It has been organized in a fashion to assist you in finding what you need to know, when you need to know it. 3 Eastern High School Bands Mike Arthur Director of Bands Greetings! We are fast approaching our 2018 marching season and I am looking forward to a wonderful year. For those of you I have not had the pleasure of meeting, let me introduce myself. My name is Mike Arthur and I am the Director of Bands at Eastern High School. I am a graduate of Morehead State University where I received a Bachelor of Music Education, a Masters of Music Education from the University of Kentucky, and a second Masters Degree from Morehead State University in Instructional Leadership and School Administration. In 2015, we were honored to perform at Carnegie Hall and the school year has proven to be a very successful one for the Eastern High School Band. We received Distinguished Ratings with both of our bands in Grade 4 and in Grade 6 at Concert Festival, and we had 44 students in All-County Band, and performed with the Symphony Orchestra at the KMEA All-State Convention in February. We were also named as a USBands Southern State Regional Finalists and won Grand Champion 5 times. We pride ourselves on being the best at everything we do and will be no different. The Eastern Band performed for the world in the 2010 Macy s Thanksgiving Day Parade. We performed in the New Year s Eve Parade of Lights at Walt Disney World in 2016 and we will travel to San Antonio, TX in Within this packet, you will find several things. Each item enclosed is important and vital to the success of this program. Please read over these carefully and call or me with any questions. Please return the health form at the beginning of camp. This will be given out at orientation. 4 Band Camp: Things to Remember! Everyone that is in band is in the Marching Band! If there is a conflict such as fall sports or a scheduling problem, please see Mr. Arthur ASAP. Band camp is at EASTERN HS! Since no students are permitted to leave campus during the day, each student will need to bring their lunch each day or have it brought to them at lunchtime. Dinner is provided for all students on the 9-9 band camp days. If you play an instrument that you do not personally own such as a sousaphone, mellophone, etc., these can be rented from the school for $50.00 for the year. If you can, see Mr. Arthur before school is out so you can take the instrument home with you over the summer to practice. Everyone that uses a school owned instrument, including percussion must pay the rental fee. This is to be paid to Eastern High School. Be sure to bring a hat, sunglasses, sunscreen and a good attitude to each rehearsal! A black towel to lay your instrument on and a small spiral notebook with string is required. Specifics will be given at our first meeting. Everyone must be dressed in cool clothing. We must remain covered at all times. Ladies are not permitted to wear bathing suits and tube tops. ALL of band camp and ALL rehearsals are mandatory for ALL members. Any person that has an unexcused absence during camp or the weeks after camp may lose their spot on the field as well as with the band. There is a list of student activities in this packet. It is not mandatory that each student is at these, but they are a lot of fun and I suggest them highly. Have fun with band! It is the goal of all instructors and myself to make this a great two weeks for everyone. If you have a question, please ask! Please be sure to bring your health form, travel form & packet recognition form with you the first day of camp (neon sheets). These will be given out at the orientation meeting. To be early is to be on time, to be on time is to be late, to be late is unacceptable! We live by this rule! Always remember: When it comes to band, it s not what you can do, it s not what you will do, but it s what you do do. Think about it! If you remember this, you will have an AWESOME year! Your years with this band will be some of the best years of your life! Enjoy them!

