1 North Yorkshire School Games 2016 Managers and Spectators Information Pack Sunday 3 July, Queen Margarets School, Escrick

2 Introduction Preparation This pack is designed to provide teachers, parents/guardians and other family members with information about the North Yorkshire 2016 School Games event on Sunday 3 July at Queen Margarets School, Escrick. Kit and Equipment Your team will be provided with a School Games t-shirt which should be worn for the competition. In addition to the t-shirt you should also prepare The School Games in North Yorkshire provides our young people with the adequate clothing for times when your children are not competing. Advice opportunity to take part in local competition, progressing on to County has also been provided in the rules packs for each event which advise of finals. In reaching these County finals, schools have won local competitions any appropriate footwear or kit that may be required. You may also want earning the right to represent their school and their district area. Getting to the Venue The address of the venue is, Queen Margarets School, Escrick Park, York, YO19 6EA (please use this postcode in your sat navs). On the next page you will find a map of the school campus. Signage will also be in place around the site to direct you.

3 If you are arriving and being dropped off in a team coach then please contact kelly@northyorkshiresport.co.uk for coach drop off arrangements. Please do not try and access the school via the main entrance as parking staff will only direct you to the main car park. Registration When you arrive on the site you will be handed an event programme and then directed to the registration area. Teams will go to the meeting point for the area that they are representing to find the rest of their team and to register. Any parents/spectators should assemble in the marquee ahead of the opening ceremony. At 9:30am we request all spectators gather in the marquee ready for the opening ceremony. Timetable of the day Time Activity am Arrive at Queen Margarets am Opening ceremony If you are travelling in a team minibus or in cars with parents and spectators and parking on site then please follow postcode YO19 6EA am 10.00am pm 11.30am pm Sporting competitios commence (see list of sports below for further details on timings of events) Entertainment zone and marketplace open Sporting Champion, Chris Cook, will be available for interviews in the marquee You will be parked directly off the A19 in Escrick Park. Please note there will be a 2 charge per vehicle (minibuses are exempt from the 2 charge). Please have change ready to speed up the parking process. Once you are parked you will be directed to the welcome and registration area. At this point you will be able to pick up a programme for the event and for those intending to use a camera there will be opportunity to register your camera. Presentations Following the completion of each event there will be a medal presentation in the marquee to the winning teams. Please encourage your children to attend this, regardless of where they have finished in their event to show their support and congratulations to all the teams.

