Info. Centre end, off Lougheed Highway. RCMP will be strategically located to direct traffic. The parade starts at 7:30 PM (promptly) from the corner of Horne Street and First Avenue and continues one mile to the disbursement area at the corner of the Park Street and Highway #7. PLEASE NOTE: Entry numbers will be given out upon registration. Please make sure your number is clearly visible on your float/entry for all to see. Your participation will help to ensure the success of this very popular family-oriented holiday event. To be sure your company, school, or organization has a position in this year s parade, please read carefully and fill out all of the attached forms. Mail, fax or drop off the completed entry form, disclaimer agreement and information sheet to the Chamber of Commerce office as soon as possible! 2 MARSHALLING DIRECTIONS: 1. Marshaling begins at 6:00 PM. Any entry that must arrive earlier will only be permitted into the marshaling area after 5:30 PM. Try to avoid early arrival if possible! 2. Only floats and support vehicles will be allowed into the marshaling area on Railway Avenue. 3. Floats must enter the marshaling area TOGETHER. Limited ACCESS for support vehicles only no parking available inside marshaling area. Strongly suggest all materials for constructing your entry be kept on the float inside the marshaling area. 4. All floats and support vehicles must have a driver with them at all times. Any unattended vehicle may be towed. 5. All entries will be parked on a first-come, first-placed premise at the marshaling area. Please display your entry number on the passenger side and front of the float. 6. The information booth will be at the Mission Chamber of Commerce, Lougheed Hwy., (the turn-around point ). Staff will be on hand to answer questions from 5:30 PM to 7:00 PM. There are washrooms and a telephone at this point. Portable washrooms for parade participants will also be near the beginning of the parade route. 7. Parade entries MUST NOT INCLUDE A SANTA CLAUS. There will be only one Santa in the parade and his participation is already arranged. 8. Be sure to GIVE CLEAR DIRECTIONS TO PARENTS OF ANY CHILDREN you might be organizing for your float. Assign a time and place for the children to be dropped off and have two adults assigned to this area, one to collect children and the other to walk them to the float. PLEASE DO NOT DROP CHILDREN AT THE CHAMBER INFO CENTRE. ALL PARADE ENTRIES MUST BE IN PLACE BY 7:00 P.M. 2

3 PARADE DISBURSEMENT: 1. The parade will finish at the corner of the Park Street and Hwy. #7. 2. All entries will be directed from the Parade route. PLEASE FOLLOW ALL TRAFFIC DIRECTIONS! It is required by local RCMP that you disembark from the float prior to travelling on the highway. 3. Police and traffic personnel will direct all parade entries. USE EXTREME CAUTION when pulling off the highway and while moving in the disbursement area. 4. Only parade participants are permitted into the disbursement area. Those picking up children or participants are strongly encouraged to pre-designate a location where they can meet outside of the confusion of the disbursement area. 5. Once in the disbursement area, you must comply with the following procedures: a) Park your float in the spot you are directed to. Do not allow anyone to disembark the float until all traffic beside and behind your float is stopped. b) Have a couple of adults to assist in moving children to designated pick-up areas. c) A ladder is advised for mounting and dismounting the float. Keep the ladder with the float; it saves time at the dispersal area. d) No vehicles will leave the area until pedestrian traffic is safely out of the area and officials deem it safe for floats to leave IF THERE ARE ANY QUESTIONS OR CONCERNS REGARDING THESE GUIDELINES CALL THE CHAMBER OFFICE AT CATEGORIES COMMERCIAL MARCHING BATTALION MUSICAL PRESENTATION NON-PROFIT GROUP SCHOOL 3

4 JUDGING: 1. All floats and entries must be in line by 7:00 PM to qualify for judging. 2. Please ensure that your entry number is prominently displayed on the PASSENGER SIDE and FRONT of your float so you can be identified. Plan your entertainment to really shine while passing the judges. 3. All entries are eligible to enter and win in one of the FIVE categories. 4. If there are only one or two entries in a category, judges reserve the right to present either 2nd or 3rd place prizes for that category. 4

5 REGULATIONS: 1. Components (including trucks and tractors) must be suitably decorated with a holiday theme and be constructed to prevent breakdowns. THE PARADE MARSHALL RESERVES THE RIGHT TO REJECT UNDECORATED OR UNSAFE ENTRIES. 2. ALL ENTRIES MUST INCLUDE LIGHTS AND HOLIDAY MUSIC!!! Remember that your music will be much quieter in the street than in your garage. 3. Drivers must have proper visibility, ventilation and must remain with the float at all times. 4. All drivers must be in possession of a valid Driver s License and vehicle insurance is the responsibility of the entrant. 5. NO INTOXICATING BEVERAGES ARE PERMITTED ON THE ENTRIES OR IN THE MARSHALLING AREA. 6. All floats over 20 feet long must have ADULT walkers situated every 10 feet on both sides of the float - this safety regulation is required by the District of Mission and the RCMP. 7. NO CANDIES OR OTHER GOODIES MAY BE THROWN INTO THE CROWD! 8. Free hand outs may be given out by walkers. If your group is handing out papers please give to the adults only. 9. All livestock or animal entrants must have a clean-up crew following. 10. FAILURE TO COMPLY WITH THESE REQUIREMENTS WILL RESULT IN A BAN FROM FUTURE PARADES. 5

7 DISCLAIMER AGREEMENT In consideration of acceptance of your entry in the 2015 Candlelight Parade by the Mission Regional Chamber of Commerce Parade Committee, the applicant hereby agrees to indemnify and save harmless the Mission Regional Chamber of Commerce, the District of Mission, the British Columbia Ministry of Transportation and Highways, the Crown in Right of the Province of British Columbia, their agents, employees, associates, affiliates, volunteers, heirs and assigns from loss or damage of whatsoever kind to any person or property arising from or connected with the entry into, operation, use or participation of the applicant s entry in the 2015 Candlelight Parade. The applicant acknowledges and confirms its obligation to defend all claims which may be advanced by any party against the above-noted organizations, their agents, employees, associates, affiliates, volunteers, heirs and assigns. 8 FLOAT CO-ORDINATORS: PLEASE COPY AND SEND TO ALL PARENTS! ATTENTION PARENTS With this letter, we hope to reduce the amount of confusion regarding dropping off and picking up children involved with the parade entries. With many of the downtown streets and intersections closed to traffic for the evening, there have been some difficulties created for parents trying to get to their children waiting at the end of the Parade Route. In an effort to alleviate some of this stress, we suggest the following: Check with the organization that your child is involved with to find out where it is that they would like the children assembled prior to the parade. - DO NOT DROP CHILDREN OFF AT THE CHAMBER OF COMMERCE INFO CENTRE. Limited lighting and lack of Supervision create Safety concerns. Once you are certain that your children are safely in control of those responsible for them during the parade, we suggest that you then proceed immediately to The Shops at Mission Hills or the Prospera Credit Union Mall. You can park your car there and walk back along the parade route to a good vantage point or you might wish to stay in the area to do some shopping and then watch the parade as it approaches. By having your car at the shopping centre you will be able to get your children as quickly as possible after the parade. Parade entries involving children are strongly advised to determine a storefront where the children can be brought to after the parade is over. There will certainly be congestion at the malls so we ask for your patience and understanding. Enjoy the Christmas season at the shopping centre by planning to visit the many stores and most importantly, remember that it may take some time to get out of the area. Plan ahead and make the best possible use of your time. IMPORTANT NOTE: Please dress your children warmly. This will ensure they are comfortable if there are any delays in the process and help everyone to have a great time. 8