6 2018 Band Parent Association Dues The following is a breakdown of dues involved with your band. It is important to pay these dues as each payment directly impacts your student in a positive way. The parent association cannot pay bills without your dues! You will find payment coupons on the next page to help keep you on schedule with your dues. You will also find a detailed explanation below and on the next page as to where the money is spent. Since the band program receives little direct financial support from the Jefferson County school system, we are essentially a self-funded organization; therefore, most costs associated with your band are paid for out of these dues and from band fundraisers. These dues have been broken down into a payment schedule to assist in fitting your budget. PLEASE NOTE- Any payment schedule (weekly, etc.) that meets the payment timetable can be accommodated. See Liddell Vaughn or Shannon Cahill if you need to alter your payment schedule. The total of these dues includes but is not limited to the following: transportation to concert band festivals, concert & marching band competition entry fees, guest clinicians, fall marching band staff, concert band & symphonic band music, band banquet awards, concert programs, band calendars, all mailings, phone tree, office & copy machine supplies, uniforms, new instruments, band camp instructors, dinners at band camp, marching band T-shirt, gloves, uniform cleanings, marching band music, pep band music, marching band drill, a full meal and snacks at all competitions, transportation to all in-state marching band competitions, all entry fees to Bands of America and anything else that is needed to maintain a high level of excellence for this band. IMPORTANT NOTES: All students are fed from the chow wagon at all competitions. This is less expensive for the parents and healthier for the students. The cost for this is covered in the band dues. This will include but is not limited to the following for each competition: a full meal and snacks in between performances. For a minimal fee, parents, guardians or siblings will be allowed to purchase meals from the chow wagon during competitions after the students are fed. 1. There is a $ discount for the second child in any family. This will help alleviate some financial burden of multiple child families. 2. The total dues for the school year are $ The cost for marching shoes for the 2018 marching season will be $38.00 for band members. The price for color guard shoes is $ Shoes should be paid in full by August 17, Students playing school owned instruments will sign an instrument rental agreement and pay a rental fee of $50.00 PAYBLE TO EASTERN HIGH SCHOOL, which will cover all school owned instruments you use for the year. Instrument rental fees should be paid to EASTERN HIGH SCHOOL at Eagle Prep Day. This includes all percussionists and anyone that uses a school owned instrument. 5. If you are in concert band only, please see Mr. Arthur about your class fee. There is a class fee for being in the concert band! 6. Parents will be charged for any bank fees incurred for returned checks.

7 7. The marching band season will consist of 7 periods for accounting purposes. Middletown, KY Lana Kaelin, Principal Mike Arthur, Director of Bands Cory Zilisch, Assistant Director of Bands Eastern High School Band Philosophy Statement Every aspect of music is important and will be emphasized at various stages of a student s development. The core of the instrumental program is the symphonic and concert band. From these ensembles, groups such as the marching band, jazz band, pep band and various chamber groups are derived. The Eastern High School Music Department stresses the advancement of a student s ability to function in the large group and the small ensemble setting. Music offers a unique opportunity to challenge each student cognitively, affectively and physically. It provides for emotional expression, intrinsic worth and has a positive impact on individuals, families, communities and cultures. Eastern High School Band Policy Statement It is the policy of the Eastern High School Band that the curriculum content and instructional materials utilized reflect the cultural and racial diversity present in the United States and the variety of careers, roles and lifestyles open to women as well as men in our society. One of the objectives of the total curriculum is to reduce stereotyping and to eliminate bias based on sex, race, ethnicity, religion and physical disability. The curriculum will foster respect and appreciation for the cultural diversity found in our country and an awareness of the rights, duties and responsibilities of everyone as a member of a multicultural, multiethnic, nonsexist society. Membership The Eastern High School Band invites all musicians from grades 9-12, who have successfully completed 8 th grade band, to participate in the Eastern High School Band. 1. The Marching Band involves all band members from grades All Eastern band members must participate in the marching band in some capacity. The marching band performs at all home football games as well as parades, state and national competitions. Attendance at marching band camp and the marching band rehearsal days the weeks before school begins is required for all members. A calendar of all marching band dates is enclosed in this packet. 