2 C:" f 'i 48 Th AUSTRAliAN NATioNAl SQUARE DANCE CONVENTioN 9 All Correspondence to The Secretary GPO Box 408 Adelaide SA January 2007 The Manager Piccadilly Springs 70 Hardy Road Tranmere SA 5070 Dear Manager In June this year South Australia is hosting the 48 th Australian National Square Dance Convention at the Distinctive Hornes Dome. The convention will run from Thursday June 7 to Monday June II. Square dancing has an active following of around 400 dancers in South Australia and many thousands throughout the country. We anticipate that we wi ll have up to 1000 dancers in attendance. The average age of square dancers is from 45 upward, but there are younger dancers and children also involved. At the convention we will be hosting dancers from all States of Australia as well as dancers from Japan, Germany, New Zealand, and possibly the USA. We have a number of organizations who are offering sponsorship in kind rather than cash, and we are approaching you to see if your organization wo uld be prepared to offer us up to 12 x 10 litres containers of water for the use of the callers both on stage and in their practice room, and for the creche, which we anticipate will cater fo r 20 to 25 children from virtually 0 to II years of age. As the Convention is being held at the Distinctive Homes Dome, which has its own caterers, we cannot offer you the opportunity to sell your product direct, but we can offer you the opportunity to promote it as a sponsor. This could take the fonn of an advertising banner, an advertisement in the dancer program (which is virtually the dancers "bible" for the 5 days and will be camed and read a number of times each day), or insertion of a sample or advertising brochure in the convention bag which wi ll be supplied to every person attending. As a sponsor, we would also recognize you on the sponsor board on display, in the list of sponsors in the printed program and verbally. When I was unable to contact you by phone I attempted to get a message to you, 'Jwever, my message trail seemed to take a detour somewhere and the message never arrived. As I indicated to you when we first spoke that whilst we were not doing official transport arranging a bus for your group would not be an issue and we have been able to do so for the cost of $40.00 per dancer for the weekend. Could you please supply us with the exact address of your accommodation for the driver and the names and addresses of each of the dancers in your group requiring transport so that an individual invoice can be forwarded to them and a transport ticket can be added to their package on receipt of the fee. I have arranged transport to all sessions of the dance for you with a return trip in between the afternoon and evening sessions on Saturday, '>unday and Monday. June 2007 Early last year you assisted us by printing and producing jackets and a dressed sel design for our promotion of this forthcoming event. We have had many comments on the jackets and our ladies and men's outfits - some dancers asking if they are available anywhere for sale. M y husband David and I spoke with you about having a booth at the convention selling numerous souvenir items. Although we cannot predict with a ny certainty what might be sold or the quantity of items, we can assure you that square dancers do enjoy purchasing memorabilia. We are expecting between dancers from Australia and overseas, amongst them a group of 50 Japanese dancers. When we spoke with you. you suggested a negotiable figure of a suitable donation from you or perhaps 10% of all sales. Bribie Island Q 4507 Thursday 8th February, 2007 Han Secretary, Jan Hannaford, Adelaide Square Dance Assn, Dear Jan, H avl"~ attended quite a few 'Nationals", Tasmania, Perth, Melbourne etc to name a few, I was really looking folward to attending the Adelaide National, that was until I opened your letter dated 3rd February, which enclosed - amongst other things - Dress Rules for ladies dancing as Left Hand Dancers. What a shock to the s),stem that was. Those rules seem a good way to get rid of dancers. At all other Nationals, I have been permitted to wear evening slacks with a pretty feminine blouse top. Shoulders covered at all times. Over the years I have accumulated a wardrobe of "pretties" in which to dance at Nationals. I have an array of sashes to compliment the tops. Now you are telling me that this is not acceptable I dance the Left Hand Dancer all the time - not from choice, but from lack of gentlemen in our area wishing to dance. I have never danced as a "Lady" I strongly object to having to dress like a man just because I am willing to dance in the men's position. Now if I want to appear "Feminine" a skirt must be worn. Which I do not have, and have no wish to purchase Or I mus( now purchase long sleeve blouses, bolo tie, cravat or similar, to make me look like a man. I DON'T WANT TO LOOK LIKE A MAN! In the past I have noticed at the Nationals, that some men wear shorts and long socks, can a lady LH Dancer wear this? I don't think that would