1 Central Ohio Corporation of Dance Clubs Minutes of Meeting November 5, ) COCDC President Pat Jones called the meeting to order at 7:30pm. 2) Roll call was called with 17 members and 1 guest present. 3) The minutes of the September 5, 2018 meeting were reviewed and accepted with corrections. Motion was made by Jim Easley and seconded by Doug Burdette. Motion passed. 4) The minutes of the September 13, 2018 meeting were reviewed and accepted with corrections. Motion was made by Erma Wolf and seconded by Connie Williams. Motion passed. 5) Reports of the Board: A) President: No Report B) Vice President: No Report C) Secretary: A request was made to the reps to go back to their clubs and ask for clothing donations from their members for the COCDC recycle clothing sale at the Toys for Tots dance. D) Treasurer: All the clubs have paid their dues. Doug Burdette made a motion to accept the treasurer s report and seconded by Jim Easley. Motion passed. 6) Reports of Committees: A) Marketing/Recruitment: 1) Radio Ads: 1 st Friday had some hits on the website. 2 nd Friday there were no hits on the website. Ray Owens was very pleased with the response on the Facebook ads. The radio ads did not work out as we all had hoped. We may want to try a different station next year but the cost may be substantial. The information will be sent out to all the Reps. Only one new student heard it on the radio. 2) Oakland Park Demo: 2 squares. Great job by the caller. We were asked to come back next year. 3) Staggering the lessons: Ray Owens is proposing changing the lessons schedule from the traditional way to a staggering system. The information will be sent to all the reps to review. Lynn LeMaster will chair the committee to review the information and present it at a special meeting that will be called to discuss this issue. B) Ways & Means: 1) Pat Liston is still waiting on the rest of the Honoree information. Pat Liston will send out the guidelines for each candidate to the past Honorees to help with the voting process. 2) Doug Burdette requested that Pat Liston provide the number of past Honorees that actually voted for this year s new Honoree. C) Special Dance: Toys for Tots Dance: December 9, 2018 from 2-5pm at the Gahanna Congregational Church. Finger Foods will be provided by everyone. Velma will send reminders to each club as to what they are to do or to supply for this dance. Erma Wolf will buy all the supplies and get reimbursed by
2 council. Velma will ensure that church is confirmed for the date and time. Gary Jay will contact the Gahanna Fire Dept to pick up the toys and money. This is a Hi/Low dance. Terri Ross will chair the recycle clothing sale. Pat Liston will provide 2 petty cash banks one for the door and one for the clothing sale. Set up will be at 12:30pm approx. D) Convention: 1) We are still waiting on confirmation from the Guinness Book of World Records. 2) In the past 5 years Ohio has ranked 5 th in the nation at the National Convention for the number of dancers who attended the convention. 3) $10, profit was made at the Ohio Dance Convention in ) The 59 th Ohio convention in Cleveland will have a panel of mentors with suggestions and guidelines with education on running a state convention as well as educational possibilities. 5) The Trail End dance for the 2019 Ohio convention will be sponsored by one of the Cleveland clubs and held at the Bertram. Casual dress and $8.00 admission. 6) There will be a singles meet and greet area at the 2019 Ohio Convention. Solo dance ribbons will be supplied to the single dancers who would like them. 7) At this time there is no rounds clinic for the 2019 Ohio Convention. 8) The 60 th Ohio Convention in 2020 will be sponsored by Cincinnati and the theme may be the Roaring 20 s. It will be held at the Crowne Plaza Hotel in Columbus. The Trails End will have plus, rounds and line dancing. The room rates will be $ ) 2021 will be sponsored by Miami Valley. It will be held at the Crowne Plaza If they cannot find a better location. Matt and Brenda Howard will be the chairs. 10) 2022 will be hosted by Akron and chaired by Chickie & Bill Weber. 11) 2023 may be Columbus turn. We need to start thinking about this possibility. 12) The National Convention has nonprofit status because they have a 501c3 tax status for education. We can change the name to Ohio Dance Convention and get a 501c3 status if we decide we want to do this for our sponsored conventions. A council cannot receive a portion of the money from a convention unless they have 501c3 tax status. They can be hired by the convention and receive compensation. 13) The company that supplies the flooring was sold. State Corp needs to decide if they should buy and store the flooring or continue to rent. Further discussions will take before any action is taken. 14) The Bus trip money was refunded to the Ohio Convention. E) State Corp.: 1) State Corp is asking all councils to send any information on dancers to State Corp to have a card sent to them for illness, injury, death in family, etc. 2) All State Corp reps have new badges. 3) State Corp has 4 meetings per year. The August meeting has been moved to the 2 nd Sunday. 4) Shirley Monett has had many health issues lately and unable to attend the meetings. She will remain as an honoree state corp rep. 5) Each council has 4 positions. This council needs additional reps. Terri Ross
