1 MINUTES from Nathan Hale Sports Boosters Meeting May 14, Introductions/Call to Order (Mike Heffron) 2. Minutes from April 16, 2018 meeting were approved (Mike Heffron) 3. Announcements (Mike Heffron) a. Hale Night at the Mariners is Friday, May 18, 2018 at 6 pm vs the Detroit Tigers b. Hale New Student Night is June 12, 2018 at 6 pm. c. Spring Sports Awards is Wednesday, May 30, 2018 at 6 pm (spring sports responsible for refreshments). 4. Treasurer s Report (Mike Hatzenbeler) a. Mike will get an updated report later this week. b. Last year's taxes are completed. Thank you Mike! 5. Director Update (Darby Haskins) a. Girls Swimming Meadowbrook pool will be closed for a couple months this fall. The team will need to use Greenlake & Helene Madison pools until Meadowbrook reopens. b. Adidas or Nike will be contracting with District for equipment. c. The District is also working on improving activity bus service. d. Darby will be attending an AD retreat with the District. 6. Team Reports a. Raider Gear (Michelle) i. Need help to sell gear at new student night on June 12. Contact Michelle if you can assist. b. Hale Night at the Mariners Fund Raising (Rich Hepler) i. Rich still has tickets at reduced price. ii. Michelle will set up Raider Gear site to sell M's tickets online. iii. Will try to sell some on Next Door Wedgewood. c. Concessions (Tammie/ Mike Heffron) i. Done for the year. 69 total concession shifts this year. See list below for your sport's shift total. Profits will show up in accounts for next year. ii. Lack of reliability following set up and closing rules. The process is posted and readily available please remind volunteers to follow it. iii. Roosevelt will host three football games at Hale in the Fall. Will need to figure out their concession logistics Darby to help with this.

Jennifer Peterson will serve as Treasurer. c. Dumlao Scholarship requests: Motion passed to provide $150 each to 9 girls for cheer camp plus $250 to cover previous football request. d. Tammie volunteered to work on new process to manage Dumlao requests. 8. Next Meeting will be Monday, June 11, 2018 at 7 pm at Mike Heffron s house. Adjourn

3 Appendix How do I request reimbursement for sport expenses? Please act as check and balance for transactions between coaches and boosters To submit a reimbursement, place copy of receipt with form in envelope and drop in Boosters locked box in Nathan Hale office, or mail to address on form. Make sure the sport is noted. Contact our treasurer Mike Hatzenbeler via nhsbtreasurer@gmail.com How do I request financial support for equipment for a student? If a student in your sport is not able to afford equipment, please apply to the boosters for support from the Dumlao Fund o This fund provides financial support to Nathan Hale athletes, not only to students who qualify for free & reduced lunch, but if the family has a need. For example, of a student can t afford what everyone else has, such as a mitt, cleats, or the team sweatshirt, they can apply for funds. o Please advise the student or parent to complete this form and give it to you or the coach to forward to boosters o All scholarship recipients are required to write a thank you note addressed to NH boosters (include youth s name as a return address on the envelope, place it in the boosters box in the school office). Boosters will forward it to the foundation. o For more about Chris Dumlao and how to contribute to the scholarship fund, see How do I issue gift acknowledgements/receipts? Gift acknowledgements and receipts are only required to have written receipts for tax deductible donations of $250 or more, so boosters generally doesn t issue receipts for gifts less than that. If individual sports wish to provide receipt letters for smaller gifts, or all gifts, that s ok, but we need to ensure that receipts are done correctly and that our language conforms to IRS requirements. The following paragraph can go at the bottom of the letter: Cash donations when nothing of value was given in return: This letter is your receipt for tax purposes. The IRS requires that we confirm that no goods or services were provided by the organization in return for your $ contribution and as a result the full amount of your gift is tax deductible.