1a. Those band members that participate with other Eastern activities during the week such as soccer, football, etc. are possibly exempt from being in the marching band. Please see Mr. Arthur if this pertains to you. 2. The Symphonic Band is an audition-based ensemble of the top players in our band. Audition music will be given out over the summer to all students. Since college level literature is emphasized in this ensemble, all participating students are required to be in private lessons. If a student auditions and makes this ensemble but is not yet in private lessons, a private lesson teacher must be found and lessons begun by the first week of school. Exceptions can be made as the director sees fit. The expectation for private lessons is that each student takes at least one (1) lesson every two weeks. At this lesson, the students must have a private teacher evaluation form filled out to be turned back into Mr. Arthur. There is a labeled box in the band office for collection of these forms. This form can be found on the band website at Three (3) of these are due each 6 weeks to receive a full grade in the course. Other requirements include auditioning for All-County Band, auditioning for the second round of All-State if you are chosen and participating in at least one (1) solo & ensemble event. If these requirements are not met, a full grade will not be received and the student runs the chance of losing his/her spot in this ensemble. 3. The Concert Band is our second ensemble. Private lessons are not required for this ensemble but students

10 are highly encouraged to take them. In the event a student is removed from the Symphonic Band, a student will be moved from the concert band to fill that vacancy. Other requirements include participating in at least one of the following to receive a full grade: auditioning for All-County Band, All-State or participating in at least one (1) solo and ensemble event. The Symphonic & Concert Band are YEAR LONG courses. Each student is very important to this band and participation throughout the entire year is critical. If a student quits the program, they will not be permitted to return. Participation in band for 4 years makes you exempt from taking Arts and Humanities. 4. The Jazz Band will meet after school in addition to the concert bands. A syllabus of requirements will be passed out the first week of rehearsal and will begin when the marching season is over. This class is open to all band students with availability and flexibility in their schedule. This ensemble performs at formal concerts, tours, and participates in area festivals and clinics. 5. The Pep Band involves all students that are in the Concert and Symphonic Band. The membership of these two ensembles will be divided into two separate pep bands. Each performance will count as a performance grade. The pep band performs at home and tournament basketball games. A schedule will be published as soon as the dates are confirmed. 6. All percussionists are required to be in percussion ensemble directed by Kevin Luken. More info coming soon! 7. Other organizations that will be derived from the above groups are as follows but are not limited to: brass ensembles, woodwind ensembles etc. Grading Policy 1. Full participation is expected by all members at all times. 2. Playing tests will be given at the director s discretion to ensure that each student knows his/her own part. 3. Required graded performances are as follows but are not limited to: holiday concert, spring concert, concert festivals, arts festival, concert in the park, competitions, parades, solo & ensemble and ballgames. 4. If any performance is missed without being excused by Mr. Arthur, the student will receive a failing grade for that performance. 5. If you do not pass band class, you may not be asked to participate the follow year. 6. Each student in the Symphonic Band must turn in three (3) private teacher forms each 6 weeks. Expectations of a Band Member and Families 1. Responsibilities to Ourselves We owe ourselves the benefit of proper equipment and proper lessons. Whenever possible, you should avail yourself of the best possible quality instrument that you can afford and endeavor to take private lessons. Group lessons only teach you at a moderate level. You have the primary responsibility in learning and making contributions to the group with your talent. 2. Responsibility to the School The school district provides the necessary setting and facilities for our performances. The Band Parent Association is responsible for many large purchases of instruments, equipment, uniforms, etc. We then have the obligation to provide the best possible performances for the school, community and citizens of our area. This means that you give up some of your free time on holidays and vacations for the entertainment of others. 3. Responsibilities to Music The performing arts have always been a vital part of humanity. You have been blessed with a very special talent and you have the responsibility to use that talent for the betterment of our community and all humanity. 4. Responsibility to Each Other Getting along with each other in our complex society is indeed a difficult task all by itself. You have the obligation and responsibility to respect the rights of others. Anti-social behavior will only breed the same from others and bring unwanted trouble. Excessive talking, rumors, bad manners, etc. are all examples of anti-social behavior. Please respect the rights of others, both in and out of uniform, and treat them as you want to be treated.