4 Sporting Competitions Broadly speaking it will be difficult to give an accurate picture of the finish time of all the events. This is down to each sport adopting the most suitable format which is dependant on the numbers entered (and schools not dropping out last minute or not turning up which does occasionally happen!). For sports with a knockout element it is also dependant on when your school will get knocked out as to when you are finished. However to assist with planning of the day and transport we advise the following times. Please note they are a guide and we can not guarantee that they will finish at these times. We will be joined by our Sporting Champion, Chris Cook. Chris is a former Great British and English swimmer who has competed in both the Olympic and Commonwealth Games, achieving a double Gold in Chris will be opening the games, handing out medals and meeting the participants. If you want to contact Chris prior to the games then you can tweet also check out his welcome message on Also in attendance will be our very own mascot for the North Yorkshire School Games, Teddy the Terrier! Teddy will be visiting the sports during the day and watching some of the great sport on display. North Yorkshire Media and Reporters Competition The North Yorkshire School Games Young Reporter Experience is for any budding journalists and is a chance to experience the games as part of the media team for the day. As part of the day you will get the chance to work with marketing professionals gaining some hints and tips on how to put together a report of the day to enter in to the young reporter competition. In addition all the young reporters signed up for the day will get an exclusive opportunity to interview our special guest for the day, former Great Britain Olympic and Commonwealth swimmer, Chris Cook. 5 Merchandise There will be a range of merchandise available on the day from a dedicated stand in the Entertainment Zone. We have a special offer on the hooded tops below with free collection at the event on 3rd July if you pre-order by 27th June. For more information see below. Also for sale are Teddy the Terrier key rings at 3, Teddy the Terrier pin badges at 1, and North Yorkshire Sport Charity wristbands (kids and adult size) for 1 each. All proceeds from the sale of merchandise are reinvested back in to sport through the registered charity, North Yorkshire Sport Limited. Staff and Volunteers The event is staffed by North Yorkshire Sport, North Yorkshire School Games Organisers, National Governing Bodies of Sport and volunteers from local Sports Clubs. Additionally there will be a number of young volunteers from local schools and colleges performing important roles as part of the event. These volunteers will be wearing white School Games- Maker t-shirts. They are there to help you at the event, and if they can t answer your question immediately they will refer you on to a member of staff who should be able to help. Please ensure you treat all staff and volunteers with respect as many of them are giving up their own time to enable this event to take place. Photography As a precautionary measure all participants, spectators, staff, team managers and volunteers must register their camera upon arrival (including phones, tablets and any other device which has a camera function) if you are intending to take photographs with them. You will be issued with a sticker to wear on your clothing. Staff and volunteers may do spot checks. On the day there may be an official photographer capturing images of the event, and the presentations. If for any reason you do not wish to have your child in a photograph you must inform your team manager. The team manager upon registering their team must inform the registration desk who will issue a wrist band. The photographer and camera crew will then identify any children wearing a wristband in any of the footage and blur the image. Please note there may also be press photographers present, whilst we will advise them not to publish any images of children wearing a wristband, we can not be held responsible for this. There will also be the addition of a photobooth to capture team photos (charged at 1 per photo) in the Entertainment Zone. These photos will be shared on twitter using the hashtag #nyschoolgames and on the North Yorkshire Sport Facebook page.

6 Complaints Procedure First Aid Procedure The North Yorkshire School Games aims to provide an enjoyable, safe and high quality experience for all involved. However, if you do have a complaint about any aspect of the event, below sets out the procedure to be followed: Raise the first aid issue with the person in charge of that area. (Once competitions have started this will be the Sports Co-ordinator or Zone Co-ordinator) Raise your concern with the person in charge of that area. (Once competitions have started this will be the Sports Co-ordinator or Zone Co-ordinator) Sports Co-ordinator informs first aid providers via radio Sports Co-ordinator resolves the issue and complaint satisfield If your complaint cannot be dealt with by the Sports Organiser, please contact one of the NYS event staff (identifiable by Grey polo shirts) First aid provider administer treatment/advice to be treated Incident logged - no further action is required Where the complaint cannot be settled at the event, please complete a comlaint form, which will be availble at each event or the information point The event staff may refer the complaint to either the Welfare Officer or Event Manager as appropriate North Yorkshire Sport will respond to your complaint within 5 working days and where appropriate conduct an enquiry and take relevant action. You can also contact the lead Safeguarding officer on the day directly on should you want to raise concerns about the welfare/safety of a young person at the event. First aid provider complete record of incident and will share with NYS if needed

7 Codes of Conduct You will find in the programme given out on the day a code of conduct for participants, spectators and parents and team managers. Please ensure you encourage your children to respect this, and that you set an example. There will be banners which outline these codes of conduct and we expect everyone to abide by them. Entertainment Zone Our entertainment zone this year will feature a number of elements, already confirmed in the entertainment zone are: Catering selling breakfast and lunch and a range of snacks and drinks Marketplace area including merchandise from North Yorkshire Sport and photobooth. Taster activities will be available between 10am and 3pm including circus skills, adapted cycling, skipping activities, basketball, plus others to be announced. Plus many more activities which will be announced on the day. Please note some of the activities may carry a charge. Finally. We hope that this pack provides the information you need to fully prepare for the North Yorkshire School Games event on Sunday 3 July, on behalf of the event team we would like to wish you the best of luck for the event and hope the experience is a safe and friendly one and lots of fun. If your child enjoys their experience then the programme that is available on the day will signpost them to continue in the activity.
