Glencoe High School 2700 NW Glencoe Rd Hillsboro, OR Band Director: Ray Severns Emergency Contact: (503) Ray Severns Show Coordinator: Lisa Heck Directions to Glencoe High School from OR-26 W/Sunset Highway: Take Exit 59 for Jackson School Rd. Turn left onto NW Jackson School Rd and continue 2.2 miles At traffic light, turn right onto NW Evergreen Rd and continue 1.1 miles At T intersection, turn left onto NW Glencoe Rd and continue 0.5 miles and GHS will be on the left Bus Drop-off/Parking: Turn left at the light for the main entrance and proceed to the bus loop at the far end of the lot. After unloading, buses will exit, turn right on NW Glencoe Rd, and reenter at the North entrance. We request that buses park in the back half of the lot near the track. Bus drivers can loop near the locker room entrances and position their buses for easily exiting the lot. 1
Equipment Vehicles Parking: All equipment vehicles (except semi-trucks) and all staff vehicles will park on the Main Entrance side. Equipment vehicles may want to unload in the bus loop before parking in the larger lot. Please note that doorways at the Main Entrance cannot accommodate wide instruments or equipment. There is a wide doorway near the band room where props will be stored. This entrance is accessible from parking lots on either side of the school. Semi-trucks should unload on the North side of the school and park in the back half of the lot near the track. Please fill parking lots on the main entrance side first. If overflow parking is needed, please park equipment trucks near the buses and park vehicles along the residential streets north of the school. Spectator Parking: Turn left into the North Entrance and park in the first lot next to the tennis courts. The first three rows in the second lot will also be reserved for spectators. If overflow parking is needed, please park along the residential streets north of the school. There is a walkway to the spectator lot from both NE 1 st Dr. and NE Katie Dr. (right turns off NE Lenox St.). The spectator entrance is located on the West side of the school a short distance behind the tennis courts. Unit Check-In: Buses will drop off performers at the main entrance. Unit Check-In will be inside the main entrance near the auditorium. Performers will receive a hand stamp to allow them to enter the school at any designated entrance. At Check-In, each unit has the option of purchasing up to 5 additional wristbands at the discounted rate of $5 each. Any person not holding an appropriate pass or wearing a wristband will be directed to the spectator entrance to purchase one. This rule will be strictly enforced. Each unit will be assigned a hallway location away from the gym entrances. Performers are asked to change in the restrooms nearest to their assigned area. The restrooms near the gym entrance are reserved for spectators. Please note that hallway areas are unsecured and participants leaving items in hallways do so at their own risk. Prop Storage: Props will be stored in the Band hallway which is adjacent to the outside gym entrance and exit. There is a removable post in the doorway leading to prop storage. Please store props in a neat and orderly fashion to minimize congestion in this area. 2
Percussion Storage: We do not supply an area for percussion equipment storage. Equipment and instruments should be stored in your equipment truck. Admission: Wristbands will be sold at the spectator entrance on west side of the school. Adults (18-59 yr) $10 Seniors (60+ yr) $ 7 Youth (6-17 yr) $ 7 Children (0-5 yr) Free Concessions: Snacks and meals will be available for purchase throughout the day. Concession items will likely include: large hotdogs ($3), small hotdogs ($2), pizza ($3), muffins ($1), Krispy Kreme donuts ($1), bagels ($1.50), candy bars ($1), popcorn ($1), soda or water ($1.50), and coffee, tea, and hot chocolate ($1). We are tentatively planning to have one or more food vendors on site to provide lunch and dinner options as well. Schedule & Awards: The order of performance is determined by NWAPA and will be posted on their website prior to the contest. A final schedule will be included in your unit packet. The first performance will begin at 10:00AM. Full retreat format for final awards presentation will be utilized. Show Music: Show music submitted to NWAPA is kept on file and will be given to us by the previous show host. If there is an updated version of your music or you did not attend the premiere show, please your music to NWAPA and Lisa Heck, the Glencoe Show Coordinator, by Thursday, February 16 th. We strongly advise each unit to carry an electronic copy of their music on a USB memory device as a back-up. Sound Checks: We will allow as many sound checks as possible in the half hour before preliminary competition begins. Please be aware that time is limited and our top priority is to keep the show on schedule. 3
Guard Warm-Up: Guard units will have scheduled warm-up time in the cafeteria (#1-2). There are open outdoor warm-up areas in the courtyard (#3) and near the main entrance. Please bring your own stereo equipment for warm-up. Please be courteous about your music volume if another group is in an adjacent warm-up area. Open indoor body warm-up areas are available and located next to the courtyard (#3) and on the second floor in front of the Media Center. Percussion Warm-Up: Percussionists are asked to warm up outside, if possible. There are large outdoor areas in front of the cafeteria (behind the school) and near the main entrance. There is a wide covered walkway between the school and the cafeteria. The indoor warm-up areas for percussion units are located in the cafeteria (#1-2). The cafeteria has a doorway with a removable post along the back wall. There is either a sidewalk or paved access around the school to get to/from the warm-up areas, the performance entrance, and the equipment trucks. Show Flow: Performers will enter and exit the gym from outside the school on the side that faces Glencoe Road. Guard units will leave the indoor warm-up area, proceed to prop storage in the band hallway, then exit the school and wait at the performance entrance. Percussion units will not be able to move large equipment through the school. There will be a large covered area for percussion units to dry off their equipment, if necessary, before entering the gym. Our show will have a one-way counterclockwise flow. After performing, units will proceed to the wrestling room for indoor floor folding and exit the gym after the next performance. Please fold your floor immediately upon entering to the wrestling room, so we can maintain the flow through the entrance area. As an alternative, units may exit the gym after their performance and fold their floor on the tennis courts. Spectator Seating: Spectators and judges will be seated in the stands on the Spectator Entrance side of the gym. To maximize seating for spectators, performers will need to sit on the shorter stands on the opposite side. 4
Glencoe High School Main Entrance & Bus Loop North Entrance 5
Video Recording: Personal videotaping is permitted, however, please be courteous to the spectators seated around you. Photographer: We will have two photographers at our event to take group and action shots throughout the day. Approximately 45 minutes after your preliminary performance, your unit will be scheduled for a group photo in the small gym. The schedule will be included in your unit packet. You will be able to view and purchase photos on-line after the event. Critique Room: Computers will be available for staff to listen to judges commentary after your performance. Please bring your own headphones. Tobacco & Alcohol: The presence or use of tobacco or alcohol is strictly prohibited on Glencoe High School property. This restriction applies to the entire campus including all outdoor areas and vehicles. 6