11 5. Financial We ask that parents join the Parent Association and pay the Band Parent Association Dues. The Band Parent Association is responsible for the cost of the uniforms, special instructors and equipment, as well as the transportation and maintenance of equipment. We have a very active and supportive Principal and Parent Association and encourage everyone to take an active part in assisting with the many activities that support this outstanding musical organization. Attendance Policy Please review CAREFULLY! In keeping with the purpose of the Eastern High School Band to provide a quality musical experience for all its members, it is the expectation that all students are responsible to their colleagues, themselves and ultimately to the music itself. Therefore, once becoming a member of the Eastern High School Band, it is the responsibility of each member to: A. Attend all rehearsals and performances B. Arrive at all rehearsals in time to warm-up C. Have practiced the music before each rehearsal D. Turn in absence excuse forms promptly Please read carefully: You must be at all performances unless you are in the hospital, you are at the hospital with a family member, or there is a death in your family! Please do not ask to leave a performance until the entire band is dismissed. ALL band members must travel to and from all performances together. NO ONE will be permitted to leave the event with anyone other than the band unless there is an emergency. If a student has an unexcused absence during the week of a performance, that student will not be allowed to perform at the next football game or competition. They will stand on the sideline with the pit at attention. Any absence without an approved excuse form is UNEXCUSED! THIS WILL BE ENFORCED! The absence excuse form can be found on the website at It is this type of commitment to the ensemble that will help to ensure a quality musical experience for all members of the band. It is, however, understood that there may be conflicts as a result of illness, death in the family, or school/religious activities. The following guidelines will be followed when a conflict occurs: 1. If a member accumulates more than three absences during the marching season, the staff will review his/her membership in the band. 2. There shall be no more than one absence per month. Those members holding positions of leadership such as section leaders SHALL HAVE NO MORE THAN ONE ABSENCE PER MONTH OR HE/SHE MAY BE REMOVED FROM THEIR POSITION! If a student is unable to meet these requirements, it may be necessary to adjust their seating. 3. Everyone is expected to be at the rehearsal site no less than five (5) minutes before rehearsal is scheduled to begin. 4. Since a schedule of all rehearsal and performance days have been given to you early, excuses such as work will not be accepted. If you have a job, please give them a copy of this schedule. If there is a problem with a job, please give the name and phone number of your manager to Mr. Arthur and he will call them to try and resolve this problem. Most places of business are more than happy to work around school schedules. Most employers like well-rounded people. 5. Since a schedule has been published, the staff of this band asks that all doctor, dentist, and orthodontist appointments be made on off-days. This will help each student in not getting behind the rest of the band and will keep the entire band from getting behind schedule. READ THIS CAREFULLY! Absence Excuse Forms Absence excuse forms will be made available for students and parents on the website. If you know you will need to be gone from a rehearsal, please fill one of these out at least one week in advance and hand it to Mr. Arthur. Filling out this form does not excuse an absence. This helps keep Mr. Arthur and other staff informed

12 of where you are for your own safety. Just because a form is turned in DOES NOT mean that the absence will be excused. NO ABSENCE will be excused without this form being filled out completely and being return. These must be turned in by Wednesday for the following week. If you must be gone for an emergency, please fill this out and return it to Mr. Arthur the first day you return. Three tardies will be counted as one absence. Leaving rehearsal early will also be counted as a tardy. Instrument Transportation and Care 1. Make sure that your instrument case is properly identified. Even if it is a school instrument, you should have your name on the instrument case. 2. Never lay your instrument on the wet ground and never lay your instrument on cement or asphalt surfaces. 3. Woodwind instruments should be cleaned out after each use. 4. Pack your mouthpiece securely in the case so that it doesn t dent or scratch the instrument. 5. Clean your mouthpiece each week especially in warmer weather. 6. Brass instruments should be cleaned frequently and you should use generous amounts of valve and slide oil. 7. Never leave your instrument laying out in the band room or any other area. 8. Each student is responsible for the loading and unloading of his/her personal instrument or equipment on every trip we take. DO NOT rely on someone else to do this for you. 9. All instruments must be put away in cases and on shelves in the storage rooms. Use of the Band Room 1. Everyone has a responsibility to keep the band room neat and clean. Irresponsible individuals will be assigned clean-up duty of the room when necessary. 2. The band room area is one for musical pursuits, not for horseplay and rowdiness. If your behavior cannot be controlled, we will need to take the necessary steps to help you improve. 3. The instrument storage room is to be used for instrument storage only! The band is large and we are cramped for space. Please do not store lunches, backpacks, books, etc. in this room. 4. Percussionists are expected to keep their area neat and clean. 5. The band room area is provided for the convenience of musicians working individually or in ensembles. It is not to be used for talking sessions. Permission to come to the band room during other periods must be obtained from Mr. Arthur. 6. The band office is for business only. If you need to talk to a staff member, please knock on the door (if it is closed) and wait for someone to answer. Sometimes we are on the phone or in a conference and are unable to respond immediately. Please be patient. There are many of you and one of Mr. Arthur! Conduct Practice like you perform! The way you rehearse directly affects your performance! 1. Be prompt and ready to start at designated times. We always start on time with or without you. 2. During the school day, passes are required for tardiness. 3. Talking and unnecessary playing contributes to negative results. 4. You are a member of a great high school band program. Try to always make a positive contribution toward the success of the band. 5. NO ONE is to leave campus in a vehicle until rehearsal is over. It is unsafe and will not be tolerated. 6. Proper dress is required for all rehearsals. Dress cool when it is hot but stay covered! 7. All Eastern High School rules are in effect at all times. Responsibilities 1. You are going to have fun with band. 2. It is the responsibility of every band member to eat well, get plenty of fluids, stay rested and hydrated and to bring a thermos or water jug to EACH band event. You MUST take care of yourself. Please do not wait for someone to tell you to do this. This is YOUR responsibility! 3. Proper behavior is expected at all times and offensive language will not be tolerated. 4. An absence excuse form must be filled out completely and turned in at least one week in advance for it to be accepted. In cases of illness or death in the family, an absence excuse form must be turned in at the next rehearsal. Please hand the absence excuse form directly to Mr. Arthur. If this does not happen, it will not be accepted.