be at all acceptable. Can you imagine gold evening shoes, topped with long socks and shorts, YUK. Most ladies who dance the LH dancer take pride in what they wear - taking care to look elegant and 3cceptable to all. I w as just so angry: - for the la5112 months I have been scrimping and saving to purchase a couple of new pretty blouses, beaded tops etc. to go with my dress slacks, which I wear at the Nationals, and then to read that I could not wear them. WelL.. I saw red, and unfortunately I am afraid you - as Han Secretary - were on the receiving end of my disappointment. Once again Jan I do apologise for my bad temper. Firstly, I must apologise to you, as I did to Jan, for writing such whilst I was "hopping mad". I should have cooled down prior to contacting your Association. When I spoke to my dancing partner, Barbara Legge, Secretary of the ARDA. she informed in, no uncertain terms, that those WERE the dress rules, have ALWAYS been the dress rules, and were not put there to annoy me, but. as you also said, "for the comfort of those attending the Convention." She just about tore strips off me - although she did understand how I felt. My reaction came, mainly I think, because I have always taken pride in selecting and wearing clothing suitable to my age. making sure that those parts that need covering are indeed very well covered, and try, to some extent, to compliment the colours worn by my partner. Shoe heel requirements, yes, I know. understand, and comply. ALL my dance shoes have the correct heels, I had that information drummed into me prior to purchasing my first pair of dance pumps, and anyway, at my age - {mature] - correction - ~ mature] - I could not dance in anything else but 1" square heels. I might add that I dance very few "Squares" as I am mainly a Round Dancer. So dress slacks. overblouses, with sleeves - preferably as close to the elbow as possible - will be acceptable? Barbara & I are hoping to get other ladies from her class interested in attending Adelaide. I hope we are successful. TIle erection of the stage will need to be done early on the moming of Thursday June 7 1h as we then have to erect our own stage set and sound booth, to be completed ready for dancing to commence early that evening. 15 48 th Australian National Square Dance Convention All Correspol'\dence to The Secretary GPO Box 408 Adelaide SA " May, 2007 Dear Caller, Well it is now less than 6 weeks until the 48 th Australian National Square Dance Convention and the committee are working hard to ensure it will be a weekend to remember. We currently have over 850 dancers registered from every State & Territory in Australia (yes, even the Northern Territory) as well as over 50 dancers from Japan, dancers from New Zealand, Germany, England & America. In this letter you will find the following information. 1. Music media - main venue 2. Music media - 2 nd & 3rt! venues 3. MC instructions 4. Reserved Songs 5. Dressed Set Figures 1. The sound for the main venue is being looked after this year by Des Dickinson. Those of you who were at Warrnambool a couple of years ago will remember the excellent job he did there and of course the Victorian callers are very familiar with Des' attention to detail. Des is a dancer and a caller's partner and is very aware of the unique requirements for the sound provided at such a large event. In the main venue you can provide Des with your music in the following formats: a. Record b. Mini Disc c. CD d. Cassette Tape For those who use other media such as laptop or MP3 player you will need to transfer your music into one of these formats for it's use in the main venue. For your convenience I will have a laptop available with a CD burner for those "last minute" decisions. Please ensure you give me plenty of time to accommodate you and I would suggest bringing a USB flash drive to enable the easy transfer of files. Another thing worth mentioning is that MP3's are compressed digital audio and as such are not of the same quality as analogue recordings. These "imperfections" will be amplified in a large venue and neither Des nor I cannot accept responsibility for any perceived lack of music quality you may get from MP3's, even if they are later transferred onto CD. 16 2. In the 2" & 3" venues there will be a Hilton turntable and Mini Disc setup for use by the caller on stage. For those who use other media you will be able to plug your own device (laptop, Ipod etc.) into the Hilton and control it as you would normally do. There will be no "on-site" sound engineer in these two venues so the caller on stage will be responsible for controlling the sound. For those who are not comfortable with this please do not hesitate to discuss this with me prior to the weekend. 