3 volunteered to be a State Corp. rep. as did Pat Jones. F) Scheduling Coordination: No Report G) Constitution & By-laws: No Report H) COCA: The Snowball dance on February 10, 2018 will be from 1:30-4:30pm at the East Pointe church. I) Insurance: All the clubs have turned in their insurance forms. 7) Old Business: A) Jim Easley asked the procedure to get 3 purple hearts for his club members. Pat Jones let him know the purple heart forms are on line and that she distributes them. B) Domain name changes were tabled until the next meeting. 8) New Business: A) There was a question regarding the need for signage at the dances that states that the dancers pictures may be taken at the dances and used on social media. Lynn LeMaster will provide the wording for the signs if the clubs would like to use them at their dances. B) Pre Snowball Workshop: January 26, 2019 from 12:00-3:30m. Location is the Gahanna Congregational Church. COCDC clothing sale. The dancers will be asked to bring refreshments in the category according to your last name. C) A Nominating committee will be appointed at the next meeting. The President and Secretary positions are up for election. D) The Reps have been asked to talk to their clubs about meeting the callers and cuers at their cars to help carry in equipment into the dances. 9) Club Reports: A) Bucks & Does: The new location is working out well. 6 New Dancers and 1 Refresher dancer. Yellow Rock dance is November 11, 2018 with caller Tom Davis and cuer Phyllis Burdette at the East Pointe church admission is $8.00 at the door $7.00 presale. B) Calico Pairs: Reminder Masonic Temple in Newark is new dance location. C) Dixie Squares: The November 9, 2018 dance will be a black and white dance with caller Tom Strickland and cuer Phyllis Burdette. D) Friendly Ties: 4 or 5 dances will be HI/Low dances. There are 3 to 14 Students at each lesson. E) Grove City: Veterans Day dance with caller Dave Stuthard and cuer Mark Johnson. Pre New Year s Eve 2 hall dance with callers Mark Patterson & Wes Dyer with cuer Chuck Berry. Lessons going well. December 8, 2018 Hi/Low dance with caller Bob Daye & Jason Raleigh and cuer Dave Blaskis. F) Hicks & Chicks: 6 Students. November 17, 2018 with caller Brian Fellows and cuer Sue Powell. G) Hi Timers: October 14, 2018 Charity dance made $ for the defibrillator for the Gahanna Congregational church. The final cost to the church for the
4 defibrillator was $ due to the grant paying the difference. The remainder of the money will be used to maintain the defibrillator. December 19, 2018 potluck dance with caller Ed Laudenschlager and cuer Chuck Berry. H) I.C. Rounds: Honoree elections are being held during the November 5, 2018 meeting. A new class with 5 couples and 2 singles. They are working on the Waltz, Two Step and Cha. I)Johnny Appleseeds: 17 New Students. September 22, th Anniversary dance was a big success. The club received a proclamation from the city of Mansfield and the state of Ohio. J) Little Brown Jugs: The charity dance for Grace free clinic will be held at the Delaware Bible Church on November 16, 2018 with caller Tom Davis and cuer Phyllis Burdette. The clubs can still donate free passes. There are 2 couples and 3 singles of new students. We have a student that has a hearing service dog. The dog is not able to be insured by the USDA but the students private insurance will cover the dog at dances and lessons. November 30, 2018 dance is a crazy sock dance with caller Ed Laudenschlager and cuer Sue Powell. January 18, 2018 is the COCDC New Dancer dance. K) Maple Leafs Squares: Oglebay Fest, WV bus trip was cancelled due to lack of dancers. The eight Central Ohio dancers still attended the event with 145 dancers. Pittsburg is using modern square dancing for branding rather than using western square dancing. November 25, 2018 is the COCDC New Dancer Dance with Tim Hellinger. August 25, Appreciation dance Tony Oxendine is coming back. $10.00 at the door. Attend two dances and earn a free pass to this dance. L) Orbiting Squares: November 16, 2018 no dance. December 7, 2018 caller Dave Stuthard and cuer Dave Blaskis. December 21, 2018 caller Jason Raleigh and cuer Mark Johnson. New Years Eve dance on December 31, 2018 with caller Tom Strickland and cuer Chuck Berry. The number of students at class vary every lesson. M) Starlites & Satellites: No Report N) Westerville Promenaders: 12 Students. Caller change for the December 1, 2018 dance will be Gary Kincade with cuer Linda Warren. 10) Next meeting will be January 7, ) Motion to adjourn by Doug Burdette and seconded by Dennis Budinski.