13 5. You will have fun with this band. 6. No gum, food or drink is permitted in the bandroom. The consumption of any food or drink in the bandroom is considered disrespectful to Mr. Arthur and to the rest of the band. 7. You will be successful with our band! 8. No member is allowed to leave the campus during breaks. 9. Mr. Arthur is a cool director that will have fun only if you have fun! 10. All members are responsible for being able to perform their own music. This requires practice of the music at home and possible assistance from the private teacher. 11. All students are expected to take care of any and all equipment owned by Eastern High School and other band students. If equipment is damaged or destroyed, the student or the family of that student is expected to replace the damaged item at his or her own expense. 12. You will have fun with this band (any questions?) Profanity will not be tolerated from any student. If you cannot control your language at a school-related activity, steps will be taken to correct the problem. Disrespect to any Director, Staff Member, or Chaperone will not be tolerated. Disrespect will result in an immediate suspension from band until the situation can be resolved. Disruptive Behavior or any other violation of the band policies could result in disciplinary action. BEHAVIOR OR CONDUCT PROBLEMS WILL BE HANDLED IN THE FOLLOWING MANNER: 1 st Offense - Meeting with the director and parents/guardian. 2 nd Offense - Meeting with the director and an administrator with possible suspension from the band. 3 rd Offense - Meeting with the director and administrator with possible removal from band. WE WILL NOT TOLERATE INAPPROPRIATE BEHAVIOR IN THE BAND AND WE WILL TAKE THE STEPS NECESSARY TO PREVENT ANY STUDENT FROM DISRUPTING THE LEARNING OF OTHER STUDENTS. Performance Trips & Tours The Eastern High School Band occasionally plans trips and tours for its members. Members involved will be assessed additional trip and tour fees above and beyond the usual fees. Ground rules for overnight trips are as follows: 1. NEVER go walking around without at least one person from our band with you. 2. Always leave the place we visit cleaner than we found it. 3. Once room check has occurred, no student is allowed to leave his or her room. If assistance is needed, call Mr. Arthur or a chaperone s room. 4. No student is permitted to leave the hotel unless with the band. Once we leave Eastern High School, every student must stay with the band until brought back to Eastern. 5. A schedule of all events will be given to each student before leaving Eastern. All students are expected to fully participate in all activities planned. 6. Have fun on trips, (you have earned them) but be responsible and think before everything you do. 7. Do not call out for pizza while at the hotel unless given permission from a director. This is a security risk. 8. Not following any of these rules may result in a student being sent home at his/her or parents/guardians expense. 9. All arrival times back at Eastern are estimated on each trip that we take. Due to some unforeseen circumstances, we may be late from time to time. If we see that we are going to be an hour or more late, you will be contacted. Bus Conduct 1. The bus driver is in control and the chaperones will assist the driver. 2. Please leave the bus cleaner than you found it. Leave it clean and with the windows up. 3. Do not load or unload equipment until you are instructed to do so. 4. Stay on the bus until you are told to unload. 5. Be on time for departures! Depending on the situation as determined by the director, you are subject to being left at school if you miss the designated departure time. If you miss a departure or performance, the parents will be notified of your absence.