3. MC'ing is an important part of creating atmosphere and keeping the dancers informed. Most of you have experience in MC'ing at a big function so I know I am telling you things most of you already know. Having said that there are some things we would like you to remember. a. Clear, concise and brief will ensure the best response b. You need to be very aware of your language. c. Please also be aware of the diversity of culture, ethnicity and religion that will no doubt arise from having 850 people from 6 different countries in the one place. d. Although the theme of the weekend is "Your Square Dance Heaven", the committee is very conscious of the religious implications. Please refrain from using language that may cause personal affront such as God, Allah etc or any denominations. A common sense approach should always apply. 4. With the special theme for the Monday night "From Heaven to Hades -let's have a hell of a night" we would love callers to dress up (down??) for the occasion and where possible work with the theme in your music selection. Please contact me with any requests to reserve tunes. 5. The Dressed Set bracket will be called by the staff of Aussie Tempos, Steve Turner, Nev McLachlan, Kevin Kelly, Jason Dean, Mike Davey and James Reid. The 2 numbers being called are "Light The Candles" (A 1012) and "Next Door To An Angel" (OWN 1 01). 6. Both the main venue and the second venue (Seventh Heaven) will have a Callers/Cuers Practice Room equipped with Hilton and Mini Disc player. These rooms are both for practice and respite. Both you and your partner are welcome to use these rooms and the equipment in them or grab a cuppa and relax. We only ask that you respect other callers who may be practising and keep the noise at a level that will not inteliere with the dance hall. Also, please do not invite dancers into the Callers/Cuers Practice Room. Thank you all once again for your participation at this years National Convention. 28 2007 SHOWCASE AND EXPERIMENTAL NOMINATIONS. It feels like the National frorn this year is only just over and here we are Deeding to push for selections for next year. It is in the ARDA Guidelines that the nominations are to be submitted to the Secretary no later than three months prior to the National. For the last National we ended up in a spot of bother because we eased that coodition significantly which in tum really only created more trouble than it was worth. We:. will not be doing that next year. To submit a dance it must: Be in the hands of the Executive three months prior. That makes it about the 11 tb of March. Given the Monday is the 14th I think we can stretch it till then to allow for mail over the weekend. If your organisation is conducting a selection around this time please notify the Secretary for an extension. A FULL cue sheet is to be submitted with the nomination. The dance is to be danced as: per the cue sheet prior to being submitted. A number of dances in tbe last two years have been submitted that clearly do not fit the music without modification. The music is to be available., Remember last year the music source was changed to include electronic media such as music downloads off the internet - providing the source is legitimate such as BigpODd ~ Music. Ripi~ or itunes. Some comment has been made in regard to not being easy to find dances easily. Some suggestions are: Palomino top seiler lists Roundalab Round ofthi~ Quarter lists. Numerous American and European associations publish local Rounds of the month/quarter. This is actually inconsistent with the manual for operations of National Conventions but since ARDA are the peak body for the activity and also responsible for advising the board on procedure, I am happy to accept their procedure. ARDA have advised of the procedure for this year in their Newsletter Volume 8, Issue 2 October 2006 Page 9. I have included the article as a attachment to this . Compliance with Other Legislative Requirements The permit holder must abide by all other State and Federal legislation. The issue of this pennit docs not absolve the permit holder or their agents from any other oveniding legislati on. Amendment to Conditions The penn it conditions may be amended at any time by the issuing authority wit h or without consultation with the pennit holder. Directions The issuing authority may add or remove di rections to the permit in addition 10 conditions at any lime. The photographer has the option of being available at other pre-arranged times during the weekend. The photographer shall be under the guidance of The Venue Manager, the Convenor or their delegated person for the duration of the Convention - and will not take any photographs away from their booth without the prior knowledge of their delegated contact. There will be copyright restrictions for some parts of the convention! The photographer will only operate from assigned areas and on any dance floor as directed by the Venue Manager, the Convenor or committee member. They must not encroach on any stage area or impede/obstructjinterfere/converse with any caller or dancer in any way during any dancing session. A copy of your current Insurance at the time of the convention will be required. The photographer must wear a Convention identification badge at all times. This will be supplied to the successful