14 6. Maintain two people per seat. 7. All seats should remain free of coats and equipment until all people have found seats. 8. Do not yell, stick your arms out or throw things from the bus window. 9. Use the restrooms before we leave. Do not ask the bus to stop unless it is an emergency. 10. Don t forget to thank the bus driver and chaperones for making our trip safe. 11. Do not ask to drive to band events. We go as a group and return as a group. 12. If there is a special reason that a band member will not be able to ride the bus to or from an event, then special arrangements should be made with Mr. Arthur prior to the day of the event. The student should provide a note from the parents stating where the student is going, who is driving, and that Mr. Arthur and the Jefferson County Public Schools are not responsible for the safety of that student. Stand Conduct and Third Quarter Procedures at Sporting Events 1. Great bands like ours are organized and ready to perform at all times while in the stands. 2. BE ALERT!!!! Watch the game and the directors. Things often happen quickly so be ready. 3. Do not play your instrument unless the entire band is playing. 4. Do not invite your friends to sit with you in the stands. Visit with them during the third quarter. 5. Refreshments are reserved for the third quarter only. We will have water available for the first half of the game as needed. 6. Watch your instrument constantly so that it is not stolen or damaged. 7. Stay in full uniform unless a director tells you differently. 8. Never leave the band without permission from Mr. Arthur. 9. Remember that you are on display and represent Eastern High School at all times while you are in uniform. Third Quarter 1. Make sure that your instrument is safe when leaving to get refreshments. 2. Don t bring food or drinks back to the stands. 3. Do not leave the stadium under any circumstances. 4. You are expected to be in your seat and ready to play at the end of the third quarter. 5. Violation of these policies will result in the loss of third quarter privileges. Always remember to thank the parents that are serving you! Uniforms Marching uniforms are worn for all performances during marching season unless you are instructed otherwise. Concert uniforms are worn for all performances during concert season unless you are instructed otherwise. The full marching band uniform includes marching jacket, pants, gauntlets, hat, *BLACK* socks, marching band shoes, gloves and band T-shirt. These items will be issued with a blue garment bag and a hard, black plastic box for the hat. Band T-shirts and gloves are distributed during band camp. Marching shoes will be fitted during band camp and distributed as soon as the orders arrive. Socks are the students' responsibility and you are expected to bring your own for each performance. A concert dress is provided to the ladies and a tuxedo is provided for the men. These are to be worn at all concerts and concert festival. Just like the marching band uniform, one (1) cleaning is covered in the band dues but they are the property of the Eastern High School Band and are to be returned at the completion of each concert. WEARING THE UNIFORM Your band T-shirt is considered part of the uniform and is to be worn under the marching jacket. You may choose to wear WHITE Under Armor under your jacket instead of your T-shirt. The jacket is zipped in the back and hooked at the collar. The collar liner is provided to protect the uniform jacket from body oils and perspiration. NEVER wear the jacket without the collar liner. Wear BLACK socks. The gauntlets are worn over the gloves. In cold weather, Under Amour worn under the uniform pants and jacket will provide warmth without weight or bulk. Plumes are issued prior to the performance and will be collected immediately after the performance.

15 NO JEWELRY WILL BE WORN WITH ANY OF THE UNIFORMS. DO NOT get any piercing done during marching season or near any performance date. You will be required to remove the jewelry while you are in uniform. Watches and colored nail polish will not be worn with any uniform. All men must be clean-shaven. If you choose to have facial hair, it must be trimmed and clean around it. The pants should be worn so that the bottom of the pant leg just touches the top of the shoe and the front crease hangs straight and does not "break" or wrinkle. Adjusting the suspenders may control the pant length. If the pants or dresses must be shortened, they may be hemmed. DO NOT CUT THE PANTS OR DRESSES TO SHORTEN. Hemming is the only uniform alteration allowed. Do not use iron-on hemming tape or pins to make the hems. Pants and dresses must be hemmed by sewing only. An inspection will be conducted prior to the first performance. Your uniform must be properly hemmed by that date. Additional inspections will be held prior to each football game and following concerts. The uniforms will be dry-cleaned at least two (2) times during the year, colorguard uniforms will be dry-cleaned or hand washed, depending on fabric. The band will provide one (1) cleaning per year of the concert uniforms. Additional cleanings may be the responsibility of the band member if necessary. If you have any problems with your uniform, contact a uniform parent as soon as possible. We are here to help you. Uniform moms are in the band room to help before every performance. Socks and stockings are NOT available for loan. If you fail to wear black socks, you will be able to purchase clean used socks at a cost of $1.00 per pair from a uniform parent.