applicant. Any assistant must also wear one for security purposes. The photographer will be assigned a booth for the duration of the convention in a suitable position where they can erect their photographic equipment and back drop [assistance to include the Theme into the back drop may be available]. We are expecting 800 to 1000 dancers from around Australia and overseas, and in fact already have more than 800 registered. Our main venue in The Distinctive Homes Dome, Crittendon Road, Findon. OUf subsidiary halls are the Macedonian Hall and the Veneto Club, we have arranged a shuttle service between venues for the use of the dancers. Please note that the ribbon size is variable between 17 and 20 ems. depending on a cost effective cut. I am mainly concerned with the supply of the printed ribbons as per the layout supplied. The additional request for State Name identification to be printed on each State colour is incidental and something that can be discussed if you are able to supply our requirements. They are printed onc colour (white) on the ribbon, but we will have to use a darker colour print for the li ght colour ribbons. We (the committee) will purchase and apply the double sided tape indicated on the detail sheet. The ribbon required is a satin, and must meet the AS colours listed on the accompanying detail sheet. First the ribbon colors... my apologies fo r this, I have fo llowed the constitutional guide which lays down the AS Codes for the colors. Following your request for Pantone colors, when I went in to check them against PMS colors I find that the AS numbers deal with "architecture, interior design and paint"!!! Nothing whatever to do with ribbons and inks. I will be having a few words about this at the next Board meeting I attend. Now let's hope the fo llowing will sort the colors out for you. ') sing Omnitex industries sample card I have designated the colors as per the ribbon sample colors on the card. I have attached a revised list with this . I have also designated which ribbons should be printed in White and which in Maroon. I cannot give you a PMS color for the maroon ink, but have suggested on the attached list an ink color similar to, or slightly lighter than, the burgundy color of the Queensland ribbon. There is no set color for the inks used. Now you have asked I can see the problem with the angel in the logo, printing in single color will loose the wording in the image. As an ex-printer I should have picked this, thank you for bring it up at (rus point. I wi ll rework the artwork so that the angel is simply a li ne image, which will avoid the problem it causes when it contains the stipple fi ll. I think this will answer al l your questions, but will keep monitoring and will reply promptly to any further ueries you raise. I appreciate yo ur prompt help. W.S. is to provide an opportunity for, and to encourage those interested in, both modem square dancing and travelling to combine these two activities for mutual enjoyment. Membership oft.a.w.s. Membership oft.a. W.S. is open to all couples and single irndividuals who: a. Have completed a prescribed training program in modem square dancing, or clearly demonstrate the equivalent ability in established sq uare dance clubs, and b. Are travellers A "traveller" is defined, for the purpose oft.a. W.S., as one who, at various intervals travels and resides at a ho liday site, as in a National Park, Holidayffouri st park, Camping ground, throughout Australia; in a tent, campertrailer, motorhome, caravan, or other temporary shelter, but excludes temporary residence in a motel, hotel or other organ ised faci lities catering principally for transient travellers and which normally furnish bedding. and other refinements of normal day to day living. Membership oft.a. W.S. shall be indicated by a membership card/certificate/car sticker, or other such token. 67

74 Membership shal l be organised on a National basis with a representative appointed/seconded, or elected for each State (purely for efficient communicati on and liaison.) Monies T.A.W.S. shall be a non-profit organisation, and any monies co llected by whatever means shall be received and distributed by a person elected to do so. All moni es shal l be used for the benefit of members in pursuit of the stated objectives. State C hapters State chapters of the T.A.W.S. may be a consideration in the future dependent upon interest. participation and growth. At the outset, estab lishment of chapters is considered to be an unnecessary impediment to progress. Co-ordinating Committee A National Co-ordinating committee shal l be elected/volunteered, comprising a Coordinator, Secretary, Treasurer, and State representatives. The Committee shall, co-ordinate activities, receive & distribute information to membc!rs, maintain a register of members. and receive and distribute manics as required. Communications The preferred means of communication is by as this is considered to be the most cost effective and quickest means of di sseminating information to members.
